This is an opportunity to take on a new leadership position in a unique educational charity. As part of our succession planning, Number Champions is recruiting a CEO to take on all management of the charity and to help the board define and deliver its strategy. This will be our most senior staff position.

Background - Number Champions

We train volunteers to use games and other creative activities in primary schools in one-to-one sessions with children to help them gain confidence and skills in maths. This support helps put children on track to achieve their full potential in a world where numeracy is a vital building block. Over half the children we support are from disadvantaged backgrounds, which is where the need is greatest.

Founded in 2018, we have already helped over 1,500 children. We now have 115 volunteers running weekly sessions. This year they are helping 334 children in 38 partner schools across London, and we plan to continue to grow organically every year to support more children.

Our vision is not just that we grow in scale, but that through our example other organisations copy our model, and that eventually all primary school children will have access to volunteer support in maths.

CEO role

The CEO will be a new permanent role, reporting to our founder Chair and to the board of trustees. You will take on all aspects of managing our award-winning charity and drive the board process of setting and delivering strategy. This will include financial management of the charity and involvement in fundraising. This is in the context of our succession plan, whereby our Chair will hand over the executive responsibilities which he currently exercises on a pro bono basis. This is to allow us to recruit a new Chair within two years.

You will line manage the Head of Operations - our current senior employee, who manages our other two staff. The role will be part time for the equivalent of 3 days a week.

Location

You will work mainly remotely, although you will be expected to attend periodic meetings in London. We therefore require candidates to live within commuting distance of Central London, giving maximum flexibility for both the employee and the charity.

Person specification

Candidates must be able to show previous success as a member of the Senior Leadership Team of a charity. You should be a collaborative worker able to build productive working relationships with people throughout the charity and beyond. As continuing our growth is a strategic goal, we need you to have experience in marketing.

We have a high-performing staff team, and a key requirement is that you are able to continue to develop the team. You therefore need the interpersonal skills to keep the existing staff motivated, productive, and appreciated. You will also require the confidence to implement changes you identify as important. As you will take over all the executive responsibilities of the charity’s founder Chair, you will also need the sensitivity to navigate any resultant issues.

About Bristol Avon Rivers Trust (BART) 

Founded in 2012, the Bristol Avon Rivers Trust (BART) is a charity dedicated to restoring and protecting the rivers of the Bristol Avon. Guided by an evidence-based, ecosystem-wide approach, we focus on the health of the entire catchment, not just the rivers themselves. 

BART began as a grassroots effort driven by a shared passion for waterways. Today, with approximately 20 employees and an annual turnover of £1 million, we manage multi-year projects funded by diverse supporters to preserve and enhance the Bristol Avon catchment. 

We work with landowners, communities, businesses, farmers, water companies, councils and government agencies to protect and rejuvenate rivers, lakes, and estuaries, delivering benefits for wildlife, local economies, and people. The post holder will join a growing, ambitious team delivering multi-benefit projects to protect and improve the Bristol Avon catchment, and the Trust Administrator will play a key role in supporting the smooth delivery of the Trust’s operations.

Job summary and purpose

The Trust Administrator is responsible for maintaining the core administrative functions of the Trust to ensure the smooth operation of the charity, enabling its mission to ensure healthy rivers for wildlife and people.

Reporting directly to the Chief Executive, the Trust Administrator will work with a range of internal and external contacts to ensure routine business functions, human and physical resources, supporter and governance liaison are working well. The role will involve working closely with the Chief Executive, but also with other members of the team, Trustees, supporters and suppliers.

The role will require exceptional organisational skills, excellent interpersonal skills, an attention to detail, and working flexibly in an agile environment. Experience of organisational administration in the public, private or charity sector, and experience of HR, meetings administration and IT are essential while purchasing and negotiating with suppliers is desirable. A helpful and positive attitude is needed, as is a willingness to embrace flexible ways of working. Adherence to certain policies and procedures is essential, including requirements such as data confidentiality and upholding a culture of professionalism.

Whilst the role is predominantly aimed at internal support, including for Trustees and supporters, external liaison will be required with suppliers, funders, partners, and the public.

As Head of Operations & Governance, you will be responsible for overseeing the back-office operations of the charity. You will be a key point of contact for the team and support the Executive Director to ensure smooth, efficient and compliant operations.

You will be a senior member of the team, responsible for ensuring that PINF operates within its legal and regulatory framework, including in relation to charity, corporate, tax, employment and data protection regulations. The role involves liaising with the Chair, Board of Trustees, Executive Director, legal advisors and regulators to support best practice in financial management, governance, risk management and compliance.  

Duties and responsibilities 

• Financial Management 

• Ensure consistent delivery and quality of finance operations, including transactions processing, which will involve managing a bookkeeping service.

• Prepare and monitor annual budgets, management accounts and project budgets.

• Lead on the financial aspects of fundraising, contract management, and funder reporting. Including managing restricted and unrestricted funding. 

• Oversee the process of preparing statutory accounts, including liaising with accountants and auditors.

Overview of the International Chief Projects Officer

The International Chief Projects Officer (ICPO) will lead and oversee the Projects Department, and reports to the International Chief Executive Officer.

The ICPO will drive the strategic development, implementation and evaluation of Barnabas’ projects around the world. The ICPO will work closely with the International CEO, senior leadership team, and local project partners to identify opportunities, ensure effective and efficient resource allocation, and deliver impactful results that align with Barnabas’ mission to support persecuted and suffering Christians.

The ICPO will ensure that Barnabas’ projects are strategically aligned with the organisation’s goals, operationally effective, and financially sustainable, while maintaining the highest standards of accountability and impact measurement.

Pay and conditions

Specific responsibilities

An applicant appointed to the role will be expected to:

• To deliver all aspects of CSE’s Human Resources function, from recruitment, staff welfare, wellbeing and associated support, staff records, training and professional development, oversight and advice on any conflicts or disciplinary matters; and to include the development and maintenance of all appropriate staff policies and processes, including performance management and staff appraisals, remuneration, role progression and all staff benefits.

• To ensure the Staff Handbook remains regularly updated, and to lead on all amendments / updates to this key document for staff. Additionally, working alongside the Director of Finance & Operations, the Chief Executive and other directors to ensure all HR-related policies and procedures across CSE are reviewed regularly and remain updated accordingly, supporting staff needs as effectively as possible while also reflecting the needs and strategic objectives of the whole organisation, its charitable status and mission.

• To maintain the organisation’s personnel records in accordance with appropriate data protection standards and recognised good practice (utilizing the Cezanne HR system). To provide overall ownership of this system – in terms of data contents, security and ongoing operations for the system. The postholder will also act as primary contact for the Cezanne software supplier, liaising with the Director of Finance & Operations and other interested parties where necessary.

• To maintain oversight of staff welfare and working with line managers and other relevant staff, provide and promote access to support and advice to sustain good staff mental and physical health and wellbeing.

• To play an integral role supporting both the Employee Voice (EV) group and Equality, Diversity and Inclusion (EDI) group and take a lead on related operational functions including administrating the 6-monthly Staff Survey and highlighting issues and trends in staff feedback.

• Provide oversight and guidance in respect of staff recruitment, onboarding, induction development and training, supporting and advising other relevant staff across all associated processes.

• To issue accurate and timely employment contracts, offer letters, job descriptions, pay review letters for all internal changes. Manage and oversee internal paperwork flows from relevant managers, relating to any changes to individual employee terms of employment. Support the SLT in reviewing and amending standard terms of employment contracts to ensure CSE’s practices reflect current best practice.

• To ensure that all payroll documents such as starter forms and payroll amendment forms are completed and saved in the correct location and sent to the payroll bureau where appropriate, and support the Finance team with the administration of our payroll and payroll records and pension scheme contributions and other employee benefits. To accurately track all staff absence and ensure that self-certification and return to work meetings are completed in a timely manner. Update the Bradford factor grid to monitor score against policy and, support line managers and employees in understanding how CSE uses this as a tool at all stages of process.

• To maintain an up-to-date knowledge of applicable employment, equity and diversity, and Health and Safety laws (with support from professional advisors where appropriate), standards, guidance, and good practice, advising the SLT how these can best be reflected in the organisation’s policies and practices as they apply both to individual members of staff and to the organisation as a whole.

• To prepare accurate and accessible reports for the Senior Leadership Team and Trustees on relevant organisational, team, and individual staff HR matters to enable informed and timely monitoring and decision-making, principally on a set cycle to feed into a routine schedule of meetings and occasionally to meet an ad hoc need.

This is an exciting opportunity to play a vital role in shaping the future of one of the UK’s leading touring theatre companies. The Development Director will lead our fundraising strategy, building the relationships and resources that power our bold, nationally-reaching work.

As Development Director, you will work closely with the joint CEOs (Holly and Lisa) to deliver Headlong’s fundraising strategy. You will have the opportunity to develop the role and will be responsible for raising the funds to support Headlong’s mission and vision over the long-term.

You will lead on prospect research, donor cultivation, bid writing and delivering fundraising events. You will set a fundraising culture with the Board and wider staff, advocating for the power of fundraising to push Headlong into its next chapter.

You will be part of the Senior Management Team and will take an active role in the organisation and as an ambassador for Headlong in different contexts.

A unique team of artists, performers, play specialists and fun-devotees, The Flying Seagull Project is dedicated to ensuring no childhood passes without proper play, big belly-laughs, and everyone feeling valuable. We work across the UK and internationally, sharing circus, music, art, dance and play experiences with children and communities facing the harshest crises due to poverty, war, isolation and illness.

We create safe spaces, either in our big top tent or an empty car park or wherever we can take over a corner, to ensure that every child feels safe, seen and special. The locations we work in include refugee camps, institutions, refuges, marginalised communities, hospices and community centres. What unites us is the energy, determination and commitment to creating genuine childhood joy for those starved of that basic right and making magical memories that can last forever.

Our UK-based, medium-sized charity is led by CEO Ash Perrin, with 6 core staff and a team of highly experienced crew and volunteers. We also have a Netherlands hub and a Norway hub, both with their own governance but all part of one global Seagulls team. We are a dynamic and friendly organisation, dedicated to delivering a huge impact with limited resources, and are looking for people who are driven and who share our mission.

The role

The Global Team Coordinator is a varied and essential new role in the charity that will combine all our people management functions, supporting our international delivery teams, our core team and our vital administrative functions. The central purpose of this role is helping us to engage, support, recognise and retain our most valuable asset: our amazing team of international skilled performers, volunteers and core team.

You’ll be responsible for all things people-related: from ensuring the right people are booked on, supported and looked after on projects; to helping us continually find and train an international, diverse team of new recruits; to establishing an engaging rewards and recognition programme to motivate and retain our fabulous people.

On a practical level, you’ll work closely with our Global Projects Coordinator, to ensure that all our projects across the world are properly staffed and that all our people’s transport, travel, accommodation and logistics are booked and in order; you’ll liaise directly with our delivery teams to ensure they are well supported, rewarded and retained; and you’ll liaise with our office and Senior Leadership teams to carry out relevant administrative tasks to make sure our international operational and booking systems and databases are perfectly organised and efficient.

At a cultural level, the role requires a confident, dynamic, personable and creative person who brings experience, energy and ambition. As a brand-new position, this role will also work closely with our CEO and with our Executive Director to trial new ideas and approaches to recruiting and managing an international, diverse team of people, and to cultivate the best environment for our team to flourish and achieve.

An exceptional people-person, with experience in administration, team support and management (although there are no direct line management responsibilities), you’ll be able to demonstrate excellent communication, organisation, collaboration and coordination skills.

Location: remote with occasional travel for meetings.
Reports to: CEO.

Responsibilities

Team coordination:

• Manage all team calendars, team bookings and team logistics for all global projects (except Norway and Netherlands national tours).
• Liaise closely with the Global Projects Coordinator to understand project requirements, booking relevant core and volunteer team on to every project (accommodating individuals’ particular disability, culture, religion, health or support needs).
• Book all team travel and accommodation on all global projects.
• Identify, recruit and arrange training for local team in international locations to join our projects.
• Liaise with our Norway and Netherlands hubs to ensure team scheduling and support is joined up across the global organisation.

Team recruitment and retention:

• Research, identify and network with international partners, colleges, universities, drama schools and youth organisations, to recruit and maintain an international, diverse pool of talented core and voluntary team to deliver our projects.
• Work closely with the CEO to run international recruitment initiatives, to identify and recruit a diverse, international pool of performers and volunteers.
• Organise and manage new core and voluntary training programmes around the world.
• Promote, manage and maintain a database of relevant non-performer volunteers to support the organisation’s core functions globally.

Team support and engagement:

• Develop and run a rewards and recognition programme to motivate all global team and volunteers.
• Carry out regular and appropriate team engagement activities and initiatives, to maintain excellent working culture and morale.
• Manage our team Wellbeing Programme for all our international core and volunteer teams.
• Identify and coordinate specific external training, to continually develop the teams’ abilities and professional skills.

General administrative tasks:

• Update and maintain global shared team calendars, relevant document logs and planning spreadsheets.
• Manage and update our global Client Management System, Salesforce.
• Manage, update and maintain all international core and volunteer team records and entries via our team booking system, Better Impact.
• Work closely with the Global Projects Coordinator, Executive Director and CEO to support with administrative tasks as required.

The ideal candidate

Dynamic, confident, friendly and creative, you will be an energetic team player, keen to build our reach and our capacity. Confident, with experience coordinating international teams, with fluent English and ideally at least one additional language, you will help recruit and look after all our team, maintaining an excellent working culture within the organisation.

Skills and experience

• A good level of demonstrable experience in administrative/logistical roles.
• Team management and coordination experience, ideally across multiple international locations.
• Excellent organisational skills and attention to detail.
• Project management experience including setting and meeting clear targets and outcomes.
• Digitally savvy with great IT skills.
• Knowledge of Better Impact or similar digital team management systems.
• Excellent people and communication skills.
• Strong interpersonal and networking skills.
• English-language fluent, and additional languages desirable.
• Willingness and ability to juggle multiple priorities and a varied workload.
• Self-sufficient, with a can-do attitude in a challenging and evolving environment.

The Fundraising and Marketing Assistant will support the charity’s fundraising activities, helping to generate income through community fundraising, events, grants, corporate partnerships, and donor engagement.

The role involves administrative support, donor communication, event coordination, and database management to ensure the success of fundraising campaigns. The assistant will be working closely with both managers in the Fundraising and Communications team.

Purpose of role 

The Operations Coordinator will: 

• Act as a central point of contact, managing executive calendars, coordinating meetings, and facilitating effective communication while maintaining a high level of professionalism and discretion. 

• Be responsible for improving organisational processes, ensuring meticulous record-keeping, and contributing to the seamless execution of daily activities.

• Coordinate events, project administration, and financial reporting, all aligned with the organisation's core values. 

Specific responsibilities and duties 

Administrative Support  

• Assist with a variety of administrative tasks that enhance the productivity of the leadership team, such as scheduling and coordinating meetings, managing executives' calendars with attention to priorities, and organising files and documentation for easy access.

• Identify and implement improvements to existing organisational processes and procedures to boost efficiency, ensuring that the team can operate at maximum effectiveness. 

Communications  

• Act as a central point of contact for both internal team members and external stakeholders, handling communications with a professional demeanor.

Meetings  

• Collaborate closely with the Business and Operations Manager to support the overall management of meetings, including preparing detailed agendas, taking comprehensive minutes during meetings, and circulating documents to all participants in a timely manner, ensuring that all follow-up actions are clearly outlined. 

Event Coordination 

• Coordinate a variety of events and meetings, supporting logistics such as venue selection, catering orders, accessability requirements and technical arrangements.

• Assist in the planning and scheduling of member events and meetings, ensuring all details are attended to, such as invitations, attendee confirmations, and venue preparations. 

Project Administration 

• Maintain comprehensive administrative records relevant to projects, ensuring that all documentation is current and easily accessible to project team members. 

Record Keeping 

• Establish and maintain accurate records, comprehensive databases, and organised documentation related to office operations and employee activities, including diligent management of the CRM system to ensure timely updates and accuracy of information. 

Finance 

• Assist with the preparation of financial statements and reports, maintaining accurate and organised accounting records, and supporting the reconciliation of accounts to ensure data integrity.

General 

• Support the organisation to achieve its corporate objectives. 

• Be a proactive and professional representative of VODG and its values at all times, including in relation to the prioritisation of your own responsibilities and professional development.
