We are now looking for an enthusiastic, highly organised Administrator to join our small but dynamic team. This is an exciting, hands-on role where you’ll take responsibility for the smooth running of our office and work closely with our Founder and CEO, as well as our Deputy CEO.

About You:
We are looking for someone who has a can-do attitude, is hardworking, efficient, has excellent attention to detail, can work in a fast-paced environment and is good at managing their own time. You will bring with you the following skills and experience:

• Excellent verbal and written communication skills
• Previous Executive Level PA experience or hands-on administrative experience
• Experienced, self-motivated, enthusiastic and dedicated, with initiative and the ability to work as part of a small administrative team
• Reliable and responsible
• Excellent attention to detail where accuracy is essential
• Excellent IT skills with extensive experience of Zoom, Teams and Microsoft Office including MS Excel – ability to use spreadsheets, input basic formulae and remove duplications. Experience of Donorfy is a bonus.
• Excellent research skills

About the role

We are seeking a Grants Systems and Business Analyst to join our Foundation, providing subject-area expertise to our grantmaking and wider teams. This exciting role leads on our grants system and processes and ensures we are working in the best way to support our grant-making (approx. £35m of grant spend per year).

You will lead on maintaining, designing and developing grant making systems and processes and their relationship to other parts of the organisation. You will work with colleagues to identify where we could improve our use of existing digital systems or introduce new systems and oversee the introduction of new systems as agreed including the development of a new grant management system. A key element of this role is to help others work in the most efficient and effective way. 

In addition, the role leads on introducing, developing and overseeing the operation of digital systems to support the operation of PHF’s wider business.  The post holder will bring a mix of technical and people skills to lead on continuous improvement, ensuring our systems and workflows fit the needs of the organisation and those we work with, and colleagues are skilled-up to work effectively.  This may involve working on the introduction of new software as required and will include working with our IT support company, software suppliers and colleagues who have specific oversight of some systems.

Our ideal candidate will be an experienced digital systems and data expert who can confidently translate technical language to a non-expert client group in order to improve systems and ways of working. You may have exeperience of Blackbaud Grantmaking software or will be confident to pick this up.

We have a new opportunity for a proactive Infrastructure Lead to join our growing Technology team. We’re transforming our Digital, Data and IT services to better partner with our user communities and harness technology that drives our mission forward. As we build new skills, adopt product-led ways of working and expand our teams, we’re looking for people who want to use their expertise to make a real difference for those living with and affected by MND.

As the Infrastructure Lead, you’ll guide the maintenance, support, and continual improvement of the MND Association’s technology infrastructure. Ensuring systems are stable, secure, and efficient so our teams can focus on achieving our strategic objectives.

Key Responsibilities:

• Collaboration across Technology teams to maintain and enhance infrastructure in line with Association goals
• Provide expert technical support and troubleshooting for infrastructure issues, ensuring minimal disruption
• Monitor and manage servers, networks, firewalls, and cloud platforms to optimise performance and reliability
• Develop and implement security and infrastructure best practices, including proactive patch management and cyber security compliance
• Plan and deliver infrastructure projects such as upgrades and migrations with efficiency and minimal downtime
• Maintain clear and up-to-date documentation of configurations, processes, and changes
• Grow excellent relationships with internal and external stakeholders
• Track costs, ensuring alignment with financial plans and budgets
• Develop and test business continuity and disaster recovery plans to ensure resilience

About You:

• Extensive experience in infrastructure management or a similar role, with expertise in server and network management in hybrid environments
• Strong communication and stakeholder management skills, with the ability to work with cross-functional teams
• Strong understanding of networking concepts such as DNS, DHCP, and TCP/IP
• Confident working with Microsoft technologies including Windows Server, Entra ID, and Azure
• Experienced in managing virtual platforms such as VMware and Hyper-V
• Skilled in documenting systems and processes clearly and accurately
• Proven people management skills, with the ability to lead, support, and develop colleagues effectively
• Strong problem-solving and troubleshooting ability with a focus on delivering practical, secure, and reliable outcomes
• Ability to automate tasks through scripting (e.g. PowerShell), coding or orchestration tools
