PURPOSE OF THE ROLE
To work as part of a referrals & screening team to ensure that bids and quotes and referrals are progressed to service. Supporting referrals and contracts manager with contract control and invoicing.
MAIN DUTIES AND RESPONSIBILITIES
There are 3 posts for this role. Specific duties and responsibilities will vary across the roles, but may include:
•Work as part of the referrals and screening team, managing the relevant inboxes and ensuring that emails are answered, filed and tracked appropriately to referrals and invoice contact sheets, Evide and family email folders.
•Co-ordinate referral and screening forms with service users.
•Manage an appointment booking system for initial appointments and MDT meetings.
•Ensure SLAs and outcome measures are sent out and returns recorded.
•Manage the closing down notification process, including final outcome measures, and CMS close down.
•Work with the referrals and contracts manager to build bids, quotes, ASGSF applications and invoice processes for bespoke work.
•Ensure outcome measures are sent out and logged on return, shared with referrers where relevant.
•To support the referrals and contracts manager with the document control of forms, process guidance notes.
•Maintaining the outcome measures menu under the supervision of the clinical lead
•Liaising with referrers and service users to gather relevant background information and ensure these are stored appropriately.
•Monitor deadlines for clinical reports/letters in line with KPIs, and store/distribute as required.
•To catalogue new referrals on Path recording systems and set up appropriate files.
•To prepare the screening meeting agenda and record actions.
•To set up families on Case Management system and notify referrers of decisions as appropriate.
•To coordinate and monitor progress of actions recorded at screening meeting and liaise with colleagues as appropriate.
•To ensure that referral and screening administration documents are accurate and up to date.
•Ensure all communication is recorded on our systems.
•Liaising with service users / referring agencies as required to ensure customer service standards are maintained.
•Provide general administrative services to the Path Team as required.
•Work as part of the Path Team, providing cover and assistance as required.
•Work as part of the wider Path Team in continuous improvement initiatives.
•Working as part of the Path Team to ensure GDPR compliance across team processes
•To work to KPI targets as agreed for referrals and contracts team

Skills & Knowledge:

You will be responsible for the operational delivery of our family accommodation service, including the management of the housekeeping team, and you will ensure that all families receive a warm welcome, and experience first-rate accommodation during their stay.

Key tasks:
Providing a high-quality accommodation experience
· Deliver high-quality accommodation service on a daily basis
· Build and maintain relationships with key staff at each hospital to ensure open communication and alignment to deliver a compliant, safe and high-quality accommodation service
· Undertake daily liaison with key ward/hospital staff to agree allocation of available accommodation
· Work closely with the hospital staff to manage any concerns arising
· Ensure accommodation is allocated in line with the Grand Appeal strategy, policies and procedures
· Provide a warm welcome and induction for guests on arrival and provide ongoing support during their stay
· Regularly review all guest materials to ensure impact and accuracy
· Develop strong relationships with guests during their stay and provide engaging information about the charity and encourage future fundraising and support

Operational management
· Work closely to support the wider Operations and Services Team

· Manage the annual accommodation budget and ensure effective procurement practices are in place and implemented
· Manage, review and suggest improvements to the Grand Appeal’s standard operating procedures for family accommodation
· On an interim basis, work with the wider team to provide whatever support is required for the servicing, maintenance and testing requirements for the accommodation e.g. fire checks and alarm servicing
Income generation and team working
· Work collaboratively to ensure all touch points for income generation are presented
· Encourage donations and fundraising from guests and provide relevant information on ways they can support the charity
· Make introductions to the wider fundraising team
· Support Grand Appeal events including representing the charity at events as required
· Act as an advocate and spokesperson for the charity, to support media requests and donor visits
· Support the marketing and communications team to help identify suitable guests to be involved in future media requests and/or case studies
Other tasks
· Keep abreast of governance requirements pursuant to all charity activity, including but not limited to the Charities Act, Fundraising Regulator, Institute of Fundraising Code of Practice, Gambling Commission and General Data Protection Regulation.
· Carry out other tasks and duties as required, to support colleagues across the organisation.

The post holder will be working with socially isolated individuals to identify meaningfully enriching opportunities to reduce feelings of loneliness, some of whom may have complex and challenging welfare needs, to develop actions plans and coordinate support to overcome any barriers preventing successful connection into these enriching opportunities, assisting them by identifying appropriate support from within the RAF Benevolent Fund and the wider statutory and military charity sector.
The successful candidate will have experience of working in a social welfare role supporting individuals, have strong people and relationship-building skills, as well as empathy with or understanding of the issues affecting the Armed Forces community. Individuals with a social prescribing or working aged veteran support background are encouraged to apply.
This is a community-based position working from home but covering Hampshire, Wiltshire and West Sussex, delivering both remote and face to face support. The National Lottery Community Fund is recruiting for two External Affairs Officers, key roles in our External Affairs Team within our newly restructured communications function.
The External Affairs Officer role is part of our ambitious transformation as we implement a significant pivot in our communications approach – building on our support for grant-making to demonstrate the powerful impact communities have in strengthening society and improving lives.
You will help position the Fund as a convening force in civil society, supporting our sectoral and political engagement during a time of exciting change.
Working across the External Affairs team, you will research and analyse policy, political and sectoral developments that affect our work, helping create clear briefings for meetings and events and arranging visits as appropriate. By horizon scanning and monitoring the external landscape, you will help the Fund respond proactively and effectively to emerging issues.
You will build and maintain relationships with parliamentary staff, officials and sector peers. Your research and analysis will strengthen our policy positions and advocacy work.
Our External Affairs Officers play an important role in supporting the External Affairs team to deliver an effective, insight-driven strategy that articulates the Fund's missions (nationally and regionally) to critical stakeholders across the UK.
Key responsibilities :
- Responsible for providing public affairs, policy and stakeholder engagement support across the External Affairs team, working on the development and delivery of our External Affairs plan, including management and delivery of events.
- Lead the development of briefings and other assets to support the delivery of external affairs work through high quality research and analysis
- Monitor the external political and policy landscape for developments that are relevant to the Fund and advise colleagues on these as appropriate
- Represent the Fund at networking and stakeholder events
- Develop a network of key internal and external contacts in the public affairs and policy space to further the Fund's aims
- Work collaboratively with the other External Affairs Officers to share skills and intelligence
- Cross-collaboration with the Communications Strategy and External Affairs teams to ensure our engagement strategy across the full communications function (media, corporate communications, brand, campaigns and public affairs) is impactful and cohesive

Purpose of the post
The Engagement and Involvement Lead will engage with young people, families, schools and other interest-holders in the process of designing, delivering and ensuring the best outputs from the Adolescent Health Study, and is critical for the success of the project. We are at the early stages of laying the foundations for this and in this new role we are seeking an experienced and passionate individual to co-ordinate and lead AHS’s cross-UK participant and public involvement and engagement activities.
This is a role that requires high levels of confidence, autonomy, enthusiasm and skill. The postholder will be responsible for delivering the project’s new Engagement and Involvement Strategy, including: establishing and coordinating a Young Persons’ Advisory Group for AHS; developing and delivering AHS public engagement and involvement activities; outsourcing and supervising engagement and involvement activities that are better provided by external partners; scoping and advising on which routes for involvement and engagement activities are best suited to different tasks.

- Knowledge of fund accounting and Gift Aid
- Part-qualified or fully qualified (e.g. AAT) or qualified by experience
- Familiarity with CRM systems such as Beacon
- Intermediate Excel skills (lookups, pivot tables, filtering)
