The Big House is looking for an energised Finance and Operations Director to lead the charity's finance, HR, operations and legal functions. This role is suited to a strategic thinker who is happy to get stuck in with hands-on tasks. The role covers five key areas.

Financial adminstration: Magage end-to-end financial processes including invoicing, bank reconcilations, budget management

You will hold an integral role at the DEC for accurately and efficiently managing DEC’s accounting function, ensuring compliance with charity and donor regulations. You will oversee budgeting, grant management, and donor reporting with transparency and accuracy. You will provide financial insights to support cross organisational projects and program delivery and hold a key role in developing and implementing financial strategies that align with our vision and strategic planning.

About You

You will be a confident communicator, who can engage with diverse internal & external stakeholders, including funders and partners, creating a collaborative approach to meet varying commitments. You must be ACA/ACCA/CIMA qualified (or equivalent) with senior finance leadership experience in the non-profit or NGO sector and demonstrate strong understanding of charity accounting standards and donor compliance requirements.

Key Responsibilities

Financial Processes

• Ensure accurate income/expenditure recording, bank reconciliations, and daily donation processing.
• Manage monthly accounting routines, prepare management accounts, and lead budget/forecast reviews.
• Coordinate annual and strategic budgeting, financial reporting, and analysis.
• Oversee income reconciliation across multiple streams and liaise with fundraising teams.
• Review and process drawdown payments to member agencies.
• Maintain and update accounting systems and support procurement processes.

Financial Controls

• Lead annual accounts preparation and audits; ensure regulatory compliance.
• Manage pension schedules and benefits compliance.
• Ensure tax compliance (VAT, Corporation Tax, Employment Taxes).
• Audit gift aid claims and maintain robust financial control environment.
• Update financial policies, procedures, and systems, support due diligence standards.

Financial Analysis & Reporting

• Oversee appeal finances, income tracking, and fund allocation.
• Coordinate governance processes (e.g., Indicator of Capacity) with member agencies.
• Monitor legacy income and liaise with fundraising/legal teams.
• Deliver annual report and accounts; produce reports for executive team and committees.

Leadership & Team Management

• Deputise for the Director of Finance and Resources.
• Prepare papers for finance committees and membership groups.
• Oversee finance team members and provide leadership support.

The Position

The Financial Administrator is an essential role, responsible for assisting the Finance and Operations Manager in the development, administration, and financial management of this c.£500,000 a year hospital-based charity.

The successful candidate will be an all-rounder; someone who is comfortable working on their own initiative, is well organised, numerate, and who enjoys the challenges of supporting a small and friendly team. About Finance at Hope into Action 

The finance function of Hope into Action is small team comprising the Finance Manager, the Finance Administrators (job-share) and a volunteer reporting to the Head of Operations. It is largely paperless and supports our 44 staff with accounts payable and receivable functions. It works in conjunction with the other departments to deliver timely, accurate and strategic financial information for both the Executive Team and the Board of Trustees.

About the role 

The Finance Manager is a key role in enabling Hope into Action fulfil its vision of every church lovingly making a home for those experiencing homelessness.

The role is broad ranging; from managing the Finance Administrators, supporting their work when needed and also producing the monthly management accounts within our target of 10 working days from the month end.

In addition, you will support the year end work by producing the schedules required by auditors, take a lead in the annual budgeting process, produce the biannual investor statements and compile the Gift Aid returns. 

You will be expected to meet regularly with budget holders to help them achieve their targets and/or devise a plan to bring them back on track.

MediCinema is a UK-registered charity dedicated to providing cinema experiences inside hospitals to support the emotional, physical and mental health of NHS patients, their families, and carers. The Role

The GWT charity includes the UK based headquarters, fundraising team and two welfare advice centres, and GWT (Nepal), which is responsible for delivering the majority of charitable activities directly in Nepal. Supported by the Finance Director GWT (Nepal), Head of Finance is responsible for reporting on the financial performance of the Trust to the CEO and the Audit and Finance Committees.

Secretary of the Investment Committee and the key interface between the two Investment Managers and the Investment Committee Chair and members.

Head of profession, providing leadership and professional mentoring and development to the finance teams in the UK and Nepal.

The Trust is looking to introduce a new finance system within the next 12 months, under the direction of Head of Finance.

MAIN DUTIES AND RESPONSIBILITIES

This role’s primary responsibilities will be as follows:

 1. Financial Leadership and Control

•  Day to day responsibility for the Trust’s finance function ensuring robust financial control, accurate reporting, and effective systems that underpin the charity’s strategic ambitions and operational delivery.
• Advising Trustees on all aspects of the Trust’s financial performance and position including that of GWT(N).
• Provide financial advice in support of the strategic direction of the Trust.

2. Financial Management and Control

• Preparation of the quarterly management accounts with supporting commentary for the Finance Committee and Trustees.
• Monthly Group consolidation, including Balance Sheet and P&L revaluations and review of completeness of management accounts.
• Payroll management for all GWT UK staff including salaries, pension contributions and medical insurance. Ensuring the correct application and reporting of statutory allowances to HMRC through monthly RTI reports.
• Cashflow management.
•  Investments: key interface with Investment Managers (Sarasin & Partners LLP and CCLA), and ensuring the correct accounting and reporting of in-period movements within PS Financials.
• Constructive Obligation: Review annual assumptions and options for agreement by the Audit Committee. Liaise with the actuary (located in India) for annual valuation.

 3. Financial Reporting and Audit

• Preparation of the Trust’s annual budget and 10-year income & expenditure and investment assessment with supporting schedules for submission to the Finance Committee and Trustees.
• In liaison with HR, evaluate and present options for UK staff annual salary awards.
• Monitor Trust’s financial performance, identifying risks and opportunities for performance improvement.
• Prepare GWT and GWT Trading Ltd statutory accounts in accordance with Charities SORP and Charity Commission requirements and with supporting schedules for audit purposes. Maintain reserve policies, presenting changes for Audit Committee approval.
• Lead for ensuring the correct adoption of SORP 26, with specific focus on the changes in lease accounting.
• In liaison with Comms & Digital Manager, oversee the preparation of the Annual Report for Trustee approval.

4. Compliance and Governance

• Responsibility for maintaining an appropriate system of internal control within the Trust.  Lead for the contracted UK Internal Audit capability and provide advice and support to GWT(N) Internal Auditor.
• Lead for Counter Fraud Policy and fraud awareness.
• Responsibility for accounting policies and procedures throughout the Trust, ensuring they are up to date and in accordance with current best practice and regulatory and Charity Commission requirements.

5. Financial Guidance and Stakeholder Engagement

• Maintain regular liaison with the Treasurer and Auditor.
• Liaise with HMRC as required on all aspects of the Trust’s accounts.
• Providing an external interface with banks, auditors, pension funds, investment managers, consultants and charity finance specialists.
• Lead for negotiating the annual Support and Medical Grant-in-Aid (GIA) with MOD and providing quarterly performance reporting.
• Provide financial advice and support to all members of staff within their areas of responsibility including assisting with the financial aspects of grant applications, contract negotiations and project proposals and to provide guidance on HMRC, Charity Commission and other regulations.

 6. Leadership and Line Management

• Line management responsibility of Financial Accountant who has day-to-day responsibility for financial transactions and input to PS Financials.
• Provide financial advice and support to Finance Director GWT(N).
• Ensuring the continued profession development of all finance staff.
• Secretary to Audit Committee and Investment Committee.

KEY SKILLS, QUALIFICATIONS AND KNOWLEDGE, AND PERSONAL ATTRIBUTES

• Qualified Accountant (ACCA, ACA, CIMA or equivalent)
• Track record in financial management at a senior level
• Experience of working in the charity or third sector at a senior level

• Experience of accounting data processing and report generation using current business intelligence (BI) and reporting packages in addition to Excel

The Head of Finance’s key priorities, in close collaboration with the Executive Leadership Team, are to lead and support the strategic and annual financial planning processes, and to prepare and analyse accurate and timely financial information for the Board of Trustees and the Directors of the Trading Company, ensuring compliance with all external financial reporting requirements.

Main Duties:

1. To provide an effective and accurate financial management and accountancy service to the Executive Leadership Team, Board of Trustees and Directors of the Trading Company.

2.   Prepare annual budgets and monitor performance on a monthly basis against plan by the preparation and issue of monthly budget statements.  Make recommendations on costing assumptions to be included within all budgets. For example, inflation rates.

3. Support the strategic direction of the business by leading on the preparation of 5 year financial forecasts to support strategic planning and to ensure the long term financial viability of the business. 

4.   Prepare and maintain financial accounts in a timely fashion and ensure they are consistent with external financial reporting standards and requirements.

5.  Provide monthly financial information to the Executive Leadership Team, Board of Trustees and Directors of the Trading Company.

6. Prepare cash flow reports on a regular/quarterly basis and monitor cash requirements and advise the Board of Trustees, Directors of the Trading Company and Executive Leadership Team on the liquidity position of the business.

7.  Provide advice on all financial matters, including issues arising in connection with charity legislation, to ensure that the business meets its legal financial obligations and complies will all external regulatory requirements.

 8. Liaise with H.M. Revenue and Customs and VAT consultants regarding records and payments and ensure compliance with all regulations.   

9. Ensure the provision of a monthly payroll service and ensure delivery of an accurate, reliable and quality payroll service to all staff.

10. To liaise with all regulatory external bodies in connection with any financial or charity matters, i.e. auditors, accountants, bank, solicitors, Charity Commission, Companies House, insurance company, pension advisors and others.

11. Annual completion of the Charity Commission self-assessment, ensuring that we comply with best practice. 

12. Attend the meetings of the local networking groups as required.

13. Review and monitor performance of the business’s investments and provide up to date reports to the Board of Trustees, enabling them to make appropriate investment decisions.

14. As part of financial reporting, complete regular analysis of all income and expenditure, supporting budget holders as required to identify areas where cost savings and efficiencies can be made.

15. Support in the preparation of business cases as necessary across the business.

16. Support in the preparation of benchmarking information to assist in the determination of opportunities to improve the organisation’s financial position.

17. Support the business’s efforts to maximise income from all sources providing financial information and attending committees and other forums as required to assist in this.

18. Develop and maintain an asset register of all property across the business. Ensure capital accounting policies are agreed annually by the Finance Committee. 

19. Ensure appropriate financial procedures, financial governance and policies are in place across the business and ensure they are regularly reviewed and appropriate. 

 20. Ensure good systems of financial control and checks are in place for all assets. 

21.To manage and support staff in the Finance Department, ensuring they have the right knowledge and skills to carry out their duties effectively.

22. Ensure that all members of the leadership team (ELT and SLT) and the board have the necessary knowledge and support regarding financial matters including the provision of training if necessary.

23. Attend committees and key meetings  to present relevant financial information at the request of the Executive Leadership Team, Board of Trustees and Directors of the Trading Company.

 Performance Standards:

1. Annual income and expenditure budgets are approved annually and monitored monthly.

2. Management Accounts are aimed to be completed within 10 working days of month end and available for the Executive Leadership Team, Board of Trustees and Directors of the Trading Company.

3. Regulatory requirements are met as and when they fall due.

4. The provision of an accurate and reliable set of annual financial statements.

5. Meet with statutory and external organisations in a timely and professional manner.

6. Quarterly VAT returns, Annual Corporation Tax returns and other statutory returns are submitted in a timely manner.

7. With regard to financial records and reporting, to comply with and meet the standards of the Care Quality Commission.

8. Completion of all Charity Commission regulatory requirements.

9. Ensure that we have robust financial systems in place for all assets and liabilities incorporating monthly reviews of creditors and debtors.

10.  Ensure financial information requirements of the Executive Leadership Team, Board of Trustees and Directors of the Trading Company are met in a timely manner. 

11. Ensure that the business has financial systems and processes in place that will comply with regulatory requirements for healthcare services. 

12. Be an active member of the Senior Leadership Team participating in all relevant meetings contributing where possible, to the achievement of business objectives.

13. To take rotational responsibility as Out of Hours Duty Manager, if required.

14. Provide advice, support and information to the Executive Leadership Team; Board of Trustees and Directors of the Trading Company on financial matters enabling the business to meet its objectives.

General Duties:

1. To liaise with Head of Human Resources to advise, where necessary, on all salary and pension matters, keeping up to date with changing legislation.

2. To communicate with the banks, HMRC, Department of Work and Pensions and all other relevant external bodies regarding all pension, tax and National Insurance issues.

3. To liaise with all Senior Leadership team colleagues to ensure payroll data is accurate and kept up to date.

4. To liaise with the Head of Fundraising in matters relating to fundraising income and expenditure and the fundraising and lottery database, ensuring that any information is an accurate reflection of income and expenditure.

5. To liaise with the Head of Retail in matters relating to the trading company’s income and expenditure, ensuring that all information provided is accurate.

6. To verify that insurance cover is appropriate and adequate for the various business functions and to ensure that it is kept up to date.

7. To ensure that there is compliance across the business with financial statutory regulations and internal financial policies.

8. Ensure that there is a robust information governance regime across all financial matters across the business.

9. To undertake and manage the annual appraisal process for the Finance Team, identifying any training and development needs.

10.  Ensure that all members of the Finance Team attend mandatory and statutory training as required and that evaluations are undertaken to monitor effectiveness.

11. The post holder will adhere to all relevant legislation and policies of the business.

12.  Any other reasonable duties as directed by the Executive Leadership Team, the Boarof Trustees and Directors of the Trading Company.
