About the role

As Operations & Office Manager, you’ll lead the day-to-day management of the office, oversee administrative systems, and act as the key point of contact for operational matters. You’ll work closely with senior leadership to ensure compliance, effective coordination, and strong relationships with partners, suppliers, and other stakeholders.

You’ll also take responsibility for HR and recruitment support, financial administration, and charity compliance, making sure policies, contracts, and records are maintained to the highest standards.

Key responsibilities include:

• Overseeing the day-to-day running and initial set-up of the office, working closely with our architects, Counterspace.
• Acting as the first point of contact for operational queries and supporting the senior leadership team.
• Managing contracts, procurement, and supplier relationships, ensuring all deliverables and payments are tracked.
• Providing HR support across recruitment, onboarding, and policy maintenance.
• Supporting finance processes, including expenses, invoices, and compliance reporting.
• Developing and improving operational systems, processes, and data management tools.
• Ensuring charity and GDPR compliance and maintaining up-to-date organisational documentation.

About you

We’re looking for a professional with 4+ years’ experience in operations, administration, or office management. You’ll have a proven track record in managing contracts and suppliers, excellent organisational and communication skills, and strong proficiency with Microsoft 365.

An understanding of HR processes, charity governance, and financial administration would be an advantage. Most importantly, you’ll be proactive, collaborative, and excited by the opportunity to help shape a new and inclusive arts organisation from the ground up.

This role will be responsible for an effective and compliant operations function (finance, HR, programmes/projects, governance). You will help the charity to scale its operations sustainably and ensure the charity complies with its legal and governance responsibilities. KEY RESPONSIBILITIES

Finance and HR

• Liaise with outsourced bookkeepers (also payroll providers) to ensure timely/accurate information flow.
• Oversee income and expenditure budgets and performance, processing of donations and scheduled payments, and ensuring accurate and consistent coding.
• Work with accountants to support year-end accounts and coordinate annual report production.
• Produce and circulate monthly management accounts and other reports for the Board.
• Support Trustees with designated responsibilities e.g. finance, risk, governance.
• Oversee recruitment, onboarding and HR record-keeping (including freelancers).
• Maintain accurate, compliant data in our CRM (Donorfy), including prompt input of donations.

Charitable projects

• Support the planning and coordination of secured charitable projects, liaising with project partners, monitoring delivery milestones, payment schedule and working with the wider team to maximise success.
• Compiling project monitoring/evaluation data from project partners to support excellent impact reporting.

Governance and operations

Together with the volunteer Charity Secretary:

• Coordination of Board meetings and AGMs, agendas, papers and minutes.
• Maintain central registers (trustee attendance/terms, governance documents, policies, risk, safeguarding training etc).
• Fulfil statutory and regulatory responsibilities, including filing of annual accounts.
• Advise trustees on governance best practice, in line with Charity Commission guidance.
• Management of policies, procedures and operational systems (including the CRM) that strengthen internal controls and identify opportunities to improve cost efficiency.
• Prepare Quarterly reports for the Board, and upon request.
• Ensure compliance with relevant legislation and the Fundraising Code of Practice, including delivering the responsibility of data protection lead.
• Maintain relationships with volunteer Independent Advisors and commissioned service providers e.g. finance, HR and legal to ensure compliance/best practice.

Role Summary

The Community Forest Trust (CFT) supports, enables and champions the work of England’s Community Forests, who are the leading woodland creation network in England. We provide a range of support services for the forests including finance functions, payroll and accountable body for funded projects.

We are seeking a detail-oriented and highly organised Finance and Operations Officer to join our team. You will be responsible for maintaining financial transactions, preparing reports, and ensuring compliance with the organisation’s financial policies and procedures. Key Responsibilities

Finance Work

CFT employs around 50 staff based in the Forests but has a small core team of 4, which works remotely and there is no office base. We meet once a quarter in-person and this post will occasionally need to attend in-person meetings and events, including the annual conference.

Camp Jojo is currently in transition. Over the first 8 years it has worked from one established site in Mersea, Essex; but we are now opening a second site near Appleby in Cumbria. The role of Program Manager will work across the whole organisation, towards the successful development of the values and the proven model in a second site; and its partnership with the Essex site will be an important part of the role.

Camp Jojo is growing from a young, largely trustee led, organisation to a staff team led organisation. Again this role will be a fundamental part of that transition. This is a predominantly an operational post, and not responsible for the finances of organisation, though it will deliver operations within the board approved budget. They will also sit on, or chair, several of the Committees of the charity; including the Senior Operations Team.

The role will offer leadership to key functions of Camp Jojo, Camp Jojo staff and contractors, and to members of the Camp Jojo Board, in relation to the work of the charity. Whilst the majority of the work will be remote the incumbent will be required to attend some meetings and events in person, including at both sites. They will also be required to attend at least part of the actual camp events. They may need to work flexibly, according to the seasonal demands of the charity.

The Program Manager will have a varied and sometimes high-pace job environment. As such, they will need to handle multiple tasks, manage their own time well, interact professionally with the Camp Jojo community and be very good communicators. They will deal with model consistency, values, and operational issues across both sites.

The Senior People & Culture Associate for Contracts provides administrative support across a variety of functions supporting the recruitment, hiring and consultant lifecycle of Internews Europe (UK) and Internews International (France) Personal Services Contractors. 

 ESSENTIAL DUTIES & RESPONSIBILITIES include the following, with other duties upon request:  

· Draft personal services contracts and modifications for both Internews Europe and Internews International 

· Review contract requests on a case-by-case basis to ensure adherence to organisational and international hiring regulations, tailoring needs to those of Internews Europe, Internews International and the overarching Alliance

· Liaise with program teams to explain and advise on policies and best practices

· Lead collaboration with PMUs to find suitable solutions that meet the needs of all stakeholders for PSC contracts and modifications 

· Distribute and track contract documents through electronic signature software, proactively setting reminders and ensuring documents are signed within service level commitment timeline 

· Create and maintain accurate, up to date contractor records 

· Run regular, weekly, bi-weekly, monthly or ad-hoc personnel reports

Overall purpose

The Data and Insights Manager will be a vital part of Breaking Barriers’ Data and Innovation Team, which has overall responsibility for Breaking Barriers’ data infrastructure and data analysis (relating to clients, programmes, fundraising, corporate partners and communications). They will oversee the gathering, processing, analysis and presentation of Breaking Barriers’ data, in order to ensure we are as evidence-based and effective an organisation as possible. This will offer the opportunity to influence decision making at all levels and have a genuine impact on Breaking Barriers’ clients. The Data and Insights Manager will also take ownership of various projects to improve the organisation’s CRM (Salesforce) and its integration with other applications. In addition, they will support the Head of Data and Innovation with the management of the Data and Innovation Team’s working relationships with other teams and with coordinating the Data and Innovation team’s work.

The successful candidate will have previous experience in CRM management, ideally having worked as a Salesforce Administrator. They should possess a high level of data literacy, with knowledge of data analytics and visualisation. They should excel as a project manager and a communicator with a willingness to work collaboratively across teams. There is considerable scope for personal development in this role, with opportunities to shape the organisation’s future systems with a key emphasis on self-driven learning and development. The role would suit a pro active, creative and driven individual, who is keen to learn and to make a big impact working across the organisation.

You will play a pivotal role supporting the Charity in several different ways. Working with the Senior Leadership Team, you will ensure the smooth running of the organisation, providing administrative support to the Director of Operations and the Chief Executive. As a self-starter you will manage a range of tasks such as diary management, meeting minutes, assisting with event administration and HR administration. No two days will be the same!

Person Specification 

• A practising Christian who is passionate about personally representing the Christian values of Resurgo and committed to Resurgo’s mission to inspire and equip organisations to bring about ambitious and sustainable social change.
• Excellent relationship building and proposal writing skills. Experience in Trust fundraising or an equivalent field is desirable but not essential.
• Excellent people skills, able to relate well to colleagues of all seniority levels as well as external stakeholders.
• Well organised and efficient; calm under pressure; able to juggle competing deadlines and priorities, splitting time across multiple projects.
• Confident with numbers and interpreting project budgets. Some knowledge of Trust fundraising is desirable.
• A desire to grow and develop, able to receive and give feedback confidently as well as share their ideas with the team.

Key Responsibilities

Relationship Management

• Provide tailored, high-quality stewardship to a range of large and medium-sized Trusts & Foundations.
• Identify and pursue new funding opportunities and build relationships with new Trusts and Foundations to further grow this income stream.
• Prioritise research to constantly develop future pipeline.
• Work with Head of Philanthropy and other senior stakeholders in engaging potential funders and managing strategic Trusts partners.

Write applications and reports

• Develop compelling funding applications for Trusts and occasionally statutory funders, articulating Resurgo's vision and strategy to persuasively engage new donors with a focus on raising five and six-figure grants.
• Stay ahead of sector trends, media, and political context to market Resurgo's interventions in a compelling way.
• Develop general communications on the work of Resurgo to inspire and update our Trust audience.
• Produce reports and updates on the impact of our work for funders in a timely manner. 

Data Management and Monitoring

• Update our internal database (Salesforce) with all donor interactions, donations and other details in a timely and efficient manner and with strong attention to detail, and analyse data to give insights' and drive future activity.
• Manage the Trusts & Foundations pipeline and report on income and other KPIs, and ensure Trusts & Foundations team meets monthly targets and deadlines.

Line Management

• Actively manage and develop the Trusts & Foundations Executive to help them grow personally and in their role.
