About This Job

You will provide effective administrative support to the Office Manager and the wider team to ensure the smooth running of the two charities, the Army Cadet Charitable Trust UK (ACCT UK) and the Combined Cadet Force Association (CCFA). You will support across a range of tasks including administration, office management, supporting on our insurance provision as well as meetings and event support.

A cheerful, can-do attitude is essential, as is the ability to work well with a diverse range of staff based in the head office and across the UK. You will be organised, have excellent attention to detail and the ability to prioritise and manage a varied workload. You will have strong written and verbal communication skills. You will provide excellent customer service while addressing both internal and external enquiries. Full training will be given to the right candidate.

ACCT UK is a national youth charity dedicated to improving the life chances of young people. The Combined Cadet Force Association (CCFA) is a charity dedicated to the promotion of the ideals and activities of the Combined Cadet Force in schools. FLEX is looking for a passionate advocate with a good understanding of the UK political system, of labour abuse and/ or exploitation and human trafficking in the UK, demonstrable experience of coalition working and building relationships with key stakeholders working in the anti-trafficking, employment rights, and/or immigration sectors and Project Management. This recruitment comes at an exciting and challenging time for our work at the intersection of employment rights and immigration policy and you will lead on the implementation of our Secure Reporting pilot funded by the GLA. This role will inform and support our work to influence and improve law, policy and practice affecting workers in high-risk sectors in the UK.

In this role, you will work on FLEX’s advocacy, lead on a London level Secure Reporting pilot and contribute to the joint research advocacy and project work of FLEX networks and and coalitions. These currently include the Labour Exploitation Advisory Group (LEAG) and the Taskforce on Victims of Trafficking in Immigration Detention, two networks made of expert organisations directly supporting people who have experienced or are at risk of exploitation. Above all this role requires someone with real passion and commitment to FLEX’s work to end labour exploitation and an excitement for working in a small, dynamic team. 

About FLEX: Focus on Labour Exploitation (FLEX) is a research and policy organisation working towards an end to labour exploitation. FLEX seeks to achieve this vision through the prevention of labour abuses, protection of the rights of those affected or at risk of exploitation and by promoting best practice responses to labour exploitation through research and evidence-based advocacy. FLEX is a small organisation that packs a big punch in terms of policy change and influencing.

Job title: Policy Officer

Location: FLEX office, Vauxhall, London - Flexible hybrid working with a mixture of in person and home/office working.

Salary: £33,500 per annum subject to deductions for tax and national insurance contributions as required by law, pro-rated if part time.

Whitley Awards Ceremony

The Whitley Awards are the result of an international search to find, fund, train and put a spotlight on outstanding grassroots leaders and their conservation projects. Finalists are invited to London for a week of training and events, culminating with the Whitley Awards Ceremony, where winners receive their Awards from WFN Patron, HRH The Princess Royal in front of 400 guests and many more tuning in via our livestream.

The Events and Office Assistant (EOA) will assist in the planning and delivery of the annual Whitley Awards Week, including the Ceremony, Friends Reception, NGO Reception, and related activities, particularly in the following areas:

• Arrange team and visitor travel, accommodation, and hospitality logistics
• Manage event guest lists and RSVPs using Salesforce and other platforms; help coordinate mail-outs and e-invitations
• Provide on-the-day event support including set-up, guest registration, and general assistance
• Support event logistics such as venue liaison, catering, AV, décor, merchandise, and materials, assisting with supplier coordination
• Champion WFN’s Event Code of Conduct.

Other WFN Events

Throughout the year WFN holds other fundraising and engagement events ranging from intimate dinners with supporters, winner talks, events as part of our Next Gen programme, and major initiatives such as Royal dinners, Galas and Biodiversity Summits which will require the EOA’s assistance.

• Manage ticketing and Q&A platforms and associated activities
• Coordinate volunteer involvement where required

 OFFICE ADMINISTRATION AND OPERATIONS

Smooth running of the WFN office and systems is vital for the charity to work effectively, with this role helping to support the team. The WFN office is a busy and welcoming environment, with regular visits by winners and supporters.

Office Management

• Ensure the office is a welcoming, tidy, and well-functioning space
• Greet visitors and manage incoming calls, emails, and enquiries
• Liaise with team and suppliers to order office materials and manage contracts (utilities, cleaning, stationery, refreshments, merchandise etc.)
• Manage post, deliveries, and waste removal procedures
• Oversee and liaise with the office cleaners to ensure they have the products they need and are paid in a timely manner.

Administrative Support

• Assist with diary management and scheduling meetings (in person and online)
• Arrange team and visitor travel, accommodation, and hospitality logistics
• Draft routine correspondence, thank-you letters, and other administrative communications
• Review and respond to general email enquiries (info inbox)
• Support the Head of Finance with basic administrative and data entry tasks
• Help maintain and update WFN’s CRM database (currently Salesforce) with contacts, donors, suppliers, event attendees
• Support the team with data entry, filing, record keeping, and maintaining digital and physical systems.

GENERAL DUTIES

As one of two Finance Business Partners, the postholder is responsible for ensuring that Royal Museum Greenwich’s strategic ambitions are correctly planned for and that adequate financial resources are in place to achieve them.

Key elements of the role involve advising and supporting all staff with financial responsibilities to ensure that financial decisions are optimised and to keep relevant staff informed of key financial updates and changes, and to communicate any relevant changes to the rest of the Finance team.

Further core responsibilities include supporting assigned Heads of Departments and directors on all financial matters, advising on budgeting and forecasting, monitoring of actual results and ad hoc queries, and working as a team with the other Finance Business Partner, lead on the production of the monthly management accounts pack, ensuring timely and accurate reporting and incisive analysis and commentary.

The successful candidate will be a qualified accountant (CIMA, ACA, ACCA) with a demonstrable track record of working with non-finance managers to achieve high quality reporting, budgeting and forecasting, ideally within government bodies or heritage/cultural/charitable organisations. Excellent analytical skills, the ability to communicate financial concepts effectively to non-financial stakeholders and solve problems are also essential.

This is a permanent full-time in Band 3 - Senior Management. Core hours of work will be 36 per week, working Monday to Friday between the hours of 9am-5pm, although due to the nature of the work, some flexibility may be required.

As the Alumni Officer, you will be someone who enjoys working with young people and is passionate about supporting them to progress to vibrant degrees and careers in STEM. The post holder will have strong knowledge and understanding of the barriers facing young people from low socioeconomic backgrounds accessing STEM education and careers across the UK.

The Alumni Officer will deliver the continuation of support for hundreds young people who complete the In2STEM programme every year, supporting them with continued support throughout year 13/S6 as they progress to post FE education, apprenticeships and training, and providing long term careers opportunities.
