We are seeking a new Finance and Administration Officer following the upcoming retirement of a long-serving team member. A key member of the SLA central office team, the Finance and Administration Officer plays a vital role in ensuring smooth financial operations and providing essential administrative support for our membership. In addition to administration support, this role is responsible for maintaining accurate financial records, book-keeping and effective day-to-day financial operations, producing financial reports using XERO and our CRM.

You will be experienced in financial and administration operations of a charity or similar , with an AAT qualification or matching worked experience. Familiarity with XERO will be an advantage. You will be able to bring understanding of cashflow and financial analysis of figure, working with accountants as required.

You will also have excellent customer service skills and be able to work effectively with all stakeholders from our members, to funders to suppliers. You will be determined and have an excellent eye for financial and administrative detail. Your duties will include general administration and:

Financial operations and record-keeping

• Manage day-to-day financial transactions and maintain accurate records of all SLA accounts and petty cash; book-keeping
• Process and record all incoming payments, including foreign cheques (into bank account)
• Monitor cashflow and expenditure, keeping track of spending
• Pay invoices upon approval and ensure timely monthly payments (e.g. pensions, HMRC)
• Handle creditor and supplier communications and resolve related issues
• Monitor and follow up on overdue payments with a focus on membership payments

Invoicing and income tracking

• Issue and track membership and subscriber invoices and reminders
• Keep office team informed of payment statuses
• Prepare sales, cost, and profit reports for SLA publications
• Conduct annual publications stock take

Payroll and reporting

• Liaise with the accountant on salary payments; process salary BACS payments
• Support year-end financial reporting by providing necessary documentation to accountants
• Produce regular financial reports and analysis as required
• Supporting preparation of budgets, working with accountants as required

 Event financial administration

• Manage financial aspects of SLA events, particularly the annual conference (e.g., exhibitors, sponsors, and delegates)
• Process and record staff/trustee expense claims
• Support with bookings accommodation and travel for Board meetings

To be successful in this role you should demonstrate:

• Strong experience in financial and office administration
• Knowledge of accounting principles  
• Experience of working with XERO or similar
• Experience of using CRM systems (ideally IMIS)
• Experience of working for a small charity and / or membership association
• Accuracy, numeracy, attention to detail
• Ability to manage own workload, prioritise and meet competing deadlines

Requirements

Key details

Hours: Part-time (28 hours per week)

JOB PURPOSE:

• To lead on the development of a healthy childhood programme for children and young people living in Sparkhill.
• To provide a range of activities for children, young people and their families which promote physical exercise and healthy eating.
• To promote the referral uptake from a range of services including the School Nurse Service, Family Hubs and GP practices.
• To monitor individual lifestyle assessments and to maintain an overview of the individual’s journey, including attendance, improvement of their lifestyle indicators etc. and capture case studies.

The 999 Club

The 999 Club has stood on the corner of Deptford Broadway for more than 30 years, working with and supporting the local community. Our focus now is on people who are street homeless, rough sleeping or unhoused and those who have no recourse to public funds. As the 999 Club, people who use our services are our members.

The Gateway

Our day centre, The Gateway, is open five days a week and provides a welcoming, safe and friendly space where our members can spend time away from their usual situation and sort out practicalities like getting laundry done, taking a shower, charging their phone and having something to eat. It’s where our Intervention Team are often based as part of their work, empowering our members.

The Intervention Team

Working alongside the Essential Services Team and an amazing team of volunteers the Intervention Team provide triage, assessment, holistic progression planning, advocacy and support for members of the Gateway, identifying and addressing their immediate housing situation as well as wider social, health and wellbeing issues with the ultimate aim of them finding a pathway out of homelessness.

Who We’re Looking For

We’re looking to recruit two Intervention Workers – one for complex interventions where there are additional factors. This would best suit someone with experience whilst the brief intervention role would suit someone with transferable skills but little to no experience in the homelessness sector.

Our operations team is led by the Chief Operations Officer (COO) and includes the finance and bookings & venue teams. This is a newly created role that will report directly to the COO and work closely with the wider operations team.

Scope of role

The role supports the delivery of our IT, facilities, health and safety across operations. They act as the first point of contact with outsourced providers and co-ordinate any work related to these areas.
The role is in place to support the project management and delivery of a set of work programs and there is a level of autonomy to make decisions on a project / work area basis within an agreed framework to deliver.
The role will hold the IT budget, and support COO with facilities budget; thus it is expected that there is a good understanding of the budgets to understand constraints and opportunities. The role can make spending decisions up to £2,000.
This role is designed to allocate approximately 60% of the focus on core IT functions and 40% on facilities and operational oversight including procurement.
They will be expecting to advise COO and wider SMT on IT and Operations related plans for the year.

Responsibilities and Accountabilities

Information Technology & Systems

• Be responsible with the support of the COO and wider SMT with all IT related strategy including procurement and streamline of new IT service provider/s. Including setting up KPIs’ and using these to assess performance.
• Manage the setup of new staff – including the procurement of equipment required for the role – this includes all communication tools.
• Managing the relationship and being the key point of contact with the technology suppliers and technology support providers.
• Identifying cost savings/efficiencies in the tech stack.
• Supporting IT KIT refresh plans and purchase, this includes audit of needs and vendor negotiations and lifecycle planning with the COO.
• Leading on regular assessment of IT and systems needs for all services and administrative staff.
  Facilities, Health and Safety & General Administration
• Act as the main point of contact with our property management company. Work with the COO to escalate issues.
• Book in contractors and maintain all required documentation in conjunction with other key stake holders (property manager/agent).
• Be the escalation point for maintenance issues, liaising with the property management company to make sure that issues are dealt with in a satisfactory manner.
• Work with H&S consultants and property managers to ensure all relevant training is planned for and carried out and Risk assessments are being completed and used.
• Work with HR to ensure that all relevant training is planned for and carried out.
• Maintain records for all mandatory tests in conjunction with our property agents.
• Liaise with the Events and Venue Manager to ensure building management is always in place, keyholding, security etc.
• Ensure smooth operations of front of house – including reception and security rotas and arranging additional cover as needed for events.

Projects

• Manage ad hoc projects on behalf of the operations team; such as refurbishments, implementation of printer management.

General

• Building good working relationships across the organisation
• Representing Toynbee Hall to external audiences
• Developing an open and ‘critical friend’ dialogue within our programmatic work
• Undertaking any other appropriate responsibilities that may arise such as top up of franking machines, and general administrative orders as needed.

The Living Wage Foundation has an exciting opportunity to join our dynamic team as an Operations and Data Officer. We are looking for a highly motivated and organised individual to help maintain, develop and continuously improve our data and systems. The role will be an integral part of the Living Wage Operations and Insight Team, providing technical support to ensure the integrity of our systems, and supporting with development projects. 

The Operations and Data Officer will need to be highly numerate and have great analytical skills to support our monitoring and evaluation functions, working with the Head of Operations and Insight on financial and budgeting management, reconciliation and forecasting for the Living Wage Foundation. The suitable candidate will be detail-oriented, be able to demonstrate their ability to seek out improvements and problem solve creatively and have experience working with Salesforce or equivalent CRM systems. 

Main Responsibilities 

Working as the Operations and Data Officer– LWF for Citizens UK, reporting to Senior Data & Operations Manager, LWF, your main responsibilities will include: 

Project Management 

Deliver work targets on time and to standard to support the Foundation’s data and systems: : 

•  Support the day-to-day operations and management of all systems within the Living Wage Foundation designed to enable the functioning of Living Wage accreditation schemes. 

•  Proactively seek out systems improvements to make our processes more efficient so the Living Wage Foundation continues to provide an excellent service to the Living Wage network. 

•  Provide operational support for all aspects of the accreditation and recognition systems, including identifying and fixing errors. 

• Maintain integrity of Salesforce database; identify and source incomplete information within the database; take responsibility for tidying, cleansing and backing up existing data. 

• Support maintenance of integrated systems, including syncing data to Act-On and the website. 

• Work with Operations and Data Manager to keep templates, forms and related communications materials up to date 

• Manage merchandise administration including email inbox, day to day queries, and Shopify administration. 

• Support Operations and Data Manager to manage budgets for external contracts (e.g. with developers and suppliers). 

  Learning and expertise 

• Keep up-to-date with functional good practice and technical updates to all our systems, including within the third sector. 

• Support with network data enquiries, including analysing data, creating Salesforce reports and dashboards for colleagues. 

• Work with colleagues to identify learning & development needs and support Operations and Data Manager to develop and deliver inductions, training and guidance to meet requirements. 

• Keep internal training manuals up to date to ensure the Foundation’s team can access clear and consistent information about our systems and processes. 

•  Support Operations and Data Manager to monitor the impact of internal trainings, support, resources and guidance – update and improve internal support offer as required. 

Communications 

• Create and write dashboards and reports to support the analysis of our performance. 

• Champion systems throughout the organisation and advocate for systems-based solutions. Offer ad hoc guidance to the team and help communicate any changes to systems. 

• Run systems surgeries for colleagues to answer ad hoc enquiries and support learning. 

Develop and manage external relationships 

• Communicate effectively with our external contractors (e.g. merchandise suppliers) to ensure contracts are fulfilled in a timely manner. 

• Help identify suitable new suppliers to meet organisational need. 

Develop and manage internal relationships 

• Support Operations and Data Manager to identify technical solutions to meet organisational requirements. 

• Monitor and respond to operations and data enquiries from colleagues. Work effectively with colleagues across Citizens UK, actively participate in the team and organisational wide events. 

Income and resources 

• Maintain Salesforce data integrity to support accurate and timely invoicing. Help ensure the integrity and safety of our data advising wider organisation on best practice where appropriate. 

• Support Operations and Data Manager to track expenditure for Shopify and merchandise suppliers. 

• Contribute to plans and proposals to grow sources of income or resources.

About the Role

We have a strong Fundraising & Communications team with a clear strategy in place to achieve growth of voluntary income from £2.7m-£4.1m a year by 2028. About the Role

In this new role, you will contribute to enhancing the finance function within a growing and dynamic international charitable foundation. The role will enable you to work and continue your professional development across many aspects of the finance function.

A key part of your role will be acting as finance business partner to our other teams - impact, fundraising and communications - and demonstrating a customer service mindset in helping them achieve their objectives.

We’re looking for a finance professional, newly-qualified or working towards a chartered accountant qualification, wanting to develop their skills and career in a comprehensive finance role and contribute to our mission of helping young people thrive.

Roles and Responsibilities

Accounting (40%)

• Oversee day-to-day transactions, including accounts payable and receivable, for both the UK charity and the newly created US charity
• Ensure that accurate and comprehensive records of accounting evidence for all transactions are maintained
• Monitor cashflow
• Support the HoFO in the month-end process
• Oversee and control monthly payroll with external payroll provider
• Oversee and control VAT returns with external accountants
• Check monthly Balance Sheet reconciliations
• Develop the purchase order system

Financial Planning & Analysis (35%)

• Control all accounts payable in dialogue with budget holders

How you will make a difference

This role supports the organisation through a strong focus on business intelligence, data collation, and analytics. It plays a critical part in ensuring contract compliance through the development of effective systems and supporting quality improvement. The role involves contract reporting and the preparation of PowerBI dashboards, apps, reports, and presentations to inform strategic decision-making.

Key areas of focus include Criminal Justice, Peer Support Groups, People Analytics, Fundraising, Finance, and Risk and Governance. The postholder will work across these domains to provide clear insights and contribute to organisational learning and development.

Working hours for this role are flexible. It is a home-based position, but we value in-person collaboration, so some travel will be required to main office locations (primarily London) and occasional visits to services across the UK.
