Job description

Swindon Carers Centre is looking for a Finance Officer to join our professional, friendly team. Swindon Carers Centre is a charitable organisation established to provide help and support to the 21,000 unpaid carers in Swindon. We have a team of professionals and trained volunteers who provide a wide range of support and services. You will form an integral part of the charity keeping all financial data up to date and accurate and working closely with staff and the Finance and Resources Director. 

You should be familiar with invoices, journals, VAT and payroll and will manage accounting activities, including bank reconciliations, accounts payable and accounts receivable. You should also have excellent organisational skills and be able to handle time-sensitive tasks. Experience of using Quickbooks would be an advantage but not essential.

General Responsibilities

  • Day to day management of all financial transactions and procedures, ensuring financial data accuracy
  • The administration of the payroll (training given)

Specific Tasks

  • Processing of all sales and expenses invoices as necessary. Controlling all outstanding invoices and ensuring prompt payment
  • Processing BACS and cheque payments and maintaining accurate records of authorisation
  • Paying staff expenses ensuring they are properly authorised
  • Liaise with staff/ suppliers/customers (as required) to resolve queries
  • Reconciling the payroll nominal ledger accounts and carrying out other reconciliations
  • Administration of the payroll and related HMRC and pension payments liaising with external agents as required (full training will be given)
  • Using QuickBooks to undertake regular reconciliations of the main bank accounts
  • Processing the company pre-paid cards and petty cash and monthly top-ups
  • Preparing and posting all the monthly journals
  • Contributing to the preparation of quarterly management accounts prepared on an accrual basis
  • Complete VAT returns on a quarterly basis including resolving any queries or exceptions
  • Monitoring spends against grants and preparing information required for completing monitoring reports
