About White Ribbon Alliance UK

White Ribbon Alliance UK is an intersectional feminist charity working to end gender-based violence and advance gender equity in sexual and reproductive health and rights (SRHR). We focus especially on marginalised and underrepresented communities.

We enable access to unbiased, evidence-based education, resources, and support for women, girls, and trans individuals. Our work influences healthcare professionals, hospital systems, policy makers, and the wider public to centre the human rights of women, girls, trans men, intersex, and non-binary people throughout the lifecycle of their sexual health needs.

We do this through research, community-led advocacy, training, and systems change. All of our programmes and campaigns are grounded in intersectional feminist values and led by lived experience.

About the Role

We’re launching a focused, short-term project to clear a critical backlog of internal admin and system updates—and we need a small team of skilled volunteers to make it happen.

This is a time-limited support project to help the charity reorganise, document, and streamline the core internal tools that underpin our delivery of training, advocacy, fundraising, and strategy. You’ll be working directly with the Movement Director to tackle key operational issues: outdated records, scattered files, undocumented workflows, and missing policy processes.

It’s not flashy work—but it’s mission critical. Completing this project will allow us to scale up our training programme, strengthen our policy influence, and stay accountable to funders, partners, and the people we serve.

We’re asking for a commitment of at least 4 hours per week for up to 3 months. After this project, volunteers will have the option to continue with us in new roles—whether in research, advocacy, creative campaigns, or ongoing admin support.

What You’ll Be Doing

This project is made up of clearly defined task areas. You’ll be assigned responsibilities based on your capacity and strengths.

Core Work Areas

Records & File Systems

  • Audit and reorganise SharePoint folders
  • Archive outdated documents
  • Apply consistent naming and tagging conventions

Internal Policy and Process Coordination

  • Create a policy and process update calendar
  • Track policy owners and revision cycles
  • Support publication of updated documents

Training Programme Process Documentation

  • Document the enrolment, delivery, and follow-up processes for our training programme
  • Centralise training tools, templates, and schedules
  • Identify gaps or inefficiencies in how training is currently managed

Internal Volunteer & Admin Tracking

  • Update internal volunteer lists (onboarding status, skills, roles)
  • Maintain task logs and assignment sheets
  • Format internal templates and reference materials

Survey & Data Cleanup

  • Clean and cross-check training attendance records
  • Format and summarise post-course feedback
  • Organise survey responses into usable formats

Systems Improvement & Gap Analysis

  • Spot inefficiencies or missing documentation
  • Suggest and implement low-cost improvements
  • Create checklists, flowcharts, or simple dashboards if relevant

Skills and Qualifications (Required)

  • Excellent English writing and communication skills
  • Strong organisational and research abilities
  • Interest in SRHR and intersectional feminism
  • Experience with or willingness to learn Microsoft Office, SharePoint, Teams, Trello, and Canva
  • Able to work independently and meet agreed deadlines
  • Confident navigating and tidying digital files and folders
