Senior Events Executive, Global’s Make Some Noise

This is a rare opportunity for someone with a minimum of 1-2 years events experience looking to take the next step and expand their skills by working on a diverse range of events ranging from our high profile celebrity fronted gala Global’s Make Some Noise Night, to stewardship events at incredible venues including Downing Street and The House of Lords to breakfast events in Global’s Leicester Square office. In addition, you will have the chance to broaden your skills by volunteering at major events including Capital’s Summertime Ball and Jingle Bell Ball, and help shape new events led by presenters and committees.

It is a hugely exciting time to join, as events are set to play an instrumental role in helping the charity develop a new dynamic portfolio to engage new high value supporters. This role will be pivotal in shaping the future calendar and helping to meet our ambitious targets.

Key Responsibilities:

Event Management and Supporter Stewardship (30%)

• To support the Senior Events Manager in ensuring that every event plan is delivered to the highest level

• Provide support on guest management, ensuring a smooth process for guests during the lead up to and on the day of the event.

• Build and maintain strong relationships with major donors, guests and stakeholders ensuring excellent stewardship and recognition through access to incredible Global Event and Podcast experiences.

Fundraising Auction/Prizes (35%)

• Collaborate with the Senior Manager to devise ambitious and engaging fundraising mechanics ranging from innovative Sponsorship. Opportunities, to show stopping Auctions to inspiring pledge moments

• Lead on securing auction prizes for relevant events, developing relationships with key supporters and external businesses to secure exclusive and desirable auction items, and lead the build for the online auction site.

• Manage the auction fulfilment process, ensuring all auction winners are thanked post event and that lots are fulfilled in a timely manner.

• Oversee online auction platform, ensuring accurate listings, engaging descriptions and looking for ways to maximise income.

• Support prize procurement across the team as required.

Event Adminstration and Processes (35%)

• To support the Senior Events Manager with financial management of each event, supporting on areas such as: budgeting, planning, controlling and monitoring expenditure as appropriate and managing income against targets, KPI’s and provide regular revised projections as required.

• To maintain good practice in the use of database system ensuring that information is recorded accurately to allow for excellent supporter care, stewardship and accurate analysis of event performance.

• To keep up to date with current competitor activity, potential new opportunities for events and improved ways of managing and developing events.

• To undertake any other tasks reasonably required.

What you’ll need 
 
The ideal candidate will have a passion for events, be proactive and willing to develop and implement innovative solutions, capable of the following: 

• Background: Previous experience in a charity or events agency environment. An understanding of working within a charity’s Special Events Team is an advantage.

• Relationships: You’ll be an excellent communicator with the ability to build rapport, engage supporters and secure support from external stakeholders.

• Resilience: You’ll be a self-starter with great energy and stamina, and the ability to bounce back from setbacks with positivity and determination.

• Event Management: You’ll have a good understanding of event management processes and excellent attention to detail

About the Role

We're looking for a passionate and experienced Challenge Events Manager to lead and grow our challenge events programme at The Passage. Partnerships and Events Manager

This is an exciting opportunity for an outstanding events and donor experience professional to join a highly-effective global team, increasing the effectiveness and impact of a nonprofit working to improve the lives of millions of the most vulnerable people around the world.

Reporting to the Head of Strategic Partnerships, the Events Manager is a member of the partnerships team, in the external relations directorate. The role

The special events coordinator will report to the special events manager.

We're seeking an experienced and enthusiastic special events coordinator to join the dynamic philanthropy team. You will play a pivotal role in planning, organising, and executing a diverse range of events, providing the best possible experience to some of the charity’s most committed donors through a mixture of bespoke events, engagement events, and as we steer towards starting to do income-generating events.

The special events coordinator will support the special events manager in creating and managing an exceptional events programme to underpin major donor fundraising, supporting portfolio managers to successfully engage prospects and donors. You will be a creative and innovative thinker, dynamic and experienced in organising events from concept to delivery. You will be confident and comfortable working in an ambitious and busy team that is driven to provide a high level of supporter care and excellent and exciting events.

Principal responsibilities

Event planning and coordination

· Develop event concepts and themes, create detailed event plans, and coordinate all logistical aspects of events of events falling within the remit of this role.

· Work closely with the philanthropy and campaigns team to design and implement special events that maximise fundraising potential.

Stewardship events

· Plan and manage events to acknowledge and appreciate donors, facilitating their continued support and engagement with the charity.

Engagement activities

Supporting the new cancer campaign

· Prepare for campaign events in support of a £50m campaign for a ground-breaking cancer centre on the Royal Free Hospital site.

Vendor management

· Whether on-site at one of our hospitals or at an external venue, take responsibility for sourcing, negotiating, and managing relationships with vendors, including caterers, suppliers, and on-site partners.

Budget management

· Create and manage event budgets, ensuring cost-effective solutions while maintaining high-quality standards.  

Communications and promotion

· Collaborate with the communications team to develop promotional materials and strategies to maximise event attendance and engagement.  

RSVP management

· Managing the RSVP mailbox, ensuring timely and accurate responses to event invitations and queries.

Database management

· Maintain and update event-related databases, ensuring accurate records of participants, donors, and sponsors.  

Relationship management

· Act as the main point of contact for colleagues, donors, and contractors, ensuring their needs and expectations are met throughout the event planning and delivery process.

Portfolio manager support

· Assist portfolio managers in engaging with prospects and donors effectively, providing event-related insights and facilitating meaningful connections.  

On-site coordination

· Oversee event setup, execution, and breakdown, ensuring all elements are in place and events run smoothly.  

Post-event evaluation

· Conduct post-event evaluations to gather feedback and identify areas for improvement.  

Oversight and responsibility

· Manage risk assessment, risk management, and first aid training to ensure the safety and well-being of all event participants. 

This position would suit a candidate who:

PERSON SPECIFICATION

Qualifications

· No specific qualifications are required, but a good level of numeracy and literacy is essential.

Experience

Essential 

· Significant events delivery experience, ideally within the not-for-profit sector.

· Proven track record in developing and managing events on time and ensuring it is in line with budget (managed by the special events manager) achieving key performance indicators and receiving positive feedback from guests.

· Evidence of using outstanding planning skills to deliver complex projects.   

· Experience of setting, monitoring and managing targets, objectives, KPIs and activity plans.  

Desirable 

· Experience of leading on the creation and implementation of innovative events that are tailored towards a specific audience’s interests.

Skills and knowledge

· A keen interest in the fundraising sector, with a desire to learn and grow in the role.

· Excellent interpersonal skills and excellent ability to negotiate and achieve objectives.  

· Strong communication skills with an excellent eye for detail.

Our dynamic fundraising department generated £4.5m through donations in 2023/24, and we are now preparing for an ambitious multi-million-pound campaign in support of a ground-breaking cancer centre on the site of the Royal Free Hospital.

• Get feedback from sponsors and supporters and work with them to improve processes and understand how sponsorship and supporter engagement can develop
• Update the charity's fundraising channels’ information (i.e. Enthuse and Just Giving) to encourage continued engagement, and as a way of engaging fundraisers
•  Provide video content for our fundraising platforms and social media, including case studies from care workers who have been supported with grants by CWC

Fundraising events management

• Manage delivery of the event portfolio to achieve financial and sign-up targets, delivering effective on the-day support for event participants. This includes ensuring our events are accessible for visually impaired participants

• Deliver excellent supporter care to ensure supporters are motivated to achieve (and exceed) their fundraising targets, feel valued and build engagement with us 

• Key point of contact for high level event participants and community fundraisers via face-to-face meetings, phone calls and emails – providing timely and personalised support

• Support the Events and Community Officer with enquiries, applications and registrations for challenge events, ensuring high levels of conversion, and capturing relevant supporter data 

• Support the Head of Community and Engagement, or other teams within Fight for Sight with the successful delivery of key special events, including fundraising gala dinners or receptions, virtual events and mini conferences, and third party or established supporter events.

• When required, support the Events and Community Officer in managing guest lists, enquiries, and ticket sales for special/major donor events and receptions, delivering a seamless guest experience and timely follow-ups supporter care and relationship management

Marketing 

• Oversee all paid Facebook advertising activity for events, updating web listings, and utilising our networks

• Work with the Marketing & Communications team to raise awareness/increase recruitment across all activities, highlighting case studies and media stories 

• Develop and deliver effective and engaging content, and materials for supporters to increase recruitment, retention, and average fundraising amounts

• Oversee the creation and delivery of quarterly events e-newsletter, plus additional e-blasts

Managing information and reporting 

• Work with the Database Manger to ensure accurate records within our CRM system (ThankQ) and management of income from online and offline giving

• Carry out post-event evaluations, analysing supporter data help facilitate greater levels of income

Overall purpose of the role
As part of a multi-faceted and busy fundraising team, the Events Product Development Lead will take a significant role in strategically planning and delivering a portfolio of new fundraising events to raise funds for Guy’s and St Thomas’ Charities. This role will support the strategic development and delivery of a portfolio of fundraising events aimed at increasing income and diversifying our funding base. Key Responsibilities

The Head of Operations (Events and Access) acts as the deputy to the Lady or Gentleman Usher of the Black Rod. This post assists with the planning, coordinating and executing of events held in the House of Lords, and in areas shared with the House of Commons. We are seeking a dynamic and creative fundraiser to support activity across community and events fundraising. The role will focus on providing exceptional stewardship for our calendar of community and events fundraising. About Us

The Brompton Fountain is the children’s charity at Royal Brompton Hospital - a world leading specialist centre for complex heart and lung disease. We work in partnership with the teams on the wards, paediatric intensive care unit (PICU) and in outpatient clinics. Our charity provides support and resources for patients, families and staff, as well as funding lifesaving medical equipment, accommodation - so that parents can stay close to their child during an admission, toys and entertainment for the playroom and improvements to the facilities to create the best possible environment for families to promote their wellbeing during what can often be a very challenging time. In collaboration with the hospital trust and the NHS we also fund research projects and develop new initiatives for babies, children and young people with heart and lung conditions. 

About You

Main Duties and Responsilbilties 

Community and Events Fundraising

• Assist in the planning and execution of a diverse range of fundraising events, including challenge events and community initiatives.

• Support the management of event logistics, including participant communication, volunteer coordination, and on-the-day activities.

• Collaborate with external partners and suppliers to ensure smooth event operations and build strong relationships for future collaboration.

Individual Giving

• Manage the regular giving programme by implementing a rolling 12-month plan of meaningful touchpoints to deepen relationships.

• Develop and implement a plan to encourage increased giving and recruit new regular donors with personalised cultivation and stewardship.

• Maximise engagement and retention of individual supporters (giving at lower to mid-level) by prompt thanking, excellent stewardship and building effective donor journeys.

Supporter Care

• Serve as the primary point of contact for community and events fundraisers, delivering outstanding stewardship ensuring they receive the information and support needed to maximise their fundraising potential while maintaining the highest standards of stewardship and being respectful of potential sensitivities particularly when working with families who are fundraising in memory.

• Provide timely and effective follow-up communications with supporters, ensuring they feel valued and engaged.

• Maintain our CRM database ensuring accurate records to track communications, income, and supporter preferences, ensuring compliance with GDPR and data protection laws. 

Administrative and Financial Support

• Process cash and cheque donations, Gift Aid and matched funding claims, ensuring this income is processed and recorded accurately on our database.

• Manage the distribution of supporter resources, conduct stock checks for fundraising materials and ensure an organised work environment for all fundraising assets.

• Overseeing our online shop.

Marketing and Communication

• Create engaging materials (posters, leaflets, stories etc), social media content and e-newsletters to inspire participation in fundraising activities.

• Produce impact reports and collate information for the HOF to support fundraising initiatives and grant applications.

• Ensure fundraising and associated webpages are kept up to date. Team Collaboration

• Work collaboratively with the wider team (when required) to support in-hospital and community events as well as assisting with tasks as needed to ensure smooth charity operations.

• Support the CEO and team members with ad hoc projects, activities, and any high-priority tasks to contribute to overall team objectives.

Additional Information

Salary is £30,000 - £32,000 per annum (DOE). The role covers 37.5 hours per week. Two days per week working in our charity office at Royal Brompton Hospital - London, and the remaining hours to be worked remotely. Occasional evening and weekend work subject to our events calendar. One-year fixed term contract with the potential to extend contract length subject to performance and funding.

A full driving licence or the ability to travel to events and meetings within London and the South East is essential.

JOB PURPOSE 

The Event Coordinator will be responsible for organising, coordinating, and providing logistical support for a range of both external and internal events for Start Network. The post-holder will possess excellent communication and organisation skills to ensure effective collaboration with colleagues, members and external stakeholders. 

The Event Coordinator will be expected to manage events within an agreed budget, delivering high-quality and engaging experiences. They will also be adept at negotiating with suppliers and vendors, and have a flexible, solutions-focused approach to handling challenges. 

This role sits within the Communications team and will report to the Communications Manager, while working closely with various teams across the organisation.

The key focus of the role will be the planning, coordination, and execution of Start Network’s flagship membership events, including the Annual Assembly and Hub Events (Hub Connect and Hub Fellowship). 

The Event Coordinator will also support the organisation’s participation in external events in close collaboration with the Advocacy team.
