The CRM Officer plays a pivotal role, providing the day-to-day support needed to ensure there is a functioning CRM system for the Fundraising team.
Working under the supervision of the CRM and Data Insight Manager, the CRM Officer is responsible for managing regular data imports into CRM, providing data selections, reporting and performance analysis, system development, team training and running data cleansing routines.
They are also responsible for developing and maintaining system user guides.
HOURS: 37.5 hours per week (Mon -Fri).
LENGTH OF CONTRACT: Fixed term contract, 9 months.
LOCATION: London - hybrid working

This position will help us take the next big step up in how we engage with and serve our customers. Stewardship offers a broad range of services to the Christian community – Accounts Examination, Payroll Bureau, Charity Formation, Consultancy Helpline, Lending, a giving platform and Philanthropy Services. We are looking to extend our use of Salesforce to integrate the customer information from these different services.
This role will work with the Head of Enterprise Applications and a project manager to implement the staged roll-out of Salesforce components. Although the roll-out will be done in bite-sized chunks, those small components will sum up to a major shift in the organisation’s capabilities. You will also be optimising business processes, making Stewardship staff’s jobs simpler and more efficient. Once the system is up and running, you will manage its ongoing evolution. The net result of all of this is that Stewardship will be a more efficient and effective organisation, better able to deliver the excellent customer service we are known for.

- Excellent time management skills with the ability to prioritise own workload, deal with conflicting demands and work under pressure to meet deadlines

The British Academy – the UK’s national body for the humanities and social sciences - is seeking an Individual Giving and Data Manager to join our Development Directorate on a fixed-term basis, providing key support in the delivery of the Academy’s fundraising efforts, including supporting the implementation of a new CRM system.
The Role
The Individual Giving and Data Manager will work closely with the Head of Development to manage data and deliver communications to individual donors at the British Academy. This will include a regular giving programme, with a target audience of the Academy’s Fellow, and fundraising from public events attendees. This role is unique in that it sits within the small, friendly Development Directorate, and will also work closely with colleagues in the Academy’s Digital Team.
The Academy is currently transitioning its CRM system to Salesforce and the Individual Giving and Data Manager will work closely with the Project Team to achieve this. A core duty of the role involves the migration of data and helping to coordinate and build new fundraising processes within the new system. To do this, the post-holder will work collaboratively across the organisation to ensure that communications to Fellows and other individual donors are co-ordinated. You will be an effective communicator, able to collaborate with both external and internal stakeholders. A keen attention to detail and a proactive approach to problem solving, in terms of planning, prioritisation and demonstrating resilience when faced with adversity is essential.
You will also coordinate fundraising-related communications across a variety of platforms, working closely with colleagues in the Digital Team. This includes thanking donors in a timely and sincere manner, delivering stewardship events for donors, and reporting on activities in the annual report.

Key responsibilities & skills development opportunities:
Fundraising Strategy and Implementation

Implement a robust fundraising strategy aligned with the Institute's mission and goals.

Create and manage annual fundraising plans with clear targets and KPIs.

Identify and outreach to potential funding sources, including foundations, corporations and government.

Enable and support senior leadership, board and wider team to engage with potential funders, setting them up for success.
Donor Engagement and Relationship Management

Cultivate and maintain relationships with existing donors, ensuring they are engaged and informed about the impact of their contributions.

Proposal Development and Grant Management

Collaboration and Team Leadership

Data Management and Reporting

Maintain accurate and up-to-date records of fundraising activities, donor interactions, and financial contributions.

Maintain CRM systems to be up to date, and utilize systems to manage donor information and track fundraising metrics.

Ensure that the Institute complies with laws, regulations and best practice relating to fundraising including, but not limited to, those specified by the Fundraising Regulator in its Code of Conduct and GDPR.
Essential Qualifications and Experience:

Proven experience in fundraising preferably within the non-profit sector.

Excellent written and verbal communication skills, with the ability to craft persuasive proposals and presentations.

What you will be doing
This role supports the delivery of our Individual Giving programme, specifically in support of our Puppy Sponsorship Scheme. The delivery of exceptional supporter care across multiple channels lies at the heart of the Supporter Services team and forms an integral part of the Individual Giving retention strategy. In many instances, you will be the first line of enquiry either by telephone, email, social media, or letter (and occasionally face-to-face) for Hearing Dogs’ supporters.
- Present a professional, positive, and proactive approach to supporter care and adherence to best practice regarding stewardship and supporter engagement.
- Be proactive in stewardship process improvement and development, maintaining up-to-date guidance notes for areas of your work.
- Ensure all interactions with supporters are logged in the CRM system and where appropriate passed on to the relevant team(s) in a timely manner.
- Use KPIs and SLAs to track, measure, and report on performance to ensure supporter care consistently meets our high standards.
- Process telephone, post and email enquiries/donations regarding and related to the Puppy Sponsorship Scheme, and ensure that all queries are responded to and resolved within recommended stewardship guidelines and timeframes for the team.
- Assist with maintenance of Puppy Sponsorship data on the Charity’s CRM to ensure supporter records are up-to-date and accurate, flagging any issues to the Supporter Services Manager.
- Prepare data for Puppy Sponsorship updates and build email communications.
- Assist with the production and cleaning of mailing files to support fundraising appeals, raffles, lotteries, and other products.
