Role Requirements

• Provide high level administrative support to the Directors.
• Exercise judgement in prioritisation, dealing with matters within own remit and / or referring them to the director as and when necessary, ensuring tact, discretion and courtesy at all times.
• Review incoming mail, prioritising, redirecting or responding to issues.
• Monitor the email inbox of the Director(s), responding where relevant and highlighting any urgent messages to Director.
• Draft, edit and format documents
• Arrange travel bookings / itineraries

• Keep Emergency Procedures File up to date.
• Monitor team PDR dates, and keep Director(s) updated in this regard; schedule PDRs for Director’s direct reports.
• Effectively support meetings in terms of venue, accommodation, equipment, and refreshments.
• Attend team and other relevant meetings taking and producing minutes for distribution (as required);
• Liaise with Reception in relation to external visitors and ensure the smooth running of internal and external meetings and visits;
• Process expenses on behalf of the Director(s).
• Manage the Director’s corporate credit card and reconcile against monthly statements
• Assist the Director(s) with additional administrative/organisational tasks assigned at the discretion of the Director.
• Assist in the planning, execution and tracking of key projects. Coordinate project timelines, deliverables and resources to ensure successful completion within deadlines.

About the role

We’re looking to recruit a Health and Safety Coordinator to join our Estates and Devolved Operations Team which is focussed on ensuring the health and safety of our staff and everyone who comes into contact with our work. Addressing Food Poverty

Swindon Food Collective is an independent charity that aims to help people in Swindon, or the surrounding area, who are suffering from financial hardship and finding it difficult to provide food for themselves, their family or dependents.

They receive donations of non-perishable, tinned or dried food and toiletries from churches, schools, local companies, community groups, supermarkets and individuals and currently feed nearly 10,000 people per year; one third of these are children.

They work with many approved organisations, schools, doctors and social workers who can refer people in crisis to us. As well as providing food to address food poverty, they also provide a friendly chat and try to signpost people for further help. Indeed, it is this ‘signposting’ or working with people to enable them to enhance their lives where they see their services evolving. Swindon Food Collective are also reviewing how they can best utilise short-life foods. They operate from a central warehouse and have 11 distribution centres around Swindon and surrounding areas where food parcels can be collected.

The charity is financially sound and has the resources to develop their service offering. They have recently hired a Finance Manager, created a new post as Business Strategy Manager and are also out to market to appoint an Operations Manager.

The role

To lead the charity forward, they are creating the role of Chief Executive Officer for the first time. They are seeking an experienced professional who can lead us not only in addressing food poverty but also helping others to help themselves through forging collaborative working arrangements with other organisations, perhaps even forming a co-operative. The charity is open to new ideas.

Key responsibilities will include:

- Be the face and voice of the charity - its principal ambassador, promoting and developing Swindon Food Collective’s work, raising the charity’s profile and maximising its reach.
- Lead the senior management team to lead, support and motivate all staff, aligning employees and volunteers with the charity’s aims, objectives and ambitions.
- Develop and propose a medium-to-long-term strategy for the charity and present it to the Board of Trustees for discussion and approval.
- Oversee the development and implementation of business plans in line with the agreed strategy and report to the Board on progress through agreed priorities & KPIs.
- Identify and assess strategic risks, issues and opportunities and take responsibility for initiating and leading associated changes.

How you will make a difference

We are looking for an experienced Philanthropy and Trust and Foundations fundraiser to join our passionate team. This exciting maternity cover role will oversee Trusts & Grants, Philanthropy and Prospect Research during a pivotal time of growth, ensuring each area continues to develop, scale and innovate to achieve lasting results in support of our ambitious 5-year fundraising strategy. 

The successful post-holder will be a proactive charity professional who can effectively nurture the Trusts & Grants team, supporting them to reach in-year and future targets and facilitating the continued growth of this area. The role will also comprise developing the Philanthropy stream, bringing exemplary relationship management and stewardship strategies to continue establishing the programme for long-term success. The post-holder will manage their own high-value portfolio of prospects across both areas in addition to supporting the work of their team. Working across the high-value function, Prospect Research also sits under this position, with a remit to support and facilitate collaboration and maximising all opportunities between Trusts, Philanthropy and Corporate Partnerships.

As a senior leader you will take an active role in representing Philanthropy and Trusts externally and internally. You will work with stakeholders across the charities to understand and translate charitable initiatives into dynamic funding propositions, and build deep relationships with trusts, foundations and individual donors.

You will act as the first point of contact for members of the public, taking and triaging enquiries, preparing responses, and referring more complex cases to our network of trained planning volunteers. Your work will directly help people understand and navigate the planning system in Wales.

This is a part-time, home-based role that offers flexibility and purpose. Full training and response templates will be provided.

Job Purpose

We are looking for a Marine Scientist to play a substantive role to support all of Oceana’s UK campaigns. Research, science and data are at the heart of Oceana’s UK work, underpinning our policy positions, creating campaign moments and answering key questions with new research.

The successful candidate will write and project manage research to unlock key campaign questions relating to overfishing, habitat protection and energy in particular, as well as other potential campaign areas in future. They will also work to increase Oceana’s presence within the academic community, attending relevant conferences and meetings and seeking future collaborations on topics of interest.

The Scientist will report to and be supported by the Director of Policy and Research, and work closely with science colleagues across the Oceana global network and beyond. Eligible candidates should have some experience in conducting research, including analysing data, but we’re equally looking for passion, motivation and a drive to protect the ocean. You should be a self-starter, with a strong ability to work independently and as part of a small but growing team.

Role Overview

• Support the delivery of Oceana’s campaigns, working with the Director of Policy and Research and relevant campaign teams.
• Research, draft and/or review content for Oceana’s scientific reports and other external communications, with particular attention to scientific accuracy.
• Gather evidence to support Oceana’s UK campaigns, including analysing primary and secondary data, conducting literature reviews and creating position papers.
• Commission and project manage research from external partners as needed, managing relationships through the duration of any projects.
• Work closely with the Oceana HQ Science and Strategy team and other scientist colleagues in the Oceana network to gather insights, inspiration and knowledge.

Candidate Requirements

Education and work experience

• Degree, ideally masters-level, in environmental, fisheries or marine science, or a related field.
• Familiarity with marine and climate issues, regulations and policies in the UK, as well as with key institutions and decision-making processes.
• Experience writing or commissioning primary or secondary research and associated materials summarising the work.
• A passion for UK seas and delivering a healthy ocean in general.

Skills and knowledge

• Familiarity with UK marine and fisheries policy and science.
• GIS and database proficiency, including basic knowledge of GIS mapping and statistical analysis.
• Strong project management skills, with experience managing multiple workstreams and projects effectively to time and budget.

Job Purpose

The Business Support Officer will be responsible for providing comprehensive administrative support to the day to day running of the business. They will support the delivery of projects whilst working with Project Managers. Reporting to the Senior Finance Manager, the successful post holder will have effective organisational skills and be able to plan/prioritise the delivery of work. They will have strong communications skills, both orally and in writing, and have the ability to establish working relations with a range of stakeholders.

Key Result Areas/Duties

1. To be the first point of contact for the business daily.

Person Specification

Essential

The successful candidate will hold an NVQ Level 3 or equivalent qualification and have GCSEs in Maths and English at grades A–C (or equivalent). They will be computer literate with a solid working knowledge of Microsoft Office applications, including Excel, PowerPoint, and Word, and will demonstrate accurate keyboard skills with strong attention to detail.

They will have experience working as part of a team as well as independently, and be confident in managing diaries and taking accurate minutes. They will be familiar with office systems and procedures, and possess a good standard of numeracy and literacy.
