Summary Of The Role

The Governance Manager & Executive Assistant plays a pivotal role in ensuring our organisation operates smoothly, transparently, and in line with best practice. You will lead the coordination of Board and Committee governance, managing agendas, papers, minutes, regulatory compliance, and the maintenance of key governance records. You will also support Board recruitment, induction, and development, and help manage core processes such as the governance audit, risk register, and policy oversight.

Main Areas Of Responsibilities:

1. Governance & Compliance Management

• Support the Board and SMT with a complete governance audit and coordinate actions from the resulting governance action plan.
• Support the CEO and SMT with the day-to-day management of Board and Committee business.
• Prepare and manage agendas, papers, and minutes, ensuring all documentation is accurate and circulated within required timeframes.
• Oversee governance compliance, regulatory adherence, and alignment with best practice.
• Maintain up-to-date governance records, statutory filings, and related documentation.
• Support the CEO and SMT with reviewing and maintaining the organisational risk register and coordinating actions.
• Maintain a repository of historic policy versions to support auditing and traceability.

2. Executive Support

• Manage the flow of information to and from senior leaders, ensuring timely action on priorities.

About the role:

We are seeking a dynamic and organised Office Administrator to join our team. To manage the overall running of the Carers’ Hub office, including overseeing HR admin, implement policy and procedures, including Health and Safety, maintain administrative processes, manage stakeholders, serve the trustee board, and work closely with the Carers’ Hub team in the implementation of events and projects.

Your purpose

To support our CEO, Director of Strategic Development and other members of the Senior Leadership Team to engage partners in our strategic planning, including to influence the implementation of the new national curriculum and guidance on oracy and establish a new advisory board to inform our strategy. Your responsibilities

Partner relationships & communications 

• Ensure that communications to partners are sent in a clear and timely manner, using either automation or other systems e.g. mail merge. 

• Coordinate processes for partnership meetings and roundtables, e.g. the booking process for participants and arrangements relating to special adjustments etc.

• Use our Customer Relationship Management (CRM), SalesForce, to create records and collect and update partner data. 

Meeting coordination & delivery 

• Arrange all key activities for events you are responsible for. This could include Advisory Board meetings (online and in person), visits to schools or roundtable and briefing meetings. Manage invites and book venues, reminder/follow up communications, and ensure feedback is captured and collated.

You’ll join one of two closely connected teams at the heart of the EEF’s evidence-generation work, offering distinct but complementary opportunities.

One role sits in the Evaluation Team, a large, expert team responsible for commissioning and managing EEF’s major independent evaluations, including large-scale randomised controlled trials and quasi-experimental evaluations, and for supporting external research teams to deliver rigorous, high-quality studies across the portfolio.This will suit someone with a quantitative leaning with a strong understanding of trials and experimental design.

The second role sits in the Programme Development and Scale-up Team, a smaller, highly cross-functional team working at the earlier and later stages of the evidence pipeline. This team leads pilots, early-stage and scale-up evaluations, with a stronger focus on implementation and process evaluation, and on developing and testing innovative evaluation approaches to support effective scale-up.This will suit someone with a mixed methods background and a more qualitative skillset.

Both roles work closely together and across the organisation to ensure EEF’s evidence is rigorous, relevant, and has real impact in the system.

In these roles you will:

• Commission evaluations in our priority areas, including critically reviewing evaluation proposals to ensure proposed designs are high quality and cost-effective and that the most suitable external evaluators are matched with projects.​
• Manage a portfolio of evaluation projects once external evaluators are appointed and being the primary point of contact for evaluators.
• Liaise between the evaluator and the delivery team (that is delivering the intervention) and chairing meetings to ensure the evaluation project is set up effectively with a high-quality design (working closely with colleagues in EEF’s Programmes team).
• Work closely with the evaluator and delivery team to understand the practical issues involved in delivering evaluations, mitigating risks, and providing support when problems arise.
• Manage evaluation contracts and budgets, and monitoring delivery of evaluation plans.
• Conduct technical reviews of protocols, study plans, statistical analysis plans and evaluation reports.
• Work closely with other teams to ensure that published reports are of high quality and effectively communicate findings to an audience of practitioners, academics, policymakers and the general public.
• Draw on expertise from across EEF to shape and apply innovative evaluation approaches, working collaboratively to strengthen evaluation design, learning and the use of evidence.
• Develop, improve and monitor implementation of evaluation guidance and resources to clarify best practice and build the capacity of evaluators to conduct high quality research.

You'll be able to demonstrate:

• A commitment to the aims of the EEF and a genuine interest in the education sector in England.
• An understanding of technical aspects of evaluation methodologies (implementation and process evaluations, randomised controlled trials, quasi-experimental designs, choice of outcome measurement, etc.) and an ability to identify high quality evaluation plans and reports.
• Experience in delivering or commissioning rigorous evaluation projects in education, health, or another related field
• Strong relationship management skills, including managing stakeholder performance and differences in opinion.

About You and the Role

The Front of House Receptionist will help deliver the provision of an efficient and welcoming service as the first point of contact with the Society, together with other administrative duties in support of the Facilities teams operation of the premises and the efficient use of its rooms.

More than 150,000 visitors come through the Society’s doors each year to enjoy both the Society’s own resources and activities, and the events of a wide variety of not for profit and commercial organisations who hire the 750 seat Ondaatje Theatre and other of the Society’s fine rooms. The Front of House Receptionist is the vital first point of contact for callers, visitors, members, staff, and tenants, as well as undertaking administrative duties in support of the Facilities team operation of the premises and the efficient use of its rooms.

The Front of House Receptionists work as a flexible team. They complement each other and support the wider team in both event management and operation. The post requires a broad knowledge of the Society’s activities in general, plus a more detailed understanding of the work handled by the various departments of the Society, and its tenants. Close attention to the weekly programme of activities is critical, together with awareness of unpublicised activities and of future events.

Key Responsibilities:

• Reception
  • Ensuring that Reception is always staffed between 9.00am and 5:30pm on weekdays, in conjunction with the fellow Front of House Receptionist on duty and other members of the Facilities team.
  • Receiving visitors to the Society arriving at Reception, ensuring that security procedures are followed, and directing them as necessary to the appropriate rooms. Assisting visitors with enquiries and requests; calling on the appropriate members of staff when necessary.
• Event support
  • Supporting Society and external events outside of normal working hours involving either early morning starts or late evening finishes. Duties will include welcoming and supporting external event organisers to ensure that the Society delivers a high quality of service to its customers. Overtime will be paid for these additional hours, and sufficient notice will be provided
  • Handling of enquiries and recording bookings for the Society’s own meetings and events on the events database.
• Switchboard
  • Operating the telephone switchboard, receiving, and disseminating calls helpfully, quickly, and efficiently.
• Administration
  • Recording new staff, tenants, and volunteers onto all relevant contact lists.
  • Ensuring that the Society’s Safety Policy is read and understood, and all relevant contact details are recorded on the contact database.
• Post duties
  • Sorting and franking the external post in an accurate and timely manner for the daily collection.
  • Managing the franking machine via the supplier to ensure the unit is supplied with sufficient credit, supplies and the ordering of supplies
• Other
  • Act as First Aider. Training will be provided. Dealing with First Aid incidents. Deputising for the building First Aid Coordinator to always ensure an adequate corps of certified First Aiders, liaising on training and maintaining first aid kits throughout the building including the reordering of supplies.
  • Act as Fire Warden. Training will be provided. Deputising for the Fire Incident Coordinator to always ensure an adequate corps of certified Fire Wardens. Undertaking weekly building checks ensuring compliance with fire safety.

Salary and Benefits:

This is a full time, permanent contract. The salary range for this post is £27,675-£28,550 per annum, pro rata depending on experience and qualifications. The post is based in Kensington, London.
