From managing diaries and inboxes to coordinating meetings and supporting a variety of projects, you’ll play a key role in keeping our busy directorates running smoothly while also working closely with the wider DCEO team.
What does this role do?
As a Team Administrator you will:
- Provide proactive diary and inbox management for the Finance and IT Directors, ensuring priorities are managed effectively and meetings run smoothly.
- Act as a central point of contact, coordinating information flow and supporting timely decision-making across both directorates.
- Prepare and support key meetings, including agenda planning, minute-taking, action tracking, and follow-up.
- Organise and coordinate departmental activities such as away days, workshops, and internal/external. handling all logistics and documentation.
- Deliver day-to-day administrative support, including document preparation, record keeping, budget tracking, purchasing administration, and compliance processes.

What does this team do?
The Deputy CEO Directorate (DCEO) plays a key role in overseeing Dogs Trust's internal operations, ensuring the effective management of the Charity’s financial, legal, IT, efficiencies, facilities, and governance functions. The Directorate works closely with senior leadership to support the organisation's Rehoming Centres, prevention programmes, and international efforts. Its focus is on ensuring smooth internal processes and great customer service, that enable delivery of the mission and strategic goals of the UK's largest dog welfare charity.

Mental Health Support Teams are part of a national strategy implemented by the government in 2018. In Bristol, North Somerset, and South Gloucestershire, the MHSTs are run as a partnership between OTR and NHS Child and Adolescent Mental Health Services (AWP CAMHS). This partnership makes our MHST unique, creative, and responsive to the needs of the diverse communities we work in.
Team Coordinators will assist MHST Team Managers and Clinical Leads in the operational management of Mental Health Support Teams by providing high quality support to staff members and supporting initiatives to develop our workforce.

This is a key role responsible for overseeing and managing the delivery and development of our Gateway programme for women. Main duties:
· Oversight and delivery of all programme activities relating to Gateway including drop ins, one-to-one support, group activities and faith based activities.

· Lead the design and development of new services in line with client needs, resources, staffing and strategic purpose of the team.

· Ensure safe and efficient delivery of services in line with health and safety, safeguarding, data protection and safe working practices.
· Plan and maintain safe staffing ratios through effective resource allocation
· Design and delivery of projects/activities in line with fundraised income, including reporting and engaging with funders as required
· Build and establish key sector relationships across the city to enhance the team’s reach and impact in the community
· Oversight and pastoral responsibility for the faith-based activities delivered for and with clients
· Build and establish relationships with other providers who can meet the needs of our clients e.g. local health teams.

Key attributes and experience required for the role:
· Proven experience in managing frontline services and staff teams (minimum 3 years in a supervisory/management role)
· Experience in delivering services with vulnerable client groups
· Strong knowledge of the legal and statutory framework for housing, benefits, employment. Ideally, knowledge of local services and support agencies.
· A passion for seeing women thrive – practically, emotionally and spiritually

This role is an opportunity to work for Mind BLMK as part of the Milton Keynes NHS mental health service for someone with experience working in health, social care or information and advice, in direct contact with service users.
Working alongside colleagues from Central Northwest London Foundation Trust (CNWL) this role will provide referral management to and from Secondary Services. This will include signposting patients to statutory services including talking therapies and wider community based & voluntary sector support.
The Community Navigator will work as part of the team to deliver on the aims and objectives of the Mental Health Hub whilst representing the Voluntary and Community sector with the NHS.
Service Delivery
- Work within the NHS Mental Health SPA (Single Point of Access) Team to review and process referrals received from GP Practices and other sources including those to be subsequently triaged and assessed by mental health practitioners.
- Actively call patients with a view to assisting them through the process and making their onward appointments into community or secondary care service providers.
- Support the hub to signpost patients and direct them to appropriate services including secondary care, the local Voluntary and Community sector services and activities that support the patients’ wider determinates of their mental health and wellbeing.
- Answer calls, ensure sufficient phone cover, respond to messages/voicemails, provide administrative support to the Mental Health SPA for all services and deal with queries in a sensitive and timely way liaising with clinical or team lead as is appropriate.
- Monitor service inboxes during core office hours, responding to any queries professionally providing helpful information.
- Monitor and action tasks within SystmOne and maintain records of all activities carried out, i.e. outbound calls, calls received, archiving any received correspondence.
- Build good working relationships with the voluntary and community sector, relevant services and activities to ensure signposting pathways are kept up to date as well navigating and developing the setup of new signposting pathways through networking.
- Provide clinical and non-clinical information in appropriate chronological templates to other services.
- Carry out health and safety responsibilities as directed by Managers in line with Mind BLMK’s H&S policies, procedures, and guidance (risk assessments, reviews, reporting, safeguarding, incidents/accidents, premises).

Funding
· Responsible for overseeing the end-to-end funding process from development of applications to decisions and monitoring of funded programmes.
· Overseeing ongoing delivery of the funding strategy by working with Funding Managers to effectively deliver and manage funding portfolios.
