District Secretary for Administration and Compliance

Do you have the skill, experience and vision to lead in building and maintaining good practice for a newly amalgamated District of the Methodist Church?  We are a collaborative, justice-seeking family of churches, looking for a skilled senior administrator.

This is a senior leadership position in a merged organisation.

1. Collaboration with the District Chair and the District Secretary for Ministries & Vocations in the leadership of the District, and promoting the values of the District in all work practice.
2. Collaboration with the Mission Area Leads to facilitate support of the circuits in relation to the responsibilities of administration and compliance issues.
3. Responsibility for compliance with all relevant legal, financial, and governance matters, including compliance with the relevant parts of The Constitutional Practice and Disicipline of the Methodist Church, including:
   1. budget and accounting, in partnership with the District Treasurer;
   2. data protection;
   3. lay employment processes;
   4. safeguarding.
4. Working with the District Safeguarding Officers, the District Safeguarding Group and others to ensure safeguarding processes for the District are robust and effective.
5. Responsibility, together with relevant District officers and bodies, for strategy for property and finance across the District, and for its implementation.
6. Enabling the District Property Consents group to fulfil their responsibilities regarding property matters within the District.
7. Coordinating the District Grants Policy and its implementation through the District Grants Committee.
8. Ensuring that the District’s responsibilities for Reconciliation and Complaints are fulfilled, including liaising with the other District Leaders and ensuring the appointment and functioning of the District Local Complaints Officer and District Reconciliation and Complaints Support Group(s).
9. Collaboration with the District Chair and others to ensure good practice in internal and external communication, including through the District Communications Officer.
10. Engagement with the District Policy Committee and the District Scrutiny Group processes and meetings.
11. Fostering good and collaborative working relationships with holders of relevant district volunteer posts.
12. Other areas of responsibility as agreed and assigned by the Trustees. 

We’re looking for someone to support our exectutive office. You'll be someone who is able to provide a high level of professional support to the Chief Executive in the effective management of their calendar, correspondence, as well as committee support of the Board of Trustees and it's subcommittees. This role is also responsible for accreditations and managing ad-hoc projects.

Key Information

• Salary: Grade 2.1 - £27,500 raising to Grade 2.2 - £29,592 after 3 months successful probation (pro-rata if part-time)

Key duties

Essential Criteria

• Ability to read and write fluently to an exemplary standard in English

What you’ll be doing …

The main purpose of this role is to grow the venue hire pipeline of business and deliver venue hire events and specialist group events to excellent standards ensuring repeat business and maximising new sales opportunities. We are seeking a professional, confident candidate who enjoys the end-to-end process of events and is keen to make their mark on venue hire at the Society. You will also be highly organised with a keen eye for detail and confident being the ‘gatekeeper’ of the room bookings diary at the society. 

Overall responsibilities / requirements …

Venue Hire Sales & Marketing: 

• To deal with all venue sales enquiries in a timely and efficient manner. 
• To build and maintain an effective pipeline of venue hire enquiries. Including attending venue hire showcases and B2B networking events as necessary. 
• Professional and friendly manner, confident in delivering and leading on showrounds to prospective clients. 
• To produce venue hire literature and ensure that all material relating to the venue facilities is kept up to date. 
• To meet venue hire sales targets for 2024 as set by the Society and build effective sales pipelines for 2025.
• Liaise with Marketing Teams to produce bespoke posts and newsletters for members, venue hire leads and special offers for venue hire throughout the year, maximising engagement. 
• Support the Head of Events with all key cultivation events including venue hire showcases and any new business ventures. 

Venue Hire Administration: 

• To maintain safe working practices in conjunction with Health & Safety policies. 
• Work collaboratively with Buildings Manager to communicate key information taking place across Burlington House. 
• To liaise with AV company with regards to timings, payments, staff needs, training and use of equipment / set up for events. 
• To liaise with caterers with regards to timings, payments, staff attending, training and room set up for events. 
• To produce a weekly booking sheet for all staff to communicate bookings across the building. 
• To produce and meet budgets for events in consultation with the Head of Events 
• Manage the venue hire diary, ensuring it is kept up to date and all bookings are accurately recorded. 
• To check all incoming invoices against quotes/information received and pass to accounts for payment. 
• To raise and resolve any invoice queries in a timely manner. 

Event Operations:  

• To deliver all venue hire and specialist group events to excellent standards.
• To liaise with speakers and venue hire delegates and communicate all logistical details in a timely fashion including H&S briefings, PEEP plans and Risk Assessments. 
• To make any other logistical arrangements that are necessary for the smooth running of events covering timings, parking, room set-ups etc. 
• To ensure that all events are accessible and organised within the disability discrimination legislation. 
• To support the events team with ad-hoc events out of hours where needed across the year. 
• Ensure the events spaces are well maintained in collaboration with the Buildings Manager.

Teamwork: 

• To be proactive in identifying areas for potential improvement in the events programme 
• To take part in developing more efficient ways of working within the team 
• To ensure that positive working relationships are created with other departments at GSL 
• To participate in team meetings and wider meetings including External Relations and Health & Safety. 

Other responsibilities and expectations: 

• The post holder is expected to work flexibly to respond to changing needs at The Geological Society.  As the Conference Office operates a room hire service it is expected that the postholder will undertake out-of-hours work to ensure that this service can operate.  Excess hours worked will be compensated for by time off in lieu. 
• The post holder is expected to undertake any other responsibilities or tasks consistent with the role and/or reasonably required by the Head of Events.

About the job

We are seeking a confident and experienced Modern Slavery Case Worker Assistant with a wide range of skills and importantly, a ‘can do’ approach. As a Modern Slavery Case Worker Assistant, you will provide high quality practical and emotional support to potential victims of modern slavery within a safehouse setting.

You will work as a member of the team providing a safe temporary environment for vulnerable adults who have experienced trauma and exploitation. The role will involve assisting service users with increasing practical skills and self-confidence to empower and enable independent and safe living.

This service is open 24 hours a day, seven days a week. Applicants must be willing to work flexibly, which will include on call duties, evenings, weekends and bank. Both roles will work between two properties approx. 4 miles apart on a Rota basis. A full induction and continuous training will be given.

The 30 hour per week post will be shifts from 4pm-10pm, 5 days per week, however, the initial induction will consist of day shifts until knowledge of safe house is comprehensive.

You must have experience of working with vulnerable adults, the ability to work within a ‘risk associated’ environment and ideally experience of working within a residential or community setting with non-UK citizens. Relevant social care qualifications or suitable experience of supporting vulnerable people is essential.

Role Requirements

 As part of the site services team the role holder will be expected to liaise with managers and staff across the Trust. The role holder is expected to work closely with the other members of the facilities team and assist in covering in the laundry, in the deep clean team or other works as and when required.

You will be a natural and enthusiastic housekeeper working not only as part of a team but also individually. You will be health and safety aware, take ownership of your own work, and be understanding of the children’s needs here at The Children’s Trust. Good organisational skills, flexibility and being friendly and caring in nature are a must for this role. Please note that the role requires a significant degree of manual handling and working with houses services and laundry equipment.

With experience of working in a complex environment, across a large and diverse workforce, you will be exceptionally organised with a high-level of attention to detail. Job purpose

The post holder will be responsible for providing holistic care and support to children and young people (CYP) who have life-limiting conditions and their families as a key member of the community team. This care is provided in the family’s own home, in the community, and support into the hospices and acute settings.

The post holder will be the first point of contact for families following acceptance to the service and the nurse is responsible for undertaking a holistic assessment of the child and family’s needs. The post holder will provide high quality palliative care to CYPs under the care of Shooting Star Children’s Hospices, using their skills and expertise in a diverse range of situations, autonomously and as a member of the community team. The post holder will have excellent communication skills, be a sound educator, and work proficiently.

They will work closely with the SSCH in house team, family support team and symptom management services to ensure a seamless and comprehensive service to CYP and their families.

SSCH care is provided 24 hours a day, 365 days a year, the post holder will be required to work flexibly to meet the needs of planned and emergency care, including on calls overnight and weekends in addition to contracted hours.

Key tasks and Responsibilities

• Providing professional clinical leadership in the provision of palliative care across care settings for CYP under the care of SSCH.

• To work in partnership with the SSCH care teams and wider MDT, demonstrating excellent communication skills to ensure high quality seamless care.

• To ensure that holistic care is family centred, research based, and meets with all statutory requirements and adheres to clinical governance initiatives and best practice.

• Provide support to CYPs and their families where required through community visits to hospital, home or hospice alongside relevant external professionals from statutory services.

• Maintain an awareness of the multi-cultural nature of the SSCH catchment area, adapting care culturally as required.

• To ensure all documentation is maintained in accordance with SSCH policies, guidelines and standards.

• To act in accordance with the SSCH and statutory Safeguarding Children Policy and Procedure.

Clinical

• To be actively involved with the on-going development of the SSCH care service, in particular the community team, contributing to development through research, audit and quality improvement.

• Provide clinical support and continuity of care to CYPs with palliative needs.

• Work alongside specialist symptom management teams to assess symptoms and provide clinical feedback to form part of decision making under the lead of the specialist services.

• Ability to follow an agreed symptom management plan and liaise with teams to offer high level care in the home as needed.

• Working in partnership with all members of the MDT, encouraging and promoting effective team working from all disciplines within SSCH.

• Attend professional meetings as a representative for SSCH and provide proactive input to ensure high level care for CYPs and families.

• Coordinating transition to adult services when appropriate in conjunction with the transition coordinator.

• Ensure written communication and correspondence is used to communicate with external professionals and services.

• Form part of the community on call service in conjunction with statutory services to endeavour to offer a responsive 24/7 service in end of life care.

Quality / Audit / Research

• Enhancing the interface between the community team and user involvement into the development of the service.

• To share professional expertise with Care Team colleagues, providing support and training where appropriate.

• To work to the SSCH medicine policy and adhere to the NMC guidelines at all times when giving medication.

• Participating in audits with the clinical governance facilitator to maintain and improve clinical care.

• In collaboration with the team, producing and reviewing operational policies and procedures specific to the team.

• Attending the Morbidity and Mortality meeting and having a proactive input.

• To take responsibility for your own lone worker safety, support the team and comply with SSCH policy/practices.

• To adhere to the NMC Code of Professional Conduct at all times.

• Supporting research activity through service user recruitment and data collection as required.

Leadership

• Attending appropriate clinical meetings.

• Reporting all incidents and accidents in accordance with local policy.

• Taking prompt and appropriate action if a complaint is received in accordance with SSCH policy.

• Communicating with the MDT, providing case presentation for a unified approach to care for CYP and their family.

• To take a lead on a specific role within the team, for example – transition or medicines management.

• Actively participate in team away days to support with development of the community team.

• To be responsible for your own on-going education and professional development, to facilitate lifelong learning which complies with the professional educational requirements of your training.

About you

To succeed, you’ll need a firm grasp of the CRM tech landscape, including list management, segmentation and dynamic content, with experience of Adobe Campaign, Adobe Classic or a similar platform being essential. We’re looking for substantial experience in a CRM role with significant output and a proven track record of building and deploying complex automated journeys.

You’ll have good understanding of email marketing best practices, and the ability to edit email templates in HTML is desirable. Additionally, experience using Litmus (or something similar), as well as data selection experience, would be desirable.
