We are seeking an enthusiastic and agile manager who will be at the heart of the organisation and will lead a small team of qualified tutors and volunteers in continuing to provide high quality experiences for the people who attend. Stepping Stones is a community that loves to socialise and learn new skills together. Our current programme includes art, dance, drama and music, together with digital skills and cooking.

This role is responsible for strategic development with the guidance of the Board of Trustees, income generation, and the management of all aspects of service delivery. It is our intention to appoint a new post of Activity Co-ordinator to support the Charity Manager as budgets allow. You will play an active part in designing this role so that it enhances our delivery and increases capacity within the organisation.

Our experience during the pandemic and consequently, has shown us that being together in real life is an essential element of our offer to the people who attend Stepping Stones and so this post requires a physical presence preferably 3 days per week during the period when classes are running (30 weeks per year).  We are open in our approach to recruitment and are keen to support the right candidate to flourish. This means that we are happy to consider flexible working hours and an annualised hours contract if this supports your work life balance.

ABOUT YOU
You will build good working relationships with all stakeholders including the people who attend our classes, their network of support (including support workers, carers and family members), funders, partners and the local community. Reporting directly to the Board of Trustees, you will be comfortable working with autonomy. You will be a strong team leader, proactive problem solver, and confident making decisions for the good of the organisation. Whilst the role demands strategic thinking and planning, it also requires you to be visible and accessible. You will sometimes contribute to activities when time allows, for example, in pilot phases of new classes

Stepping Stones is a thriving, longstanding and highly valued community organisation. We have delivered activities for over 30 years and our weekly classes are an important part of the lives of people who attend.

Our main delivery is a timetable of up to 14 weekly classes from our base in a multipurpose community centre. We also have activities off site including gardening at a local allotment and music and art classes at a day centre and residential home. Each week over 100 people benefit from our activities.

This role requires experience of assisting in managing a shop including knowledge of retail and health and safety legislation and administrative/cash handling experience.

You will also have an ability to deal with customers and maintaining a high level of customer service, have good verbal, written communication skills, as well as being comfortable using IT and EPOS reporting. You will have an ability to motivate yourself and others, have excellent organisational skills and be comfortable working under pressure and dealing with changing priorities.

Programme Manager role

We are now looking for an enthusiastic and committed Programme Manager(s) to join our existing Programme Team in September 2024 on a full or part-time basis (6-month fixed-term with potential to extend).  As a Programme Manager, you will be responsible for managing the Yes Futures programmes in-person, in our partner primary and secondary schools in North London, Essex, Hertfordshire, Bedfordshire & Buckinghamshire.

Main Responsibilities

You will be one of a small team of Programme Managers, dedicated to delivering excellent programmes which make a positive difference to the lives of students.  The main responsibilities of the Programme Manager role are:

Programme delivery

• Responsible for the care and wellbeing of all students in your schools on the programme;
• Communicating with parents where necessary during the programme, by email, letter and telephone;
• Planning and delivering whole-group workshops for students;
• Planning and delivering information and celebration events for students and parents;
• Facilitating the in-person and online volunteer coaching team to deliver student coaching sessions. As well as delivering coaching sessions to students, where required;
• Developing business and charity partnerships for day trips;
• Planning and delivering the day trips included in the programme;
• Supporting the planning and delivery of the Into the Wild and World of Work day trips;
• Implementing discipline procedures, including reporting serious discipline issues;
• Implementing all necessary Health and Safety and Child Protection procedures, including recording and reporting any incidents;
• Ongoing communication with the school and Yes Futures head office regarding student engagement and progress.

Organisation and administration

• School onboarding, including ensuring that dates are planned, students are recruited and parental agreements are returned;
• Planning and organising the logistical elements of the programme (timetables, activities, sessions plans etc) through liaising with Yes Futures head office, school staff, businesses, charitable organisations and the rest of the Coaching team;
• Creation of Risk Assessments, parent letters and programme-related documents for schools;
• Sourcing materials needed for programme sessions, including lunches for trips;
• Assisting with finance and petty cash where required.

Management of volunteer Yes Futures Coaches

• Managing and developing the skills of your Coaching teams (usually 2-6 adults per school);
• Ongoing communication with your Coaching teams, to foster their enthusiasm and commitment;
• Supporting Coach recruitment for future programmes;
• Supporting the planning and delivery of training for Coaches;
• Maintaining accurate and secure records of Coaches’ personal information, absences, sickness and other relevant information.

Evaluation and reporting

• Facilitating the pre-, mid- and end of programme evaluations;
• Oversight and input of key student monitoring data and impact data;
• Debriefing and ongoing feedback collection from schools and Coaches;
• Ensure all work is carried out in an effective and timely manner to support continued high standards of the Yes Futures programmes.

Programme Managers will also be given the opportunity to support with other Head Office functions, including but not limited to:

• Strengthening our strategy, programme design and theory of change;
• Supporting the marketing of Yes Futures to new schools and customers;
• Developing our fundraising strategy through bid writing and other fundraising tasks;
• Establishing relationships with key partner organisations;
• Planning our future Ambassador offer and other pilot programmes.

We are looking for an exceptional Centre Manager to help us ensure that everyone who works in and visits our Centre is well looked after and has a fantastic experience. 

The role is based at our beautiful Grade 2 listed building in Southwark. We will consider either a full-time application for a period of maternity cover, or a part-time job share of the role, with the potential to extend beyond the initial period of maternity cover. New Art Exchange (NAE) is a pioneering creative space in Hyson Green, Nottingham. We’re the UK’s largest gallery dedicated to contemporary visual arts from the Global Ethnic Majority. We set out to reshape the contemporary art narrative by championing diversity and inclusivity and by providing a platform for underrepresented voices in the art world. 

Purpose of the role

The Community and Participation Manager will be a key member of NAE’s Neighbourhood’s team, responsible for ensuring the effective planning, coordination, and delivery of a wide range of community projects and events that engage and inspire our local communities (predominantly from the Global Ethnic Majority). Based from within NAE’s purpose built creative space, in the heart of one of Nottingham’s most diverse areas - Hyson Green, the post holder will work with local community partners, schools and other key stakeholders to ensure the community programme is representative of the diverse voices from our local communities and has their involvement through all that we do.

Main duties of the role

With strategic oversight from the Head of Neighbourhood develop and deliver a diverse range of activity with and for the community including (but not limited to) workshops, festivals, conferences, and functions, ensuring they are aligned with NAE’s overall vision, goals and budget.

Supporting the Head of Neighbourhoods to identify and secure external funding opportunities, sponsorships, and partnerships to support the events when required.

Act as lead contact with key stakeholders, including community groups, schools, partners, citizen panels, artists, vendors, and local authorities, to ensure smooth collaboration and communication.

Support the Comms team to develop and implement marketing and promotional strategies to raise awareness of projects and events with a focus on attracting diverse audiences.

Manage budgets and financial reporting for community projects, ensuring that expenses are within budget and that financial records are accurate and up to date. In line with the overarching Neighbourhoods strategy, develop project plans, budgets, and timelines and maintain accurate records.

We're looking for a highly organised, independent and practical individual to join our small team as General Manager. You’ll oversee our core operations, provide support across our innovative programme, and help us to develop longer-term sustainability.

The General Manager will keep core operations running smoothly – across HR, finance and communications – as well as developing the company’s systems and policies to adapt to current and future needs. You’ll also be a key pillar of Coney’s culture and internal communications, fostering a supportive and empowering environment so that staff and freelancers can thrive.

Responsibilities:

HR & Operations

● Manage Coney’s operations, resources and materials to ensure our activities and processes are high-quality, fit for purpose and well-managed.

● Support the Directors to engender positive staff relations and good communication throughout the company, those representing it and its networks.

● Oversee Coney’s remote-working and office systems, including IT systems, schedules and other resources, ensuring that they are fit for purpose and cost-effective.

● Manage Coney’s statutory obligations with Companies House, the Charities Commission and other bodies and regulatory authorities, with support from the Directors.

● Maintain regular communication with Coney’s Trustees, ensuring that Board meetings, minutes, reports and information are prepared effectively and on time. 

Financial

● Manage Coney’s day-to-day financial systems, including making bank payments and managing invoices receivable, supported by the Marketing & Admin Officer.

● Reconcile Coney’s bank accounts and input all financial activity into Quickbooks (including income & expenditure, credit cards, expenses, invoices payable, payments received) against the correct budget lines. 

● Run payroll (including sending payslips and other pay documents, scheduling salary payments and reporting to HMRC) and ensure pensions, PAYE taxes and National Insurance are calculated and paid on time.

● Create and submit quarterly VAT returns using Quickbooks

Stakeholder Management & Fundraising

● Work alongside the JCEOs to maintain high level contact and dialogue with Coney’s key stakeholders.

● Manage Coney’s Friends scheme and support effective communication with funders.

● Alongside the rest of the core team, identify opportunities for fundraising, commercial projects and consultancy, building relationships and contributing to funding proposals as required.

Marketing & Communications

● Support the Marketing & Admin Officer and Executive Programme Director / JCEO to prepare and execute a marketing and communications plan – strategically positioning Coney’s work across communities and sectors.

● Support the Marketing & Admin Officer to ensure regular communication with Coney networks (newsletters, social media and other relationships) and produce effective communication and ticketing systems for events and projects as required.

Terms and benefits:

• Days: 3 or 4 days per week, to be discussed with the candidate.
• Salary: £33,000 - £35,000 FTE, dependent on experience
• Location: Our office is currently a short walk from Aldgate East station, London. We are very open to discuss hybrid working models that work best for the candidate.

About the Finance team

The role will provide support to the Financial Controller in effective stewardship and oversight of all finance functions, with responsibility for ensuring accurate budget holder reporting, project reporting and aid in the production of management accounts.

Working with the Financial Controller and Finance Assistant, this role is essential to the reporting of financial information across the Charity. The Assistant Management Accountant will also support in the delivery of new projects and systems advancements.

About the role

The Assistant Management Accountant is a critical role within the organisation and is being recruited at an exciting time as Kidney Care UK seeks to realise its growth ambitions within its strategy.

The role will provide support to the Financial Controller in effective stewardship and oversight of all finance functions, with responsibility for ensuring accurate budget holder reporting, project reporting and aid in the production of management accounts. This role is essential to the reporting of financial information across the Charity. The Assistant Management Accountant will also support in the delivery of new projects and systems advancements.

In addition the Assistant Management Accountant will help to prepare the Charity’s quarterly VAT returns, ensuring that all transactions have the correct VAT coding. The role will be pivotal in the monthly close down process and ongoing accuracy of the transactions held on the accounting system.

The successful candidate will have excellent communication skills and will be highly organised. The ideal candidate will be able to organise conflicting priorities around the monthly management accounts cycle. They will be flexible and adaptable in their approach to support transformational change in our processes and systems.

Core tasks and responsibilities

• Monthly accounting, budgeting, reporting and analysis:
• Produce monthly budget vs actual variance reports for budget holders.
• Prepare monthly expenditure reports for the patient grants team, reconciling the finance system to the database.
• Prepare and post the weekly income imports from information provided by Fundraising.
• Undertake regular monthly income reconciliations with the Fundraising Team, agreeing the finance system to the database.
• Aid in the month-end closing procedures and prepare the monthly reconciliations required: bank reconciliation, corporate card reconciliations, project reconciliations.
• Ensure that proper procedures are in place and followed for company credit cards, ensure that credit card expenditure is entered and reconciled through the control account and balanced each month.
• Ensure that all transactions are correctly accounted for in respect of VAT.
• Aid in training non-finance staff on ExpenseIn (our expenses management system). Support the Financial Controller in resolving ExpenseIn queries.
• Raise invoices and maintain the sales ledger.
• Covering for the Accounts Assistant on the purchase ledger when required.
• Aid in the monthly payroll process, incorporating a review of the payroll workings and allocation journal prepared by the outsourced payroll function. Ensure that the correct pension deductions are being made and accounted for correctly on the finance system.

Person specification

• Experience of charity accounting and FRS102 SORP requirements
• Knowledge and experience of management accounts
• A good knowledge of VAT
• Robust understanding of financial controls
• Experience of using a range accounting packages
• High degree of proficiency in Microsoft 365
• Excellent written and verbal communication skills. Ability to communicate financial matters to non-financial stakeholders
• Self-motivated individual capable of working on their own and as part of a team
• Ability to manage and prioritise a substantial workload handling issues effectively and efficiently
• Ability to analyse complex problems and interpret information effectively and exercise sound judgement and develop practical and workable solutions as a consequence.
• A strong sense of personal and team accountability coupled to a clear understanding of the boundaries around delegated authority.
• Ability to manage to deadlines and within resources.
• Drive for continuous improvement to produce more effective service delivery and partnerships.

• To take a leadership role in supporting the Stothard Supported Living mission.

• In discussion with the Project Manager, take direct responsibility for managing and delivering identified functions. Progressively increase the range of experience in supporting and leading staff, and liaising with external agencies.

• Liaising with the Finance Administrator to deliver administrative/financial support related to the Deputy role as it develops further.

• Provide service support and a secure and positive home for tenants whilst ensuring highest quality standards.

• Assist the Project Manager in line with direction from the Trustee Management Committee.

• Take an active role with the Project Manager in planning future developments.

• Deputise for the Project Manager where required.  Step up as Project Manager for an enhanced salary if the current Project Manager is unavailable for a significant period of time. There will need to be discussion about extending the part time role in these circumstances.
