About the Role

We are seeking an exceptional Chief Operating Officer (COO) to lead and oversee the strategic delivery of Care4Calais’ operational (direct aid provision) work across all regions. This is quite a newly created role that will play a central part in shaping the charity’s growth, resilience, and day-to-day effectiveness—ensuring our humanitarian aid reaches those who need it most.

The COO will work closely with the CEO, Senior Leadership Team, and Trustees, to develop internal systems, guide operational teams, maintain consistency across all projects, and strengthen our digital communications, training, safeguarding, and volunteer engagement. You will also play a key leadership role in fostering innovation, implementing policy, and coordinating multi-regional delivery across the UK and Northern France.

This is a remote-based role, but regular travel to operational sites in Calais and around the UK is essential to ensure quality, cohesion, and morale across our field teams and volunteer network.

Key Responsibilities

➣ Strategic & Operational Leadership

• Oversee the delivery of all operational activities across the UK and French field sites, ensuring they align with Care4Calais’ mission, values, and strategic goals.

• Lead and support UK Field Operations Managers and France Operations Coordinators in planning and executing aid distributions, support services, and community engagement.

• Monitor performance across regions, using data and feedback to drive improvements in impact, efficiency, safety, and volunteer satisfaction.

➣ Volunteer Coordination & Digital Community Oversight

• Supervise volunteer communication channels, including Facebook groups, WhatsApp chats, and other platforms, ensuring all messaging is consistent, safe, and in line with our organisational tone and values.

• Support the recruitment, onboarding, training, and retention of a diverse and inclusive volunteer base.

• Work daily with Field Operations Managers to provide hands-on guidance, motivation, problem-solving and support for regional leads and volunteer teams.

➣ Training, Safeguarding & Compliance

• Develop, maintain, and implement comprehensive training programmes for volunteers to ensure service quality, safety, and dignity for people seeking asylum.

• Ensure that safeguarding policies are understood by all team members, staff and volunteers alike, and rigorously implemented, acting as a point of escalation for issues that arise.

• Oversee incident reporting processes, risk assessments, and other compliance-related procedures to safeguard both volunteers and people seeking asylum.

➣ Organisational Development & Governance

• Contribute to strategic planning and policy development with the CEO, and SLT.

• Identify opportunities for innovation in service delivery, volunteer management, and infrastructure.

➣ Field Engagement & External Representation

• Conduct regular visits to UK and French operational sites, meeting with local teams, assessing needs, and providing in-person leadership and support.

• Represent Care4Calais in meetings with partner organisations and local authorities, and at public events.

• Demonstrable experience managing multi-site teams.

• Strong leadership, organisational and communication skills, with the ability to delegate effectively and manage competing priorities.

• Deep understanding of issues affecting asylum seekers, displaced people, or those facing immigration challenges.

• Commitment to anti-racism, inclusivity, and the promotion of human rights.

• Ability and willingness to travel frequently to field operations across the UK and Calais.

Desirable

• Proven experience in a senior operational, COO, or equivalent leadership role within the charity, humanitarian or grassroots community sector.

• Experience working with refugee communities or within the UK asylum system.

The Prison Phoenix Trust

The PPT are the leading experts in yoga and meditation in prisons in the UK and Ireland. Since 1988 we have supported the personal development and rehabilitation people living in prison through meditation and yoga. We do this through 121 mentoring, group yoga classes, peer support newsletters and resources such as books and DVDs that help people practise yoga and meditation in their cells. We deliver the British Wheel of Yoga’s accredited training Teaching Yoga in Prison.

A small staff and volunteer team based in Oxford works with a network of self-employed yoga and meditation teachers across the UK and Ireland.

This new role is part of an expansion of the staff team to build the capacity of the charity to meet the growing demands for its services and the income to support this.

The role

At an exciting time for the expansion of the charity’s fundraising activities, the Development Coordinator will play a pivotal role in driving and expanding the charity’s income from individual donors while leading the development and execution of community fundraising initiatives and events. This role is pivotal in building and nurturing long-term relationships with individual donors, cultivating new donor prospects, and developing innovative community engagement strategies, working with The PPT’s Development Lead.

The ideal candidate will be an energetic and passionate professional with expertise in donor relations, event management, and community fundraising. They will be skilled at creating impactful experiences that inspire both individual and collective action, making a lasting difference in the lives of those we serve.

Responsibilities

1. Individual Fundraising
Innovate and implement a donor acquisition strategy appropriate for the values of The PPT.

• Implement an audience segmentation approach to building individual, regular and legacy giving, drawing on accurate analysis of data, using The PPT’s Access database.
• Project manage delivery of quarterly postal appeals including segmentation and targeting of messaging, mail-merge and printing, dispatch by volunteers or mailing house.
• Email marketing, including use of Mailchimp to segment audiences and target messages.
• Optimise The PPT’s use of JustGiving and other fundraising platforms, regularly reviewing performance.
• Optimise fundraising functionality of The PPT’s website and support colleagues in the development and procurement of a new website.

2. Community fundraising

• Manage and plan the growth of The PPT’s community fund raising activities, with a particular focus on yoga groups and faith groups.
• Review and develop cost-effective levels of support for fundraisers.

3. Donor care:

• Manage relationships with current and prospective donors and fundraisers by ensuring timely acknowledgment of gifts.
• Refine use of automated systems, such as Mailchimp and JustGiving to automate acknowledgement of gifts where appropriate, while ensuring optimum levels of personalisation, such as hand-written cards and notes.  Fulfil established donor journeys, ensuring donor led and annual stewardship is met.

4. Data management, analysis and reporting

• Maintain and update The PPT’s supporter database, ensuring all records are accurate and up to date.  Initially using Access and adapt with the move to a new database/CRM programme.
• Track, monitor and report quarterly on results of FR activities
• Support colleagues in the development and procurement of a new database and/or customer relationship management system.

5. Event Coordination

• Plan and project manage delivery of The PPT’s public facing, fundraising and donor stewardship events including planning, promotion, logistics, and follow-up.
• Integrate donor care into event planning, ensuring that donors feel personally valued and appreciated before, during, and after events.
• Work with Communications Coordinator in producing printed and display materials for events.
• Plan and project-manage delivery of The PPT’s presence at networking events for example in yoga, faith and criminal justice communities.

6. Communications and Marketing

• Contribute to development of social media audiences to meet charity’s profile-raising and fundraising objectives.
• Craft compelling messages and content for supporter communications that highlight The PPT’s mission and impact.

Skills and Qualifications:

Essential

• Proven fundraising experience, especially in individual giving (e.g., regular giving, legacies, donor stewardship, direct mail, online fundraising
• Knowledge of best practices and ethical standards in fundraising, with a strong focus on donor care
• Expertise in using Excel and Access to analyse and report on fundraising data
• Skilled in using Mailchimp and CRM systems (e.g. Donorfy, Beacon, Salesforce) to manage donor journeys and stewardship - Comfortable analysing donor trends and campaign performance

Desirable

• Membership of a professional fundraising body (e.g. IoF) or evidence of continuous professional developmen
• Knowledge of emerging trends and innovations in donor engagement and stewardship

Summary and key purpose
 
This new role will be primarily responsible for developing, marketing and managing our individual giving together with working across other fundraising disciplines. You will be a key member of our fundraising team, producing compelling fundraising communications, stewarding individual donors, including regular donors and gifts in memory. You will ensure that our donors receive excellent care.
 
Our Individual Giving programme will incorporate one-off donations, regular giving, digital fundraising, appeals and in-memory giving. You will do this, with the support of our recently appointed fundraising agency, who you will manage our relationship with week by week.
 
A critical element of the role will be how we market ourselves to potential new donors, taking them on an emotional engagement journey in order to solicit regular gifts.
 
Your expertise and skills:
 
To excel in this role, you will need prior experience of working in a fundraising setting, with an understanding of good stewardship practices. You should be a self-starter who thrives in a dynamic environment, working across teams and meeting multiple deadlines. Your excellent relationship management skills will enable you to effectively communicate with a diverse range of stakeholders and gather information on new projects. You must have a thorough understanding of individual giving, developing donor journeys and experience of work with agencies.
 
Key responsibilities:

• Day-to-day management of the regular giving programme, project managing appeals and overseeing the thanking process for individual donors.
• Create, plan, deliver and evaluate multi-channel, compliant, insight-led, supporter-centric campaigns to engage and drive action from new and existing supporters.
• Manage our newly appointed fundraising agency, and in doing so, help deliver an ambitious appeal programme and income target.
• Review and develop operational plans for individual giving (including regular giving, in memory, digital fundraising and appeals) working to achieve agreed targets.
• Communicate and document key performance indicators across individual giving appeals. Ensuring you provide commentary to accompany results reporting, drawing on insights and the wider picture to add context and make recommendations from your learnings.
• Work with the fundraising agency and RABI communications team to produce and edit appropriate collateral.
• Devise and deliver supporter communications, including stewardship activity, welcome journey content and appeal communications.
• Help ensure that we comply with legal and compliance requirements including industry best practice, GDPR/PECR regulations and the CIOF code of Fundraising Practice.
• Develop and maintain good working relationships and liaison with other members of RABI staff.
• Take part and contribute to team meetings.
• Cooperate with RABI on health and safety matters, taking reasonable care of own and other people’s health and safety within the workplace. Follow and H&S training received and alert RABI to any serious risks.
• Actively participate in the staff appraisal scheme and be committed to training and development in line with RABI’s aims and objectives.
• Liaise with volunteers, clients, contractors and other stakeholders as necessary.
• Promote the Charity’s work, assisting with demonstrations and in fundraising and awareness events as appropriate.

Person Specification:
 
Essential

• Marketing or direct marketing or marketing qualification.
• Experience of using direct marketing methods to recruit, retain and develop supporters (e.g. telemarketing).
• Previous direct marketing or transferrable experience. This should include project managing or assisting a project manager to plan and deliver activity and evaluate results
• Planning, delivering and managing individual giving programmes.
• Delivering donor recruitment and retention projects from initiation to completion.
• Proven track record of meeting or exceeding targets from unrestricted donations.
• Presenting confidently to a variety of audiences.
• Building relationships and maximising engagement with donors and supporters
• Able to create and tailor engaging and emotive copy for a range of different channels.
• Empathy with the goals and objectives of RABI.
• A positive and creative approach to work, with the ability to multitask.
• Strong interpersonal skills, including good telephone manner and empathy towards in-memory donors.
• Ability to record accurate data and work with a CRM system
• Self-motivated and confident in working, both independently and in teams
• Good communicator, including face-to-face, phone, in writing and via remote communications.

We are looking for a proactive and enthusiastic Fundraising Assistant to support our growing and ambitious fundraising team. This diverse role is key to helping us raise vital funds through individual giving, community fundraising initiatives, and challenge events. WHO ARE WE LOOKING FOR?

To be considered for this role, it is essential that you:

• Have 1+ years' employment within a charity or NGO, ideally within a fundraising team or an international development organisation.
