A fantastic opportunity has arisen to join Westway Trust as a Property Assistant, providing efficient and responsive administrative support across the full property team. You will be a friendly, motivated, and active administrator who will play a key role in the smooth running of the property department.

You will be pro-active, organised, with good initiative being the main point of contact responding to estate and property related enquiries and reports of issues, from tenants, customers, contractors and the community.  You will therefore need to possess or demonstrate a willingness to provide a good level of customer service with property knowledge.

Key responsibilities of the role include:

• Provide efficient and effective administrative support across the Property team, including daily active filing, archiving, photocopying, scanning and record keeping.
• Initial point of contact for enquiries to the Property team.
• Provide a responsive customer service handling system to record such enquiries.
• Coordinating the general day-to-day activities of the Head of Property & Estates in relation to emails, posts, and voicemails.
• Assisting in the preparation and maintenance of property particulars, void reports, and reviewing property marketing websites for current information.
• Cross-referencing and managing the prospective tenant’s selection list with the historical enquiry list and alerting the team of any repeat/active enquiries.
• Regular visits to Trust premises to record any Health and Safety/Fire Risk Assessment breaches and reporting these to the appropriate Facilities Management team member. 
• Assist with attending Unit Base Parking/Filming/Events on the estate, recording any infringements of agreements on site, and notifying the appropriate team member for further follow-on action.
• Preparing notification details for relevant authorities for entry and exit of tenants – rates, utilities, etc.
• Assisting with servicing property meetings (i.e., circulating papers, coordinating actions where required).
• Responsible for the recording of void premises and issuing of building keys.
• Occasionally provide assistance to the Trust’s reception/office manager for general office duties and reception cover if required.

Knowledge and Experience:

• A minimum of one year’s experience in a busy property department.
• A broad understanding of commercial property or demonstrable experience of transferable skills if you are from a different sector.
• Customer focused, with the ability to provide a friendly and efficient service to customers, staff and tenants.
• Good time management, attention to detail, organisational skills and the ability to work under pressure with changing priorities.
• Excellent administrative skills.
• High level IT skills and experience of using MS Office (Word, Excel, PowerPoint)

• A personable and collaborative approach, with experience of developing and maintaining positive relationships with a range of stakeholders.

About the Youth Endowment Fund 

We’re here to prevent children and young people becoming involved in violence. We do this by finding out what works and building a movement to put this knowledge into practice.  

The Youth Endowment Fund (YEF) is a charity with a £200m endowment and a mission that matters. We exist to prevent children becoming involved in violence. We do this by funding great initiatives, leading cutting-edge research and working for change - scaling up and spreading the practices that make a difference. 

The Chief Operating Officer (COO) has a critical role in ensuring we succeed in this work. You have a key leadership role in overseeing the overall health of the Fund in partnership with the Executive Director. The role oversees our finances, people management and – for the right candidate –much of our grant-making and project management. 

Key responsibilities 

You’ll lead on key organisational governance processes and ensure the Fund makes wise decisions, by:  

• Being a leading member of our Directors’ team, overseeing all elements of the Fund’s work.

• Ensuring that the Fund operates as efficiently and effectively as possible by prioritising the right activities and matching resources to deliver on our mission.

• Ensuring we have the right long, medium and short-term financial plans in place and that we maintain close control over our financial decisions and spend. 

• Informing our Board and our Risk and Audit Committee on our financial performance and risk.

• Ensuring the Fund’s investments are well managed through supporting the Endowment Investment Committee (this does not require investment experience). 

• Managing our Grants and Evaluation Committee (this decides which evaluations we should fund) and ensuring it operates effectively. 

• Ensuring that any ambiguities in the organisation are identified and removed. 

You make sure that the Fund has the people, tools and resources in place to excel. This will require us to:  

• Hire, develop and inspire the very best people: Managing our Head of People, you will ensure that we hire the best possible staff, compensate them appropriately, provide necessary and effective training, maintain a strong focus on staff well-being, manage and develop staff effectively and address poor performance when required. 

• Provide staff with the tools they need to perform: Managing our Head of Grant Operations, you will ensure that we have the tools we need to deliver, including management information, databases, systems and processes and office facilities. 

• Track performance: Track performance against our goals efficiently and effectively, championing a system of accountability and action to review, identify and empower the right people to act on delivering according to the plan. 

Working with colleagues, you’ll ensure we award grants, manage grantees and oversee evaluations efficiently and effectively. This will require us to: 

• Make excellent decisions about our grants: Working with – and potentially managing1 - the Assistant Director for Programmes, Impact and Partnerships, you will help to ensure that our processes for assessing funding applications achieve our organisational priorities for evidence generation. This requires you to understand what partners are trying to do, whether it’s likely to work, whether it will help us build an accessible and trusted body of knowledge, and whether we can build on it to make long-term change happen. 

• Evaluate our programmes: Working with - and potentially managing - the Assistant Director of Evaluation, you will help to ensure that we select and partner with high-quality evaluators to understand how well different activities work.

• Ensuring the team maintains effective monitoring processes: Working with your team, you will develop the necessary skills, processes and decision-making processes to identify when things aren’t going to plan and respond accordingly.

• Build strong relationships with your external partners: You and your team will build strong, trusting relationships with the projects the YEF funds and the evaluators that we work with. Your team will be known for being attentive yet assertive and measured and efficient in the reporting information we expect. You will become well connected in the sectors that we are working in.

• Identify opportunities to scale up projects: You will be proactive in identifying projects that would benefit from capacity development support or that may be ready to scale up their work, collaborating with Impetus to deliver on this.

You have experience reporting to Boards on financial performance and health, and leading on organisational external audits.

• You are strategic about finance: You’ve got real skill in distilling complex financial information into simple, easy to understand reports and presentations that enable good decision-making. You see your knowledge of finance as a way to serve Director-level colleagues with overall decision-making. ROLE PURPOSE

This position involves identifying and prioritising potential donors capable of making significant contributions to help us deliver a range of projects aimed at enhancing the student experience and supporting the local community. By providing the Development and Fundraising Team with tailored and insightful research, this role will enhance the prospect funding pipeline and facilitate the cultivation of a diverse pools of donors, including individuals, grant-making trusts, and companies. This role will also manage a well-structured stewardship program for donors. Responsibilities include promptly acknowledging donations, creating personalised impact reports, and overseeing bi-annual events which recognise and celebrate their support.

PRINCIPAL ACCOUNTABILITIES

· To maintain and develop the University’s database of fundraising prospects through proactive identification, analysis, and segmentation, (individual and aggregate) record updating, and original research, including the identification of new prospects.

·  To prepare prospect profiles (which may include wealth ratings), and work with relationship managers to devise appropriate tailored cultivation and solicitation plans, enabling appropriately targeted fundraising asks.

·  To develop and manage reporting in the database across fundraising portfolios to help ensure prospects are strategically moving along the prospect pipeline towards major gift solicitation • To produce and provide due-diligence reports on prospective donors as part of the University’s gift acceptance procedures.

· To deliver an annual donor recognition event to acknowledge and celebrate the support of the University’s most generous supporters.

· To organise smaller bespoke events for higher level donors to the university, for example, site visits to project sites and/or opportunities to meet student beneficiaries.

· To write insightful and impactful bespoke reports for donors supporting the University, ensuring reports demonstrate the positive impact of support and encourage repeat gift solicitation from the fundraising team.

· To keep abreast of regulations, including the Privacy and Electronic Communications Regulations (PECR) and the General Data Protection Regulations (GDPR) ensuring that all prospect research and cultivation is compliant and understood by fundraisers.

CONTEXT

The primary purpose of the Development team is to secure philanthropic income to support the delivery of the University’s Being Westminster 2022-2029 strategy. The Development team forms part of the Global Recruitment, Admissions, Marketing and Communications (GRAMC) directorate. The team also works closely with the Business Engagement Directorate to deliver an integrated approach to the University’s relationships with its key external stakeholders. The Development team collaborates with the Alumni Relations team to inspire and engage the University of Westminster’s vibrant, global community of alumni and supporters to build lifelong and mutually beneficial relationships with the institution.

What you’ll be doing …

The main purpose of this role is to grow the venue hire pipeline of business and deliver venue hire events and specialist group events to excellent standards ensuring repeat business and maximising new sales opportunities. We are seeking a professional, confident candidate who enjoys the end-to-end process of events and is keen to make their mark on venue hire at the Society. You will also be highly organised with a keen eye for detail and confident being the ‘gatekeeper’ of the room bookings diary at the society. 

Overall responsibilities / requirements …

Venue Hire Sales & Marketing: 

• To deal with all venue sales enquiries in a timely and efficient manner. 
• To build and maintain an effective pipeline of venue hire enquiries. Including attending venue hire showcases and B2B networking events as necessary. 
• Professional and friendly manner, confident in delivering and leading on showrounds to prospective clients. 
• To produce venue hire literature and ensure that all material relating to the venue facilities is kept up to date. 
• To meet venue hire sales targets for 2024 as set by the Society and build effective sales pipelines for 2025.
• Liaise with Marketing Teams to produce bespoke posts and newsletters for members, venue hire leads and special offers for venue hire throughout the year, maximising engagement. 
• Support the Head of Events with all key cultivation events including venue hire showcases and any new business ventures. 

Venue Hire Administration: 

• To maintain safe working practices in conjunction with Health & Safety policies. 
• Work collaboratively with Buildings Manager to communicate key information taking place across Burlington House. 
• To liaise with AV company with regards to timings, payments, staff needs, training and use of equipment / set up for events. 
• To liaise with caterers with regards to timings, payments, staff attending, training and room set up for events. 
• To produce a weekly booking sheet for all staff to communicate bookings across the building. 
• To produce and meet budgets for events in consultation with the Head of Events 
• Manage the venue hire diary, ensuring it is kept up to date and all bookings are accurately recorded.

• To raise and resolve any invoice queries in a timely manner. 

Event Operations:  

• To deliver all venue hire and specialist group events to excellent standards.
• To liaise with speakers and venue hire delegates and communicate all logistical details in a timely fashion including H&S briefings, PEEP plans and Risk Assessments. 
• To make any other logistical arrangements that are necessary for the smooth running of events covering timings, parking, room set-ups etc. 
• To ensure that all events are accessible and organised within the disability discrimination legislation. 
• To support the events team with ad-hoc events out of hours where needed across the year. 
• Ensure the events spaces are well maintained in collaboration with the Buildings Manager.

Teamwork: 

• To be proactive in identifying areas for potential improvement in the events programme 
• To take part in developing more efficient ways of working within the team 
• To ensure that positive working relationships are created with other departments at GSL 
• To participate in team meetings and wider meetings including External Relations and Health & Safety. 

Other responsibilities and expectations: 

• The post holder is expected to work flexibly to respond to changing needs at The Geological Society.  As the Conference Office operates a room hire service it is expected that the postholder will undertake out-of-hours work to ensure that this service can operate.  Excess hours worked will be compensated for by time off in lieu. 
• The post holder is expected to undertake any other responsibilities or tasks consistent with the role and/or reasonably required by the Head of Events.

Role and Responsibilities

New Position: Due to the increase in REB memberships and activities, a new full-time events role is being created to support the executive team.

Key Tasks – support the MD in creating and delivering a member engagement and events programme

1. Conception and collaboration of member events, through to completion

2. Promoting events to members, working alongside REB’s external PR/Communications agency

3. Managing event registrations and guest lists

1. Develop, manage and deliver REB’s event programme (working with MD and ED&I coordinator):

Responsibilities

Responsibilities include:

We are looking for a Centre Support Coordinator to join our team in our Bristol Centre. In this role, you will provide a warm and welcoming reception for young people, staff, and visitors over the phone and in person, so if you are approachable, passionate, and non-judgemental, this could be your role.

You will indirectly support young people by ensuring that our Bristol Centre operates safely and efficiently. You will be responsible for managing delivery space, facilities compliance and controlling office equipment and supplies. Having previous administrative experience is beneficial but not essential.

To be successful in this role, you must have a good understanding of the challenges young people within our target groups face, to assist them when they arrive in our Centre. In this role no two days are the same, you get to be involved with many different functions of the Trust and interact with everyone who works in the Bristol Centre, this is why planning and organisation skills are a must.
