We seek a highly capable Membership and Office Administrator to support the work of the Society’s professional Office based at University College London.

The role will focus primarily on supporting and communicating with the Society’s extensive membership, which largely comprises practising historians in higher education and other sectors, as well as prospective members, applicants for the Society’s extensive research funding programme, and members of the public.

The role holder will report to the Membership and Programmes Manager and will also assist in the running of the Society’s research funding schemes. This is a hybrid position which supports home / remote working as the predominant model. As part of a small Office team, the post holder will in addition assist with the administration and efficient running of the Office on a daily basis. Position Title: Helpline Supervisor

Role Purpose:

The Helpline Supervisor will provide support, guidance and supervise the helpline advisors and in the future helpline volunteers. The role will further provide emotional support and debriefing for the helpline advisors and volunteers during each helpline shift and when appropriate after each reported incident. They will also oversee the quality of service and ensure each report is dealt with appropriately to a high standard and that reports are logged appropriately recording all relevant information, ensuring data is protected and all procedures are followed.

Role Responsibilities:

• Provide day-to-day supervision, guidance and emotional support to helpline advisors.
   

• Monitor call logs, case records, and system reports to ensure quality and flag complex or urgent cases.

Fine Cell Work (FCW) is a charity and creative social enterprise committed to the rehabilitation of people in prison, and post-release. Our innovative Open the Gate (OTG) programme at our Battersea Hub offers work experience, volunteering opportunities, accredited training, mentoring, and signposting support to participants/ Apprentices at any point on their resettlement journey.

About the role:

We are now looking for an experienced and dynamic Engagement and Support Officer (ESO) to join our team. The successful candidate will have a comprehensive understanding of the challenges faced by people in contact with the criminal justice system and will work proactively to establish meaningful and sustainable cross-referral pathways with external agencies. They will nurture a professional, inclusive, and safe working environment; use their knowledge, insights, and expertise to support tangible outcomes for all Open The Gate participants; and develop the wider programme offer in line with our organisational objectives.

1. Nurturing a professional working environment where Open The Gate Apprentices are supported to achieve their potential.

6. Case management of Apprentices, including action-planning and goal setting in consultation with the Workshops Manager, supporting Apprentices to achieve work-ready outcomes in an agreed period.

7. Providing day to day practical, pastoral, and sign-posting support to a caseload of Apprentices and providing ad-hoc support to graduate Apprentices when required.

8. Working with the wider team at Fine Cell Work to develop and coordinate a series of employability and creative wellbeing workshops for Apprentices.

9. Supporting small grant application processes on behalf of Apprentices.

10. Responding to safeguarding concerns in line with Fine Cell Work policy and procedure.

What the job involves
We’re looking for a brilliant and proactive Senior Copywriting Officer to lead the creation of compelling written content that engages our audiences, strengthens our brand voice, and helps raise vital funds to support men with, or at risk of, prostate cancer.

As our in-house copywriting expert, you’ll help shape messaging and creative direction for products and campaigns and play a key role in shaping our tone of voice across all communication. You’ll review and edit content, support colleagues to build their confidence and capability, and ensure everything we publish is clear, consistent and impactful.

You’ll take the lead on developing content and writing for key long-form products – including our supporter magazine, impact report and direct marketing appeals – transforming briefs into emotionally resonant, insight-led copy that drives supporter action across both print and digital channels.

The ideal candidate will understand the impact of trauma on behaviour and be skilled in using effective de-escalation and engagement techniques. They should be able to work both independently and collaboratively, with a commitment to co-production.

They must be capable of assessing different learning styles and adapting training to suit varied needs, producing clear and accessible training materials. Strong IT skills are required, including proficiency in MS Word, Excel, PowerPoint, Outlook, and internet use, alongside excellent literacy and numeracy for accurate case notes, advocacy, reporting, and monitoring.

The candidate should be confident engaging with diverse audiences and have a sound understanding of safeguarding, with the ability to respond appropriately.

Role description and core responsibilities 

The Office and IT Assistant plays a key role in the Foundation supporting a busy office, as well as providing hands on support to IT function.

This role goes beyond simply checking off tasks - It is about being confident, approachable, and unafraid to speak up when needed (yes, even with a lighthearted “Hey! Who left their mug in the sink?”).

Office Administration

· Act as first point of contact for general operational enquiries

· Manage post, deliveries and couriers for the Foundation

· Ensure that the office facilities are maintained to the highest of standards and any issues identified are escalated promptly and resolved

· Responsible for ensuring office supplies are maintained and ordered as required

· Responsible for reporting and following up with all office faults/issues to the Facilities Management Helpdesk

· Support office health and safety, including undertaking first aid and fire warden training

· Support Director of Finance and Operations and the Finance team with occasional ad hoc administration tasks as required

· Other general administrative support as required

IT Support

· Liaise with outsourced IT Support for devices setup for new and existing users

· Manage mobile phones for the Foundation

· Manage IT equipment (including Photocopier contract, AV Equipment) at the office and raise any faults with the relevant stakeholder

· Support the Business and Governance Manager with any other IT management as required

· Support Salesforce CRM Administrator with basic Salesforce administrative tasks

· Assist in the coordination of daily operational tasks and processes

· Maintain accurate records and ensure timely processing of orders, invoices, and inventory management

· Liaise with internal teams, suppliers, and customers to ensure smooth communication and operations

Relevant knowledge, experience and personal qualities

· Significant office administration experience ideally with broader experience in at facilities management and IT

· Demonstrable experience dealing with stakeholders at all levels

· Strong IT skills are essential, particularly with Microsoft Office 365, Windows, macOS

· Salesforce CRM experience is desirable.

Churches Conservation Trust (CCT) is the national charity caring for historic churches at risk. As the operator of the third largest heritage estate in charitable ownership in the UK, our 356 historic churches include examples of irreplaceable architecture, archaeology and art from 1,000 years of English history.

CCT has an international award-winning reputation in heritage conservation and regeneration. All churches in our care are listed, mostly Grade I and II*, and some are Scheduled Ancient Monuments.

Without our care, these buildings might have disappeared entirely. Instead, they are enjoyed as social, tourism, educational and cultural resources, kept open, in use, and living once again in the heart of their communities.

Overall job purpose

The future of CCT’s outstanding collection of historic churches depends on us supporting communities around our churches caring for, opening, using and raising money for them. The Lead Local Community Officer will play the prime role in ensuring that local people are engaged, recruited, trained and supported.

The Lead Local Community Officer will lead the regional team of Local Community Officers to support, recruit, liaise with and develop volunteer and community supporters to care, open, use and raise money for the CCT’s collection of historic churches.

They will head the Church Planning process for the region, ensuring every church maintains and develops their co-created Church Plan.

The Operations Administrator will work closely with the broader Operations team to provide centralised communication and administrative support, and effective coordination across all aspects of the work of the Operations team.

As this role is central to the work of the Operations team, the person will need to be proactive, organised, and able to juggle multiple tasks and deadlines. As well as being the key link between the Operations team and the Research and Communication teams, they will need to be able to work well with the wider organisation and provide excellent customer service to a variety of stakeholders globally. A key focus of the role will be to ensure data accuracy across a variety of platforms, drafting and coordinating centralised communications with Operators, and support reporting on the activities of the Operations team. The successful candidate will not only have strong administrative skills and experience but will also have strong experience within communications and/or research.

Key responsibilities:

Communications:

• Coordinate central communications for all Operators including production of newsletters, sharing Award Community updates and annual reminders.
• In conjunction with the relevant Senior Manager, plan and deliver the annual communications calendar for each Operator.
• Being the key link between the Operations and Communications teams.

Centralised administration:

• Alongside colleagues, provide administrative services to the Operations team responsible for the management of all Operators.
• Maintain and report on the Annual Operations Calendar.
• Coordinate Operations team meetings.

Data/reporting:

• Ensure data accuracy across various platforms, including but not limited to Salesforce, our website, and the Award Community (our online learning platform).
• Manage the structure and storage of records on the Shared Drive for the Operations Team.
• Produce and share regular reports with the Operations Team and the wider Foundation.

Licensing & quality:

• Fulfil the role of lead reviewer on licence reviews for all Operators.
• Support the Licensing team with coordination of licence reviews for all operators.
• Support the onboarding of new Operators including, but not limited to, issuing licence certificates.
• Support coordination of annual policy review.
• Support coordination of the Operator Annual Reporting process.
• Manage the coordination of the external activity provider processes and ensure the published list is accurate and up to date.

Operations/programme/growth:

• Support Operations Managers to process Award authorisations for IACs.
• Support the administration of Operator events including centralised coordination activities such as setting up virtual meetings, producing event calendars etc.
• Research new prospect Operating Partners.
• Support with the coordination of the three funds grants.
• Support the administration of training events including processing applications, updating dashboards and releasing certificates.
