Title: Operations Support Administrator

Reports to: Associate Director of Business & Operations

Based: Remotely - however must be willing and able to travel as and when required to meetings and events.

Job Purpose: To provide confidential operational administrative support to Senior Management and all areas of the Charity.

Key Responsibilities:

· Manage and oversee organisations database to ensure clean and clear data is being recorded and stored accordingly, draw down monthly reports for Senior Management using BI Reporting and disseminate to data inputters any errors for correction.

· Collate websites update requests and liaise with Communications Team to instigate the changes.

· Proofreading and final point of sign off before Senior Managers.

· Administrative assistance and attendance at annual events/programmes such as World Heart Rhythm Week, Global AF Aware Week, Heart Rhythm Congress, Heart Rhythm Updates, and any other event/programmes or initiatives.

· Diary Management for the senior management team

· Minute taking and writing for Senior Management.

· Management of travel arrangements. Scheduling and tracking domestic and international travel itineraries within several time zones for senior management.

· Management of deadlines for Senior Managers/Coordinators and prompting the team where necessary.

· Supervise the General Administration team to ensure completion of their tasks to a high standard before signing off on their work.

· Assist in answering calls as and when required, taking messages when necessary. Screening and responding as appropriate to incoming emails or calls.

Job Title: Programmes Support Officer 

Location:  Remote and UK based, occasional travel to UK sites (Cardiff & London) required. 

Salary: £22,000 pa

Reporting to: Head of Programmes

Contract type:  Full time (35 hours per week)

The Programmes Support Officer post will deliver on a range of database tasks and processes using our grant management and project monitoring database. Reporting to the Head of Programmes, the postholder will maintain an accurate and up to date database for the administration and monitoring of grants at Egmont.

The Role  

This is a fantastic opportunity for a professional with up to 3 years of experience in administration which includes administering and monitoring databases. The post will provide the Team with accurate, timely and comprehensive data, reports and minutes to support and enable effective grant making and decision making. The post plays a crucial role in supporting the whole Team in the UK and in Africa with the potential for visiting Egmont Partners and projects in southern & eastern Africa. 

The successful candidate will be highly IT competent, possess good written communication skills and have a positive attitude and strong desire to help meet the objectives of this small but very effective international development charity. A keen eye to detail, a methodical and analytical mind are critical requirements of the role. The ideal candidate will be young self-motivated, capable of working as part of a team and under their own initiative. Strong IT knowledge and experience in MS Office and data administration are essential requirements of the role. 

Flexibility will also be a key attribute. They will be part of a small team who have overlapping responsibilities and support each other in the delivery of Egmont’s strategy. About the role

You will provide key inbound referral management and administrative support to the Money & Energy Advisers and within our Patient Support Services team for kidney patients struggling with their energy and water bills and other costs of living.

To raise awareness of the service and build strong relationships with people living with kidney disease and affected by kidney disease, professionals and other kidney stakeholder groups in your defined geographic region.

Are you a good communicator and curious about people? You’ll have the opportunity to take forward a project that will support the Alzheimer’s Society to reach and involve more people affected by dementia.
 
The apprenticeship is for 18 months and in this role, you will complete a Level 3 Business Administration apprenticeship.

About you
You will play a key co-ordination and support role within the Involvement Team. Working with colleagues, people living with dementia and their family, friends and carers in person and by telephone, email, via social media channels and over teams and zoom.
 
You’ll be supporting activities that enable people with lived and learnt experience to collaborate, sharing their knowledge, skills and opinions to help plan, shape and influence the work of Alzheimer’s Society.

Patience, empathy and a willingness to learn are essential skills. Someone who is self-motivated and has great interpersonal skills. You’ll be technically literate /IT proficient and interested in learning how to use our Dementia Voice Database. 

6 hours per week will be dedicated to the apprenticeship and developing in the role. 

At the end of the apprenticeship training, you will complete an End Point Assessment where you will present a portfolio of the work that you have completed that links to a set of competencies set at the start and you will present a specific project you have worked on.

Fundraising

• Support the setting of the charity’s fundraising targets through the research and review of both external and internal fundraising activities.
• Maintain an up-to-date database of the charity’s fundraising activities and campaigns.
• Collate the agreed metrics (including income and expenditure) and report on a weekly basis.
• Participate fully in the generation of fundraising ideas and activity selection.
• Design, prepare and implement the agreed activities and campaigns, which are likely to be varied in nature and might include dedicated fundraising events, grant applications to support families in disadvantaged socio-economic groups, and legacy generation.
• Recommend changes and updates to the activities and campaigns based on testing and evidenced data.

• Provide continual training and compliance monitoring support to our Face to Face partners in the execution of all door, private Sites and events fundraising, this includes leading on developing new opportunities in conjunction with St John events.
• Oversee and collaboratively work with our Telephone Fundraising partners on their training and compliance of all deliverables such as welcome calls, upgrades, reactivations and other fundraising campaigns – includes caller listening
• Oversee regular audits of agents, to monitor against key auditory compliance and performance metrics.
• Manage relationships with our Face to Face partners with training, development and materials, and performance reviews. Monitoring various forms or training and reviewing inductions in line with our agreed contract.
• Build a strong knowledge of all areas of St John Ambulance’s work, carrying out continual research and gathering information, case studies and photos for use in training booklets, scripts and materials. Where appropriate, to liaise with external agencies such as designers and copywriters.

We are looking for a Data Scientist to join our team in this newly created 18 month fixed term contract.

Your role will be to plan, design, and deliver data analysis activities to draw insight from a range of sources which can be used to inform policy, research, campaigns, and service delivery. Using data science, you will help design new solutions to complex challenges facing the armed forces community and those who support them, and be at the heart of building and understanding the evidence base to inform RBL’s future strategy.

Reporting to the Head of Policy and Research, you will support teams across RBL to collect, analyse, and use data in ways that enable effective, efficient understanding of needs of the armed forces community, what is being delivered to meet these needs, the impact this makes, and where improvements can be made.

Some key responsibilities will include:

· Design, advise on, and conduct accurate, timely analysis of data from sources across RBL, using a range of statistical tools and techniques

· Explore, analyse, and visualise data from external sources including national surveys, studies, and databases

· Monitor the latest developments in data science and create innovative proposals for new ways to create, combine, analyse, and use data

· Draw conclusions and recommendations from data, transforming data into insights that help address complex problems and inform decision-making, and present these in a range of formats.

· Advise on design and define data requirements for future information collection systems and research, to enable deeper and practical insights for future service planning, policy influencing, and campaigns

· Work closely with Campaigns, Policy & Research colleagues to maximise use of internal and external data to inform and evidence policy positions, asks, and campaigns

· Develop relationships with research, analysis, and data stakeholders, for example in academic institutions, research agencies, charities, government departments, other public bodies, the Armed Forces community, and data science professionals across a range of sectors.

You will be contracted to your home address, and you will perform most of your work remotely there using our collaboration tools to work with colleagues, with occasional travel (incl. for monthly team meetings) to our London Head Office hub.

Job Purpose:

The Institutional Funding Manager will play an important role in SHA’s institutional income generation activities. Working closely with assigned country teams, the post-holder will support pipeline development, lead the development and writing of high-quality bids, donor engagement, and positioning for contract and grant opportunities. Excellent written and verbal communication skills are critical for this role.

French and/or Portuguese language skills are desirable.

Key Responsibilities:

Proposal development

• Identify, research and advise on new funding opportunities.
• Coordinate proposal development for assigned countries/donors and cross-organisational teams to respond to funding opportunities.
• Contribute to meeting departmental financial and non-financial (volume and quality of proposals) targets.
• Develop and oversee proposal development timetable; coordinate inputs; write and edit content; provide quality assurance on fit with donor priorities; ensure compliance with internal review and approval procedures; ensure timely submission; and follow up with donors for feedback.
• Facilitate proposal consultation meetings, prepare summary presentations and develop meeting notes.

• Support donor strategy to maximise relationships and funding from donors through: meeting donors and cultivating contacts; creating and maintaining strategic account plans; liaising with colleagues across the organisation to coordinate donor meetings and briefings; and writing capacity statements/quality statements for specific donors. 
• Maintain up-to-date information on donor priorities, strategies, regulations and activities pertaining to SHA’s strategic plan.
• Ensure relevant staff including senior management and Country Directors are briefed on donor activities, through the preparation of briefing notes and maintaining up-to-date information on our management information system.
• Provide advice to Programme Department colleagues on donor policies and priorities, in order to support overall donor strategies.
• Maintain and report on donor relationship and income pipelines on a periodic basis. 
• Manage relationships with assigned funders to build effective long-term partnerships.

Programme Funding Team and Miscellaneous

• Work with colleagues within the Programme Funding Team, and across the organisation, to improve the standard of proposal and report writing and donor relationships, and ensure funding opportunities and contracts are managed according to donor requirements.
• Coordinate the timely review of grant agreements to signature
• Add and maintain opportunities, donor records, files and time records in the organisation’s management information system.
