Title: Volunteering Officer

Duration: Permanent, full-time

Responsible For: All StreetVet volunteers

Main purpose of the role

The Volunteering Officer will be responsible for the day-to-day management of the StreetVet volunteering programme. This role will have overall responsibility for recruiting, onboarding, and supporting StreetVet volunteers as well as establishing positive working relationships with volunteers to ensure they have a fulfilling and rewarding volunteering experience.

Key Responsibilities

· Lead the recruitment and induction of volunteers.

· Provide effective and timely administration of the volunteering programme.

· Provide highly effective support to all StreetVet volunteers to ensure a positive volunteering experience and offer training opportunities to develop volunteers in their roles.

· Provide regular communication to volunteers e.g. a regular newsletter, to update them on information relevant to their volunteering and keep them up to date of StreetVet’s wider activities, achievements and plans.

· Implement initiatives to reward and recognise volunteers for their efforts and engage with national initiatives e.g. Volunteer Week to celebrate the contributions of StreetVet volunteers.

· Arrange opportunities for StreetVet volunteers to come together and share their experiences of volunteering at StreetVet.

· Work with the Head of Volunteering to implement processes to gather feedback on the volunteering experience at StreetVet (e.g. volunteer surveys, exit interviews) and create relevant action plans to continue with areas of good practice and implement suggestions/recommendations where feasible.

· In collaboration with the Head of Volunteering, provide support, training and guidance to staff managing/working with volunteers.

About the role:

This is an exciting front-of-house role. As receptionist you will be responsible for greeting every young person as they arrive and ensuring they leave safely. The Brompton Fountain is the children’s charity at Royal Brompton Hospital - a world leading specialist centre for complex heart and lung disease. We work in partnership with the teams on the wards, paediatric intensive care unit (PICU) and in outpatient clinics. Our charity provides support and resources for patients, families and staff, as well as funding lifesaving medical equipment, accommodation - so that parents can stay close to their child during an admission, toys and entertainment for the playroom and improvements to the facilities to create the best possible environment for families to promote their wellbeing during what can often be a very challenging time. In collaboration with the hospital trust and the NHS we also fund research projects and develop new initiatives for babies, children and young people with heart and lung conditions.

Main Duties and Responsilbilties 

Community and Events Fundraising

• Process cash and cheque donations, Gift Aid and matched funding claims, ensuring this income is processed and recorded accurately on our database.

Marketing and Communication

• Create engaging materials (posters, leaflets, stories etc), social media content and e-newsletters to inspire participation in fundraising activities.

Additional Information

Overview of the role

Fundraising support

· Monitor the Fundraising inbox and respond promptly to ad-hoc queries from individual donors or prospects

JOB PURPOSE

This is an exciting opportunity for a proactive and organised operations professional to play a key role in strengthening the systems, processes and projects that will underpin our 10-year ambition. The Fundraising Operations Officer will help drive improvements in how the Fundraising team manages data, reporting and income tracking. The role supports the smooth running of Fundraising operations by improving and maintaining systems, processes and administrative functions, ensuring the global team runs smoothly and efficiently.

This is a newly established role that will offer hands-on experience in project coordination, risk escalation and CRM management, and will support you to develop technical and strategic skills in an international fundraising environment. Working closely with teams across Lumos, you’ll be part of an ambitious, values-led organisation where collaboration and continuous improvement are at the heart of what we do.

KEY OBJECTIVES

Operational Oversight

• Oversee day-to-day Fundraising operations, ensuring compliance with regulatory requirements, e.g. GDPR and IATI, across all relevant jurisdictions
• When needed, coordinate process improvement initiatives that support Fundraising delivery and create efficiencies, ensuring they work alongside those already used within Lumos
• Manage back-office functions for recruitment, inductions of new starters in the Fundraising team, and management of contractors and other suppliers as appropriate
• Provide operational support for events, including managing guest lists, monitoring expenditure, helping with venue logistics and on-the-day activities
• Help maintain and improve internal systems and team documentation (e.g., on SharePoint)
• Support the drafting of Fundraising policies, procedures and systems used by the organisation
• Maintain records of Gift Aid declarations and support the quarterly claims process

Salesforce Administration

• Act as our day-to-day administrator for our Salesforce database
• Manage the process of recording and reporting on information from Salesforce, maintaining accurate donor and income data, and ensuring up-to-date and consistent record keeping
• Take the lead on running selections and reports to support fundraising activity
• As needed, provide basic training and guidance about Salesforce for the team
• Work with the Finance team to reconcile donations recorded on Salesforce with their records

Information Management

• Support the Director of Fundraising with financial planning, forecasting, and scenario analysis to inform key strategic decisions.
• Deliver accurate and timely income and activity reporting to key stakeholders, including the Chief Executive, Trustees and the Fundraising Committee and to share with external agencies such as the Fundraising Regulator.
• Maintain the risk register, ensuring it reflects activity and can be used as a tool by the Director of Fundraising and Chief Executive

Fundraising Support

• Provide administrative and coordination support for fundraising campaigns, appeals and events
• Assist with donor stewardship, including thank-you letters and donor communications
• Respond to enquiries via the Fundraising inbox, social media or post
• Support scheduling and coordination of Fundraising meetings and cross-team projects
• Collaborate across the organisation to ensure fundraising needs are integrated and aligned

Purpose of the job

Working across the Network Delivery Department, you will support the efficient day to day administration and co-ordination of the teams. You will play a critical role providing administrative and co-ordination support for the Network Delivery Department ensuring we have strong processes and ways of working to deliver our ambitious goals. You will support individual project teams to deliver specific work streams to help us enable all young people to thrive.

Key responsibilities

Provide administrative and coordination support to the Network Delivery Department to ensure the smooth running of the Department. This includes but is not limited to:

• Support the implementation of new systems and processes across the Department and ensure all are kept up to date

• Maintain team and departmental inboxes and provide first point of contact for enquiries, working across the team to ensure efficient communication and stakeholder satisfaction

• Provide logistical and administrative support to Project Managers relating to the delivery of our youth work programmes and activities with our networks

• Administrative duties including scheduling meetings, minute taking and booking venues/ catering

• Coordinate logistics for the delivery of events and public affairs activity related to the department

• Support ongoing work on departmental process improvement and new filing systems on SharePoint

• Manage and maintain databases and CRM; champion CRM use across the department

• Maintaining budgets, as appropriate

• Booking and arranging travel for young people participating in our programmes

• Manage departmental meetings and support with arranging team away days

• Managing the creation of a range of project documents using Word, PowerPoint, Excel, Access and other software packages

• Support the development of marketing and communications materials
