Sibling Arts C.I.C. co-creates multi-arts projects with queer, trans, sex worker & migrant communities. Looking for a Finance & Administration Officer (FAO to lead on our financial and administrative needs, and grow with us as we do more ambitious projects with social impact at their core.

Our current projects:

• Delivering trans/non-binary hxstory via storytelling to young people KS3 & teacher training

• Organising an Arts Action Fair connecting grassroots artists, frontline campaigns, NGOs, demonstrating how community ownership makes better art

• Building on the success of our beloved musical theatre production Sex Worker's Opera to create a full-length feature film, branching into new artistic territory with new communities.

We are looking for a skilled, dynamic and conscientious individual to lead on our financial and administrative needs, and work with us to grow our organisation.

You will be one of four core staff roles in the organisation. After the first year there may be space for role to develop and expand.

You will lead on financial management, working closely with Directors to develop and execute a comprehensive financial strategy.

The role will also feature core administrative tasks, ensuring the smooth running of the organisation across contracting, insurance, monitoring equipment/assets and saving costs.

We are looking for someone excited to be part of an ambitious over-achieving, under-recognised young organisation in the arts.

Contract: Minimum 9 months, starting July 15th, with view to become permanent

Hours: Part time 2 days per week

Salary: £135 per day, £1,170/mo at £35k pro rata

Location: Stamford Hill office 1 day a week, remote other

Roles and responsibilities include, but are not limited to:

Financial Strategy and Management

• Co-creating and monitoring budgets, org-wide and for projects

• Monitoring multiple income streams inc. sales, grants, investments

• Co-designing core/project accounting ledgers to facilitate reporting and monitor metrics

• Streamlining and automating systems, training staff in how to use them

• Support the process of becoming a C.I.O. and adapting finance and reporting systems for new level of requirements

• Managing cashflow and reserves to manage risk.

Reporting

• Reporting to HMRC, Companies House and the Charity Commission

• Liaising with our accountant to get the best systems in place for ease and accuracy of reporting and accounting

• Reporting to multiple funders with different priorities and expense restrictions

• Creating an automated financial reporting system that tracks costs across core, projects, and different funding streams for each

• Overseeing compliance with HMRC including VAT, PAYE and accessing tax benefits such as Theatre Tax Relief (TTR) alongside our accountant.

Administration

• Compiling and digitising receipts and invoices

• Setting up staff and project producer expense accounts where necessary

• Liaising with banking and ensuring staff access to online and card payment

• Creating and using new reference administrative reference systems and filing systems.

Human Resources

• Communicating with our community members, artists and staff about invoicing requirements and payment details, mindful of individuals’ complex needs

• Overseeing setup and budgeting of employment benefits, bonuses, commission, freelance contracts and how to integrate these

• Overseeing creation of a platform for communicating financials transparently to our community of marginalised artists (longer term)

Funding Support

• Note: this is a support role as one of the Artistic Directors will spearhead new funding applications, you will not be applying independently

• Researching and identifying new funding streams, archiving applications, making templates

• Seeking advice from current funders and NGO partners about where to apply

• Tracking funding applications, reporting deadlines, meeting financial requirements

• Following-up on investors, scheduling regular communications with Artistic Directors.
   

Essential skills and requirements

• Proficiency with Mac and Windows

Events coordinator

· Time commitment: 80% to 100%

Job Purpose: To support the CHS Alliance secretariat to ensure it delivers professional external events that meet the needs of our key audiences and advance our strategic goals, on time and within budget. Primary focus of this role will be the coordination and logistical management of the General Assembly in December 2024.

Background: The Events Coordinator role sits within the Network Engagement and Communications department and works closely with staff across the CHS Alliance, including those working on CHS outreach, HR/Governance and the Executive Director, on events organisation and delivery.

Main Responsibilities:

Event coordination

1. Coordinate the team and workplan to support smooth and timely delivery of key CHS Alliance events, with particular focus on the General Assembly (GA) taking place in Bangkok 5-6 December 2024.

2. Prepare and attend event working group meetings (e.g. set agenda, organise doodle polls, book conference rooms, take notes, etc.) 

3. Overseeing and updating the event workplan (e.g. gannt chart), flagging upcoming milestones and deadlines to event lead

Event logistics

4. Assist in identifying service providers by providing quotes and completing any other tasks requested by the line manager or event lead.

5. Procure supplies for event and ensure all material needed on site is prepared and up to date.

6. Follow up with the venues; liaise with the venue prior to, during and after the events.

7. Assist with all logistical aspects linked to catering, refreshments, room equipment (incl. audio visual), stationery, signs and identification (badges, etc.), and trip booking (hotels, flights, visa) where required, etc.

Communications & IT

8. Set up events on relevant platform (e.g. Zoom, CHS Alliance website)

9. Prepare and update registrations and participants’ lists

10.  Draft and send communication materials to participants, using software like Mailmerge or Mailchimp

11.  Assist with speaker outreach and briefings as appropriate.

12.  Manage the Alliance’s Zoom account as an administrator

Reporting and monitoring

13.  Monitor and report on project progress and related expenses according to the CHS Alliance financial policy and procedures.

14.  Manage and maintain an external events calendar for the CHS Alliance, to assist staff with horizon scanning and scheduling.

15.  Carry out any other relevant activities as required.

This role will support the delivery of our Impact and Evaluation strategy. This area of our work helps us to understand the impact of our grantmaking and creates and evaluates internal and external datasets to improve our work. Our Impact and Evaluation portfolio includes commissioning and undertaking new research, supporting our aim to publish studies on issues that affect children and young people living in poverty. 

We are a growing charity and our Impact and Evaluation department has a key role to play in the strategic and operational development of the charity as it grows. This role will support the delivery of that aim by working closely with the Impact and Evaluation Manager.

Responsibilities:

Data Collection: Assist with the collection and storage of research and survey data, including demographic data and outcomes indicators, employing quantitative and qualitative methods. Gather and engage with external open and government datasets. 

Database Administration: Retrieve and analyse datasets from internal databases, responding to requests for data from the team. Update and enter data into key dashboards to monitor trends and issues. 

Data Analysis: Assist with data analysis tasks, including cleaning and analysing quantitative data using software (e.g., Excel, PowerBI), as well as coding and analysing qualitative data using thematic analysis techniques.

Reporting and Presentations : Assist with the preparation of key reports, dashboards, and presentations summarising key findings, trends, and insights from impact and evaluation activities for fundraising purposes, including developing content for social media.

Working alongside the Director of Development and the Head of Communications, this role will work across teams to maintain and strengthen engagement through events, communications and corporate outreach. You will play an integral role in communicating our work as widely as possible and improving and increasing engagement with our supporters, including our members, donors and corporate partners.

The Engagement and Communications Officer will work to maximise income and support for JUSTICE through events (approximately 45% of the role), communications (approximately 30% of the role) and membership (approximately 25% of the role). They will report to the Director of Development and Head of Communications.

The JUSTICE team currently work in a hybrid manner. Staff members have access to office space in London, however, attendance is currently optional.
