This role is an important one to help us build brand and awareness around our mission and goals  - in simple terms, helping more families to get away and ensuring that every family has the chance to go on holiday.

At its heart, this role is about storytelling and our ability to tell stories that capture hearts and minds. Taking ownership of the full story capture and storytelling process, you'll use this output to help build our brand, fundraise and tell our advocacy story. What's new for us in this role is PR - it's just not something we've done before, so you'll build relationships, networks and opportunities with earned media. You'll work with talented fundraisers, partnership builders and operational delivery colleagues to ensure we're sharing a cohesive and coherent message that supports all our audience goals and targets. And you'll get to work with a talented Comms Officer who delivers on our social, email and web activities. 

This role is key to helping us make sure we're doing our best for families and putting our best foot forward every time. 

It's a varied and fast-paced role (Comms roles are, right!?) that means you'll be involved in planning, creating and managing activities, so you'll need to have some awesome planning skills and be good with interpersonal relationships.

We're a small but flexible team - just like our approach to work. This is a hybird role, and you'll need to come into the office periodically (but none of that performative days a week nonsense!).

About the Role

Do you have a creative flair and a passion for collaboration? We’re looking for someone to help shape and deliver a public engagement and events programme that showcases Headway East London’s occupational projects in art, food and music, strengthens partnerships, and raises awareness of brain injury.

The role is to work closely with our members, you will co-produce events, workshops and creative projects that highlight their experiences and talents. Also, nurture and develop relationships with partners and stakeholders, identify new opportunities for collaboration and ensure members are meaningfully involved in all aspects of engagement.

Principal Duties and Responsibilities

Public Engagement Programme Delivery

• Support the delivery of a public engagement programme that raises awareness of brain injury and showcase our creative work in art, food, and music.
• Work closely with the Director of Development and staff teams to identify and develop opportunities for public engagement (e.g. exhibitions, performances, and community events).

​Member Co-production and Creative Participation

• Work closely with members to support their participation in projects and events, ensuring their voices and experiences contribute to the planning and delivery.
• Support in facilitating steering groups or member planning sessions to shape ideas and gather feedback for improvements.

Partnerships and External Relationships

• Support in building and maintaining positive relationships with local organisations, cultural venues, and community partners to broaden our reach and profile.
• Represent Headway East London at events, meetings and community forums, acting as a positive ambassador for the organisation and its members.

 Event, Operations and Delivery

• Support all logistical aspects of events, including venue booking, liaising with suppliers, organising materials, and coordinating volunteers.
• Contribute to event promotion and audience engagement, including managing guest lists, ticketing, and attendee communications.

Monitoring, Evaluation and Reporting

• Support the collection of feedback, stories, and data from events and projects to evaluate their success and impact.
• Support with monitoring and reporting processes that inform fundraising, communications, and project planning.

The Role

The Finance & Operations Coordinator is a central position in a small, purpose-driven team. The role provides direct support to the Managing Director and works closely with the Finance Committee to ensure that the charity’s financial and operational systems are well managed, compliant and effective.

This is a broad and hands-on role that involves managing day-to-day UK operations, supporting financial oversight, ensuring smooth coordination with our in-country partners, and keeping our administrative framework in excellent order.

You will be responsible for maintaining clear systems, meeting key reporting deadlines, and ensuring that the organisation runs efficiently behind the scenes. The role suits someone who is proactive, reliable, and comfortable managing a wide variety of tasks with independence and initiative.

Key Responsibilities

Finance and Reporting

• Maintain accurate financial records in Xero, reconciling transactions and processing payments for invoices, payroll and expenses.

• Allocate receipts and donations to the correct funds and ensure supporting documentation is filed systematically.

• Prepare and submit Gift Aid claims to HMRC.

• Collate quarterly financial and narrative reports from Moroccan partner NGOs and follow up on missing information.

• Support the Managing Director and Finance Committee with budget preparation, analysis and audit documentation.

• Ensure that annual accounts and financial reports are submitted in line with Charity Commission requirements.

Operations and Administration

• Oversee and improve shared filing systems (Teams/SharePoint), ensuring that all administrative and financial records are accurate, up to date and easy to access.

• Manage the main email inbox, responding to or redirecting correspondence promptly and professionally.

• Coordinate logistics for meetings, events, and annual project visits in Morocco.

• Support the Managing Director with scheduling, documentation, and general administrative follow-up.

• Monitor compliance tasks, ensuring that all Charity Commission and internal governance requirements are up to date and properly documented.

Donor and Partner Relations

• Act as a first point of contact for donors, supporter schools, hotels and individuals.

• Process and acknowledge donations, issue receipts and maintain accurate donor records.

• Proactively follow up with existing and potential supporters, helping to build and maintain relationships.

• Liaise with Moroccan partners to ensure that project and financial reporting are on track and shared on time.

Governance and Oversight

• Support the Finance Committee and Managing Director with preparation for trustee and committee meetings, including gathering reports and ensuring actions are followed up.

• Assist with external audits and reviews, coordinating with UK auditors and Moroccan partners as needed.

• Maintain oversight of risk management, safeguarding and health and safety documentation, ensuring relevant information is filed and accessible.

Person Specification

Essential

• Experience with Xero or similar accounting software, and confidence handling day-to-day bookkeeping.

• Excellent organisational skills and attention to detail.

• Proficient in Microsoft Office (especially Excel and Word) and comfortable using Teams/SharePoint.

As our next Chief Executive Officer, you will:

• Strategy & Impact: lead a collaborative listening phase and then develop and deliver a 3–5 year strategy and rolling business plan that defines the Centre’s core offer and impact targets.

• Governance & Finance: own the annual budget and medium-term financial modelling, deliver full-cost recovery across activity lines and present timely, accurate management information to trustees.

• Operational Leadership: ensure continuity of community services, venue trading and café operations and strengthen operational systems including safeguarding, H&S and business continuity.

• Income Generation: drive commercial performance of venue hire, events and catering, professionalise fundraising (major donors, legacies, corporate partnerships) and lead bids for multi-year statutory contracts.

Who you are:

• A seasoned senior leader with proven experience in a small/medium charity, community organisation or social enterprise that combines front-line delivery with significant premises/estate responsibility.

• Demonstrable track record of leading strategic development and delivering organisational growth while balancing hands-on operational leadership.

• Strong commercial and earned-income expertise, with experience of running successful commercial – ideally site-based - operations.

As the cycle progresses, you will be responsible for outreach and renewals, onboarding, benefit delivery, and ongoing relationship management.

As Partnerships & Growth Officer, you will be responsible for:

• Researching and identifying potential partner organisations, and conducting proactive outreach to engage them in the Partnership Cycle

• Renewing existing or recurring partnerships, ensuring positive and long-term relationships
