JOB SUMMARY:

 To deputise for IMC UK Director of Finance and work closely with budget holders and counterparts in Split and LA to provide 'real time' support and analysis, that will assist budget holders and IMC UK in decision-making.

Manage the day to day financial activities of International Medical Corps UK with specific focus on financial management, budgeting and corporate financial planning, and ensuring that the finance team is achieving expected deliverables timely and accurately. 

MAIN TASKS AND RESPONSIBILITIES

Financial Planning

1. Active participation in drafting IMC UK annual budget for board of Trustees approval.

2. Monthly Updates of Rolling Forecast of IMC UK corporate costs. As the responsible finance officer train and regularly collaborate with Budget Managers to ensure that corporate forecasts are accurate, relevant and reliable by ensuring that; b), to confirm that:

2.1.  Staff cost projections – work in collaboration with HR team to ensure that IMC UK staff projections include  hire plans, transfer plans, allocation plans, field deployment, terminations, promotions etc.

2.2 HQ Non Labour Cost Projections – monthly review and cost projections should be updated to reflect IMC UK’s latest plans; For example, Travel budgets should be updated if no travel has taken place during the month and not likely to happen in next 2 months. Professional fees - are there valid consultancy agreements in place or is it still in the pipeline and the lag should be built into.

2.3. Provide SFD with latest IMC UK corporate expenditure position with the following details:

 - Movement on IMC UK costs vs IMC costs

 - Breakdown of fixed costs vs variable costs under IMC UK pipeline

 - New positions projected and salary costs allocations;

 - Service fee analysis by departments and seek explanations on movements from HQ teams of IMC UK affiliates;

 - Work with SFD to ensure IMC UK SMT approval on service fees is obtained;

Financial Control

3. Bookkeeping. Ensure that accounts payable, accounts receivable, bank & general ledger modules are maintained timely & accurately. Ensure that the following are available on file:

3.1. Monthly reconciliation of  payroll data,

3.2. Reconciliation of other control accounts including payroll, accruals, prepayment;

4. Internal Control & Regulations.  Ensure that all relevant procedures are maintained in relation  to a) Procurement process, b) Financial procedures & approvals, c) Sanctions checks d) HMRC Tax - Payroll, Dispensation & VAT tax issues and e) Pensions are adhered to.

4.1. Finance manager shall prepare, plan and deliver training to all relevant staff members on IMC UK's financial,  approval  and allocation processes.

4.2. Maintain an exceptions register with incidences where the proper procedures have not been observed.

5. Banking & Cash Projections. To monitor and update the Finance Director on

5.1 IMC UK banking and sanctions compliance requirements are updated and adhered to;

5.2 IMC UK Cash requirements projections are updated on a monthly basis on the last day of the month;

5.3 intercompany settlements are reviewed and undertaken on a timely manner

5.4  Summary of bank charges by IMC UK bankers are monitored  on a regular basis;

6. FOREX.

6.1.  Work with finance team to ensure that funds in other currencies are transferred into IMC UK functional currency – USD on an urgent basis. 

6.2 liaise with IMC UK bankers to offer effective solutions for transfers to sanctioned countries;

7. Payroll. 

7.1 Staff Cost projections.  Proactively work with HR, to provide input on cost implications for new hires; and update IMC UK’s financial projections systems with cost projections on all changes including  salary changes, increment implementation, benefits and deductions, vacation leaves pay, off-boarding of employees, and pension management.

7.2.  Posting monthly payroll costs to the ledgers.

7.3. Regular monthly payroll reconciliation with differences shared with SFD.

8. Pensions.  –

8.1 Effectively manage IMC UK Pensions Plan contributions in collaboration with HR. 

8.2 Ensure  appropriate and timely pensions contributions are made to pension provider. 

9. Public Donations – with collaboration with the Fundraising team, ensure accurate classifications and coding of restricted & unrestricted funds received;  For new appeals request for finance codes from IMC Finance team.

Financial Reporting

10. Monthly SMT report.  Produce by set date with analysis on income projections, expenditure projections, corporate cost breakdown, donor payments receivables, donor disallowed costs, intercompany balances and variance analysis and clarifications from relevant teams.  The following reports are reviewed to prepare the monthly reports:

• Summary pipeline report

• Shortfall Reports

• DR GR Reports

• Summary of cash inflow in IMC UK bank accounts fortnightly;

• Intercompany balance

• Services fees

11. Quarterly Management Accounts.  Produce within set timeline for board distribution following FD review. The Quarterly Management Account should be accompanied with the following details:

11.1. Valid variance analysis with input from operations and International Finance team

11.2. Detailed breakdown of unrestricted funds received and sources and updated unrestricted income projection;

11.3. Summary of key events affecting the figures reported;

12. Assets –

12.1 Regular update of IMC UK Asset list and annual update to IMC UK asset list with obsolete items;

12.2 VfM is achieved through competitive bidding process

Statutory Audit

13. Provide active support and planning in annual statutory audit undertaken on the company accounts, including:

13.1 assist with drafting of the financial statements for audit;

13.2 analysing and reconciling the underlying reports for the audit preparations;

13.3 Create audit file with back-up transaction details;

1. 13.4 Liaise with other corporate offices to provide inputs;

MINIMUM QUALIFICATIONS

• A recognized Accountancy qualification and/or related degree including a detailed technical knowledge of UK Financial legislation.

• Experience managing all aspects of financial statements from month end close to preparing financial statements / annual accounts and presentations for boards in a corporate headquarters environment

• Experience of working in the non-governmental sector at HQ level a plus Proven ability to lead, manage, motivate and develop a team; 

• Experience of working in a similar multi- HQ set-up an advantage.

You’ll play a key role in shaping the day-to-day experience of those who use The Lighthouse (REUK’s home in NW10). The Recruitment team is responsible for sourcing, selecting and hiring for 500 places for Approach Social Work (previously known as the Frontline programme) in local authorities across England.

You will be joining us at our busiest time, and will have day to day logistical and administration responsibilities with focus on supporting applicants through the selection stages of our programme, Approach Social Work.

Core Job Purpose:

The Production Coordinator is responsible for maintaining, overseeing and coordinating all of FCW’s in-cell production. This is an exciting and varied role which helps contribute to the smooth running of the charity.

The duties of the role include:

· Administration of sending and receiving kits stitched in prison.

· Supporting volunteers teaching in prison by dealing with materials requests and orders.

· Ensuring our stitchers are paid for their work accurately and efficiently.

· Providing feedback on the stitching by our in-prison workforce.

· Assisting the extended production team with the ordering of materials, special commissions, donations requests and our tapestry finishing service.

· Gathering, logging and reporting on information related to production and prisoner pay using FCW’s custom database.

· Visiting our stitching groups in prison to get an better understanding of the challenges with production that both our volunteer teachers and our stitchers might face in delivering FCW production

You should have excellent interpersonal skills, be accurate in your attention to detail, be flexible and have the ability to take initiative. We expect you to work independently, prioritising your own workload, as well as working as part of a small, lively team.

Principal Accountabilities for the Core Job:

1. Support our volunteers and stitchers by sending our pre-prepared kits to volunteers around the country ahead of the stitching classes and receiving kits back from volunteers.
2. Administer the production process on FCW’s custom database: logging items as they are sent to prisons and volunteers around the country, tracking items as they are returned from prison, providing feedback to prisoners on the work completed and maintaining standards through rigorous quality control.
3. Process payments to prisoners on a weekly basis.
4. Support Fine Cell Work volunteers by dealing with requests for threads and troubleshooting problems with kits. 
5. Log data, collate and report on production, prisoner pay and stitcher statistics as required for the senior management and the fundraising teams, to include monthly reports and annual reports.
6. Supporting the use of FCW’s custom database to include testing and feedback on new features and uploading and maintaining relevant information.
7. Order materials in advance for production activities in prison workshops as well as at the FCW office, liaising with commercial suppliers as well as materials donors. Supporting the production manager with the production of all kits in prison workshops as well as by volunteers in the office.
8. Work with the Programmes and Impact Officer to enable Open College Network accredited training to be delivered in prisons by making up and sending out starter kits and materials to stitchers.
9. With the Programmes and Impact Officer, provide technical support for our lone stitchers by sending out work, talking to them on the phone or replying to letters.
10. Where appropriate, working with the Design and Commissions team to assist with the preparation of specialist kit and sample products, ordering materials and collecting stitcher feedback to assist with future production.
11. Coordinate FCW’s tapestry finishing and making up service.
12. Support the production manager to ensure that all ability and pay levels are appropriate to FCW’s stitcher population ensuring these are made and assigned with a view to developing prisoners’ skills and self-responsibility.
13. With the Programmes team, co-facilitate production training for volunteers both online and in person.
14. Assist with bi-annual stock counts involving staff, volunteers, prison leavers and prison staff to include finished items, work in progress and raw materials in all the prisons where FCW operates, as well as at FCW’s London office.
15. Coordinate Fine Cell Work volunteers with their weekly tasks as provided by the production manager.
16. First point of contact for phone calls to the office, assisting callers with enquiries and diverting calls to relevant members of staff.
17. On occasion, visit cell groups in prison around the country to support volunteers and stitchers in FCW production.
18. Assist with Fine Cell Work events as and when required.
19. Ad hoc duties to support the work of the charity as required including back-up support to production with apprentices and volunteers in the Clothworkers Studio.

We support people in prison and prison leavers to finish their sentences with work skills, money earned and saved, and the self-belief to rebuild meaningful, independent, crime-free lives. 

Set up in 1997 by Lady Anne Tree following years of lobbying the government to change prison rules about prisoners earning money from work done in their cells, Fine Cell Work operates in 38 British prisons engaging with over 600 people in prison in 2024. Our stitchers are supported by our skilled and valued volunteers who visit prison fortnightly to teach needlework.

By providing, paid, purposeful activity to prepare people in prison to successfully reintegrate into the community post-release, we are teaching key soft employment skills, supporting the development of self-discipline and self-belief,  and working to improve prisoner well-being, all key in reducing recidivism.

About the Role
 
Responsibilities will include:

• Lead delivery of key Local Offer programmes, such as our successful Peer Review and Peer Network Programme, which are designed to support Local Authorities and organisations in meeting the needs of young people and in the case of Local Authorities meet their Statutory Duty (section 507B).
• Manage the delivery of traded services relating to Quality Standards and Organisational Development.
• Manage and regularly update both existing and new online resources related to Quality Standards, ensuring consistency and standardisation across all materials.
• Collaborate with the National Curriculum and Learning Manager to influence the youth work curriculum and share learning and insight from programmes
• Work collaboratively with the Youth Investment Fund Programme Manager to inform and develop Quality Standards.
• Work with Local Policy & Partnerships Manager and the NYA Knowledge Team to develop sector insights and to share learning and knowledge across NYA teams and the youth work sector.
• Collaborate with Local Authorities and partner organisations to promote awareness and encourage participation in NYA programmes and Quality Standards.
• Utilise NYA tools, including Customer Relationship Management (CRM) and Project Management systems, to generate timely and relevant performance and financial reports that support informed decision making and effective programme delivery. Experience of using project management platform (or similar) would be an advantage.
• Provide line-management and support to peers and officers as required.

 
Our ideal Local Quality Improvement Manager should have the following:

• Extensive experience working directly with young people across diverse settings, demonstrating a deep understanding of youth development and engagement.
• Demonstrated expertise managing youth work programmes and improving practice standards, including within Local Authority contexts.
• Proven experience in assessing youth work against established standards and implementing quality assurance processes for effective management, delivery, and evaluation.
• Comprehensive knowledge and experience in embedding best practices in youth voice, participation, and leadership within services and programmes.
• Strong understanding of the current challenges facing Local Authorities and youth sector organisations, and the implications for young people’s needs and service delivery.
• Ability to analyse complex organisational and Local Authority structures, reflect critically, and articulate clear recommendations for improvement and recognition of effective practice.
• Excellent organisational and leadership skills, with experience supporting and managing peers and officers in a collaborative environment.
• Strong interpersonal skills with the ability to motivate teams and work effectively with partners and stakeholders.
• Proven experience in project management, with a proactive, self-starting approach and a strong focus on solutions and outcomes.
• Resilient, flexible, and ambitious, with the ability to manage multiple priorities, work under pressure, and maintain high standards.
• Willingness and ability to work flexible hours, including evenings and weekends as required.
• High level of accuracy and attention to detail in all aspects of work.
• Confident in using modern Customer Relationship Management (CRM) systems, project management tools, and online learning platforms. Experience of using project management platform (or similar) would be an advantage.

Women in Prison is a national, women-led, feminist organisation. We deliver front line support to women harmed by the criminal justice system, through our work in prisons, in the community and ‘through the prison gate’ as they resettle back into their communities. Job Purpose:

Women in Prison’s South London Women’s Hubs provide support and advocacy to women at different points of the criminal justice system – whether they are at risk of offending, serving a community sentence, or in custody and leaving prison. The primary purpose of this role is to work with women in custody, including on remand, offering support to prepare for release and connect them with vital community support services prior to and on release from prison.

Key Responsibility Areas

1. Provide high-quality, trauma-responsive advocacy one to one and group support in prison, to women on remand in HMP Bronzefield, HMP Downview and HMP Send
2. Development and maintenance of professional relations in prison and the community
3. Ensure clear, timely and effective communication and record keeping
4. Proactively seek to develop your personal and professional practice, and contribute to wider organisational development
5. Contribute to building a feminist leadership culture and positive working environment for Women in Prison

About this role

As a Team Lead, your responsibilities would include:
