Are you a proactive, energetic and highly effective individual with great attention to detail? We’re looking for a new Executive Assistant (EA) for the CEO and the Chair of the Overcoming MS Board of Trustees as well as organisational administrative duties.

This role plays an essential role in the smooth running of the charity. With a small team and big ambitions, everyone plays an important part. Job summary:

You will support the organisation across a range of administrative, organisational and governance activities. You will be comfortable working in a busy environment juggling multiple projects, as is characteristic of a small but ambitious organisation.

You will be able to demonstrate discretion and commitment, along with excellent organisation, written and verbal communication skills and will bring experience of providing director level PA/EA support. You will be able to use your own initiative to prioritise workload according to the demands of the day and learn to anticipate changes, responding professionally, adeptly and positively.

You will be expected to provide a high standard and quality of support across a range of activities and projects, being fully aware of and upholding the charity’s values, and taking responsibility for modelling these to others across the organisation and to the wider community.

Key responsibilities and duties:

The role comprises of the following key areas of responsibility:

· Executive Assistant to CEO

Provide full support to the CEO, including but not limited to:

o Overseeing the diary of the CEO, prioritising meetings and scheduling time for reading, thinking and preparing, ensuring meeting materials are to hand.

o Providing ‘right-hand’ support, undertaking research, ensuring CEO is up to date with all projects and pre-empting needs.

o Secretarial – supporting emails, creating presentations, keeping management files organised and up to date within SharePoint.

· Executive Assistant to Chair

Provide full support to the Chair in any administrative activities that relate to her role as Chair, including but not limited to:

o Overseeing calendar appointments, and ensuring the Chair is prepared for meetings.

o Providing ‘right hand’ support in communication with staff and Board, scheduling meetings and providing administrative support as required.

· Governance and administrative support to the Overcoming MS Board

Provide governance and administrative support to the Overcoming MS Board of trustees, including:

o Scheduling Board, committee and Strategy meetings and making the necessary arrangements (eg booking venues, setting up virtual meetings via Teams/ Zoom).

o Preparation of documentation for meetings including circulation of agendas, compiling Board packs for the Board of Trustees and committee meetings, taking accurate minutes and co-ordinating follow up actions.

o Supporting the Chair and CEO in the recruitment and induction of new Trustees.

o Providing administrative support for working groups, for example, making arrangements for meetings, circulating agendas and papers.
 

· Internal HR administrative lead

Fully supported with external expertise, to provide administrative support for the team, including:

o Advertising vacant roles, coordinating recruitment, sifting applicants, arranging interviews.

o Onboarding new starters, including references, contracts, setting up new starters on the systems, inducting starters in organisational processes.

o Supporting ongoing team development including coordinating training, staff surveys and appraisals.

o Coordinating leavers, including exit interviews, leavers forms and relevant administration.

· Internal IT administrative lead

Fully supported by our external IT agency, to provide administrative support for the team, including:

o Regular meetings with IT agency to ensure correct licenses, equipment and protections are in place.

o Coordination of hardware and software for new starters, equipment provided and returned for leavers.

· Management of Overcoming MS contact enquiries

o Regularly check the Overcoming MS contacts mailbox and manage its contents, responding or delegating to Overcoming MS team members where appropriate, and ensuring follow up is completed.

o Manage the Overcoming MS telephone number to ensure queries are dealt with efficiently.

o Draw themes from regularly occurring queries, to make sure any trends are picked up and addressed effectively.

· General organisational support

o Provide ad hoc project management support to organisational improvement projects, including supporting project team meetings, developing project plans and tracking progress.

o Travel/ meeting arrangements – arrange meetings, attendance at conferences and book rooms and making travel arrangements as necessary.

o    Coordination with our outsourced storage facility.

o Policy support – maintenance of the policy tracker, coordinating the reviewing and updating of policies.

o Admin support for team meetings, oversight of the shared drive, central email lists.

o Lead relationship with our Employee Assistance Provider, including regular team reminders of services and other charity discounts.

o Proactively identify areas where improvements can help improve efficiencies, impact or wellbeing.

About the role

Sightsavers’ Global technical team are looking to recruit a Global Technical Lead, Eye Health ECSA to join their team. This role is available in either Tanzania, Zambia or Kenya.

The post-holder will work closely with the Technical Director, Eye Health & URE to ensure technical leadership is provided in eye health at the programmatic level. They will ensure Sightsavers’ projects in eye health are conceptualised, designed, and implemented as aligned with thematic and programme strategy. This role offers regional and international travel throughout the tenure.

• A Professional qualification in a relevant field, such as ophthalmology, optometry, public health 
• Postgraduate qualification (minimum Masters or equivalent experience) in a relevant field, such as public health, health service management, low vision/rehabilitation, international development
• Knowledge of current issues and best practices in eye health
• Fluent in written and spoken English
• Good French and Portuguese are advantageous

Job Purpose

The Executive Assistant will provide operational, strategic and analytical support to the DCEO. This role goes beyond traditional executive assistance and will involve planning, research, project coordination and organisational reporting. The post holder will play a key role in preparing executive insights, analysing departmental reports, and ensuring effective follow-up on strategic priorities. Executive Support

• Manage the DCEO’s calendar, schedule and priority workflow to ensure effective time management

• Deliver the community fundraising programme and continually monitor results, with particular focus on net income, Rotary engagement, supporter growth and the development of our volunteer network. Adjust and adapt plans accordingly.
• To set income and expenditure budgets for all community and events activity, monitoring industry and supporter trends, progress against budgets and reforecast income and expenditure as required.
• Set measurable KPIs for the Community and Events Team and objectively review the success and achievements against targets. Identify areas of risk and opportunity. Ensure contingencies are in place as appropriate.
• Strategically grow community income by identifying priority audiences and developing products/campaigns/communications to maximise the value of our existing supporters and to reach new ones. • Continue to develop and test events, with the aim of growing our events portfolio, working closely with the Community Marketing and Events Officer.
• Embed evidence-based decision-making within the team, using insight and data to inform ways of working, and improving our use and adoptions of systems.
• Support team with stewarding high value community stakeholders, including the strategically important relationship with RGBI. Role model and support great relationship fundraising - leading by example to inspire high standards in the team.
• Lead the development of strategic plans to maximise our partnership with RGBI (including income, awareness and networking opportunities). Manage and support the Rotary Marketing and Engagement Officers to drive activity and performance. Work closely with the Rotary Partnership Manager to ensure plans and communications are aligned.
• Support Community Engagement Officer with the development and growth of our community volunteer network.
• Work with the Rotary Marketing Officer and Community Marketing and Events Officer to oversee the development of mass participation campaigns to engage target audiences (warm and cold) and grow income.
• Develop, deliver and evaluate major disaster plans for community audiences.
• Work across the team to review and develop 'donor journeys' in collaboration with the wider fundraising and Supporter Care team, ensuring an excellent supporter experience.

Role Purpose

The Events Coordinator is responsible for planning, organising, and delivering a varied programme of impactful events for service users, volunteers, and the wider cardiomyopathy community. Job Title: Archivist and Records Manager – Maternity Cover

Location: Rhodes House in Oxford/Hybrid Working

Contract: Fixed 10-month contract

Hours: Part time, 15 hours per week

Salary: £15,000 – £16,000 per year

We have an exciting opportunity for an Archivist and Records Manager to join the Rhodes Trust, Oxford. This role is responsible for managing all aspects of the Rhodes Trust Archive.

We are looking for the successful candidate to start with us in December.

The role

The role is responsible for managing all aspects of the Rhodes Trust Archive, including maintaining an enquiries service for internal and external users, appraising and accessioning new material and cataloguing records. This includes both hard copy records in off-site storage and electronic records, in the organisation’s digital archive. There is also some responsibility for managing current and semi-current records within the organisation, including working with colleagues on data protection and retention.

The role will be responsible for;

· Maintaining an archives enquiries service for the general public, staff, Trustees and Scholars, including carrying out research on behalf of users, and arranging access to view archive material

· Appraisal, selection and cataloguing of uncatalogued records, including both hard copy and digital material

· Assisting the Trust with the ongoing management of records under data protection legislation and good practice

· Evaluation and implementation of digital archiving, including establishing procedures for ongoing transferal of records to the archive

· Promotional work including displays, and presentations, and writing articles on topics relevant to archives and records.

· Role modelling the Trust’s organisational values of commitment, inclusion, belonging, growth and innovation.

· Carrying out any other duties relevant to the role, as requested.

· A deep commitment to the values, ethos and mission of the Rhodes Trust.

Essential skills, experience and qualifications:

· A first degree, and a postgraduate qualification recognised by the Archives and Records Association (ARA) is essential

· Working knowledge of GDPR

· High level written and spoken communication skills including the ability to draft correspondence independently

· Confidentiality, tact, and diplomacy

· A high level of initiative, efficiency, and attention to detail

· Ability to prioritize and manage time effectively, and work without direct supervision

· The ability to undertake research in order to analyse and understand the archives

· Proficient Microsoft Office and database skills, including an aptitude to use IT to best enhance efficiency, and adapt to rapidly evolving IT packages and systems.

Desirable skills and experience:

· Previous experience working in a similar role.
