Office Administrator - Donor Communications and Volunteer Liaison

Friends of the Holy Land are looking for an energetic, dedicated individual to join our fast-moving, growing charity.

Friends of the Holy Land has a small network of volunteer supporters around the country and an expanding number of financial donors. This new role will be responsible for communicating with these two communities, with a focus on preparing monthly emails to supporters, monitoring and moderating social media accounts, liaising with external partners to deliver external communications, developing donor stewardship and growing our volunteer network.

The role will also be required to help with regular office duties and will need to be familiar with all aspects of administrative support for the operational success of the charity. You will need to be comfortable working in a faith-based organisation, talking to supporters across the UK and with our partners in the Holy Land, and be competent in creating communications.

Essential Qualifications and Skills

• Office experience
• Must have strong computer skills using Microsoft office (ideally Office 365).  CRM training will be provided as necessary
• Excellent written and verbal communication and inter-personal skills
• Ability to proof-read with attention to detail
• Ability to write and design short communications, e.g. emails, posters (ideally)
• Pro-active with the ability to multi-task and work independently and with changing priorities
• Confident phone manner and a friendly demeanor - be a 'people person'
• Be comfortable working in a faith-based environment
• As part of a small team, a problem-solving, can-do attitude is necessary along with an unflappable demeanor
• Experience of CRM systems helpful but not essential
• Experience managing Social media accounts desirable

About The Role

• Provide continual training and compliance monitoring support to our Face to Face partners in the execution of all door, private Sites and events fundraising, this includes leading on developing new opportunities in conjunction with St John events.
• Oversee and collaboratively work with our Telephone Fundraising partners on their training and compliance of all deliverables such as welcome calls, upgrades, reactivations and other fundraising campaigns – includes caller listening
• Oversee regular audits of agents, to monitor against key auditory compliance and performance metrics.
• Manage relationships with our Face to Face partners with training, development and materials, and performance reviews. Monitoring various forms or training and reviewing inductions in line with our agreed contract.
• Build a strong knowledge of all areas of St John Ambulance’s work, carrying out continual research and gathering information, case studies and photos for use in training booklets, scripts and materials. Where appropriate, to liaise with external agencies such as designers and copywriters.

• Prepare and administer correspondence and relevant paperwork and ensure maintenance for full and accurate database (D365/First Class) records, analysing financial and non-financial data to monitor and improve engagement and customer service performance.
• Proactively keep abreast of competitor activities, new initiatives and sector trends. 
• Effectively plan and execute legacy events around the country, with the aim of motivating supporters to consider leaving a gift in their Will.

The Director of Operations will work as part of the management team to develop and implement the organisation’s strategy and operational plans and to build the longer term sustainability of the organisation. The Door is a Christian youth charity based in Gloucestershire, established in 1991 for the benefit of all young people aged 11 to 25 and their families. It’s a place where every young person and their parents can feel safe, happy and valued, with the best possible opportunity to reach their potential.

We are currently looking for a dedicated and enthusiastic Bid Coordinator to join our Fundraising Team.  Within the team you’d be responsible for generating income from The Door’s fundraising portfolio to meet our budgeted current and future service delivery needs, and specifically for raising income from grants and tender bids.  You’d coordinate the end-to-end process of bid submission, from researching funding opportunities to writing compelling bids to ensuring the timely delivery of reports to funders.

You’ll be an excellent written communicator, with the ability to compose accurate, concise and persuasive prose, strong administrative and relationship management skills, experience of working with budgets and a good eye for detail.  You should have experience of writing successful funding bids and reports.  A detailed understanding of the wider funding environment in the voluntary sector is also highly desirable.

This role is home-based and ideal for a skilled bid writer who needs flexible hours.  Occasional travel to our office in Stroud, Gloucestershire will be required.  Applicants must be UK-based and eligible to work in the UK.

Key responsibilities ​

Reporting to the Executive Director, you will:​​

• Work on the development of technical frameworks, guidelines, standards, certification or audit processes relevant for implementing regulation for children’s rights in the digital environment at international, EU and UK levels. This includes representing 5Rights in technical meetings and working groups, such as at the IEEE and CEN-CENELEC.​

• Work to promote and support the uptake of these standards by the tech industry, including by working with industry associations, chambers of commerce and tech companies directly.​

• Lead our work to gather technical evidence on company compliance with regulation for children in the UK and EU.​

• Identify cases of non-compliance, develop argumentation and engage with companies and regulators for remedy, with legal support as necessary.​

• Work to promote compliance, by supporting public accountability for non-compliance and positive visibility of best practice.​

• Lead our work to raise awareness and stimulate action of industry stakeholders, notably advertisers and investors.​

• Liaise with technologists and experts around the world, exchanging knowledge and staying up to date on the latest developments, research and emerging issues.​

• Oversee the 5Rights Research Officer, research projects and evidence-gathering programmes.​

• Draft briefings for Executive Director and policy leads.​

• Contribute to 5Rights reports, positions, communications and fundraising materials.​

• Represent 5Rights as an expert at meetings and events.​

Person specification​

You’ll be a confident and skilled researcher, a clear, fresh thinker, and an excellent writer. High attention to detail, an eye for nuance, and the ability to digest complex information quickly and communicate it coherently are all musts. A background in technology issues or children’s rights is preferable, but not essential. Most of all, we’re looking for someone who’s thorough, proactive, super smart, and committed to our mission. ​

ESSENTIAL skills and attributes: ​

• In depth knowledge of the technology regulatory landscape from the perspective of privacy, consumer protection or child rights;​

• A strong understanding of the tech industry ecosystem and business models.​

• Experience developing or contributing to tech regulation or technical frameworks.​

• Strong research credentials and the ability to design and oversee technical evidence gathering for corporate compliance;​

• A sharp mind and pen for succinct regulatory analysis;​

Remuneration and details​

• Location: Remote position with employee contract in UK or Belgium. Hybrid working in 5Rights’ London and Brussels co-working office spaces is available.​

• Salary: £43,600-£48,300 for UK-based candidate, with flexibility depending on experience; EUR 61,500-68,100 for a Belgium-based candidate.​

• Working hours: Full time, with some accommodation necessary for work across time-zones and international travel.​

About CleanupUK  

We’re a small charity that brings communities together to create cleaner, connected and safer urban and rural neighbourhoods by tackling the litter problems where they live. Litter-picking brings people closer together, enables neighbours to meet one another other and helps create a greater sense of pride and community in local areas.

Historically, we have delivered litter-picking focussed community engagement projects in London and Birmingham. Our current focus is developing partnerships with community organisations across England to expand our reach and increase impact.

Main duties of the role 

• To provide a pro-active, high-quality administration and support service to the Operational Team, Chief Executive and the Corporate Partnerships team. 

Operational Team: Deals with logistics, processes and day to day functions of our work on the ground with community partners and volunteers. 

• To attend weekly team meetings 

• To assist in research into new areas of operation for the charity. 

• To oversee orders of equipment and printed resources to our partners with various suppliers around the country.

• To maintain meticulous records regarding our growing national Cleanup Hub network of community partners. 

• To collate statistics and create regular reports of programme activity, using our website and new database. 

• To provide help and advice to enquiries that come through our information email inbox. This could include; helping people access their profiles on our website or advising them as to how to get involved in community litter picking activity.

• To use Mail Chimp to send mailers to our partners and followers. 

• Database Management, to take a pro-active role in our upcoming database development project, considering how best to structure, store and export data. Following the launch of the database lead on database development and maintenance, such as an annual data cleanse.
