This is an opportunity to play a vital role in the organisation as it develops and instigates an exciting and ambitious new set of plans over the next six months.  You will be working directly with senior leaders and trustees, and line-manage an Administrator utilising strong financial and administrative skills to manage the charity’s finances and day to day operations.

The ideal candidate will have an understanding of budgets and financial management as well administration, along with a passion for theatre and culture to be made by and resonating with Black voices and the communities in the North of England.

Purpose of the Post

• To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
• To be responsible for effective management of the day-to-day office administration, and HR processes.
• To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
• To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.

The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.

Terms and Conditions

Reports to: Senior Change Director

Other reporting: Board of trustees

Line manages: Other administrative staff once recruited, external accountants, IT supplier

Salary: £35,000 gross per annum (pro rata if applicable)

Location: Working from home with some working from company office in Leeds with reasonable notice

FTE / Hours: Full Time (1.0 FTE) at 35 hours per week, plus a compulsory break for one hour. Part-time options of 0.5 to 0.8 FTE would be accepted.

Holidays: 28 days per year (including statutory Bank Holidays), pro rata if applicable

Term: 1-year fixed term contract, with a view to extend following a contract review

Notice: 6 weeks either side for the period of the contract.

Pension: 3% employer contribution.  

Role responsibilities
The Finance & Operations Manager is responsible for:

Finance

• Preparation, monitoring, and control of the budgeting and forecasting processes.
• Provision of clear and timely management accounts to the senior team and Board of Trustees.
• Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
• Liaising with the external payroll provider and payment of monthly salaries.
• Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
• Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions. 

Governance

• Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
• Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.

Administration & HR

• Day to day responsibility for managing the HR function of the company.
• Keeping in contact with and responding in a timely manner to any queries from key stakeholders.
• Support the organisation to maintain key relationships and deliver report writing.
• General administration and office management lead.
• Management of the company calendar.
• Administration of company compliance and reporting to statutory bodies e.g. Companies House and the Charities Commission.
• Working as a central point of contact through phone and email.
• Management of the company administration systems.
• Support the delivery of contracts and letters of agreement.
• Support recruitment and onboarding processes.
• Support accommodation, travel, logistics, and tour-booking processes.

Salary:  £32,000 per annum

The ideal candidate will have experience of leading and coaching a team supporting people with learning disabilities or another vulnerable client group. Experience of supporting people with high and complex support needs would be an advantage. Key Responsibilities

Partnership liaison and relationship management

• Establish the primary local referral agencies and build and implement a strategy for developing relationships with them to ensure recruitment of young people onto the Spear programme is effective
• Maintain and develop relationships with local partners to form a strong referral network.

Oversight of Spear Programme

• As a confident communicator, you will lead group sessions of around 10 young people each, using coaching skills to transform attitudes to their own ability and the workplace, and to raise their awareness and maximise potential in stepping into the world of work
• Prepare and coach group and 1-1 sessions with the Spear Coach
• Ensure the programme is delivered in line with agreed targets, and report KPIs on recruitment, retention and completion of Spear Trainees to Resurgo and the Spear Trust, as well as their ongoing progress and sustainment of work or education.

Line Management and training

• Manage the Spear Coach, using a coaching approach to invest in their growth and development
• Be line managed by Resurgo to support with the set-up and ongoing operations of the centre and report back on KPIs.

Church Community

• The Spear Centre Manager is directly employed by Alive Church, meaning you are part of a vibrant church staff team and submerged in an exciting faith community
• You will be required to establish strong relationships with key people at the church to ensure the engagement and backing of church members and help the Spear Coach to establish a strong presence at the church to build a network of supporters for the Spear programme
• Ensure the Spear programme is a key missional feature of the work of the church; this may involve attending church events and speaking at services.

Site management and set-up

• Work with the Church to set up the training room and IT infrastructure for the new Spear Centre in advance of opening

Key Responsibilities

This is an opportunity to join Refuge as a Service Manager to support women and children who are impacted by domestic abuse and other gender-based crimes. In this role you will provide line management and support to staff who work with and help women and their children who have experienced domestic abuse and are staying in our Lambeth refuges. Our Lambeth refuges are culturally specific services for women and children of African and Caribbean heritage. Administration and Systems Manager

We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18.  We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.

About Help

Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.

This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client. 

The blend of low-cost and long-term talking therapy is much needed in a time of increasing demand for mental health support and increasing complexity of presenting issues.

About the job

The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. The objective being to ensure that we meet our monthly targets, are compliant with the requirements of BACP, run efficiently and deal with exceptions in a timely, ethical, and effective manner.

Currently our client volumes are between 250-350, we have approximately 90 counsellors and clinical team of approximately 20. 

We operate a number of cloud-based IT systems and have outsourced HR and Finance functions.

The Candidate

Education & experience: 5-6 years’ administrative, operations, customer service and supervisory experience, ideally within the charity or not-for-profit sector.  

Skills:

· Ability to analyse information and develop practical solutions.
Planning, critical thinking, problem solving, and task and time management skills.

· Interpersonal, line management, coaching, and verbal and written communication skills.

· Technical expert on MS Office suite and hands-on experience of CRM and / or clinical management system.

· Knowledge / experience of JotForm (Powerforms or equivalent), Stripe and DocuSign will be advantageous.

The role

The Operations Administrator will support the Ada Lovelace Institute in the management of processes relating to finance, human resources, grants, and information administration.

The role will build strong relationships with the Nuffield Foundation’s HR, Finance and IT functions to help ensure shared processes are administered. Additionally, the Operations Administrator will work closely with staff across Ada, making sure it is a collaborative and supportive place to work.

The Role

• Managing a small team of ASB caseworkers including performance management, monitoring and support
• Responsible for allocating cases within the team and analysing statistics and data in order to monitor daily caseloads against resources and look for trends/ pattern of behaviour

• Playing a lead role in developing VS’s ASB work at both local and national levels
• When the service requires, holding a small caseload providing high quality support to service users in line with VS policies and operating procedures.

The role is home-based within Devon and Cornwall and therefore is open to applicants who both live in this area and have access to an appropriately confidential space in which to work.  Regular travel within working hours will be expected across Devon and Cornwall to fulfil the role and travel expenses are paid.  Core service hours are between 9am – 5pm, with the expectation to flex to need where required, managed within flexible working arrangements.

Overall Purpose of Role

Key Responsibilities

Finance

• Lead and manage Finance and Procurement, ensuring value for money, maximising financial efficiency through accurate and timely financial reporting and analysis to inform decision making and projections related to the operational and financial functioning of Saint Paul’s.
• P&L reporting and responsibility.
• Managing and supporting the Finance Manager.
• Managing Payroll alongside Finance Manager.
• Overseeing gift days.

HR & Team

· Monitoring of Citrus HR to ensure all team are using the programme to its full ability.

· Leading on our Carbon Net Zero journey.

· Business Continuity and Disaster Management Plan reviewing to ensure risk management/mitigation.

Other

· Strategic management of the Saint Paul’s Centre and all business related to it, ensuring we meet our targets and ensuring good working relationships with clients to help secure repeat business from large clients.

· Oversight of the café, helping to improve our offerings and ensure management of the team and operational effectiveness.

Essential Skills, Knowledge and Experience

You will be flexible and able to work dynamically to respond to needs as they arise, whilst keeping a strategic eye on upcoming opportunities and challenges. As a Community Shop Manager for St Giles Hospice you will lead a team of paid staff and volunteers. You’ll be empowered to make decisions locally whilst working within a supportive framework.
