The Events team sit within the wider Insight & Strategic Development team at Alzheimer’s Research UK (ARUK). The purpose of the Insight and Strategic Development team is to deliver both long term and tactical insight that is grounded in a deep understanding of our audiences. We objectively influence evidence-based decision making, to drive forward organisational priorities for a cure. We do this by inspiring and challenging through our own expertise, working collaboratively to shape actionable insights and champion an insight focused mindset.
The Events team lead on the development and delivery of a wide range of events that stretch across the whole organisation. The key aims of the team are to ensure a consistent, professional, and highly engaging supporter experience whether through direct delivery or through consultation with teams looking to deliver events on their own.
The Events Administrator will work closely with the Senior Events Officer and wider Events Team to develop and deliver a first-class events programme for Alzheimer’s Research UK. The team comprises two Event Officers, two Senior Event Officers and one Senior Event Manager.
This role involves working alongside other team members on the planning and delivery of in-person, hybrid and online events, as well as providing administrative support and recording and reporting on events.
This role will be known internally as Events Executive*.
Key Responsibilities:
Events
· To work alongside colleagues on the delivery of their events, including co-ordinating key tasks such as mailings, documentation and building event registration portals within EventsAIR, our events management software.
· To manage and monitor the Events and Conference inboxes, communicating with colleagues and supporters, as well as event participants and stakeholders. Responding to RSVPs and queries surrounding events.
· To source venues and suppliers for events that ensure best value for the charity and to ensure good record keeping of these contacts.
· To produce high quality support materials required for events, such as leaflets and merchandise, liaising with designers and suppliers and monitor the use of these across the charity.
· To prepare event documentation, including briefs, risk assessments and where applicable seating plans and supporting documentation if required.
· To attend some events; this may include some travel and work outside of ordinary working hours.
Team administration
· To maintain the events calendars, liaising with different teams within the organisation to keep these accurate and up to date.
· To maintain the Events Team’s folders, files and useful documents such as templates and ‘how to guides’.
· To manage the team’s Intranet page making sure that the content is up to date.
· To manage the resources for events and review the materials on a regular basis to see if they are fit for purpose.
· To ensure accurate record keeping of events activity on the fundraising database.
· To use the database to monitor and report on events activity and to manage communications for events.

Additional Information:
Ways of working: As part of our Agile ways of working you will be required to work approximately 2 days a week from the office, which is subject to the requirements of the role and the business needs. Flexibility on where you work can be split between working from home and our office.
Roles that are classed as part of the Agile ways of working are not able to claim any costs for Mileage/Travel on Public Transport, Accommodation and/or Meals. This includes when attending the office for various meetings/events.

Purpose of the Role
The main purpose of the role is to carry out and assist in the administration and day to day running of the ESU’s educational programmes, communicating with internal and external stakeholders, and managing delivery staff to ensure collective goals and objectives are reached.
- Support with the smooth running and delivery of ESU Education’s domestic programmes.
- Be the first respondent to incoming calls and emails from educators, ESU partners and the general public, providing timely and professional responses to all enquiries.

- Liaise with the ESU’s Accounts Department regarding invoicing, delivery staff pay and expenses.

- To support the delivery of workshops in schools, undertaking training to ensure delivery and teaching matches ESU standards.
- Where appropriate source venues, confirm catering arrangements and other operational requirements regarding Education events.
- Assist the department in ad-hoc admin work as needed such as printing
- Participate in call-rounds as part of the department’s sales and onboarding efforts
- Co-ordinate the collection of process evaluation & impact data.
- To work or travel over occasional evenings and weekends as directed by line manager, with time off in lieu.
- On occasion, support young people during workshops, residential programmes and competition events to ensure these key beneficiaries are supported throughout their engagement with the ESU.

- Strong knowledge of the UK educational system.

The Biochemical Society are seeking an Events and Training Assistant, on a 12-month fixed term contract, to support the Biochemical Society Events and Training team.
In this role, you will be the first point of contact for delegate and general events related queries, ensuring that delegates have registered for events under the correct category, and received payment before the event. You will also set up events in the Events system and manage CPD accreditation applications for all events, collating event feedback and researching potential new sponsors for events.
The post-holder will assist with pre-event and training preparation, and onsite support at events, working closely with the Event Organisers and Conference and Events Manager, with task ranging from sending all pre-event communication, create flash poster presentation using PowerPoint and providing travel guidance to attendees to managing the registration desk, providing A/V support for speakers and handling and promoting marketing material at events and engaging with delegates, along with other duties as required by the Conferences and Events Manager.
The Events and Training Assistant will travel within the UK and occasionally overseas.
Suitable candidates will have an interest or some experience in events management, have excellent attention to detail and great communication skills, being friendly and personable.

The Role

Your Key Responsibilities
Manage School Relationships:
- Support on the recruitment of state schools and partners across the UK to participate in all training programmes including all “Speak Out Challenge” programmes;
- Support schools to engage with our resources;

- Follow up with schools after workshop delivery;

Liaise With Freelance Delivery Team:
- Liaise with trainers to match availability to workshop dates;
- Coordinate the day-to-day trainer delivery of the training programmes with the rest of the Programmes Team;
- Ensure trainer team has adequate resources and supplies to deliver their training;
- Assist in trainer team administration including invoicing and feedback.
Coordinate Events:
- Support the delivery of regional events such as competitions, launches, promotional and networking events;
- Manage competition entries across programmes- ensuring we have all relevant information and permissions including parental consent;
- Liaise with freelance staff delivering events and external event teams, ensuring they have all the correct resources and information required;
- Help implement quality assessment protocols as agreed with funders.
You will also get the opportunity to develop the role by supporting organisation wide initiatives to extend the reach of our programmes to those who most need it and raise the profile and support of the organisation.

About the Role
As a Service Delivery Assistant you will provide high quality and responsive administrative function for the National Contact Centre. Acting as the first point of contact for enquiries and supporting the wider team with general administrative duties.
Key Responsibilities:
- Provide high quality administrative support to the team and service.

This important role supports the operational delivery of the charity’s busy events programme and supports the team and running the office.
The events programme is diverse - from drinks receptions and report launches to events at agricultural shows across the UK - and support on administration for the wider charity, including some communications activity. Working on events will account for approximately 75% of the role. The remaining time will be spent working across the charity undertaking a variety of administrative tasks. Whilst reporting to the Head of External Affairs, this role will work closely with several team members, particularly the Executive Support & Governance Manager, providing a unique opportunity to gain knowledge and experience of different aspects of the charity’s work.

This is an important role, and we’d like you to have a sound working knowledge of end-to-end event management and office experience within a charity or other professional environment.
