Title: Group Programme and Events Lead

Reports to:  Associate Director of Business and Operations  

Based: Remotely – however must travel as and when required to meetings and events.

Working Hours: Monday to Thursday, 9:00am–5:30pm; Friday, 9:00am–5:00pm. (Hours may vary on event days or when event planning calls are scheduled outside of standard working hours)

Job Purpose: To organise the planning and implementation of Programmes & Events and maintain a high level of accuracy and detail throughout.

The role: Arrhythmia Alliance Group is recruiting a Group Programme and Events Lead on a full-time, permanent, remote basis. Your skills will be essential in strengthening the charities profile through programmes and event planning and coordination.

You will support the organisation with its’ programme and events portfolio by developing healthy, professional, relationships at all levels. You will also showcase initiatives taken and their key impact in making a real difference in people's lives.

Main responsibilities:

- Plan, coordinate, attend and execute charity programmes and events.

- Research and oversee all event logistics, including agendas, venue selection, room allocation, contract negotiations, transportation, accommodation and catering arrangements.

- Liaise effectively with various vendors and service providers.

- Develop and manage budgets, providing financial reports and forecasts to senior management.

- Evaluate programme and event success through feedback collection and analysis, making necessary recommendations for improvements.

- Promote the organisation's brand image, values, and initiatives.

- Ensure all events are compliant with relevant standards and other regulations.

- Diary management for all programmes and events.

- Support in production of relevant presentations and be able to present on the Charity group whilst attending events online or in person.

- Work closely with all other departments to ensure all events, projects and campaigns are promoted efficiently to the target audience; includes website development and updates along with researching and sourcing appropriate promotional resources.

- Take payments over the phone as and when required.

- Attend physical meetings and events as and when needed to provide support.

- Support the production of recording for Healthcare Professionals, patients and care givers for educational webinars & events using but not limited to Microsoft Teams or Zoom.

- Attend Calls with Senior managers out of normal working pattern when required

Person specification:

- Experience in planning, organising, and executing marketing of programmes and events 

- Excellent attention to detail and accuracy

- Excellent knowledge in Microsoft Suite of tools including Word, Excel and PowerPoint

- Excellent organisational skills, with the ability to prioritise and manage workload

- Can undertake a wide variety of tasks and multi-task with ease

- Professional, methodical and thorough approach to work with a friendly and polite manner

- Ability to work on own initiative as well as part of a team

- Full Driving Licence with access to a vehicle

Operations Manager

We are seeking an experienced fractional Programme Manager to design and embed an agile and proportional PMO, strengthen portfolio-level delivery and support the Director of Operations to shape and establish this delivery team. The role combines strategic setup with hands-on delivery.

Outcomes by month 6

• A clear, proportionate PMO model agreed and in use with standard templates and guidance; 

• A prioritisation and intake process agreed and used by SLT, supported by clear portfolio-level reporting for SLT and trustees;

• Defined purpose, scope and operating model for the delivery team;

• Organisation-wide use of Asana as the single source of truth for project and programme planning;

What you will do

• Design and embed a pragmatic, proportional  PMO suited to a scaling charity using the Asana platform as the work management tool;

• Work with the P&C department to role out whole organisation training on process and platform; 

• Support the Director of Operations to define how the delivery team is structured and integrated;

• Partner and coach the Delivery team in ways of working, planning and reporting;

• Establish portfolio visibility, prioritisation and reporting;

• Lead a small number of high-impact projects directly;

• Produce a short PMO and delivery playbook and support transition to long-term ownership.

What you bring

• Senior programme or portfolio management experience, with a track record of delivering complex, cross-team initiatives;

• Proven experience designing and embedding PMOs or organisation-wide delivery frameworks;

• Strong working knowledge of project and programme management approaches (e.g. Agile, hybrid etc), and the ability to apply them to match organisational size, scale and capacity;

• Confidence using work management platforms to drive planning, visibility and accountability (experience with Asana is an advantage);

• Strong facilitation, coaching and stakeholder management skills;

• A pragmatic, delivery-focused mindset and comfort operating both strategically and hands-on;

The Challenge Events Manager role is a varied position which would be perfect for somebody who has event management experience. You will be responsible for the full event cycle, from the initial planning, participant recruitment and stewardship to on the day event delivery and post event follow ups. You will be somebody who can spot opportunities, take on a project and run with it. You’ll be an excellent communicator, happy to pick up the phone to chat to event participants, deliver pre-event webinars or create engaging participant emails. You’re self-motivated, well organised, able to multi-task, a strong administrator, a fantastic team player, have excellent interpersonal skills and enjoy being outdoors. You should also have some fundraising experience, ideally in a paid capacity but in a voluntary capacity would also be considered.

You'll work closely with the Corporate Partnership Manager, who is highly experienced in delivering our challenge events, but needs time to develop new corporate partnerships which is why we have created this new role. You'll also line-manage our Events Fundraising Officer who plays a key support role on the events. You must live in or near the South West as there will be a semi-regular requirement to attend in person staff meetings, visit programmes and join event planning sessions.

About You

You’re a people-person, self-motivated and highly organised. You are as comfortable managing a budget and a CRM database as you are standing on a mountain side in your waterproofs! You’ll have:

• Event Expertise: A proven track record in delivering successful fundraising or challenge events.

• Fundraising Experience: You might be an existing fundraiser or somebody who has taken on fundraising activities in a voluntary capacity. You will need to be able to relate to the challenge participants and guide them on how to reach their fundraising targets.

• Agility: The ability to think on your feet and adapt plans dynamically when situations change on the ground.

Role overview:

The Finance Manager will work closely with the CEO, Treasurer, and bookkeeper to manage daily financial functions, ensure regulatory compliance, and drive financial performance - including budgeting and forecasting. 

• Contract and working conditions: This is a fixed-term role (initially 18 months) which we envisage will transition to a permanent position. Hours will initially be 17.5 hours per week with remote and flexible working arrangements. Candidates must have the right to work in the UK and be based in the UK.

• Strategic responsibilities: The Finance Manager will support financial target delivery, ensure robust financial systems, and align financial processes with organisational growth and strategy. 

• Operational duties: Responsibilities include preparation of management accounts and all financial reporting, cash flow forecasting, grant management, VAT and tax compliance, audit support, and process improvements. The role also involves liaising with external suppliers and stakeholders and overseeing payroll and pension scheme implementation and management.

• Governance and compliance: The Finance Manager will ensure adherence to the requirements of the Companies Act, Charities Act, and HMRC regulations, ensuring we prepare and submit our statutory accounts on time.  You will coordinate the annual audit, review internal controls, and report financial risks to the ESPE leadership.

• Leadership and collaboration: The role includes providing financial guidance to coordinators and teams to support informed decision-making. 

• Required experience and skills: Candidates must be a qualified accountant (ACA/ACCA/CIMA/AAT/ICAEW) with at least three years experience in financial or management accounting, preferably in a professional body or learned society. Proficiency in accounting software, and having significant knowledge and understanding of VAT (ideally across Europe), analytical skills, communication, and project management skills are essential. 

• Personal attributes: The ideal candidate will demonstrate strong attention to detail, resilience, collaborative skills, ability to manage multiple priorities, and alignment with ESPE’s mission. You should be proactive, enjoy challenge, be capable of working under pressure, and skilled in influencing and strategic thinking. Must be willing to travel to Europe as required (2-4 times per annum).

Operations Management

· Monitor fundraising accounts and ensure accurate tracking and reporting of donations

Safeguarding and Data Protection

· Act as the Designated Safeguarding Lead and primary point of contact for safeguarding matters

· Assess and report safeguarding concerns to statutory bodies and the Trustee Board as required

· Signpost individuals involved in incidents to appropriate support services

· Advise the Board of Trustees on safeguarding policies, procedures, and training requirements

· Oversee data recording, storage, and breach management in compliance with GDPR

· Liaise with the Information Commissioner’s Office (ICO) on mandatory reporting

· Maintain and update privacy policies and ensure ongoing GDPR compliance

Service Delivery

· Oversee peer support services, including facilitator training and meeting scheduling

· Support recruitment of meeting facilitators and volunteers

Policy Development

· Draft, review, and update policy documentation in partnership with Trustees where appropriate

Reporting and Contract Management

· Report directly to the Global Lead, who is delegated by the Trust Board to manage priorities, performance, and contractual arrangements for this role

The post holder will work as part of the Estate & Facilities and Safety Management team to deliver high standard, customer focused estates and facilities to the organisation. You will lead on all aspects of safety, facilities and estate management at our outdoor learning centre, Hindleap Warren. You will support with facilities (managed onsite by the Director of Finance) but will be responsible for all aspects of safety compliance at our London Office. This role is a blend of strategic and pragmatic thinking to create a great place to work, along with the need to 'roll up sleeves' and ensure our buildings, grounds, and systems of work are safe, compliant, efficient and sustainable. A monthly visit to the London Office will be expected. 

What you will be doing

Estate Strategy 

• Work with the Senior Team and Heads of Centres to develop the strategic direction and objectives to ensure London Youth are following relevant legislation and best practice from all sectors. 
• Create and deliver plans to manage London Youth's assets in a compliant, safe, and best practice manner, as well as rolling out new software to manage this process. 

Facilities Management 

• Lead on delivery of all Facilities Management services, including but not limited to: M&E, fabric, cleaning/housekeeping, bed linen/laundry, car partking, grounds, waste management, pest control and external contractors. Occasionally support may be needed out of normal working hours in emergency situations. 
• Establish and maintain a comprehensive planned preventative maintenance programme, ensuring the satisfactory operation of all buildings, plant and equipment, and ensuring our buildings remain compliant, safe, fit for purpose, and reflect our brand values at all times. 
• Procure and manage services, evaluate contracts and tender processes through a blend of in-house and out-sourced delivery methods, as appropriate, and evaluate value for money. 
• Work with the Director of Centres and Heads of Centres to set the estates, facilities, and health & safety elements of their annual budgets and advising on capital expenditure requirements across all three sites. 

Health & Safety 

• Maintain a health and safety management system at both Hindleap and the London Office, ensuring all regulatory requirements are met, including overseeing risk assessments, health & safety policies and procedures, and annual audits. 
• Attend monthly meetings of the Safety and Safeguarding Team, analysing reported accident and incident data. 
• Provide assurance reporting to the Director of Centres and Trustees on a quarterly basis. 

What you bring to the role 

• Experience of delivering safe and effective work on customer-facing premises and grounds. 
• Experience of managing high performing teams to deliver in line with the needs of an organisation. 
• Experience of working and leading teams across multiple sites. 
• Relevant qualifications in facilities and estates management and health & safety, including a NEBOSH. 
• Knowledge of the Health and Safety compliance standards applicable to our sites and how these should be achieved. (Please note the outdoor adventurous activities are managed by the operations team - specialist knowldge of these areas is not required.)
• Ability to communicate in a range of settings with people at all levels of an organisation. 
• Ability and experience of training others in health and safety. 
• Experience of working as a member of a management team and bringing about changes through the action of your peers and team.

For the past 8 years, we’ve been delivering financial education programmes that set children up for life. But we have so much more to do to ensure no child misses out.

Our plan for 2025 to 2027 focuses on strengthening our commitment to working with schools, families, and communities. We want to help people feel more confident talking about money. We will prioritise financial literacy in education and aim to increase funding for financial education programmes. Our goal is to ensure all children can make informed financial decisions as they grow up.

Our efforts also concentrate on expanding and strengthening our collaborations and partnerships with educational institutions, advocates, financial partners, and supporters.

We are looking for an experienced and driven Fundraising Manager to play a senior role in growing our income and supporting our mission to improve financial education across the UK.

This role has a strong focus on new business development, particularly across corporate partnerships (all sectors) and trusts and foundations. Alongside developing new funding relationships, you will also be responsible for managing and stewarding existing trusts and foundations, including delivering high-quality funder reporting.

You will be income-focused, proactive and confident building relationships, while also being a collaborative team player who is willing to support existing relationships and wider fundraising activity when needed.

The role is home-based and open to candidates anywhere in the UK, with some travel required for meetings and events.

Key responsibilities

• Lead on new income generation across corporate partnerships and trusts & foundations
• Develop and manage a strong pipeline of new funding opportunities
• Manage relationships with existing trusts and foundations, including reporting
• Write high-quality funding applications, proposals and reports
• Track income, pipelines and forecasts using Salesforce
• Contribute senior fundraising expertise and support to the wider team

About you

• Significant experience in fundraising, with a strong track record of securing new income
• Proven experience in corporate fundraising and/or trusts & foundations
• Experience managing funder relationships and reporting
• Confident using Salesforce (or a similar CRM) for pipeline and reporting
• Highly organised, income-driven and collaborative
• Experience with financial services organisations is desirable but not essential
