We are seeking a Facilities & Events Assistant to help ensure the smooth running of our events and facilities hire at our historic Richmond site. It’s an exciting time to join the team, as we continue to further develop our visitor experience and facilities hire offer.
The Facilities & Events Assistant will be the first port of call for enquiries, and will provide excellent customer service and front desk support to our customers. You’ll be responsible for organising the staff and volunteer rota, and ensuring that all the logistics are in place for a smooth customer experience.
You’ll be involved in donation processing, and maintaining records in our supporter database. The role will also have the opportunity for involvement in high profile events such as the Field of Remembrance and VIP/Royal visits.
This position is ideally suited to someone who thrives on a high degree of autonomy, enjoys a varied role with the opportunity to think creatively to solve challenges, and can flex their pinpoint attention to detail in our events and facilities hire operations.

Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18. We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.
About Help
Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.
This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client.

About the job
The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. - Maintain and regularly update the CRM system by logging all applications made and pending, prospects, funding received, reporting deadlines, reports, thank you letters and all other supporter correspondence
- Process donations, pledges and ticket payments from individuals, organisations and trusts and foundations, ensuring gift acknowledgements on CRM are up-to-date and any information related to gifts, grants and donations received is captured accurately and consistently
- Day-to-day administration of the Museum’s Friends, patrons and corporate sponsorship schemes and 1700 Clubs, as directed by the Philanthropy and Partnerships team
- Support the maintenance of accurate financial records of funded projects

Organisational Infrastructure
- Schedule priority internal meetings, including all-staff meetings, diary meetings and training sessions
- Support Project Manager: Director’s Office with Leadership & Governance, including setting up and scheduling of Trustee meetings, ensuring hybrid options are delivered, catering etc

Person specification
Essential:
- Excellent administration and analytical skills
- Excellent interpersonal skills and the ability to communicate effectively in writing, over the phone, and face-to-face with the Museum’s different stakeholders
- Experience working with not-for-profit databases, such as Beacon CRM
- The ability to also work independently and take initiative within a small team and support colleagues, even under pressure

The WaterAid IT team is customer-facing with a remit for front-line service operations, cyber security, technology change and project delivery, in addition to the development and support of IT infrastructure and application services running across our global organisation. The team also has direct responsibility for 250+ staff working in the UK and provides services and support for WaterAid staff across 20+ countries.
About the Role:
- Manage a team of IT professionals, providing guidance, performance feedback, and professional development opportunities whilst creating a sense of teamwork by pulling together colleagues with differing skillsets and expertise.
- Implement processes for tracking procurement, deployment, maintenance, and retirement of all IT assets including hardware, software, and licenses. This will require collaboration with our managed service provider.
- Act as the ITSM tool global administrator, assisting country program offices with maintenance, support, access, development of processes & training.
- Develop, update, and enforce IT policies and procedures in alignment with industry standards and organisational goals.
- Manage the IT departments hub on the internal intranet platform, ensuring that it provides up-to-date information, news, and resources to employees.
- Oversee the transition of completed IT projects from the internal IT operations team, with potential collaboration from 3rd parties to the MSP service delivery team.
- Collaborate with the finance department to code, integrate, and maintain IT-related financial transactions in the organisation's financial systems ensuring accurate allocation of costs, budgets, and expenses related to IT operations.

The Role
As our Marketing Operations Officer your role will be to build brand awareness, helping to ensure the Yorkshire Cancer Research brand is accurately and consistently presented across all marketing touchpoints, including branded merchandise and printed collateral.
Supporting the Marketing Manager, you will extend the charity’s reach across Yorkshire and support the marketing team to deliver effective marketing campaigns that engage supporters and help raise the profile of the charity.
Specifically, you will:

Work with stakeholders across the charity to define requirements for branded items and marketing products / services (e.g. branded merchandise / clothing, printed collateral, branded display items).

Manage the relationship with external marketing suppliers (e.g. printers, merchandise suppliers, signage companies etc.) to source marketing products and services.

Identify suppliers, make product recommendations, obtain samples / quotes and evaluate which products/services represent overall best value for the charity and formulate recommendations for approval.

Manage the procurement of marketing products/services in line with the charity’s procurement processes/policies.

Be responsible for stock management for branded items/collateral across the charity.

Develop a preferred-supplier framework for marketing products/services in partnership with the Finance and Corporate Services department.

Manage the marketing budget for branded collateral and merchandise, ensuring team and charity processes are adhered to.

Lead the Photo Permissions Process on behalf of the marketing team and ensuring appropriate permissions are in place for all images used in the charity’s marketing, ensuring that permissions are recorded appropriately on the supporter database.
