The Corporate Team at ARUK has just enjoyed a record-breaking year of fundraising by our corporate partners. We require a proactive and organised colleague to provide the team with vital administrative support.
The successful candidate will support our partnerships with companies such as Dyson, The Perfume Shop, Cadbury, and Slimming World while building excellent relationships with supporters from within those organisations. This role will also support our new business team with their approaches to prospective companies.
This is a 12-month fixed term contract to cover a secondment period. This role will be known internally as Partnership Development Executive – FTC.
Main duties and responsibilities of the role:
Team administrative support
· Provide general administrative support for all members of the team.
· Manage invites and room bookings for Corporate Team meetings.
· Ensure accurate recording keeping through the use of our CRM system.
· Be the main internal point of contact for the Corporate Team.
· Respond to incoming team enquires promptly and professionally.
· Ensure accurate financial records are kept, by reconciling gifts across multiple donation platforms.
· Fundraising stock management and distribution.
· Assisting the team with event planning, including sourcing pricing quotes, raising purchase orders and booking equipment and ordering merchandise.
· Update the team intranet and website pages.
· Post from the Partnership Development team Twitter accounts, monitor LinkedIn for activity by our partners and flag to appropriate team member.
· Update internal group email distribution lists as required.
Securing new partnerships
· Fundraising data management: adding new companies and prospects to ensure accurate records of approaches made by the team.
· Monitor supporter information on the database to generate new leads for the team.
· Generating reports for the New Business team and maintaining accurate records.
· Provide ad hoc support in the lead-up to high-value pitches and applications e.g. prepare materials, book couriers etc.
Supporting our existing partnerships
· Provide a first-class stewardship journey for fundraisers from companies that are supporting the charity. Including making sure they have the materials and resources required to fundraise – preparing and sending information packs, wishing them good luck, drafting letters, and sending thank you messages.
· Work closely with the Central Fundraising Team to ensure a consistent stewardship journey across all audiences.
· Manage online giving pages and our CRM system to make sure corporate supporters are identified and recorded correctly, and their income potential is maximised.
· Monitor the CRM system to make sure that all information about our corporate fundraisers is recorded correctly.
· Filter enquiries from our corporate supporters whilst the Partnership Development Officers are on annual leave to ensure a timely and helpful response.
· Help support event delivery by sourcing volunteers, merchandise, and gifts in kind for events.
· Keep the Partnership Development Officers and Team Managers up to date on feedback from supporters.
· Communicate key fundraising products and communications designed for our Corporate supporters with the Regional team.
· Develop new fundraising idea packs to engage our Corporate supporters and seek appropriate sign off.
Working with others
· Work with our merchandising team for the development and production of event materials as required.
· Liaise with our distribution centre to organise mass mailings of materials needed for pitches and large partnership launches and events.
· Represent the Corporate Partnerships team on working groups for internal projects to ensure the team’s needs are met.
· Work closely with our Supporter Care Team, Central Fundraising Team and Insight & Development teams to make sure that the Corporate Partnership team is following processes correctly and is adopting improved practices where possible.
What we are looking for:
· Confidence working with computers and Microsoft Office; knowledge of Word, Excel, and Outlook.
· Experience using databases.
· Experience working in a customer/client facing position.
· Demonstrable administrative experience or relevant transferable skills.
· Experience of building and managing relationships with colleagues.
· Good verbal and written communication skills.
· Ability to prioritise and effectively manage multiple tasks.

Additional Information:
Ways of working: As part of our Agile ways of working you will be required to work approximately 2 days a week from the office, which is subject to the requirements of the role and the business needs. Flexibility on where you work can be split between working from home and our office.
Roles that are classed as part of the Agile ways of working are not able to claim any costs for Mileage/Travel on Public Transport, Accommodation and/or Meals. This includes when attending the office for various meetings/events.

Special Events Coordinator (Fundraising)

The role
The special events coordinator will report to the special events manager.
We're seeking an experienced and enthusiastic special events coordinator to join the dynamic philanthropy team. You will play a pivotal role in planning, organising, and executing a diverse range of events, providing the best possible experience to some of the charity’s most committed donors through a mixture of bespoke events, engagement events, and as we steer towards starting to do income-generating events.
The special events coordinator will support the special events manager in creating and managing an exceptional events programme to underpin major donor fundraising, supporting portfolio managers to successfully engage prospects and donors. You will be a creative and innovative thinker, dynamic and experienced in organising events from concept to delivery. You will be confident and comfortable working in an ambitious and busy team that is driven to provide a high level of supporter care and excellent and exciting events.
Principal responsibilities
Event planning and coordination
· Develop event concepts and themes, create detailed event plans, and coordinate all logistical aspects of events of events falling within the remit of this role.
· Work closely with the philanthropy and campaigns team to design and implement special events that maximise fundraising potential.
Stewardship events
· Plan and manage events to acknowledge and appreciate donors, facilitating their continued support and engagement with the charity.
Engagement activities
· Organise and execute events that foster engagement and increase awareness of the charity's mission and goals.
Supporting the new cancer campaign
· Prepare for campaign events in support of a £50m campaign for a ground-breaking cancer centre on the Royal Free Hospital site.
Vendor management
· Whether on-site at one of our hospitals or at an external venue, take responsibility for sourcing, negotiating, and managing relationships with vendors, including caterers, suppliers, and on-site partners.
Budget management
· Create and manage event budgets, ensuring cost-effective solutions while maintaining high-quality standards.
Communications and promotion
· Collaborate with the communications team to develop promotional materials and strategies to maximise event attendance and engagement.
RSVP management
· Managing the RSVP mailbox, ensuring timely and accurate responses to event invitations and queries.
Database management
· Maintain and update event-related databases, ensuring accurate records of participants, donors, and sponsors.
Relationship management
· Act as the main point of contact for colleagues, donors, and contractors, ensuring their needs and expectations are met throughout the event planning and delivery process.
Portfolio manager support
· Assist portfolio managers in engaging with prospects and donors effectively, providing event-related insights and facilitating meaningful connections.
On-site coordination
· Oversee event setup, execution, and breakdown, ensuring all elements are in place and events run smoothly.
Post-event evaluation
· Conduct post-event evaluations to gather feedback and identify areas for improvement.
Oversight and responsibility
· Manage risk assessment, risk management, and first aid training to ensure the safety and well-being of all event participants.
This position would suit a candidate who:
- is highly organised, creative, and possesses strong communication skills
- has proven experience in event planning and coordination, ideally including fundraising events
- develops excellent client relations
- has the ability to oversee events from setup to breakdown
- can manage RSVPs and maintain event-related activity on a CRM.
PERSON SPECIFICATION
Qualifications
· No specific qualifications are required, but a good level of numeracy and literacy is essential.
Experience
Essential
· Significant events delivery experience, ideally within the not-for-profit sector.
· Proven track record in developing and managing events on time and ensuring it is in line with budget (managed by the special events manager) achieving key performance indicators and receiving positive feedback from guests.
· Evidence of using outstanding planning skills to deliver complex projects.
· Experience of setting, monitoring and managing targets, objectives, KPIs and activity plans.
Desirable
· Experience of leading on the creation and implementation of innovative events that are tailored towards a specific audience’s interests.
Skills and knowledge
· A keen interest in the fundraising sector, with a desire to learn and grow in the role.
· Excellent interpersonal skills and excellent ability to negotiate and achieve objectives.
· Strong communication skills with an excellent eye for detail.
· Highly numerate with the ability develop and monitor against budgets.
· Detailed understanding of the events sector and appropriate techniques and approaches for a major donor audience.
· Understanding of major donor fundraising and the role events can play in successful cultivation of relationships (ideally learned through direct experience).
· Ability to contribute to a collaborative and agile team, enabling others to learn and deliver and celebrating successes.
· Excellent IT skills, including a thorough knowledge of MS Office (Word, Excel, and PowerPoint). Fundraising databases (Raiser’s Edge preferred).

The team
Our dynamic fundraising department generated £4.5m through donations in 2023/24, and we are now preparing for an ambitious multi-million-pound campaign in support of a ground-breaking cancer centre on the site of the Royal Free Hospital.
We pride ourselves on being a supporter focused and agile function, working at the heart of the charity to deliver impact for patients and staff across our hospitals.
Responsible for attracting and retaining donors, and delivering an outstanding supporter experience, the fundraising department comprises two teams which work closely together to achieve our shared objectives:
·Our philanthropy & campaigns team builds relationships with individual philanthropists, trusts, foundations, corporate organisations and intermediaries, giving or facilitating donations of £10,000 or more to the charity each year. They lead major appeal activity for the charity, currently focused on our forthcoming cancer campaign, the charity’s first patron programme, and special events to support these activities.
·Our public fundraising team harnesses the support and energy of individuals and groups, helping them to give back in the way that works for them. This includes committed giving, in memory support, gifts in wills, and fundraising events and challenges.
·Our database and supporter care colleagues underpin and support the entire department.

Fundraising Data Specialist

The Fundraising Data Specialist is an exciting role managing the Trust’s supporter database and ancillary systems. Whilst undertaking data analysis the role helps provide insights to inform trust wide decision-making, particularly for fundraising, engagement and supporter development.
The Key Responsibilities and Tasks for the Fundraising Data Specialist are:
Responsibility 1: Database Management
- Act as Database superuser (Raiser’s Edge), demonstrating an expert level of knowledge and providing technical support, training and advice to all areas of the organisation.
- Ensure a high standard of data input and adherence to processes and procedures, including compliance with GDPR legislation, Direct Debit rules and HMRC guidance.
- Oversee the effectiveness of the CRM
- Identify and suggest Database improvements that will support the organisation in maximising its potential.
- Support the addition of new data onto the CRM from other departments – share principles on best practice to ensure all data remains clean.
- Manage the ongoing roll out of CRM automated journeys, including e-communications and cost saving initiatives.
- Work with consultants and external organisations to continue active development of the CRM including the project management of current and future systems integrations, and the cost analysis against business needs.
Responsibility 2: Analysis and Reporting
- Extract and manipulate data to undertake insightful analysis to segment and identify key trends and behaviours to enable ongoing organisational development, including membership, appeals and engagement. Prepare clear written reports as needed.
- Create dashboards and reports to help team better understand and make decisions relating to their work. E.g. Using Power BI to process data and create dashboards.
Responsibility 3: Financial Processing
- Co-ordinate the processing of accurate monthly Gift Aid and Direct Debit claims according to an agreed timetable. Ensure all Direct Debit and HMRC rules are complied with.
- Liaise with Finance to assist with the reconciliation of financial data and troubleshoot any issues arising.
- Support the Fundraising team with Gift Aid best practice, including managing the integrity of current Gift Aid records and auditing past records

Scope of role
The Administration Coordinator provides crucial support to the Mental Health Crisis Breathing Space (MHCBS) team by managing administrative processes efficiently. The role focuses on handling key back-office tasks that enable the team to deliver timely and accurate support to clients and stakeholders.
Responsibilities and Accountabilities
- Coordinate team inboxes and triage emails to appropriate team members or stakeholders, ensuring timely and accurate responses within SLAs – handling routine enquiries as standard and more complex enquiries as directed.
- Coordinate team tasks in AdvicePro, resolving issues, issuing or preparing correspondence, and highlighting urgent or non-standard cases for direction and resolution.
- Ensure CRM is maintained with accurate client and case information, running reports for management to review cases, prepare MI returns and support invoicing routines.
- Resolve or triage enquiries via the Insolvency Service portal, ensuring compliance with guidelines.
- Process incoming MHCBS applications and handle scheme closures using standard operating procedures, escalating non-standard issues or cases for direction and resolving issues.
- Support accurate reporting by ensuring high data integrity and flagging inconsistencies.

The role is for someone with an enthusiasm for working with funders, with a strong track record of successfully securing grants from trusts, foundations and/or institutional donors. A strong affinity with peacebuilding and an interest in challenging the way the international cooperation and peacebuilding sectors works would be beneficial, as would language skills in French, Spanish and/or Arabic.

The directorate has a team of educationalists who design and deliver these programmes and a team of education coordinators and librarians who provide management and all aspects of learner support.
About the role
You will work closely with internal colleagues such as educationalists, project managers and administrators, as well as colleagues in finance, IT, HR, and communications. You will lead and manage a team, and you’ll be required to work collaboratively with a broader team of volunteer clinical faculty who help us develop and deliver our programmes.
You’ll work closely with the Head of relationships and engagement and the Projects and credentials lead, to ensure that the team support all areas of the business, including event management, projects, marketing and quality assurance.
You will make an impact every day by:
- Leading a busy and fast-paced team who deliver education coordination and library services for the directorate, role modelling positive attitude and collaborative working
- Taking responsibility for the team providing excellent customer service to learners, faculty and commissioners
- Taking ownership of providing high-quality written documentation, including templates for learner correspondence, reports for Boards and marketing copy.
- Working collaboratively with others in the directorate, and the finance team to manage budgets and operational accounts
About you

- Line management experience and an ability to lead, develop, motivate, and manage staff, delegating effectively.
- Strong communication skills including excellent writing skills
- Outstanding organisational skills and the ability to liaise and communicate confidently with a range of people, including senior external stakeholders.
- Ability to manage multiple complex workstreams at any one time
- Knowledge and experience of managing multiple events
- Knowledge and experience of setting and managing large budgets
- Experience of planning and working to deadlines, using initiative, and working flexibly

The role will focus on growing and diversifying their network of major supporters—delivering six- and seven-figure gifts through proactive relationship management, strategic donor engagement, and collaborative internal working. You’ll work closely with senior leaders, Trustees, and external partners to enhance the philanthropic impact and build long-term partnerships that align donor ambitions with the organisation’s goals.
Key Responsibilities
- Manage a portfolio of high-value donors and prospects, including HNWIs, trusts and foundations, and senior figures such as Ambassadors, Trustees, and the President
- Identify and cultivate new supporters through targeted prospecting, research, events, and networks
- Develop and deliver an engaging stewardship and cultivation programme to foster lasting relationships and secure long-term, transformational gifts
- Collaborate with internal colleagues to shape compelling, tailored cases for support that reflect donor motivations and strategic priorities
- Build strong cross-organisational relationships to ensure cohesive, donor-centred experiences
- Champion a data-informed approach to donor management using CRM and internal systems to track pipeline activity and support reporting
- Represent the philanthropy function across the organisation, championing best practice and ensuring high-value fundraising is embedded and supported
- Ensure compliance with fundraising legislation and maintain the highest standards of ethical fundraising
Key Skills and Experience
Essential
- Significant experience managing major donor and/or trust relationships at six- and seven-figure levels
- Strong track record of securing high-value gifts and meeting or exceeding income targets
- Expertise in developing compelling, high-quality fundraising proposals tailored to donor needs
- Excellent interpersonal and influencing skills, with confidence engaging senior stakeholders
- A strategic, creative thinker with an entrepreneurial mindset and solution-focused approach
- Strong written and verbal communication skills, with a sharp eye for detail
- Highly organised, adaptable, and able to manage competing priorities in a fast-paced environment
- Confident using CRM systems to manage pipelines, analyse data, and support donor stewardship
Desirable
- Experience working with senior volunteers or philanthropic advisers to increase income and influence
- Collaborative, team-oriented approach with the ability to align across departments
- Financially literate and able to interpret complex impact or income data to inform donor discussions
