About the role:

This is an exciting front-of-house role. As receptionist you will be responsible for greeting every young person as they arrive and ensuring they leave safely. You will also be responsible for the reception area: ensuring young people enter the session smoothly; processing new members; directing phone calls and enquiries; maintaining the membership database efficiently; and carrying out regular communication.

As the breadth and volume of our fundraising activity has grown over the last couple of years, an opportunity has arisen for a detail orientated and enthusiastic individual to join our database team. The team

Our dynamic fundraising department are preparing for an ambitious multimillion-pound campaign in support of a ground-breaking cancer centre on the site of the Royal Free Hospital. The Charity has a direct front end CRM user base of around 30 staff. It also has a power platforms bespoke portal for between 64-120 regional staff to login to, who contribute to the membership programme, creating new memberships and managing the renewals process which happens each year. It also has a power portals Donation portal which directly integrates to Dynamics 365 and Business central. This role is to support our internal staff (30) and external Staff (120) with the day to day activities ensuring business processes are fit for purpose and seek out possible improvements in the long term roadmap.

Key Functional Areas

• Data architecture– Lead on the review and structure of data on CRM.
• Systems Governance - Ensuring system best practices are followed, producing dashboards to identify common errors to follow up with users offering tailored training for common issues.

Work Location/Hybrid Working Pattern

This role will be based at our Head Office in central London. Mothers’ Union operates a hybrid working model. Overview of the role

As the Fundraising Officer, you will play a key role in delivering a range of fundraising appeals and our individual and regular giving programmes. This position also provides plenty of variety and the opportunity to support and develop skills across several income streams. Fundraising activities

Individual Giving

· Manage the regular giving programme by implementing a rolling 12-month plan of meaningful touchpoints to deepen relationships

· Lead on content development, and implementation of donor segmentation based on giving history, preferences, and engagement levels

· Work closely with the Communications Team to deliver a robust communication plan – actively taking part in the case studies, content creation and digital campaign plans (social media and website)

· Create and implement a follow-up communication plan to thank donors and provide updates on the impact of their contributions

· Undertake evaluations of each appeal’s performance metrics and donor responses to refine future appeals

Fundraising support

· Monitor the Fundraising inbox and respond promptly to ad-hoc queries from individual donors or prospects

We work in partnership with the teams on the wards, paediatric intensive care unit (PICU) and in outpatient clinics. Our charity provides support and resources for patients, families and staff, as well as funding lifesaving medical equipment, accommodation - so that parents can stay close to their child during an admission, toys and entertainment for the playroom and improvements to the facilities to create the best possible environment for families to promote their wellbeing during what can often be a very challenging time. In collaboration with the hospital trust and the NHS we also fund research projects and develop new initiatives for babies, children and young people with heart and lung conditions. 

About You

Our ideal candidate will have experience of working in a fundraising or similar role. You'll have strong written and verbal communication skills to write engaging and inspiring content and messaging. An ability to empathise and communicate effectively about our work is key. Main Duties and Responsilbilties 

Community and Events Fundraising

• Assist in the planning and execution of a diverse range of fundraising events, including challenge events and community initiatives.

• Support the management of event logistics, including participant communication, volunteer coordination, and on-the-day activities.

• Collaborate with external partners and suppliers to ensure smooth event operations and build strong relationships for future collaboration.

• Lead outreach efforts to engage new local community partners, such as (small) businesses, schools, and clubs, promoting fundraising opportunities and supporting their initiatives.

• Lead on generating income through supermarket schemes. • To represent the charity when required in schools, engagement events and cheque presentations. 

Individual Giving

• Manage the regular giving programme by implementing a rolling 12-month plan of meaningful touchpoints to deepen relationships.

• Develop and implement a plan to encourage increased giving and recruit new regular donors with personalised cultivation and stewardship.

• Maximise engagement and retention of individual supporters (giving at lower to mid-level) by prompt thanking, excellent stewardship and building effective donor journeys.

Supporter Care

• Serve as the primary point of contact for community and events fundraisers, delivering outstanding stewardship ensuring they receive the information and support needed to maximise their fundraising potential while maintaining the highest standards of stewardship and being respectful of potential sensitivities particularly when working with families who are fundraising in memory.

• Provide timely and effective follow-up communications with supporters, ensuring they feel valued and engaged.

• Maintain our CRM database ensuring accurate records to track communications, income, and supporter preferences, ensuring compliance with GDPR and data protection laws. 

Administrative and Financial Support

• Process cash and cheque donations, Gift Aid and matched funding claims, ensuring this income is processed and recorded accurately on our database.

• Manage the distribution of supporter resources, conduct stock checks for fundraising materials and ensure an organised work environment for all fundraising assets.

• Overseeing our online shop.

Marketing and Communication

• Create engaging materials (posters, leaflets, stories etc), social media content and e-newsletters to inspire participation in fundraising activities.

• Produce impact reports and collate information for the HOF to support fundraising initiatives and grant applications.

• Ensure fundraising and associated webpages are kept up to date. Team Collaboration

• Work collaboratively with the wider team (when required) to support in-hospital and community events as well as assisting with tasks as needed to ensure smooth charity operations.

• Support the CEO and team members with ad hoc projects, activities, and any high-priority tasks to contribute to overall team objectives.

• Any other duties as required by the Head of Fundraising.

Additional Information

Salary is £30,000 - £32,000 per annum (DOE). The role covers 37.5 hours per week. Two days per week working in our charity office at Royal Brompton Hospital - London, and the remaining hours to be worked remotely. Occasional evening and weekend work subject to our events calendar. Exact working pattern to be discussed at the interview stage.

One-year fixed term contract with the potential to extend contract length subject to performance and funding.

A full driving licence or the ability to travel to events and meetings within London and the South East is essential.

Legacy Manager (Maternity Cover)

Role Summary:

As part of the Major Gifts and Planned Giving team, this role is responsible for managing a caseload of approximately 80 legacy estates, including pecuniary, specific, residuary and life interest estates. The Legacy Manager will also assist the team with legacy enquiries and pledges, supporting donors on their legacy journey, as well as managing PETA’s free will services.

Position Objective:

• Ensure that gifts in wills to PETA are handled appropriately, sensitively and efficiently, maximising legacy income to support PETA’s mission to protect animals.
• Effectively communicate PETA’s mission to potential legacy supporters, and deal with enquiries from supporters in a timely manner.

Primary Responsibilities and Duties:

Augustus Club

• Administer legacies in a professional and approachable manner, to include correspondence with solicitors and other interested parties
• Maintain departmental information, files, and records related to legacy estates
• Act as the point of contact and grow and mature relationships with stakeholders and external groups in order to attain information needed to carry out the role
• Work with various stakeholders on contested legacies, collaborating with other charities where needed
• Be able to communicate to supporters how important and desirable legacies are to PETA
• Respond to enquiries and requests for assistance from Augustus Club members and planned-giving prospects
• Document pertinent information about planned-giving members for the purpose of enhancing and building relationships
• Remain current on estate-planning practices as well as fundraising techniques and methods used in the non-profit sector, attending professional training seminars as needed
• Keep up to date on probate and tax laws, informing the team of any changes

Other

• Maintain a clear understanding of – and the ability to articulate – PETA's objectives as well as details about specific global PETA programmes
• Assist in the training of new major gifts and/or planned giving assistants
• Maintain and expand knowledge of relevant departmental software (e.g. Revolution Online, ResearchPoint, Raiser's Edge, and Convio) in order to improve communication with donors
• Assist with the preparation and proofreading of mailings

Purpose of the role:

At NEON, we know that you can’t separate the external work of the organisation from the internal work. They are so interlinked and interdependent that they both have to be given priority and resources if we want to achieve high impact. We see them as inseparable. 

So the purpose of this role is to support NEON achieving its mission by ensuring the smooth running of NEON’s finance systems and processes. You’ll do this by delivering on the main financial tasks day-to-day, and support with finance projects aimed at improving NEON’s systems.

Key Responsibilities: 

1. Doing all of our day-to-day fundraising administration to keep us well-organised and compliant. This includes:

   1. Recording and monitoring fundraising data using our Fundraising Tracking Database

   2. Keeping all of our grant agreements, contracts and other relevant documentation well-organised on GDrive and elsewhere 

   3. Ensuring compliance with the financial requirements of the grant agreements, and updating and maintaining the grant payments schedule 

   4. Raising invoices on Xero in line with funder agreements - noting instalment dates and receipts

2. Preparing payroll each month, ensuring everything happens on time and coordinating with our payroll agency. (This may only be a temporary responsibility) 

3. Processing and reconciling payments. This includes:

   1. Reconciling bank receipts and chasing late payments

   2. Processing supplier invoices and payments

   3. Monitoring our team’s Pleo card expenses and posting on Slack to our team for authorisation

   4. Managing the subscriptions on Pleo cards (this is likely a temporary responsibility until our People & Ops Manager returns from sabbatical leave)

4. Preparing some financial reports and accounts. This includes accounts to trial balance, and ad hoc reports from Xero when our team have finance queries or need support

5. Supporting with finance projects which make our finance systems work more efficiently, simply and sustainably e.g. helping to update our budget spreadsheets and approach to budgeting, or moving to a new bank

6. Supporting the Head of Finance with budgets, financial planning and reports and any other ad hoc finance tasks

7. Being part of Ops Hub shared work and cross-organisational work and team days 

About you:

• You have experience dealing with people in different capacities, both internally and externally, on a day to day basis, and build strong working relationships

• You have solid finance experience and skill. For us that means:

  1. a minimum of three years work experience in a finance role, preferably within the charity/non profit sector. This means you have a good understanding of non-profit finance, including VAT and managing restricted and unrestricted funds

  2. a solid understanding of Accounts Payable (with BACs, invoicing, etc) and Receivable (invoicing and credit control) processes

  3. a Level 4 AAT, equivalent qualification or equivalent experience

  4. experience in control accounts reconciliation, and posting journals

• You know how to use accounting software and apps (e.g., Xero, Quickbooks, Sage) as well as Microsoft Excel or Google sheets

• You are proactive, well-organised and feel empowered to solve problems yourself when they come up (sometimes described as an “ownership mindset”), as well as balancing this with asking for help when you need it

Administrative Support  

• Assist with a variety of administrative tasks that enhance the productivity of the leadership team, such as scheduling and coordinating meetings, managing executives' calendars with attention to priorities, and organising files and documentation for easy access.

• Identify and implement improvements to existing organisational processes and procedures to boost efficiency, ensuring that the team can operate at maximum effectiveness. 

Communications  

• Act as a central point of contact for both internal team members and external stakeholders, handling communications with a professional demeanor.

Meetings  

• Collaborate closely with the Business and Operations Manager to support the overall management of meetings, including preparing detailed agendas, taking comprehensive minutes during meetings, and circulating documents to all participants in a timely manner, ensuring that all follow-up actions are clearly outlined. 

Event Coordination 

• Coordinate a variety of events and meetings, supporting logistics such as venue selection, catering orders, accessability requirements and technical arrangements.

• Assist in the planning and scheduling of member events and meetings, ensuring all details are attended to, such as invitations, attendee confirmations, and venue preparations. 

Project Administration 

• Maintain comprehensive administrative records relevant to projects, ensuring that all documentation is current and easily accessible to project team members. 

Record Keeping 

• Establish and maintain accurate records, comprehensive databases, and organised documentation related to office operations and employee activities, including diligent management of the CRM system to ensure timely updates and accuracy of information. 

Finance 

• Assist with the preparation of financial statements and reports, maintaining accurate and organised accounting records, and supporting the reconciliation of accounts to ensure data integrity.
