Role Context and Purpose
Following recent and projected growth of the organisation, Gaddum is looking to recruit additional resource within the Central team to bolsters its support to the organisation ensuring delivers safe and high quality services.
The post holder, line managed by the Finance and Resources Director will join the finance team and play a crucial role in the day-to-day financial administration of the charity. You will also play a key role in improving our financial systems and process as we continue to grow. This is a 35 hours per week role, working flexibly and hybrid to suit the needs of the organisation and individual.
Main Duties and Responsibilities
General
• Ensure robust financial administration of all supplier payments and funder receipts including all entries into accounting system to relevant programme and project budgets and the subsequent filing of all payment documentation.
• To provide a professional and comprehensive service in dealing with finance queries raised by suppliers, customers and funders Accounts Payable
• Ensure goods and services invoiced have been ordered and charged in accordance with the approved purchase order • Raise regular BACs payments, ensuring all creditors are paid in accordance with internal policies
• Fulfilling orders and booking requests using company credit card on an adhoc basis
• Record all transactions on SAGE
• Reconcile the creditors account on a regular basis Accounts Receivable
• Ensure all invoices are processed in line with requests
• Record all receipts in SAGE
• Manage credit control function, ensuring that all debts are received in line with internal policies and procedures
Cash Management & Bank
• To oversee the distribution of petty cash when required and reconcile receipts
• Perform bank reconciliation on a regular basis and ensure all payment information is updated
• To support the Finance Assistant (Trust and Grants) in periods of absence
Other Duties and Responsibilities
• To meet regularly with Finance & Resources Director for supervisions
• Undertake additional duties within competence of post holds as required by the Finance & Resources Director

We’re expanding our well-established retrofit advice service and are looking for someone passionate about supporting homeowners to act. You’ll play a key role in developing our new home visit service and, over time, contribute to delivering our in-house HEEP retrofit assessment service.
Operating in the West of England Combined Authority region, we specialise in guiding homeowners through the self-funded retrofit journey – from initial advice and home visits through to the installation of energy-saving measures. Main Duties

Project Delivery & Operations
• This is a varied role that will involve working across multiple projects, requiring a dynamic and adaptable approach.
• Contribute to the day-to-day management of Retrofit West and related projects, ensuring smooth delivery and high-quality service.

Training & Development

This year, we’ve embarked on a bold, strategic initiative to enhance our data capabilities.
We’re aiming to improve our data use, integration and analytics to increase engagement, maximise impact and drive forward our strategic goals. Our Product and Systems Management team are responsible for: defining our product vision; setting the product strategy; and executing on it by delivering new functionality that meets customer needs and supports business goals.
Across all of our products our Product and Systems Management team cover the following areas:
- Being fully responsible for the provision and management of the system
- Owning the list of user requirements. These are known as product backlog items (PBIs) and are drawn from user group meetings/discussions. These PBIs are then scheduled for build and release.
- Manage the relationship with any external support companies for the relevant products and interconnected products and systems including accounting online, bank checking and deduping systems.
- Manage the data cleanliness, accessibility, availability and retention in accordance with our data governance and security policies particularly the information and data management framework. And develop and maintain automated processing of bulk data.
- Enshrine continuous improvement into the use and development of our Products.
Our use of Product Management comprises of all of our critical business systems (Finance, HR, Intranet, Microsoft end user applications).
Our Head of Product and Systems Management plays a crucial role in the development and delivery of our Product and Systems Management. This role is also responsible for defining and delivering the Product and Systems Management team’s strategy/roadmap and ensure they are delivered.

Job purpose
The Operations and Office Administrator will provide wide-ranging administrative & operational support to ensure an efficient office environment, contributing directly to the delivery of the international Missionary Society of St Columban’s mission priorities.
Key Responsibilities
Office Operations: Ensure the smooth running of the office through the management and coordination of IT systems, office supplies, post, telephone/internet, document filing and retention, and oversight of maintenance and improvements to equipment and the working environment.
PA & Administration: Provide IT and administration support to the Regional Director, the Fundraising and Operations Manager, Regional Council, the Board of Trustees, Mission Appeals Team and the community living at St Columban’s House; including minute-taking, arranging meetings, drafting and sending correspondence, database administration, preparation of reports, and booking travel and appointments.
Venue Hire & Events Administration: Coordinate room and grounds hire at St Columban’s – handling enquiries and bookings, diary management, health & safety compliance, preparing the venue, maintaining and improving the facilities, advertising – and assist with the planning and administration of events organised by the Charity.
Reception: Host visitors and handle enquiries by telephone and email; including deliveries/collections, maintenance and supplier visits, and members of the public contacting the office to donate, request a Mass, update their record details, meet with a priest, or for any other reason.
Health & Safety Administration: Manage the online system for health & safety, coordinate the review and update of risk assessments for the office, house and grounds, organise training and briefings, monitor and re-stock first aid supplies, act as a health & safety marshal and organise staff appointed as first aiders and fire marshals.
Principal Tasks
Under the supervision and management of the Fundraising and Operations Manager, you will:
Office Operations
- Champion Microsoft 365 and provide support and guidance to staff in how to make best use of its capabilities.
- Oversee the performance and maintenance of our IT server and network, maintain regular contact with our IT services provider to ensure all issues are resolved.
- Maintain, service and replace office equipment and furniture as required, including IT and telephone systems.
- Monitor and order stock of office supplies, including stationery, cleaning and sanitary products.
- Oversight of office cleaning arrangements.
- Organise and promote recycling to staff for equipment and supplies no longer required.
- Oversee and develop systems for document filing and storage.
- Arrange for confidential disposal of documents in accord with the Charity’s retention policy.
- Oversee arrangements, equipment and systems for receiving and sending out post.
- Process monthly Charity ‘Response with stamps’ claims.
PA & Administration Assistance
- Assist the Regional Director with day-to-day IT and administration tasks.

- Assist with arranging parish appeals and processing the response to appeals.
- Support with direct mail and other fundraising activities.
- Update supporter records in our CRM database.
- Attend and take minutes at Charity meetings.

Venue Hire & Events Administration
- Develop a robust and efficient system for the hire and use of the facilities at St Columban’s, covering both external bookings and internal use by staff and volunteers of the Charity.
- Handle all enquiries and bookings.
- Maintain a bookings diary/calendar that is available to all who need access.
- Keep a complete record of all bookings, related documents and correspondence in our CRM database.
- Ensure hirers and users of the facilities are briefed in all matters related to health & safety.
- Ensure the facilities are clean and ready to use before and after each booking.
- Host or arrange hosting for each booking.
- Process payments/donations made for the hire/use of the facilities.
- Collect and record feedback on their experience from external hirers and users.
- Work with the Buildings & Maintenance Manager to maintain and improve the facilities.
- Advertise/market the facilities to agreed target audiences.
- Provide planning and administration assistance for events organised by the Charity.
Reception
- Welcome and host all visitors to St Columban’s during normal opening hours.
- Maintain a visitors log and ensure all visitors sign in and sign out when leaving the building.
- Handle enquiries by telephone and email.
- Process requests from Charity supporters to donate, request a Mass or to update their database record.
- Receive and keep a daily log of deliveries, collections and service/maintenance visits.
- Ensure the Reception area is kept clean and tidy.
Under the supervision and management of the Health & Safety Officer, you will:
Health & Safety Administration
- Maintain and update BrightSafe, our health & safety planning and records management tool.
- Maintain regular contact with Peninsula, our Health & Safety service provider
- Review and update risk assessments for the office and conference room areas.
- Prompt and assist those responsible to review and update all other risk assessments.
- Ensure actions identified following a review are completed and updated in BrightSafe.
- Check and restock First Aid kits.
- Recruit and organise a team of first aiders and fire marshals.
- Provide and monitor accident books for the whole site and keep a central record of accidents reported.
- Arrange training for staff and volunteers in liaison with their line managers.
Some weekend and out of hours work may be required occasionally.

Duties & responsibilities
People
- To work alongside and train Companions to increase their skill base and confidence
- To organise the deployment of tasks to individuals and team members
- To train, supervise, motivate, and inspire volunteers and companions.
- To help devise and deliver induction on standards of work to new team members so that retail activities are delivered to the agreed brand, including customer service, merchandising, pricing, stock control, and culture

Warehouse Operation
- To ensure effective and efficient day-to-day operations by maximising quality donations and minimising waste

Specialist Child to Parent Violence delivery:
- Advocate for the rights of children to be respected, heard and protected.
