The main purpose of the post holder is to develop the capacity of new and existing Refugee and Migrant Community Organisations (RMCOs) in Islington and surrounding boroughs by providing high quality information, capacity building training and developmental support.  The post holder is expected to udnerstand the values and challenges of the voluntary sector.

The capacity building project has been running for 18 months, and will continue for another 18 months until 30 June 2027 where funding will end. Renewal of this employment contract beyond of this period is subject continuation of funding

Business and Administration Coordinator

Coordinate the administrative function of the Southwark Catholic Youth Service, ensuring the smooth planning, and evaluation of youth events, training programmes, pilgrimages, and Mission Team administration. The post-holder acts as the central operational hub for planning, finance, admin, communications and volunteer coordination, ensuring systems and logistics run efficiently and on time so the Director and mission staff can focus on strategy and operational delivery. This is a hands-on coordination role for a natural organiser who makes things work seamlessly behind the scenes.

Key Responsibilities

1) Strategic Administration & Planning

a) Maintain the master events calendar, ensuring all youth service activities are scheduled, planned and tracked.

b) Maintain simple project boards (e.g., Asana/Trello) with owners, deadlines and status.

c) Support the Director with all aspects of administration and planning, including timelines, progress monitoring, and post-event evaluation.

d) Keep planning documents, checklists, and contact databases accurate and up to date.

e) Take initiative in identifying and implementing improvements to administrative systems, ensuring the Service runs efficiently and professionally.

2) Event & Programme Administration

a) Oversee administrative logistics for all events, including venue bookings, contractor & volunteer scheduling, catering orders, AV requests, travel, accommodation, risk assessments, and consent forms.

b) Prepare briefing packs, participant communications, and evaluation forms.

c) Maintain an event management workflow (including deadlines and task assignments) to ensure all activities run on time and within budget.

3) Pilgrimage Planning (World Youth Day & Lourdes)

a) Lead administrative planning for pilgrimages: itineraries, travel bookings, accommodation, insurance, payments, and safeguarding documentation.

b) Act as the primary contact for pilgrims, managing participant information and correspondence.

c) Organise pre-departure briefings, resource packs, and follow-up processes.

d) Support fundraising and publicity logistics for pilgrimages, ensuring precise and timely communications to participants and parishes.

4) Volunteer Administration

a) Work with other team members to maintain accurate volunteer records.

b) Track and circulate volunteer rotas, ensuring completeness.

c) Manage booking, coordination and administration of the Mission Team.

d) Oversee the onboarding and offboarding of volunteers, ensuring role descriptions, safeguarding checks, and agreements are completed.

5) Communications Liaison

a) Maintain and update the youth service website with event details, news, and resources.

b) Produce and distribute the youth service e-newsletter (via Mailchimp), ensuring mailing lists are accurate and GDPR compliant.

c) Assist with social media to share updates, provide event content, and ensure consistent messaging.

d) Commission printed and digital publicity materials.

6) Safeguarding & Compliance

a) Liaise with the Director of Safeguarding to embed safeguarding procedures in all events and pilgrimages: risk assessments, consent forms, medical records, and emergency contacts.

b) Act as the Safeguarding Representative to manage DBS applications, safeguarding training records, role descriptions, and volunteer agreements.

c) Maintain accurate, digital safeguarding and compliance files and ensure all event leaders are briefed on their responsibilities.

7) Finance & Resource Management

a) Process invoices, expense claims, and participant payments.

b) Monitor budget, reconcile accounts and prepare budget reports for the Director.

c) Reconcile bank and credit card statements with receipts.

d) Order resources, equipment, and printed materials for events and programmes, maintaining a stocklist.

e) Support the Director in financial forecasting and annual budget preparation, ensuring accurate and timely data.

8) General Office Administration

a) Arrange meetings, prepare agendas, and take minutes when required.

b) Maintain and update digital and paper filing systems.

c) Act as the first point of contact for youth service administrative enquiries, managing the youth service inbox.

d) Keep stock of branded materials, stationery, and event equipment.

e) Ensure the office environment and digital systems are well organised and professional, promoting a culture of excellence and accountability.

f) Basic facilities liaison (H&S checks, equipment log).

About the role

The Administration and Facilities Assistant role at Crisis Skylight Croydon is varied and fulfilling. As the Administration and Facilities Assistant, you will assist with the day-to-day administrative tasks, health and safety and facilities management of a busy Skylight centre ensuring the smooth and efficient running of the office and member areas. You will assist with purchasing, stock control and deliveries as well as liaising with contractors. You will use internal systems to record client information. You will also help promote the Skylight internally and externally by collaborating with others and producing impactful designs.

About you

• In this role you will need excellent written and verbal communication skills and be competent using Microsoft applications including Excel.
• You will have experience of supporting a team in an administrative role with proven organisational skills.
• You will have excellent interpersonal skills, possessing the ability to develop and maintain excellent working relationships within the team.
• You will be confident in financial matters such as administering petty cash and raising purchase orders.
• You will have an interest in facilities management and health and safety.
• You will have the ability to undertake manual handling tasks and to support with processing and storing deliveries.

About Women in Prison

Women in Prison is a national, women-led, feminist organisation.  We deliver front line support to women harmed by the criminal justice system, through our work in prisons, in the community and ‘through the prison gate’ as they resettle back into their communities. We also campaign for systems change that addresses the root causes of offending, reduces the harmful impact of prison, and creates workable, community-based alternatives to imprisonment.  
 

Job Purpose:

Women in Prison’s Advocates deliver high-quality, trauma-informed, independent advocacy for women in communities and in prisons, which focuses on early intervention, and holistic provision as part of a ‘whole system’ multi-agency response that looks to address the root causes of women’s offending.

Key Responsibility Areas

1. Provide high-quality, trauma-responsive advocacy and support to a caseload of women in contact with, or at risk of being in contact with the criminal justice system.
2. Undertake risk and needs assessments and co-producing bespoke support plans with women across the nine pathways to reoffending.
3. Monitor case management systems to ensure accurate and timely data recording, aligning with contract KPIs and WIP policies.
4. Champion the core values of Women in Prison, including social justice and feminism in all internal and external communications, articulating their importance to the work we do.

About the role
We’re seeking a committed and enthusiastic Homework Club Lead to prepare and deliver
engaging weekly sessions for children of families seeking sanctuary (primarily Key Stage 2).

You’ll plan and lead a supportive after-school environment where children can complete
homework, strengthen their English and maths skills, and enjoy fun, child-centred activities.

You’ll also oversee volunteers during sessions, making sure each child gets the right level of
support, and help coordinate volunteers outside of session time.
This is a fantastic opportunity for someone with experience in education or community
learning, who loves working with children and wants to help them thrive in both learning and
life.

• Contract: Freelance consultancy agreement, 1-year fixed-term (with potential to extend up to 4 years). Post funded by National Lottery Reaching Communities Fund

• Plan, prepare and deliver weekly Homework Club sessions (1.5 hrs) for primary school children (Key Stage 2 focus)
• Communicate with parents/carers, project partners and GCP ensuring strong relationships and consistent support for children
• Set up and clear away the session space each week
• Welcome and greet children, ensuring they feel safe and included
• Match children with volunteers, ensuring either 1:1 or 1:2 support and age-appropriate learning materials
• Provide additional support in Maths and English where needed (up to age 11/12)
• Organise fun, creative activities alongside homework to keep sessions balanced and enjoyable
• Take a participatory, child-centred approach to all activities
• Lead and manage volunteers during sessions, and support coordination between sessions
• Report safeguarding concerns immediately to the Project Lead, following procedures

What we’re looking for
Essential

• Experience leading or supporting educational sessions (school, after-school, or community-based)
• Knowledge of the UK school curriculum, particularly Key Stage 2
• Confidence supporting English and maths learning up to age 11/12
• Experience working with children from asylum-seeking, refugee and/or migrant families
• A child-centred, participatory approach to learning
• Strong safeguarding awareness and commitment to child welfare

About the role

Imperial’s Regular Giving and Legacy team is seeking a coordinator for a 12-month fixed term contract. For this role you will need to show experience of working in a fast paced, target-driven environment. You will bring outstanding written communications skills, along with strong attention to detail and the ability to work with a wide range of individuals. This role is a great opportunity for a talented administrator who is looking for a starter role in higher education fundraising, with a view to progressing further in the field.

What you would be doing

Imperial’s Regular and Mid-Level Giving programme seeks philanthropic support up to £50,000 to advance the work of the University. Primarily, the programme focuses on soliciting support from alumni. The Legacy team raises philanthropic income from alumni and friends who leave the gifts in their will.  Our programmes raise funds for a variety of projects across the University including bursaries and scholarships, enhancing the student experience and Faculty level support.

Your responsibilities will be wide-ranging, but the key duties are:

• Act as first contact for all fundraising related queries (by telephone, email, post and in person); liaise across the team to draft and send appropriate responses.
• Collect, collate and manage case studies, including building relationships with students.
• Support the telethon fundraising campaigns, direct marketing fundraising appeals, and managing your own fundraising projects such as emails and social media.
• Support the team with general administrative and office duties such as booking meeting rooms.
• Provide diary management and PA support to the Head of Regular Giving and Legacy Giving.
• Support with the team with budgets including raising PO’s and tracking invoices.

What we are looking for

In order to hit the ground running, you will need to possess the following required skills:

• Experience of working in a customer, alumni or donor focused environment
• Outstanding communications (both written and oral) and interpersonal skills
• Ability to communicate effectively and concisely with a range of internal and external stakeholders, at all levels
• Excellent organisational skills and time management
• Methodical approach to work with outstanding attention to detail
• A sound understanding of customer relations databases (CRM) to manage customer/donor data.
