Key Responsibilities
Grants Administration and Co-ordination
- Support the Programme Development & Partnerships Manager in preparing, reviewing and documenting memoranda of understanding, agreements, agreement modifications according to the needs of Islamic Help.
- Coordination of the due diligence process with partners.
- Support the Programme Development & Partnerships Manager to develop, finalise and monitor partner funding.
- Support the preparation and follow-up of grants opening meetings, monthly review meetings, and grant closing meetings.
- Ensure that office grants are processed in a timely and effective manner in accordance with our policies, procedures and standards.
- Provide support to approved projects and ensure there is continuous oversight and support throughout the project management cycle including financial and periodic reporting.
- Be self-administering including maintaining fundraising pipeline spreadsheets and monitoring progress against activities.
- Maintenance of records and files in line with IH document management and IT policies.

Proposals and Funding Applications
- Develop a comprehensive knowledge of the organisation and its work.

- Assist, when required, the Programme Development & Partnerships Manager in the development and co-ordination of high-quality proposals and concept papers for submission to donors.

Partner and Donor Relationships

We are looking for a dynamic and innovative ESOL consultant to join our team and lead on the curriculum development and delivery of our ESOL for Work courses. This role sits across our Education & Training and Research & Impact teams and offers a unique opportunity to shape future ESOL provision for people in low-paid work.
ESOL (English for Speakers of Other Languages) is a core strand of our community education offer. Each year, we support over 200 learners to improve their English, build confidence, and engage more fully in community life. Many of our learners face significant barriers to mainstream education, particularly those juggling low-paid, insecure employment. In 2023, in partnership with The Bell Foundation, we launched a three-year research and delivery programme focused on improving access to ESOL for people in work. The project aims to better understand the structural and practical barriers faced by working learners, and to codesign inclusive, flexible models of delivery that can influence and shape future ESOL provision across the UK.
Now in its second year, the programme is expanding. We are developing new partnerships with employers in sectors such as hospitality, construction, and health and social care, and growing our flexible ESOL-for-work pilot offers. Through these pilots, you will also play an essential role in helping us to generate new insights and learning about what works and why.

ROLE DESCRIPTION
As Finance and Operations officer, you will report to the Operations and Systems Manager and will be a key member of the Operations team. This role is vital to the support of the wider organisation, being the go-to person for financial, HR and IT enquiries.

Finance Administration
- Manage day-to-day bookkeeping using Xero, including importing and coding invoices for approval, raising sales invoices, and supporting bank reconciliation.

- Manage credit control by coordinating weekly payment runs and liaising with debtors to ensure timely payment.
- Prepare monthly payroll submissions, including reconciling tutor hours, holiday pay and training.

HR and Policy Administration

Main duties
Fundraising CRM Project Leadership
- Lead the end-to-end project to replace the current CRM system, including an audit of existing data, research into CRM options, supplier selection and full onboarding and implementation.
- Manage and maintain the current Salesforce system during the review period, ensuring it remains functional, accurate, and fit for purpose while supporting the transition process.
- Act as the day-to-day lead for the CRM system within the Fundraising and Communications team, ensuring it meets team needs and supports strategic goals.
CRM and Data Management
- Maintain and improve the quality of supporter data through regular cleansing, deduplication, and tagging to ensure accuracy and GDPR compliance.

- Work closely with the Marketing and Communications team to provide campaign-ready data for fundraising, advocacy, and engagement activities.
Reporting and Insight
- Design, build, and maintain dashboards and reports that provide real time insight into fundraising performance, donor behaviour and campaign results.
- Create and deliver regular and ad hoc fundraising analysis to inform strategic decisions and performance tracking.
- Proactively identify opportunities to improve donor retention, upgrade journeys and lifetime value through data driven insight.
