Job purpose

The Executive and Operations Coordinator provides essential administrative, operational, and executive support to enhance the effectiveness of Toynbee Hall’s Advice Services directorate. This role combines high-level executive assistance including managing the diaries of the Managing Director and Deputy Director of Advice Services, coordinating communications, and preparing for meetings with operational support across finance, HR, onboarding, and general administration. Working closely with the finance team, HR, and advice teams, the Executive and Operations Support Officer raises and tracks purchase orders, processes invoice, reconciles credit cards, and ensures contracts and approvals are completed on time. They also provide flexible support across the directorate, assisting with logistics, meeting documentation, and crossteam coordination as needed. Reporting to the Deputy Director of Advice Services, this role plays a key part in ensuring seamless operations and enabling senior leaders to focus on strategic priorities and service delivery.

Key Responsibilities

1. Diary and Inbox Management:

• Manage the Director of Advice Services' diary and email communications to ensure optimal organisation and timely responses to internal and external queries.  
• Coordinate appointments, meetings, and travel arrangements, balancing the Director’s workload and priorities.

2. Senior Leadership Support:

• Organise, plan, and take minutes at senior leadership meetings, including handling logistics like booking rooms, arranging refreshments, and notifying attendees.
• Follow up on action items and ensure the implementation of decisions made during meetings.
• Prepare and distribute reports and other documentation to keep the leadership team informed and engaged.

3. Operational and Admin Support for Deputy Director of Advice Services:

• Assist with delegated tasks from the Deputy Director to support broader operational and strategic objectives.  
• Facilitate communication between the Deputy Director and other departments or external stakeholders.  
• Support and work on operational and admin tasks as needed.

4. Operations Team Support:  

• Assist the advice services operations team with administrative tasks, particularly in finance, such as processing invoices, raising Pos, tracking payments, etc.
• Support project management activities, ensuring tasks are completed within deadlines and budgets.

5. Communication Facilitation:

• Serve as a point of contact for internal and external stakeholders seeking to connect with the Advice Services directorate.
• Manage the distribution of information to staff and stakeholders to ensure consistent and clear communication.

6. Event Coordination:

• Help plan and execute internal and external events, including workshops, conferences, and staff meetings.
• Handle all event-related arrangements such as guest lists, venue, catering, and technology needs.

7. Ad-hoc Support:  

• Provide flexible support to other senior managers and teams within Toynbee Hall as needed, including during special projects and peak periods.
• Coordinate and organise additional meetings and manage any emergent administrative needs.

We’re looking for a Marketing Executive to join our Legacy and In Memory Marketing Team. The Marketing Executive will sit within the Legacy Conversion team, working across direct mailings, legacy journeys and other warm supporter activity.

As a Marketing Executive in the Legacy and In Memory Giving Marketing Team, you'll specialise in the planning and delivery of campaigns, developing supporter engagement and specific onward journeys to encourage emotional connections and future legacy giving. This team supports the RNLI by raising funds through gifts left to our charity in Wills and in memory giving. This is an important time for the RNLI’s Legacy and In Memory fundraising team. With 6 out of 10 lifeboat launches funded by legacies, this will be a key area of focus for the charity going forwards.

Your role

As a Marketing Executive, you will be tasked with focusing on the following areas:

• Supporting Marketing Managers to deliver marketing campaigns, projects, and other fundraising activity.
• Campaign planning, briefing and administration on a range of channels, from print to digital.
• Supporting on campaign delivery and briefing our in-house creative and digital teams.
• Building and maintaining excellent relationships with a wide range of stakeholders, volunteers and agencies.
• Understanding and interpreting data to help inform and develop marketing activities.
• Managing purchase orders and timely goods receipting invoices.

About you

You’ll be an experienced and proactive Marketing Executive able to support the development and delivery of impactful, successful campaigns and fundraising activity across legacy giving.

To be considered for the role of our new Marketing Executive, you will need:

• Experience in planning and managing fundraising/marketing campaigns.
• To be capable of building strong and collaborative working relationships, both within the existing team but also with multiple stakeholders, both internal and external. 
• Confidence in understanding campaign performance data and communicating results and optimisations to stakeholders.
• Proven experience of working across multiple projects to tight deadlines.
• To have excellent communication skills (both spoken and written).
• An understanding of legacy fundraising (desirable).

Your first focus will be stewarding our 3,000 fundraisers - overseeing segmented email journeys, managing a £40k prizing fund, and improving supporter care through deeper, more personal touchpoints. That might mean calls, events, or just finding ways to help people feel more connected to their impact.

About this key role

Working as part of a multi-disciplinary team to identify and assess young victims of violence, you will also provide support, advice and advocacy for children, young people and their families as they plan to be discharged from hospital back into the community.  You will produce support and risk management plans based on your assessments and also deliver a holistic support service, working solo or with colleagues as the situation dictates, to each client.  This will include providing practical guidance with social and housing support, accompanying to appointments, ETE options, benefits work, debt advice, DIY work and cleaning.

We will also count on you to develop and maintain relationships with partner agencies, including community-based services such as police, children’s services and local authorities, while closing cases efficiently and positively, identifying a referral route for children and young people that will identify agencies that can be used for ongoing support and agencies that can be used if serious problems develop in the future is also an essential aspect of the role.

Animal Equality also advocates for political change. Our current campaigns include a UK ban on foie gras imports, increased enforcement of existing animal protection laws, legal protections for farmed fish, and Government subsidies for transitioning towards a plant-based food system.

We focus on farmed animals because of the scale and severity of the issue. More than a billion animals are confined and killed for human consumption every year in the UK. Farmed animals also often suffer in some of the worst ways: pigs typically endure painful mutilations, many chickens die of heart attacks, fish are confined in underwater cages, and some farmed animals are victims of deliberate abuse and neglect. But the problem is solvable! By utilising effective campaigning strategies, Animal Equality is having an impact for animals around the world and building a future where all animals are respected and protected and are no longer exploited for human consumption.

ABOUT THE ROLE

We are seeking a highly organised, detail-oriented Operations Officer to play a central role in ensuring the smooth running of Animal Equality UK’s internal operations and supporter services.

This is a varied role covering administration, finance, data management, supporter care, and event coordination. You will be the first point of contact for many of our supporters and stakeholders, providing excellent service while supporting team members across all departments.

The ideal candidate will be proactive, solutions-focused, and comfortable balancing multiple projects in a fast-paced environment. You will have a ‘can-do’ attitude and a calm and professional demeanour, thrive on problem-solving, and take pride in ensuring that systems and processes run efficiently behind the scenes.

JOB DESCRIPTION

• Culture and internal support: Act as a culture ambassador, upholding Animal Equality’s values of professionalism, resilience, accountability, and compassion. Strengthen communication between teams and ensure effective use of project management tools. Identify and lead process improvements with guidance from the Operations Manager.
• Supporter and donor care: Serve as the first point of contact for supporter queries via phone, email, post, and social media. Provide excellent donor support, including thanking donors, resolving payment issues, and sending mailings. Maintain supporter and volunteer records accurately in CRM systems and ensure compliance with GDPR.
• Finance and reporting: Process expenses, supplier payments, and support budget forecasting. Assist with Gift Aid claims, monthly data uploads, and finance reports. Prepare scheduled reports and presentations to track progress against objectives.
• Team processes: Support recruitment processes, including application handling, interview coordination, and onboarding/offboarding schedules. Ensure smooth induction for new staff and manage equipment, training resources, and access.
• Events and operations: Assist with the organisation of internal training, team meet-ups, and supporter events. Support health and safety measures for team members and volunteers at peaceful protests, undertaking risk assessments and first aid training. Manage stock and campaign materials, fulfil supporter requests, and oversee mailing logistics.
• Data and systems: Conduct database cleansing and maintain accurate supporter, volunteer, and executive records.
• Represent Animal Equality’s culture: Support Animal Equality’s life-saving work by producing high-quality output, embracing and representing the organisation’s culture principles proudly at all times, and supporting our philanthropic efforts.
• Support with other ad hoc duties, as requested by your line manager.

You must have a minimum of one year’s experience in operations, administration, project management, or a related role. With exceptional communicational and time-management skills, you are comfortable balancing competing priorities and will bring a friendly, professional attitude at all times. Adaptable and solutions-focused, you are confident when learning new technologies.

You will be based remotely in the UK. In addition to monthly meet-ups, some travel within the UK may be required for demonstrations, meetings, and events. While not common, occasional evening or weekend work may be necessary to support campaigning activities. Any additional hours worked and agreed with your Manager can be reclaimed as TOIL.
