Purpose of the Job
This is a key role within a small and busy finance team. The postholder is responsible for a range of transaction processing and finance administration; mostly focused on purchase ledger, sales ledger, assisting with the month-end process, and plays a vital role in upholding HFEH Mind’s financial controls.
Working closely with the Finance Manager, the Finance Officer will also need to communicate effectively with staff across the organisation and a wide range of suppliers to help resolve queries and ensure that the purchase and sales ledger processes are operating efficiently and effectively. Excellent organisational skills, the ability to prioritise to achieve internal reporting deadlines, and meticulous attention to detail, are critical for this role.
Job Description
Purchase and payments
- Ensure all invoices, expenses and credit notes received are processed following the agreed systems and controls.
- Process invoices and expenses into the accounting system.
- Creation of twice weekly and ad-hoc pay runs.
- Process and pay file generated into the bank software.
- Produce and send out remittances.
- Aged creditors review monthly
- Oversee that authorisation processes are being followed by staff.
- Process staff expense claims following the agreed systems and controls.
- Organise and process occasional cash floats and petty cash, ensuring unspent cash is accounted for and all transactions evidenced and recorded.
Card purchases
- Oversee day to day administration of card purchases, ensuring cardholders upload receipts and code transactions by the stated month end deadlines.
- Transfer fully evidenced and coded transactions from credit card template to Sage
- Reconcile transactions to the bank statements
Sales
- Raise sales invoices as requested and per income schedule.
- Sending out sales invoices to customers.
- Creation of a debtors report twice a month and distribute.
- Coordinate with operational staff for the recovery of debt; escalating in line with procedures.
- Posting cash receipts and allocate to the relevant invoice.
- Aged debts management
Banking
- Reconcile banking on a timely basis
- Post direct debit payments
Inbox management and other queries
- Daily review of new messages received into the finance email inbox from staff, suppliers and other parties, dealing with queries directly where possible.
- Be especially vigilant about phishing, Malware / spam emails which are common in generically named inboxes and following all data protection guidance given.
- For more involved queries, liaise with and assist other finance team members to resolve them appropriately; maintain responsibility for ensuring they are resolved.
- Excellent organisation and administration of both inboxes, to ensure the status of queries is clear at all times and appropriate records are kept on file.
Other regular tasks
- Support the Finance Manager with weekly payroll administration, for example communications with staff members regarding timesheets and new starter information.
- Pay cheques and cash into the bank account, including accurate completion of banking.
- Withdraw cash from the bank as necessary
- Lead on ensuring the digital filing structure is adhered to and support the rest of the team with scanning and filing as needed.
- Lead on the archiving of paper documents stored in the office.
- Assist with other tasks appropriate to your level of training where needed, to help ensure that the finance function operates effectively, including providing cover where staff are sick or taking annual leave.
- Work to the month end deadlines agreed within the finance team, to ensure timely production of management accounts and internal reports.
- Take responsibility for your continuous professional development, ensuring you maintain up to date knowledge of relevant financial legislation, accounting standards, good practice and new initiatives as relevant to the Mental Health and charity sectors.

OPERATIONS MANAGER - ROLE RESPONSIBILITIES
The Operations Manager is a key support for the church’s leadership and heads the staff team providing management over key operational and missional areas of the church’s activities.
This leadership role supports the ethos and ministries of the church and its mission to be a church for the community - discovering Jesus, sharing God’s love, and caring for those in need.
A vital aim for our church’s work in the local community is that our staff relationships, our Venue ministry, our Christian hospitality and how we use and share our building should all reflect God’s character - showing compassion, generosity, and kindness.
The role has a lot of different components, so we’re looking for someone who sees all aspects of this job as an expression of the church’s mission to proclaim the Good News and will facilitate and serve the congregation, the staff and the volunteer teams as they creatively explore ways to express our Christian ethos through the life and ministries of the church. This therefore requires that they are someone who has a mature Christian faith.
They will need to be a “servant“ leader who is mentally agile, energetic, able to schedule and prioritise, a good delegator, a team player, a quick learner and capable of taking initiatives, with a healthy understanding of self-care - we’re not looking for a “hero”, but someone who can work sustainability.
Leadership:
- Work closely with the church leadership team to support the trustees, staff and congregation in the development of church vision, ethos, mission and ministries.
- Create a positive, Christian work environment, and cultivate supportive team working relationships and working practices that align with the church’s mission.
- Lead the staff team, providing effective leadership, management, administration, recruitment, and staff development. Facilitate the team as they represent the church’s values in the day-to-day open house ministries of the church.

Building Management:
- Support and develop initiatives that enable every aspect of the building's use, welcome and presentation to be missional.

- Coordinate with the Estate Manager to develop long-term maintenance plans for the common parts areas of the building.
- Provide the Trustees with regular building management reports.
Compliance and Legal Administration:
Provide effective management, administration, organisation, and compliance with UK laws, for:
- The maintenance of a safe and healthy working environment.
- Safeguarding, equality and inclusion.
- HR matters including safe recruitment, induction, training and employee development.
- GDPR
- Matters relating to Westbourne Grove CIO charity’s Trust Deeds, Constitution and Church Rules, and leasehold responsibilities.
- Requirements as a registered charity (CIO) including timely submission of reports to the Charity Commission.
- Develop and implement policies, risk assessments and safe working procedures and keep them regularly updated and reviewed. Ensure policies and safe working practices are adhered to.
- Provide adequate information, training and supervision to ensure employees and volunteers are competent to do their work.
- Lead in communications with the freeholder, the management company, the estate manager, and church tenants. Oversee any necessary legal input for decision-making and work closely with the WGC Trustees, and external organisations on decisions relating to the common parts of the building.
- Keep administrative records. Provide reports for the Trustees.
Administrative Services and Support:
- Provide administrative support for the Ministers. Develop and maintain administrative, organisational, communications systems and record keeping procedures for the church’s general administration. Maintain membership and constitutional records.
- Administrate the church's IT infrastructure, broadband, phone systems, and utilities accounts and ensure they meet the operational needs of the building and its ministries.
- Assist the Venue Manager to develop and maintain suitable and effective systems, strategy, pricing, communications, contract management, staffing and customer relations.
- Develop the church’s visibility and profile in the community using the church’s website, social media, ArtSpace, and missional displays and exhibitions, ensuring these align with the church’s ethos and mission.
Financial Oversight:
- Oversee provision of financial management information to Leadership team and Trustees, including budgeting, salaries, financial reports, end-of-year statements. Support them in developing financial strategies and policies.
- Oversee the accurate functioning of church financial systems, controls and procedures. Monitor and administrate reserves and investments.
- Ensure WGC's financial practices comply with UK charity regulations. Assist with the filing of the accounts and annual report to the Charity Commission.
Provide financial oversight, management, and support for:
- Venue ministry finances, pricing and strategy
- Finance Administration - ensure all financial records, payroll, pension administration, invoices, and reports are accurate and timely. Authorise payments.
- Manage the buildings budget including liaising with the Estate Manager regarding common parts expenditure.
- Financial interactions with lease and licence holders including new leases, rent reviews, break clauses and lease renewals, insurance contributions.

Who we are
The Manna Society is an ecumenical Christian organisation and registered Charity. It runs the Manna Day Centre at 12 Melior Street, London, SE1 3QP, the largest day centre working with homeless & vulnerable people in the London Borough of Southwark.
What we do
The Manna Day Centre, a drop-in Centre for homeless and long-term unemployed single men and women, is run by a team of project workers under the Director, who are responsible for its smooth operation. Basic Services offered include food, showers, clothing, housing & welfare advice, medical care, and access to laptops. The Centre opens to the service users 7 days a week, 8.30 a.m. – 1.30 p.m.
The Advice & Welfare team functions centre around finding accommodation, welfare benefits, debt management, sustainment of tenancies and support in becoming “job-ready”. Clients may approach us with other issues, and it will be the Advice & Welfare team’s collective responsibility to decide whether the matter can be managed within the team or requires external input/expertise e.g. immigration issues and refer/signpost accordingly. The focus is on delivering practical solutions to client issues.
Our advice sessions run from 9.30 am to 1.30 pm. The sessions offer a mix of appointments and drop-in opportunities for existing users of the Advice & Welfare service and those who are new to the service
Working Hours
The working week for this particular post is Monday to Friday, 9.00 a.m. to 4.00 p.m. each day. Annual leave is 25 days plus time in lieu of bank holidays worked. The annual salary for this post ranges from £33,775 to to £41,359. The starting salary will be dependent on your experience.

Responsibilities – Administration
As the senior worker in the team, you will be expected to assume responsibility/provide support in the following areas:
a) Providing statistical analysis and reporting as required by LB Southwark grant which supports the cost of running the Advice & Welfare team in part
b) Providing ad-hoc reports/case studies to support external grant applications on behalf of the society
c) Support the Safeguarding Lead (the Director) in producing the Safeguarding policy and associated materials, ensure that the Advice & Welfare Team have up to date Safeguarding and Prevent training
d) Manage all formal Subject Access requests in line with the Data Protection Act 2018 and support members of the team undertaking SARs on behalf of Advice & Welfare clients
e) Manage and disseminate all private rented property vacancies to the curated list of recipients on a daily basis
f) Assume responsibility for the database to maximise efficiency and ensure that all records are maintained to enable production of reports
g) Maintain all grant spreadsheets for accuracy and in readiness for annual accounts/audits
h) Be responsible for managing regular Advice & Welfare meetings and subsequent actions arising from those meetings
i) Prepare Advice and Welfare presentations for bi-monthly management committee and attend said meetings

Back Up’s Family Support Service is there to help. We enable a wide range of family members of all ages whose loved one is affected by spinal cord injury (SCI) to improve their wellbeing, build a support network and transform their lives through Back Up’s services.
The Family Support Coordinator will assist in supporting family members on an individual basis as well as in group settings as appropriate, together with providing support in the process of identifying, recruiting and training new family support volunteers.
A Family Support Coordinator will be comfortable and efficient with data management and GDPR compliance.
Lived experience of having a relative with SCI is essential, together with sharing our commitment to transform the lives of everyone affected by spinal cord injury.

Volunteering Matters works with around 5,000 volunteers, 7,500 beneficiaries and 60 projects throughout England, Scotland and Wales each year. At present, records are locally managed, relying on project-based IT solutions to record and report on activities. To improve our efficiency in this area, we will be introducing a new digital platform for use across our work. In spring 2025, we will be inviting potential providers to tender, asking them to tell us how they can work with us to develop an organisational-wide digital management tool that helps us manage our volunteers and activities more effectively.
In this role, you will operationally manage the activities and tasks outlined in the CRM project plan, working closely with the Head of Volunteering & Engagement, the CRM Strategic group and the CRM Working group. The project plan includes four stages: (1) Understanding/prioritising our organisational needs, (2) Mapping potential providers, (3) Commissioning and deciding on a provider, (4) Implementation of a new system. We are currently at Stage 2, moving into Stage 3.
This is a fixed term role with a two-year commitment (18 month contract) and delivery plan. You will work closely with the National Volunteer Engagement Manager to help embed the new VMS or CRM across our delivery team, working practically and equitably with colleagues to understand any individual challenges or needs and finding appropriate ways to support them.
We’re looking for a highly organised and proactive CRM Project Manager to lead the next phase of our CRM development project.
You’ll operationally manage the delivery of our CRM plan, support the commissioning of a new system, and develop and drive forward a clear implementation strategy. You’ll work closely with internal teams and external providers to ensure smooth delivery, while coordinating training, ensuring compliance, and embedding inclusive practices.

Ashinaga UK is seeking a driven, proactive and detailed-oriented Operations Manager to join our team. This part-time role (4 days per week) is an excellent opportunity for a professional who thrives in a dynamic, mission-driven environment. The Operations Manager will play a key role in ensuring the smooth running of Ashinaga UK, supporting internal administrative, financial, compliance, student recruitment and programming functions as we aim to empower future Young Leaders for Africa through the Ashinaga Africa Initiative (AAI). The Operations Manager will work closely with the Managing Director, Programme Manager and Partnerships Manager to ensure the organisation runs effectively and efficiently. The Ashinaga UK team is small but motivated to see orphaned youth empowered.

The Ashinaga movement was founded in Japan in the 1960s and has since expanded across the globe, empowering over 110,000 orphaned youth with access to education and support to achieve their full potential. Key Responsibilities
- Work closely with the Managing Director to ensure efficient operations and resource management.
- Support the team in executing strategy, scholarship programmes, and fundraising initiatives.
- Develop and optimise operational processes for efficiency and compliance.
- Lead on financial administration, including processing invoices, expense tracking, liaising with accountants and budget forecasting.
- Coordinate outsourced support including Bookkeeping & Accounting, Audit, IT, and act as organisation’s key point of contact.
- Programme operations related to scholarship events, such as logistical support, coordinating travel and accommodation for Scholars and staff, administrative tasks, and summer internship grant approvals.
- Support scholarship recruitment, including application assessment, interviews, and liaising with university partners.
- Manage digital systems (CRM, project management tools) and data for both internal and Scholar use.
- Lead data management and support various reporting requirements (Trustees, Donors, Charity Commission).
- Support the Director to ensure compliance with charity regulations, health and safety standards, GDPR, and risk management.
Essential Criteria
- Right to work in the UK. Unfortunately, we are not able to sponsor visas.
- Role is based in London, however applicants throughout the UK are encouraged to apply. The role requires travelling to London or elsewhere in the UK from time to time.
- Availability to work weekends on the rare occasion, such as for our annual student leadership events.
- Strong administrative and strategic experience.
Desired Criteria
- Previous EA, Office Manager, Admin Manager, and/or Operations experienece
- Knowledge of charity law and regulations.
- Bookkeeping and financial reporting experience.
- Experience coordinating or supporting with events, such as charity programmes, donor receptions, corporate sponsor events, and webinars.
- Ability to manage multiple complex projects simultaneously, ensuring timely delivery and alignment with organisational objectives.
- Able to efficiently use a wide range of online tools, including spreadsheets, databases, and cloud-based applications.
- Experience using CRM systems to manage and analyse data and produce reports.
- Fundraising or programme management experience is a plus.
