The British Academy - the UK’s national body for the humanities and social sciences - is seeking two full-time Events Producers to join our Communications Department, providing key support in the planning and delivery of the year-round public, academic and public engagement events programmes.

The role

The Events Producer provides a key role in supporting the planning and delivery of the British Academy’s year-round events programmes, which take place in London, across the UK and online. This includes public events (themed seasons, lates, performances, book prize events and festival sponsorships), academic events (lectures, conferences, academic prizes & medals), and public engagement (Summer Showcase, SHAPE Involve and Engage).

Role Description

The Programmes Executive plays a key role supporting our community of schools during their time on the programme across the school year. They will support the design and delivery of Bite Back in Schools to ensure the best possible user experience for young people, their teachers and their schools, and to ensure the programme makes the greatest possible impact within the project timeline. 

The Programmes Executive will report to the Programmes Manager, and will work closely with colleagues across Bite Back, in particular with our comms, digital, youth and policy teams.

Key Responsibilities:

Relationship management 

• Provide ongoing support to schools throughout their time on the programme, building strong working relationships with participating schools. 

• Support communication with all schools, providing a point of contact for the coordinator and lead teacher in each school. 

• Support monitoring and evaluation through creation of surveys, ensuring completion of baseline and end of year surveys, and analysis of data submitted (working with our Evaluation Manager).

• Lead the planning, creation, and distribution of our termly newsletter, highlighting school achievements, amplifying youth voices, and inspiring action across our network.

• Provide timely responses to school queries, manage a shared inbox and alert the Programmes Manager of any potential risks.

• Proactively seek feedback from teachers and young people on our programmes 

• Ensure opportunities for schools to engage in at least two one-on-one meetings with our team during the school year.

Community management 

• Celebrate and share examples of best practice and impactful social action projects amongst our community of schools. 

• Deliver training and webinars for schools.

• Manage and grow engagement with school groups through our social media platforms, fostering a sense of community and promoting active participation.

• Grow our movement - supporting the recruitment of future cohorts by promoting the Bite Back in Schools programme, distributing recruitment comms, holding set up calls with interested schools, and guiding schools through the application and enrolment process, working closely with the Programmes Manager on the design of these processes.

Programme delivery 

• Schedule and organise visits to schools, agreeing agendas with the schools in advance to include elements including meeting pupils and teachers, leading feedback sessions and focus groups and supporting the development of their social action campaigns. 

• Schedule and deliver assemblies with schools partaking in the programme.

• Ensure schools submit invoices on time as part of their grant funding, providing support where needed and coordinating with the finance team to ensure prompt processing.

• Book and arrange assemblies, coordinating between schools and our Bite Back Ambassadors.

• Support the School Ambassadors with travel logistics as they deliver assemblies in schools across England and Scotland.

• Maintain and regularly update programme management software and associated data to ensure accurate and up to date information for all participating schools.

• Ensure successful end-to-end support for the 100+ schools participating in the programme throughout the next school year.

Project support 

• Provide support to Programme Manager in the delivery of projects, ensuring projects are delivered on time, within budget and scope.

• Assist in the delivery of the Local Authority programme, including traveling as needed to facilitate workshops and provide support to the team’s operational requirements.

• Provide support for the primary school pilot programme and contribute to the creation and development of engaging resources tailored for primary school use.

• Provide ad hoc input to evolving organisational requirements as directed by senior team members.

The Opportunity

The Finance and Operations Officer’s purpose is to work within the Operations Team to provide essential financial and operational support for the whole charity.  
 

Key responsibilities for finance range from providing advice and support for the whole staff team, important day to day and monthly financial processing for key stakeholders and assisting with the budgeting and forecasting process. 

1. Finance

• Support the Finance and Operations Manager (FM) to prepare and deliver accurate and regular management information including monthly management accounts, budgets and forecasts, one-off finance reports, reporting for funders including grants and trusts, including end of project reporting. 
• Monitor the day-to-day financial management and cash flow of the Social Mobility Foundation (SMF) working closely with the FM, Head of Finance & Operations (HFO), Operations and Fundraising teams. 
• Prepare payment runs for invoices and expenses, update weekly payments received reports and work closely with the Fundraising team to ensure expected income has been received. 
• Support the FM, alongside our appointed accountants, to prepare audited Year End Accounts, and work to ensure the Accounts are completed, approved, and filed on time. 
• Support the FM to manage and improve our financial systems and procedures, streamlining internal processes to ensure they are effective and safeguard the finances of the organisation.  
• Support the FM to devise and implement effective and efficient procedures, including the introduction of a purchase order system. From time to time, you may be requested to support the FM to maintain the payroll function of the organisation. 

 
2. Operations and Administration 

• Support the organisation, in ensuring that all staff and volunteers are aware of and trained in the relevant Data Protection policy and procedures and ensure that data protection laws are being adhered to in relation to the storage of data. Run the data deletion process where such requests are received in compliance with GDPR legislation. 
• Support the HFO and FM in overseeing operational matters such as SMF office administration, maintaining the asset register, insurance renewals, and Health & Safety compliance; act as point of contact for suppliers and service providers, including property managers, utility companies, couriers and cleaners; maintaining contracts and leases with office providers; purchasing office supplies & equipment and ensuring adequate stock levels are kept. 
• Support the wider organisation through appropriate administrative tasks, for example the programme delivery team to ensure a good experience for students, particularly during the residential programmes 
• Support the HR team with processes such as ordering laptops for new staff and communicating, updating and maintaining office policies contained in the Office handbook  
• Undertake research activities to support Operations Team projects, for example potential new suppliers, benchmarking exercises and contract renewals 

3. Strategic Responsibilities 

• Support with training staff on finance processes, fraud awareness, data protection, and other areas of operations.  
• Being a point of contact for all staff on finance and operations including office administration 
• Ensure appropriate adherence to our financial and operational policies and procedures supporting the organisation to enact the highest standards, balancing that whilst processes are appropriately followed, they are not followed to the point where they compromise the standards or outcomes desired. 

Need to know

• IT skills:  Experience of using Microsoft Office, particularly Excel functions. Experience of using or awareness of any accounting and/or CRM (Salesforce) software.
• Accounting knowledge: Some understanding of basic bookkeeping would be preferable, including the importance of accurate and timely information for the running of the charity and an ability to maintain confidentiality.

Context and purpose of the role

It’s an exciting time to join the Ramblers as we have recently refreshed our strategy to support the delivery of our long-term ambitions.

You will join a small, high-performing team responsible for generating £5 million per year from individual giving, legacies, grants and corporate partners, all to deliver the Ramblers ambition for a future where everyone can enjoy the benefits of walking in nature.

Working closely with the Product & Innovation Manager, you will play a key role in delivering the fundraising strategy, leading on the delivery of our individual giving and legacy marketing campaigns across a range of channels. You will create high-quality, compelling campaign materials and ensure an excellent donor experience.

Key Responsibilities:

Income generation

• Play a key role in the implementation and delivery of the individual giving and legacy marketing strategy
• Support the growth of individual giving income in line with annual targets
• Develop and deliver regular cash and legacy marketing appeals to a high level, including:
  • Developing propositions and cases for support
  • Create compelling direct marketing materials, including writing persuasive copy and developing strong creative content
  • Project management to ensure delivery on schedule and within budget
  • Managing relationships with agencies and suppliers including design and print
• Manage a portfolio of affiliate fundraising campaigns

Donor stewardship

• Ensure the Customer Relationship Management (CRM) system is used effectively to facilitate accurate supporter stewardship and reporting
• Effectively manage communications with supporters, including ensuring that donations are thanked appropriately, managing fundraising inboxes, and responding to queries
• Working with the Production & Innovation Manager, identify a pipeline of potential mid- and high-value donors for stewardship and conversion

Data and reporting

• Produce campaign and programme level reporting and analysis
• Work closely with the data team to ensure selections are accurate, timely and relevant to our various audiences, and use income data to make recommendations for future campaigns
• Maintain accurate, up to date and compliant records of individual giving campaigns and appeals
• Provide regular financial reports and reforecasts to the Product & Innovation Manager and Head of Fundraising

Relationships

• Build strong working relationships with staff within various functions of the Ramblers
• Work with other members of the Fundraising, Communications and Supporter Care teams to ensure that all supporter communications are part of an integrated supporter journey

The Person

Knowledge, Skills and Experience

Essential:

• Experience working within a target-driven fundraising or direct marketing team, ideally within an individual giving context
• Experience of managing fundraising or marketing projects across a range of channels, such as direct mail, social media and email
• Experience of data-driven marketing campaigns, including segmentation and campaign analysis to meet objectives
• Excellent communication skills, with the ability to tailor communications to a wide range of audiences
• Excellent creative skills, including the ability to write compelling, accurate and persuasive copy across a range of channels
• Competent in the use of IT tools including Word, Excel and PowerPoint
• Experience of working with CRM systems

Desirable:

• Experience of working with the Salesforce CRM
• Experience of legacy marketing, or an understanding of charity legacy giving
• Experience of using digital marketing tools including Mailchimp and social media advertising platforms
• Familiarity with relevant legislation and guidance, including UK data protection law and the Code of Fundraising Practice

The post holder will be fully involved in all aspects of the day to day management of their designated service, including line managing the relevant front line staff.

This role will be a key strategic advisor and responsible for high-level planning conversations to WaterAid UKs largest income generating Directorate: Communications and Fundraising. As the Senior Finance Business Partner, you will be responsible for helping shape the strategic direction of fundraising team. This is a high-profile role, enabling Water Aid UK’s senior leadership to deliver and support the delivery of WaterAid’s ambitious programmatic activity.

The key duties of the Senior Finance Business Partner are as follows:

• Owning relationships with key senior stakeholders within the Communications and Fundraising Directorate.
• Regularly engaging on strategic long-term decision making and providing relevant financial data to key decision makers.
• Work with the directorate to build realistic and detailed financial plans.
• Own directorate specific timelines for delivering financial forecasts and budgets.
• Work with Head of Management Accounting to build a consolidated picture for WaterAid UKs performance for the Executive Director Team.
• Collaborate on the building and maintenance of automated reporting for directorate on PowerBI.
• Regularly engage with budget holders to ensure that spending and income is on track against plans.
• Ensure CRM data is complete and accurately reflected in the month end close position.
• Oversee the monthly recording of both unrestricted and restricted income streams.

The successful candidate will have:

• Completed a professional accounting qualification or be part-qualified with relevant professional experience.
• Experience of strategic partnering senior stakeholders (ideally at Executive Director level) along with senior leadership teams.
• Ability to analyse large quantities of data with a view to identifying trends and key drivers.
• Adaptability to build effective working relationships with both finance and non-finance colleagues and work in a collaborative way.
• Excellent communication skills, both oral and written.
• Experience of managing finances within a fundraising directorate (Desirable).
