Overall Job Purpose

This role is pivotal in making sure the HR & Culture team is a credible, approachable and proactive department and supports staff and volunteers to achieve DENS’ organisational aims. As the first point of contact for advice and support on all aspects of the employee life cycle, from recruitment to exit, you’ll keep on top of tasks and take ownership of supporting staff and managers with their HR queries. Supported by the Head of HR & Culture, you will deliver a service that is timely, accurate, consistent and compliant.

Duties and Responsibilities

• Respond to all HR and training queries, support staff with their HR needs such as recruitment, induction, absence, pay and benefits, escalating to the Head of HR & Culture where needed.

• Support the Head of HR & Culture to review, develop and maintain standard frameworks and documents for all HR processes, to ensure consistency of approach and best practice across all teams at DENS.

• Take ownership for managing compliance within the employee life cycle, including onboarding, offboarding, ensuring letters are produced, spreadsheets/databases are updated and associated paperwork collected.

• Lead on recruitment of all posts, including preparing and posting job advertisements. Liaise with hiring managers to offer guidance on screening applications and interview questions, ensuring timely communication with candidates. Draft and issue offer letters, contracts of employment and other onboarding documentation

. • Carry out pre-employment checks including references, Right to Work and Disclosure and Barring Service (DBS) checks

. • Deliver the HR Induction for new starters and regularly review the induction process to ensure it is kept up to date and is accessible.

• Ensure payroll administration is accurately completed for the monthly cut-off date, in liaison with the Finance team and payroll provider.

• Maintain and monitor staff records, including training, appraisals, annual leave, sickness absence, ensuring that pay is adjusted accordingly in line with DENS’ policies.

• Run reports and review data on the HR system (Breathe), highlighting issues or concerns and working collaboratively to come up with ideas and solutions.

• Pension administration, ensure all our legal obligations are met and all eligible staff are signed up to the scheme, in liaison with the pension provider.

• Chair and coordinate the Mental Health Working Group

. • Update the staff handbook, phone lists and support key workforce projects e.g. wellbeing, mental health first aid, policy development, creating guidance tools and training – working with the Head of HR & Culture to communicate and promote to staff.

• Support the training and empowerment of line managers and act as their first point of contact for support with HR policies and processes and the informal stage of employee relations issues, under the guidance of the Head of HR & Culture.

• Responsible for some elements of estate management, including coordinating fire safety checks.

• You may be asked to undertake any other duties that are commensurate with the post as requested by your manager and you must carry out the duties of the post in accordance with DENS’

To support the PA to the CEO and Office Administrator, by running efficient and effective systems for front office and office operations. To support the Head of HR and work closely with the HR Officer in HR Administration. To cover for PA duties to the CEO when the PA to the CEO and Office Administrator is not available. This support and coordination role will help the office as a whole to sustain high professional standards and effectiveness.

The Office & HR Assistant is responsible for: office administration (50%), HR, Health& Safety & security administration (40%), finance administration (5%) and IT administration (5%). 

Office administration (50%)

• Answer the AKF UK main phone line and pass on messages to AKF (UK) employees as appropriate

• Open and process the post at the Aga Khan Centre and deliver to the relevant AKF (UK) employee

• Manage the “front office” email account and ensure emails are replied to or forwarded to the relevant AKF (UK) employee

• Support the greeting and receiving of AKF (UK) guests at AKC

• Book meeting rooms at AKC for colleagues and external partners and arrange catering as required

• Support AKF(UK) events, facilitate and support hosting of meetings and events for partners, including travel, visas, accommodation, and catering; this may require some out of office duties

• Manage the meeting schedule for All Staff Meetings and ensure that colleagues are confirmed for the presentation slots

• Support the management of the organisation’s travel agent

• Support the management of the organisation’s mobile phone provider

• Arrange couriers for AKF (UK) employees as required 

• Collect and maintain a detailed inventory of office equipment, IT equipment (mobile phones, laptops, desktops etc) and supplies

• Maintain the equipment purchasing guide with input from the IT Department

• Support the management of GDPR data lists and data requests

• Keep the Administration Manual up to date at all times

HR, Health, safety & security administration (40%)

• Maintain a detailed contact list for all AKF (UK) employees and keep it up to date

• Keep the AKF (UK) Emergency WhatsApp group up to date and share emergency messages as required

• Support recruitment processes by placing job adverts internally and externally as directed by the Head of HR

• Preparing and sending out offer letters and contracts as directed by the Head of HR

• Support the onboarding process including sending reference requests and background check requests

• Arrange induction and logistical arrangements for new employees including setting up phone, email, mobile, laptop, etc and purchasing new equipment as necessary

• Add new members to benefit schemes such as the private healthcare plan as directed by the Head of HR • Arrange leaving process for AKF (UK) employees and ensure all equipment is returned

• Draft responses to reference requests

• Support the Head of HR with the administration of the HR Management System (MyAKF) including updating it for joiners and leavers

• Troubleshoot any issues or problems with the MyAKF HR system, working with the MyAKF helpdesk

• Provide MyAKF system training to new starters.

• Draft visa sponsorship letters for all AKF (UK) employees and submit for approval and signature

• Provide Visa invitation letters to visiting delegates/employees.

• Coordinate with our travel insurance providers to arrange additional coverage for employee travel where required.

• Maintaining our training systems including allocating courses, adding new hires and removing leavers and running reports as required

• Support the Head of HR to ensure that employee health and safety and workstation tests are up to date

• Act as a Health and Safety Officer and Fire Marshal for AKF (UK)

• Act as a AKF (UK) First Aider including obtaining annual certification

• Create and cultivate an office culture that contributes to the happiness and well-being of all employees, including arranging birthday celebrations, celebrating unit milestones, arranging quarterly and year-end activities, and creating a space and place employees enjoy working in and feel positive about

Finance administration (5%)

• Assist the finance officers with the company credit card processes

• Scan and file bank statements

• Scan and file purchase invoices

IT administration (5%)

• Liaise with internal IT support as necessary to trouble-shoot issues and order equipment

• Work with IT services to ensure that all software is updated and maintained on individual’s computers and hardware on a regular basis (e.g. regular back up of all system software and protocols, including latest updates of virus software)

Other

• Cover the PA to the CEO and Office Administrator’s workload during periods of sickness or annual leave 

• Undertake tour guide training so that visiting delegates and VIPs can be shown around the Aga Khan Centre and its internal Islamic gardens and courtyards.

• Carry out any other duties as assigned by the PA to the CEO and Office Administrator, Head of HR, Head of Finance and Operations, or the CEO.

Qualifications

• Educated to A-Levels desirable

• Qualified First Aider desirable

Skills

• Highly organised with strong logistical skills and proven consistent attention to detail

• Strong interpersonal skills, tact, patience and ability to work in a cross-institutional, multicultural environment dealing with senior and high-level officials/persons and VIPs

• Excellent written communication and presentation skills and ability to draft and write effective copy and present to a range of audiences from senior-level to partners and suppliers

• Comfortable working independently and under minimal supervision but also forming an essential component of a team

• Strong operational and IT skills as well as an openness to learning new software and tools

Knowledge

• Knowledge of Microsoft Office Suite and Apple applications

• Keen interest in international development and improving knowledge of these issues will be a distinct advantage

Experience

• Proven strong experience of office administration

• HR administration experience is desirable.

• Proven ability to multitask in a busy, open-plan office environment; ability to work under pressure, juggling various requests and deadlines

• Proven ability to deliver a consistently high level of accuracy in preparing and entering information

• Flexible approach to working, able to pick up a variety of tasks/projects with minimal supervision; ability to anticipate issues or scenarios when planning calls, meetings, or business trips, and to address them proactively

About the role

The Grants Officer will join our small, hardworking, friendly team and will be responsible for overseeing the monthly grants programme. They will support the Director in collating the board papers for each of the three annual Trustees’ meetings. They will also be expected to help assess the large and medium grant applications that go through to the Trustees’ meetings. The new Grants Officer will be asked to visit charities and projects, which will entail travel across England and Wales. The new Grants Officer will also maintain the grants database, be responsible for updating the new website and be the first port of call for any grant application enquiries.

About you

This role would suit a range of candidates and we are open to candidates without direct grant making experience but the successful candidate will need a demonstrable understanding and knowledge of the grants world. We are particularly keen to hear from people who have energy, enthusiasm, good communication and relationship building skills and experience and confidence with databases. An understanding of how to read charity accounts would be a bonus but training will be provided for the chosen candidate. You will have an aptitude for working both independently and as part of a collaborative team and managing a varied and busy workload.

Oak Hill College is seeking a highly organised and detail-focused Facilities and Site Administrator toprovide vital administrative and coordination support across our estate, accommodation, and facilities services.

Reporting directly to the Facilities & Site Manager, you will take responsibility for the day-to-day systems that keep our site compliant and efficient. The Role

The Facilities and Site Administrator provides vital administrative, coordination, and hospitality support within the Facilities and Site Team. TRAIN is a youth work charity based in South Oxfordshire. We support young people aged 10 to 18 in Didcot, Wallingford and the surrounding areas, especially those who are under-served.

Young people in our communities are facing complex challenges. Mental health struggles, pressures at school, family instability and the impact of poverty can leave them feeling isolated or overlooked. Too often, they don’t have access to the right support at the right time. TRAIN exists to change that. ABOUT THE ROLE

This is a key support role in a small, values-driven charity. While most people know TRAIN for its youth work, the smooth running of our organisation depends on good systems, clear admin and reliable behind-the-scenes support. That’s what this role is about.

As Charity Support Officer, you’ll take care of the day-to-day admin that keeps us organised, while also supporting projects and events that help TRAIN grow. JOB DESCRIPTION

Core (day-to-day focus)

• Communications and enquiries – be the first point of contact for general enquiries via email and social media, ensuring timely and professional responses.
• Project coordination and events – Coordinate various ad hoc projects (e.g. website refresh, new systems) and provide support for events such as the Didcot Youth Festival.
• HR and volunteer support – coordinate onboarding for staff and volunteers, including references, DBS checks and inductions.
• Office and building liaison – help keep the Didcot youth centre running smoothly by liaising with the landlord/service manager and handling facilities needs.
• Team support – provide admin support across the CEO, staff and trustees, including scheduling, minute-taking and document preparation.

• Finance administration – support the CEO and our bookkeeper with tasks such as processing invoices, expenses, payments and payroll information.
• Data and monitoring – keep records up to date (attendance, impact data, safeguarding logs) for accurate reporting.
• Comms basics – work with the Fundraising and Communications Coordinator to update the website, draft newsletters and prepare supporter updates.

Job Purpose

Key Responsibilities

Content creation and content management

• Working with the Senior Communications Manager, research, draft, and edit compelling content for the UK website, newsletters, and print materials.
• Support the reimagining of existing content to ensure messaging is fresh, relevant, and audience-led.
• Collate and maintain a library of case studies, stories, and assets for use across teams.
• Ensure brand voice and tone are consistently applied across all communications.

Digital and organic social media

• Develop and maintain a social media content calendar which supports our Communications Strategy and liaise with our Social Media Freelancer to plan and approve posts.
• Contribute to the delivery of multi-channel campaigns, liaising with internal stakeholders and suppliers to create assets and meet deadlines.
• Assist with monitoring and reporting on content performance, identifying opportunities for growth and engagement.

Campaign coordination

• Act as the first point of contact for all content requests from across the organisation.

Administration and finance

• Collate quotes for expenditure and liaise with suppliers as required.

• Maintain organised systems for content workflows, approvals, and campaign schedules.

Monitoring and evaluation

• Gather engagement and performance metrics from all channels.

Our supporters are the reason we can work to create a world where every whale and dolphin is safe and free. Working within the Development & Outreach department, the Individual Giving team uses a wide variety of activities to recruit new supporters and ensure that our current supporters know just how important they are.

Leaving a gift in their Will is likely the biggest and most important gift someone will give. From creating supporter journeys which lead to new legacy pledges to looking after legacy pledgers, and educating the organisation on the importance of legacies, you will be responsible for leading on our Legacy programme. You’ll also use data-driven insight, segmentation, and testing to maximise income from appeals, regular gifts and one-off cash donations. You will help to maintain and review our retention and stewardship strategy and ensure that our donors’ needs are fulfilled to create best possible supporter experience.

Contract: Permanent, Part Time 0.6 FTE (21 hours per week)

Salary: £15,000 - £18,000 per annum (FTE £25,000 - £30,000 per annum) depending on experience

Location: ScreenSkills Office (min 4 times a week in the office)

ScreenSkills is the industry-led skills body for the screen industries - film, television (including children's, unscripted and high-end), VFX, animation and games. We are supporting the continued growth and future innovation across the whole of the UK by investing in the skilled and inclusive workforce who are critical to the global success of the screen sector.

The Operations Coordinator will provide vital support to ensure the smooth day-to-day operations of the organisation, providing key operations administrative support to areas including, but not limited to Facilities, Office, IT, Data, Health & Safety and Policies & Procedures.

Key responsibilities:

Facilities and Office Admin

• Act as the main point of contact for the ScreenSkills office as a key liaison with the serviced office team (Techspace), meeting and greeting visitors as a representative of the organisation, managing visitor passes etc.
• Provide general office support in the smooth running of the office operations, acting as a key liaison for all ScreenSkills staff, including the set-up and exit requirements for new-starters and leavers.
• Manage meeting room booking requests, alongside the CEO’s PA, overseeing requirements for internal/external meetings, helping coordinate bookings on ScreenSkills desk booking system.
• Coordinate enquiries to the wider operations team, managing email inboxes and any other reasonable communication duties as requested.

IT and Software

• Ensure all staff have suitable IT equipment and telecoms (as authorised), liaising with our IT providers (TouchTec) as needed, ensuring fixed IT assets are assigned, tracked and reported to finance and the COO proficiently and in a timely manner.
• Ability to provide calm first-line basic technical support, troubleshooting issues with devices, software, hardware, meeting room AV and online platforms. Logging and tracking issues and following-up support tickets diligently.

Data and Compliance

• Coordinating data processing requirements in line with our policies. Assist with managing data as instructed and per our data handling and retention policies.
• Coordinate and track data subject access requests as these arise.

Health & Safety

• Coordinate general Health and Safety documentation within the organisation ensuring fire and general risk assessments are completed in a timely manner, working with HR to coordinate information between the Techspace team and our Fire Marshalls and First Aiders.
• Act as a First Aider and/or Fire Marshal for ScreenSkills staff.
• Arrange annual training for first aiders and fire marshals.

Policies and Procedures

• Monitor the organisation’s policies, ensuring relevant senior managers are aware of the schedule to review/update them.
• Signposting staff to relevant policies and procedures as requested.
• Coordinate and track the organisations’ complaints process.

The ideal candidate will have the following:

Essential:

• Proven experience working in a busy office and hybrid work environment, performing first class operations admin (e.g. office admin and or facilities coordinator tasks), supporting a hybrid/distributed workforce.
• Demonstrate experience acting as a key representative of the organisation in a “front-of-house” role, ensuring a professional and courteous communication style at all times.
• Ability to provide calm first line basic technical support, troubleshooting issues with devices, software, hardware, meeting-room AV and online platforms.
• Good working knowledge of all MS Office packages including Word, Excel and PowerPoint
• Experience with digital and remote communication tools such as Zoom and Microsoft Teams, and collaboration platforms.
• Familiarity with document and data management systems (e.g., SharePoint, OneDrive) for efficient document handling and sharing.
• Excellent time management.
• Ability to multi-task and prioritise workload effectively.
• Strong problem-solving skills, proactive in approach

The Partnerships team is looking for a new member to join our team. You will be working with a variety of major trusts, foundations and statutory sources. Income generation

• Research, identify, and secure income from major and local trusts, foundations and statutory sources that align with our organisational priorities.

• Write compelling and persuasive funding applications, ensuring all required information is accurate and wellpresented.

Donor stewardship and communication

Person specification

Experience of:

• Securing income (five-figure gifts min) from Trusts, foundations and statutory sources.

• Writing successful funding applications with proven income generation.

• Building and maintaining relationships with funders to support long-term income streams.

• Using fundraising CRMs, ideally Donorfy, to track income and manage relationships.

Skills:

• Excellent written and verbal communication skills, with a proven ability to craft compelling applications and impact reports.

Royal Star & Garter are a charity that provides loving, compassionate care and support to veterans and their families, both in our Homes and through services that reach into the wider community. Following our recent merger with the Armed Forces charity Care for Veterans in Worthing, we’re looking for a skilled and motivated Fundraising Assistant.

We are looking for someone committed to making a difference to our work and interested in developing a career in fundraising. We welcome experience gained outside the charity sector and are committed to supporting learning and development in this role.

This person must be passionate about delivering high levels of personalised care to a range of donors and have the ability to communicate effectively, while maintaining attention to detail to ensure the smooth delivery of the processes behind donor engagement. You must also be flexible and confident in providing wider support across the fundraising teams within the Royal Star & Garter group.

This is a hybrid role, with two days a week at our Worthing Home to build strong relationships and gain a deeper understanding of our work. There may also be occasional visits to outside events and to Royal Star & Garter’s other Homes as needed.

Purpose of the role

1. To provide excellent customer care to all donors, delivering optimum supporter journeys working effectively with the wider team within the Royal Star & Garter (RSG) group 
2. To manage all associated fundraising payment processes and procedures and work effectively with finance to manage safe and effective banking and reconciliations
3. To provide fundraising support across the department and locations of our services in respect of a range of activities including fundraising events
4. To support the High Value Events & Corporate Manager in time bound projects as and when necessary

Supporter care

• To be proactive in enabling the supporter journey with timely communications (phone, email and letters) and clear stewardship with both existing and new donors
• Ensure effective frontline support and response for donors across a range of incoming systems
• Ensure donation processes and procedures are adhered to and executed in a timely manner, in accordance with guidelines – updating those wherever required with approval by the RSG Fundraising Officer.

 Donations and data entry

• Ensure that the fundraising CRM database is up to date and that supporters contact and financial data is accurate, including creating new records
• Complete weekly banking and allocation tasks in accordance with the approved process, liaising with the finance department to ensure that all batched income is allocated correctly
• Data inputting on the CRM to include: regular giving, importing income from external agencies including CAF and Just Giving, processing Gift Aid and accurately storing declarations
• Filing and management of paperwork, ensuring due diligence and security measures are followed.

Fundraising & volunteer support

• To provide active support to a range of events including: managing participants, sending information, monitoring online giving pages and on the day set up and pack down
• To directly source donated items and contributors to support fundraising events including raffle/auction prizes and coordinating suppliers, stallholders and entertainers 
• Coordinate and communicate with volunteers for events and corporate volunteering days and activities, ensuring they are briefed and supported
• To support any regular mailings or email contact to supporters, assisting with the cleaning and compliance of data once an agreed annual schedule is in place regular.

Other

• To manage all aspects of incoming fundraising post and dedicated inboxes along with outgoing mailings
• Ensure general department are kept up to date including attendance at meetings within RSG group wherever possible
• To be conversant with relevant fundraising legislation and the guidelines of the Fundraising Regulator and the GDPR
• To undertake other duties as may be required and which are consistent with the nature of the role.
   

Knowledge and experience:

• Experience of working in a customer focused environment, preferably within fundraising
• Good working knowledge of CRM database
• Experience of banking processes and consistent financial reconciliation 
• Ability to manage a busy workload meeting deadlines

• Experience of supporting fundraising events, including logistics and on-the-day delivery (desirable)
