This is a pivotal role responsible for overseeing and managing the core operational functions of finance, HR and health and safety across the organisation.  You will be responsible for leading on all aspects of these areas ensuring compliance with health and safety legislation, supporting our people and maintaining effective financial management.

This role is vital to ensure the organisation remains compliant, operationally effective and a safe and supportive workplace for all employees. You will be responsible for all day-to-day activities that enable us to reach our vision for the city, and work closely with senior management to support wider organisational strategic goals.

Main duties:

· Oversee financial operations, including accounts payable accounts receivable, bank reconciliation and petty cash

· Support the preparation of financial management reports, accounts and statements

· Handle Payroll administration, pension schemes, and GiftAid claims, ensuring compliance with HMRC requirements.

·      Oversee grant and funding reporting in line with funding requirements

· Develop and monitor the annual budget with leadership input, and review expenditure with department Leads

· Line manage the one team member

· Provide core administration functions for the building, including answering phone and email queries

· Work with external accountants and auditors as required

· Oversee financial and contractual aspects of OTF’s properties, including utilities, tenancy agreements, and maintenance contracts.

· Maintain and update the health and safety policies and processes

· Ensure compliance with health and safety legislation and best practice across the organisation, promoting a positive safety culture.

· Provide training and guidance on health and safety issues, including first aid, manual handling and fire safety

· Carry out workplace risk assessments and implement control measures

· Act as the main point of contact for audits and inspections and investigating accidents when they arise

· Maintain and update HR policies and processes in line with current legislation

· Manage recruitment, onboarding, and employee relations processes.

· Ensure compliance with HR and financial regulations.

· Oversee and manage sickness, absences and annual leave ensuring compliance with policies.

· Collaborate with senior management to develop and implement workforce planning strategies and staff wellbeing initiatives.

· Lead Bible studies, prayer meetings for staff, volunteers and at external events as required

· Be an active member of the Off the Fence leadership team

Key attributes and experience required for the role:

· Proven experience in HR, Finance and/or Health and Safety roles (Minimum 3 years in a supervisory/management role)

· Strong knowledge of UK employment law in practice, H&S legislation and financial processes

· Strong alignment with the vision of Off the Fence, and a commitment to our organisational focus

· Excellent organisational and time management skills

· High level of integrity, professionalism and confidentiality

· Ability to interpret policies, legislation and data effectively

· Proficient in Microsoft Office, HR and finance systems such as QuickBooks and Bright HR (or equivalent)

The role

The ECRN Membership and Training Assistant will play a key role in providing administrative support for the Early Career Research Network. The role holder will work closely with the ECRN team and will interact with researchers, universities and other stakeholders, as well as academic Fellows and colleagues from across the Academy.

You will support the ECRN Membership Manager in overseeing the day-to-day operations of the Network’s membership function. Key responsibilities include monitoring membership workflows, responding to member enquiries in a timely and professional manner, and serving as a primary point of contact for early career researchers interested in joining the Network. 

The primary focus of this role will be managing membership and data-related activities, but you will also be providing administrative and logistical support for the Leadership and Advancement Programme and wider Network as required.

You will be confident using Microsoft Office programmes daily, such as Outlook, Excel and Teams and will be supporting with online events through Zoom. You will have to keep membership records up to date on our CRM database, Salesforce and communicate with our members.

The role holder will gain a proficient understanding of our membership policies and procedures and support the management of our online community platform.

About the Role

The Third Party Events Lead is a key role in the development of our growing fundraising events programme. The role provides strategic and operational leadership to the Third Party Events team, making sure they’re enabled to deliver our annual portfolio of MS Society events across the UK.

In this role you’ll be responsible for ensuring our portfolio of events are delivered to a high standard, on time and on budget, as well as being a key part of our Community, Events &Retail Fundraising leadership team.

We’re looking for a Science Communications Officer (Fixed term) to join our team

Salary: £35,000

Base: Central Edinburgh/hybrid

Hours: Full time and fixed term for one year.  35 hours a week over core working hours of 10am - 3pm, Monday to Friday, with a one-hour lunch break. The office is open 8am – 7pm daily and our hybrid working policy requires all full-time employees to work at least two days a week in the Edinburgh office.

The Role 

Key Responsibilities 

Grants Administration and Co-ordination 

• Support the Programme Development & Partnerships Manager in preparing, reviewing and documenting memoranda of understanding, agreements, agreement modifications according to the needs of Islamic Help. 

• Coordination of the due diligence process with partners. 

• Support the Programme Development & Partnerships Manager to develop, finalise and monitor partner funding. 

• Support the preparation and follow-up of grants opening meetings, monthly review meetings, and grant closing meetings. 

• Ensure that office grants are processed in a timely and effective manner in accordance with our policies, procedures and standards. 

• Provide support to approved projects and ensure there is continuous oversight and support throughout the project management cycle including financial and periodic reporting. 

• Be self-administering including maintaining fundraising pipeline spreadsheets and monitoring progress against activities. 

• Maintenance of records and files in line with IH document management and IT policies. 

• Liaise with the  finance team to ensure grants have been received and are allocated / restricted as appropriate.  

• Support the programmes team in grants management, programme development, monitoring and evaluation, and external relations activities as requested. 

Compliance and Reporting 

• Support donor reporting processes, co-ordinating with the field staff to ensure the timely submission of high-quality programmatic reports and co-ordinate with Finance to ensure timely submission of financial reports. 

• Ensure quality information management through regular maintenance of grant files, reporting calendars, timely submission and updating of internal documentation and other grants tools. 

• Support compliance of programmes with donor and Islamic Help requirements and raise issues affecting external/internal compliance to management staff. 

Researching Funding Opportunities  

• Maintain a thorough understanding of the profile of current funders and Islamic Help’s relationship with them, including the need for reports and updates. 

• Grow the support of current funders, identifying opportunities for them to continue their support.  

• Maintain and update the database and tracker sheet with details of projects and relevant funding streams. 

 Proposals and Funding Applications  

• Develop a comprehensive knowledge of the organisation and its work. 

• Work closely with the Programme Development & Partnerships Manager to identify and pursue fundraising opportunities. 

• Assist, when required, the Programme Development & Partnerships Manager in the development and co-ordination of high-quality proposals and concept papers for submission to donors. 

• Build strong and effectve relatiionships with Islamic Help teams in the UK and overseas. 

• Support the programmes team in the on-going development of departmental strategy.  

 Partner and Donor Relationships 

• Develop and strengthen relationships with current partners and identify and cultivate relationships with potential new partners/donors through a range of communications including by phone, in writing and face to face meetings as appropriate.  

• Assist in co-ordination of existing relationships through professional account management and communicating the impact of our work to partners in a compelling way.  

• Maintain accurate partner and donor records in order to monitor, evaluate and report on fundraising activity. 

 Other Responsibilities:  

• Support the Programme Development & Partnerships Manager on the management of the department including development of departmental calendar, coordinating meetings with agendas and record keeping, oversight and development of departmental workplan. 

• Communicate with offices and partners as and when necessary and communicate progress or queries to colleagues. 

• Support the programmes team in the analysis of budgets and reports to determine impact, achievements and outputs. 

• Prepare feedback reports for donors and other stakeholders within appropriate timeframes. 

• Provide marketing colleagues with appropriate beneficiary data and case study material etc. 

• Verify budgets, invoices and financial liquidation reports to ensure that money is being spent according to the approved operational budget, plan and conduct appropriate desk reviews.

London’s Air Ambulance Charity delivers first-class, world-renowned training via The Institute of Pre-Hospital Care. It has influenced clinical guidelines, governance standards, and the practice of air ambulances in the U.K, Europe and Australia. 

We are seeking to appoint an organised and enthusiastic Clinical Courses Co-Ordinator to join our friendly team on a full-time basis. This role will assist with all aspects of the activities of our clinical training programmes within The Institute of Pre-Hospital Care. The Clinical Courses Co-Ordinator will work closely with our clinical and operational teams from both the HEMS and PRU services along with our university colleagues and degrees faculty. 

Reporting to the Degrees Manager, the post will have responsibility for assisting with all aspects of the delivery of the clinical course programmes. The post holder will be an integral part of the Institute team working closely with other members of the wider charity team.

You will be a highly organised and experienced person with a can-do attitude, meticulous attention to detail and excellent communication skills.
