ABOUT TRAIN

TRAIN is a youth work charity based in South Oxfordshire. We support young people aged 10 to 18 in Didcot, Wallingford and the surrounding areas, especially those who are under-served.

Young people in our communities are facing complex challenges. Mental health struggles, pressures at school, family instability and the impact of poverty can leave them feeling isolated or overlooked. Too often, they don’t have access to the right support at the right time. TRAIN exists to change that. ABOUT THE ROLE

This is a key support role in a small, values-driven charity. While most people know TRAIN for its youth work, the smooth running of our organisation depends on good systems, clear admin and reliable behind-the-scenes support. That’s what this role is about.

As Charity Support Officer, you’ll take care of the day-to-day admin that keeps us organised, while also supporting projects and events that help TRAIN grow. Some responsibilities are regular — such as finance processing, HR and volunteer onboarding, responding to enquiries and keeping records accurate. Others will vary week to week, from preparing a funder report to liaising with contractors on a website update or helping coordinate the Didcot Youth Festival.

We’re looking for someone who is organised, adaptable and comfortable juggling different tasks. You won’t be expected to lead major projects or make big decisions, but you will be the first port of call for the small, steady tasks that make a big difference. If you enjoy variety, value attention to detail, and want to play a part in supporting life-changing youth work, this role could be a good fit.

This is a part-time role of 15 hours per week, which can be worked flexibly. The role is based in Didcot or Wallingford with hybrid working. We expect at least some office time each week, but for exceptional candidates, we will consider a fully remote arrangement.

JOB DESCRIPTION

Core (day-to-day focus)

• Communications and enquiries – be the first point of contact for general enquiries via email and social media, ensuring timely and professional responses.
• Project coordination and events – Coordinate various ad hoc projects (e.g. website refresh, new systems) and provide support for events such as the Didcot Youth Festival.
• HR and volunteer support – coordinate onboarding for staff and volunteers, including references, DBS checks and inductions.
• Office and building liaison – help keep the Didcot youth centre running smoothly by liaising with the landlord/service manager and handling facilities needs.
• Team support – provide admin support across the CEO, staff and trustees, including scheduling, minute-taking and document preparation.

Important (regular, but secondary to the above)

• Finance administration – support the CEO and our bookkeeper with tasks such as processing invoices, expenses, payments and payroll information.
• Data and monitoring – keep records up to date (attendance, impact data, safeguarding logs) for accurate reporting.
• Comms basics – work with the Fundraising and Communications Coordinator to update the website, draft newsletters and prepare supporter updates.
• Database and records – maintain supporter, volunteer and young people’s contact details.
• Policies and procedures – keep master copies organised and flag review dates.
• Health & safety admin – support with risk assessments, building checks and first aid supplies.

Occasional (as needed)

• Fundraising support – assist with funder reports, donor thank-yous and admin for community events.
• Safeguarding admin – support the Designated Safeguarding Lead with record-keeping and DBS renewals (admin only).
• Governance support – assist with trustee papers, annual returns and filings.
• Supplies and logistics – order office supplies, consumables and manage petty cash/card reconciliation.
• IT and systems – liaise with IT suppliers on logins, backups or new staff accounts.
• Insurance/licensing renewals – track renewal dates and ensure processes are followed.

Essential qualities

Key Responsibilities

Information, advice and guidance:

• Work one-on-one with adults and children with a visual impairment and their carers/ families, providing a comprehensive initial assessment in a person-centred, empathetic, and empowering manner.
• Provide internal and external referrals and deliver follow-up actions to enable maximum wellbeing for service users.
• Manage incoming and outgoing referrals internally and with a wide range of external providers, communicating promptly to manage cases effectively and safely.
• Work closely with team members and volunteers to collate and send Information Packs and other necessary communications such as appointment letters in accessible formats.

Equipment:

• Ensure that all service delivery to individuals and service user data is promptly and appropriately recorded and managed on the Vision North Somerset database, in accordance with procedures.
• Work with team members and volunteers to maintain accuracy of the Vision North Somerset service user database, including collecting data permissions and equality monitoring information from service users during visits.

Local networking and knowledge:

• Develop and maintain knowledge and resources on relevant services offered by organisations to people in North Somerset. Work with the Administrator to maintain records on online files and paper files (for example service leaflets).
• Occasionally attend local meetings, arrange meetings with staff from key local organisations or represent Vision North Somerset to develop mutual knowledge of local services.

Work as part of a dynamic team delivering the Safeguarding on Transport (ST) project, in partnership with British Transport Police (BTP). You will be responsible for developing our community engagement work in the West Midlands, as well as supporting the wider UK work. This work consists of developing the Safeguarding Action Groups (SAG) and also encouraging members of the local rail industry to engage with our training and become part of the safety net for vulnerable young people on the rail network. The role will require working closely with British Transport Police, station staff and employees as well as local services in the area.

Programme Delivery Officer role

We are seeking a motivated and enthusiastic candidate to join our Programmes Team as a Programme Delivery Officer. PDOs are responsible for supporting and coordinating the delivery of First Give in up to 50 schools, ensuring smooth running of the programme, providing guidance and troubleshooting for the Lead Teachers.

The role is home-based, in Yorkshire, with regular travel to schools across the county and occasional forays to schools in the North-West. Several times a year travel will be required to London, where our office is based.

Beacon, now in its second decade of operation, has experienced substantial growth over the last three years, including an organisational rebrand and expansion into international projects. We are now recruiting a Senior Patient and Scientific Engagement Officer to play a central role in delivering ambitious projects that put patients at the heart of translational research.

This role sits at the crossroads of patient involvement and scientific communication, building meaningful collaborations between patients, researchers, and other stakeholders. You’ll provide essential operational support and subject expertise to ensure projects run smoothly and reflect the real-world needs of the rare disease community.

You will contribute primarily to two of Beacon’s major collaborative initiatives: REMEDi4ALL, a European-wide drug repurposing platform with over 25 partner organisations, and the LifeArc Translational Research Centres for Rare Disease (LifeArc TrC4RD), a UK-wide partnership. In this role, you will work directly and regularly with partners across these consortia, encompassing patient group leaders, patient representatives, academic researchers, clinical trialists, and beyond. You will act as a vital interface between patients and researchers in both projects, coordinating activities, facilitating collaboration, and embedding patient perspectives throughout the work. While these will be your main focus, you will also support other initiatives across the charity, particularly those aimed at advancing scientific understanding of rare diseases and strengthening patient involvement in research.

MAIN DUTIES AND RESPONSIBILITIES

• Support the creation and delivery of training materials, sessions, and talks for patient groups, researchers, and other stakeholders on topics such as patient and public involvement (PPIE) and rare disease research.
• Participate in project discussions to understand current patient engagement and provide input or signposting to improve engagement and support.
• Represent Beacon and its work at consortium meetings, external conferences, and events – both as a delegate and, where appropriate, as a speaker.
• Support other Beacon-led projects as required, particularly those focused on advancing patient knowledge, engagement, and scientific understanding.

 PERSON SPECIFICATION

This is a mid-to-senior level role. Candidates should have professional experience in scientific engagement, patient involvement, or research coordination, and be ready to contribute confidently to collaborative consortium projects with external partners.

• Relevant professional experience (e.g., life sciences, medical communication, translational research, or patient engagement), ideally accompanied by a scientific qualification.

Overview

At Operation Smile UK, we work with global colleagues to improve the lives of those living with cleft conditions around the world – by providing surgery and comprehensive care services to patients and strengthening health care systems in the countries where we work. Operation Smile UK’s Partnerships Team works to maximise high-potential income channels such as corporate partnerships, major donors and trusts and foundations. The Partnerships and Philanthropy Officer will play a key role in the team securing critical income from global and national corporate partners and from our network of committed community fundraisers.

You will be a brilliant communicator, someone who can juggle multiple priorities and inspire people to believe in our story. Ideally, you will have at least a year’s experience in a relationship management role (in a commercial or fundraising setting), and a particular interest in international development. MAIN DUTIES AND RESPONSIBILITIES

Corporate Fundraising

· Take the lead on managing a portfolio of small and medium corporate partners - taking responsibility for all aspects of these partnerships, including communication, staff activities, events, reporting, income collection and acknowledgements

· Provide support to the Senior P&P Manager in activities relating to OSUK’s global corporate partners through managing employee-led activities across the portfolio.

· To manage and develop new initiatives for employee engagement and community participants

· Support on new business acquisition, specifically in creating new avenues for income generation through existing partnerships.

· Responsible for managing inbound enquiries relating to corporate partnerships

· Lead on producing corporate-related social media and communications content

· Maintain orderly upkeep of all relevant records and databases

Community Fundraising

· Lead on the handling of all inbound community fundraising correspondence, including donations received, merchandise and speaking requests

· Develop a strong understanding of fundraising platforms such as Just Giving and Enthuse, maintaining their upkeep and reconciliation with Operation Smile's financial and reporting systems

Additional Responsibilities

· Expand your understanding of Operation Smile’s programmatic work globally, of cleft lip and palate conditions, health system strengthening and the global surgery sector

· Support other areas of the Partnership Team’s work, including events.

· Finance: Use Xero and work with accountants/bookkeepers to oversee budgets, accounts, and financial reports so the numbers are always clear.

· Operations: Keep the day-to-day running smoothly — from diary management and HR basics to coordinating contractors.

· Communications: Maintain simple but effective comms, updating the website and keeping social media active.
