Head of Finance and Operations

Location: The role is based at the Trust’s office in West Berkshire with a minimum of three days per week expected to be worked at our Newbury office. Flexible working arrangements are available with the understanding that this must meet the objectives of the charity and requirements of the role.

Start date: 01/08/2024 or as soon as possible thereafter

Hours of work: Full-time, permanent.

Salary range: £55,000 - £60,000 FTE, depending on experience.

Purpose

This is an exciting and vital role performing a range of finance and governance tasks, working within the Senior Leadership Team of a leading mental health charity focused on supporting children and young people.

The Head of Finance and Operations (HFO) will be responsible for the successful management of the charity finances and operations, as well as making a leading contribution to the  charity’s strategic direction.  The role is responsible to the CEO, and activity oversight spans finance, HR, IT, and office management. The HFO is also responsible to the Trustees for the financial state of the charity and as Company Secretary. As a result, the HFO must working closely with the treasurer, members of the finance and investment committee, as well as the senior leadership team and our existing finance and operation colleagues.

We are looking for an highly motivated, efficient, diligent and confident finance professional with experience of managing a team. The role is varied and would suit a qualified accountant with experience of working collaboratively and compassionately with a range of colleagues to achieve organisational objectives. There will be opportunities to increase knowledge and the successful candidate could be supported to undertake further study.

Key responsibilities and duties

Strategy, modelling and leadership

• Lead the development and implementation of a comprehensive financial strategy supporting the organisation’s wider strategic plan.
• Provide guidance and leadership on short and long-term financial decisions.
• Develop and monitor the implementation of long-range financial plans with the CEO, Board of Trustees and the Finance and Investment committee, to support organisational sustainability and growth.
• Provide leadership (including line management of at least one member of staff) to our small but invaluable finance and operations team comprising our finance and operations manager, finance assistant, and our office and IT coordinator.

Financial and Operational Management

• Develop and implement financial strategies aligned with the organisation’s mission, vision and priorities.
• Streamline and optimise operational processes and systems to enhance efficiency, quality, and scalability while availing technological advancement. This includes systems, IT, CRM, Facilities and supplier management.
• Provide strategic financial guidance to the CEO, the Senior Leadership Team and the Board of Trustees.
• Monitor financial performance, identify risks, and recommend corrective actions.
• Optimise and manage the Trust’s working capital and cash flow position.
• Maintain appropriate financial records and oversee the preparation of quarterly and annual reports and financial statements in accordance with UK accounting standards, Charity Commission and company law requirements.
• Ensure necessary insurances and contracts are in place and provide required liability and other coverages.
• Develop and manage strong and effective relationships with external auditors, the bank, the treasurer, and other key partners.
• Hold responsibility for all tax matters and compliance with HMRC requirements.

Resources, Risk Management and Compliance

• Overall leadership and accountability for IT, Digital and Business Systems infrastructure, including appropriate data protection requirements.
• Oversight of property matters for the team office, including responsibility for lease, insurance and legal matters.
• Overall leadership for the development and implementation of the risk matrix framework.

The post will report directly to the Chief Executive Officer, provide support for Trust Board (and associated subcommittees), and will work across the entire Trust to develop and deliver the highest standards of governance and compliance. It will also support and contribute to the work of the Executive Leadership Team of the Trust, which is responsible for the day-to-day leadership and management of the organisation

Longborough Festival Opera is seeking a hands-on, proactive individual to join the team as Head of Finance working closely with the Executive Director to deliver our strategic objectives. You will ensure highly effective financial management and controls for the charity and support non-finance managers with budget management. We are looking for a talented fundraiser, with a background in the cultural sector to join the Gardens, Libraries & Museums (GLAM) Team within the Development and Alumni Engagement team of the University of Oxford.

You will be working with such iconic institutions as the Pitt Rivers Museum, the Oxford Botanic Gardens, the History of Science Museum and the Oxford University Museum of Natural History.  In this role in any given week you might see a dodo, extraordinary thousand-year old Chinese ceramics, insects collected by Darwin, the first scientifically described dinosaur and drawings by John Ruskin, as well as work on projects involving saving the largest flower in the world or supporting world-leading restitution work.

This is a new role for Emmaus Bristol. Through our five-year-planning process we identified a new staffing
structure that will allow our charity to thrive and to grow. The Head of Resources is needed so that the core organisation runs smoothly, and policies, processes and systems allow the team to do their jobs efficiently and effectively. This will be crucial as we develop new streams of work, and help more people out of homelessness or into work.

The Head of Resources therefore, will have a key role to play in making Emmaus Bristol an effective charity.

This is a senior leadership role, but as we are a small charity, all roles are somewhat hands-on. You’ll need to be as confident discussing our reserves policy with trustees, as you would be resolving a cash discrepancy with a retail team member, and just as good at strategy as you are at detail.

An exciting opportunity to lead and transform the CSP’s data capabilities in support of our public-good mission. You will improve our understanding and use of data across the organisation in aid of our 65,000 members and the physiotherapy profession.

The CSP is a one-off organisation. We give expert voice to UK physiotherapy, and support our members throughout their education, working lives and retirement. About ICT at Hope into Action 

ICT is critical to delivery of the Hope into Action vision of every church lovingly making a home for those experiencing homelessness. We have experienced rapid growth across the UK and are now in 35 towns. Our ICT provides a vital window for each town in the Hope into Action network of people, policies, document storage and training resources. Our internal ICT capacity is mission critical. Our first line helpdesk is outsourced. This role will take the lead on several key projects that will ready out ICT infrastructure for the next phase of growth. 

About the role 

Our ICT Network Lead is both a strategic and user-empowering role. For this role, you would be someone who is flexible with an ability to keep systems running smoothly whilst at the same time pursuing improvements.

Hope into Action has a strong culture of continual improvement and pursuing excellence. Working with the Head of Operations, you will immediately focus on the implementation of our HOPE Processes project to enable all our projects to realise significant efficiencies in managing significant numbers of processes connected to our houses, tenants, investors and donors.

Whilst progressing other projects, you will oversee the induction and training of new staff and franchise partners. You will manage the outsourcing of IT contracts, including help desk, finance, CRM databases, mobiles, landline, internet and printers / copiers. Oversee the on-going development of the SharePoint Online site as a robust efficient tool for day-to-day use. You will introduce new ways to monitor the satisfaction with ICT across the network and take responsibility for data security.

The Head of Marketing role:

This is an exciting new role in an expanding team, ideal for someone who’s an established marketeer and wants to make a difference. The Marketing & Digital Directorate objectives are to raise awareness of coeliac disease, extend our reach to a wider audience, grow our reputation with a variety of audiences, and maximise engagement. The Directorate operates as an in-house agency providing consultancy, creative generation, and managing all marketing across all channels and platforms.

Key responsibilities of the Head of Marketing:

• The core responsibility is to lead and deliver against all marketing objectives across the organisation – this includes working with Fundraising, Evidence and Policy, Commercial and Membership & Volunteering Directorates to develop strategies, activities and marketing communications. The role is very varied with good opportunities to generate creative solutions across our channels, including website, email, app, events, PR, magazines and social media.

JOB PURPOSE

The Head of Finance will lead a small, established finance team and will need to drive a successful business partnership approach with teams across the organisation, achieving greater efficiency both in ways of working and in purchasing and in investigating how our systems and technology can best meet our operational needs. A track record in successful business partnering is essential as we develop and refine our business model. Previous experience in a management information function, either within the not-for-profit sector or a similar sized commercial organisation, is needed. You will need to liaise closely with non-finance staff to ensure financial information is made meaningful and accessible and to support training to enable them to interpret the information provided and manage their budgets. Good communication skills and the ability to explain complex information to staff at varying levels are therefore essential as is the ability to provide leadership and motivate staff.

ROLE AND RESPONSIBILITIES

This is a diverse role across the full spectrum of the finance function, with the post holder responsible for the timely provision of management information as well as leading the Finance Team in delivering a full financial accounting and statutory reporting service to ensure UK for UNHCR is compliant with all financial regulation. Central to the role is the critical review and the effective communication of financial information and its implications to all levels of management while also delivering a high quality, customer focused finance partnering service to senior managers and SMT. 

Key accountabilities:

• Oversee the provision of clear, accurate, timely and user friendly (financial and non-financial) management information to Directors, senior managers and staff to support the decision-making process and to allow managers to proactively manage their budgets.
• Take full management responsibility for the Finance Manager and Finance and Administration Assistant, leading, motivating and developing them so that that they are clearly focused, competent, and work effectively and efficiently.
• Ensure compliance with relevant legislation and prepare statutory accounts, corporation tax, Gift Aid, VAT, Charity Commission and other statutory financial returns for the charity and its trading subsidiary as appropriate. 
• Manage the annual audit process, being the point of contact for external auditors on operational matters relating to the audit process and providing information and documentation supporting the annual report and accounts.
• Develop and maintain various business and financial planning processes in support of the strategic needs of the organisation. This includes:

1. Annual budgeting process.
2. Overseeing financial reforecasts at regular (currently quarterly) intervals.
3. Playing an active role in the broader business planning process.
4. Planning and managing cash flows to meet the short and long-term needs of the organisation, maximising interest receivable where opportunities allow. 

• Drive financial ownership, accountability and understanding across the organisation by ensuring budget owners have the knowledge, skills and tools to manage their budgets effectively. Ensure effective financial business partnering is underpinned by effective processes and guidance.
• Provide support to all teams and in particular the fundraising teams in the completion of funding applications and, following successful bids, ensuring appropriate processes are in place to monitor and report progress of Restricted Funding projects.
• Recommend an appropriate reporting process and format for restricted projects to enable their effective management by budget holders and for inclusion in management accounts reporting.
• Ensure the internal financial control environment is adequate to safeguard the Charity’s assets and is properly documented, and liaise as needed with external professional advisors, such as auditors and our bankers.
• Ensure premises and facilities are managed appropriately on a day-to-day basis, line managing the Finance and Administration Assistant, and taking the lead in matters relating to property leases.
• Develop own knowledge base and keep abreast of changes in the regulatory and financial environment, as well as new initiatives and best practice in the sector to ensure the charity’s policies and processes are fit for purpose and adapt as UK for UNHCR evolves. 
• Support the Senior Management Team in other work as may be required from time to time and, as time allows, engage in the broader work of the charity to ensure the post holder has a recognisable profile as the leader of a key team and has an understanding of the work we do.

PERSONAL ATTRIBUTES AND EXPERIENCE 

Knowledge: 

• A qualified accountant (ACA, ACCA, CIMA, CIPFA) with significant post qualification finance experience at a senior level.

Skills:

• Track record of success at a senior level within an organisation of comparable size and complexity, including hands on experience in delivering a bespoke finance service.
• Proven ability to communicate successfully with different stakeholders, both written and verbal, and including the ability to influence and negotiate.
• Ability to critically review, analyse and interpret complex financial and management information and present it clearly and appropriately to different audiences.
• Comfortable in dealing with detail as required given the constraints of working in a small team.
• Confident with a range of IT software, including hands on experience in managing, using and configuring accounting packages.
• Experience of software implementation, and ideally of accounting systems.
• Strong leadership skills including the ability to motivate and develop staff members.
• Knowledge of the legislative, tax and regulatory framework of companies, ideally in the not-for-profit sector.
• Track record in successful project management.
• Ability to identify, assess and manage risks and make recommendations based on objective criteria.
• Team player able to establish productive working relationships with both colleagues and externally.
• Strategic thinker who is pro-active in identifying opportunities for the organisation, and within the finance function for improvements in business process.

Experience: 

• Relevant post-qualification experience, to include managing a finance team. 
• Experience of developing and implementing financial procedures and controls. 
• Experience of commercial or charity accounting including the preparation of statutory accounts and preferably SORP compliance.
• Experience of preparing management accounts in a rigorous environment.
• Experience of managing the preparation of budgets and business plans.
• Experience of VAT accounting, preferably the partial exemption basis and corporation tax.
