About the role 

The Administrative Assistant plays a key role in supporting the effective delivery of services,  projects, events and member communications across the organisation. Working closely with the  Head of Services and colleagues across teams, the postholder will provide high-quality  administrative, project and operational support, helping to ensure services run efficiently and  members receive excellent support and communication. 

This is a varied role requiring excellent organisational skills, attention to detail, strong  communication abilities and the capacity to manage multiple priorities. 

Key Responsibilities 

Services Administration 

• Provide administrative support for the planning, delivery and evaluation of webinars and  online events.

• Support the production and distribution of Fragile Links, including content coordination,  proofreading, scheduling and publication processes. 

• Assist the Head of Services with the administration and project management of  conferences, events and service-related projects. 

• Maintain accurate project records, databases and documentation. 

• Updating information on the website when requested 

• Maintaining records and information on research requests 

Project Administration 

• Provide administrative support for partnership projects 

• Maintain accurate participant and project records in line with data protection  requirements. 

• Coordinate member communications relating to projects and programmes.

• Monitor participation, gather feedback and support project reporting. 

Membership and Member Support 

• Support colleagues with membership communications and messaging when required. • Assist with member enquiries and administrative requests. 

• Ensure member records are maintained accurately and confidentially. 

Volunteering and support groups

• Support the Head of Services managing volunteer requests and meetings

• Run induction meetings for new volunteers

• Manage and promote the support group meetings across the platforms

Cross-Team Administration and Support 

• Provide customer service support for the online shop, including responding to customer  enquiries and assisting with product updates. 

• Contribute to organisation-wide projects and initiatives as required.

• Support fundraising administration tasks 

General Responsibilities 

• Work collaboratively with colleagues across all teams. 

• Maintain accurate records and databases in accordance with organisational policies and  GDPR requirements.

Person Specification 

Essential 

• Experience in an administrative, project support or coordinator role.

We are looking for a passionate, ambitious Assistant Charity Shop Manager to join our team to help manage one of our successful charity shops.

As an Assistant Shop Manager for Alder Hey Children’s Charity, you will work alongside the Shop Manager to deliver sales, Gift Aid and profit targets to generate income for our charity. You will support the Shop Manager by leading and developing a diverse shop team, including volunteers, always demonstrating our Charity Values of:

The Assistant Shop Manager will be an integral part of the wider Charity team.

• Work with the Shop Manager to maximise sales and profits ensuring weekly targets are met.

• Support the team to maximise income via our online platforms.
• Support van deliveries and collections, including arranging schedules and assisting on the van when required to meet operational needs and support the team.
• Work with the wider Charity team to promote and support fundraising activities and events.
• Explore ways to maximise sales via events, donation drives, pop-up shops etc.
• Cash up the till at the end of shift and ensure banking documents are completed. Investigate any discrepancies and report them to the Manager.
• Support with ensuring the money is ready and accessible for cash collection.
• Open and close the shop at the appropriate times.

Volunteers

• Support and management of a team of volunteers.
• Proactively recruit, manage and retain a diverse team of volunteers, utilise their skill sets and motivate them to deliver great customer service and perform tasks in-line with charity standards.
• Maximise the shop’s opening hours and ensure the shop is open and managed by the shop team in the absence of the Shop Manager.
• Help to provide and support ongoing training and development for volunteers.
• Work and treat employees, volunteers and stakeholders in accordance with the Charity’s values.

Health & Safety (in conjunction with Shop Manager)

• Ensure the shop adheres to Retail Health and Safety regulations.
• Implement good Health and Safety practices to help protect employees, volunteers, and customers.
• Help to ensure employees and volunteers are trained in manual handling.
• Help maintain the cleanliness of the shop and behind the scenes areas.

Stock Control (in conjunction with Shop Manager)

• Ensure continuous, sufficient levels of high-quality stock.
• Be responsible for deliveries and stock controls.
• Ensure stock is appropriate to the business and priced accordingly.
• Maintain a rigorous process of stock rotation, ensuring rotation within expiry dates.
• Ensure visual merchandising is a high priority, with products featured prominently in window displays.

Customer Service

We are looking to recruit a Trusts and Foundations Officer to join our Trusts and Foundations team and support the delivery of Hearing Dogs for Deaf People’s fundraising strategy. The Trusts and Foundations team is working towards an income target of £1.3m in 2026 to 2027, with planned growth to £2.1m by 2029 to 2030.

We're hiring two Operations Associates — one to sit within our AI Policy Unit, one within our Biosecurity Policy Unit. To manage an Age UK Cheshire Charity Shop located in the Cheshire area, ensuring efficient and effective management of colleagues, volunteers, premises, sales, and stock to provide a high-quality retail service in relation to agreed performance targets. 

To achieve the maximum potential of funds for Age UK Cheshire by achieving charity retail standards and community engagement.

To ensure all appropriate standards of security and health and safety are met. To organise and manage the day-to-day operations of the store including effective communication with the Head of Retail and reporting of relevant data.

Main Duties:

1. To ensure that the Age UK Cheshire Charity Shop achieves required standards of performance and agreed sales targets:

§  Maximisation of sales through stock rotation, correct pricing, brand awareness and merchandising, to use the full potential of the stock available to you.

§  To gain Gift Aid on eligible donations to Age UK Cheshire to maximise funds for the charity in line with HMRC guidelines. This includes signing up new donors to the scheme and selling stock accordingly.

§  Responsible for managing, training, and developing the Assistant Retail Manager to achieve pre-set objectives.

§  Support, train, and coordinate the work of volunteers in the shop as required.

§  Working with the Assistant Retail Manager to ensure that the shop complies with all the relevant legislation, trading standards and health and safety.

RETAIL MANAGER - ADDITIONAL INFORMATION

The organisation currently operates 9 charity shops and has ambitious plans to open more charity shops which all help to provide funds for the charity to deliver its services for older people in Cheshire, as well as being a location to promote Age UK Cheshire services.

All Age UK Cheshire shops sell unwanted household and personal goods donated by the public and other commercial companies. The success of the shops is dependent upon achieving a regular adequate supply of donations.  Age UK Cheshire shops have established a reputation for selling good quality items, well presented and at reasonable prices. 

The shop staffing structure is supported by volunteer helpers.  They do not receive any payment other than the reimbursement of their exact travel costs from their home to the shop. 

The shops are all expected to trade profitably. Their function is to provide income to the organisation. Each shop is given a weekly sales target to achieve to produce a targeted net profit once rents and other costs have been deducted.

Each shop has a mixture of staff and volunteers covering a 6- or 7-day working period.  The Retail Manager will be supported by an Assistant Retail Manager working flexibly to provide cover at the shop. At times you might be asked to cover other shops depending on staffing issues, so flexibility is a must. Volunteer support is key to the success of the operation and development of “designated volunteers” who can take responsibility for the shop, during some periods of staff absence. 

Location: Shop Base – Alderley Edge. You may be required to cover other shops on an ad hoc basis.

Hours: 36.25 hours per week, worked over 5 days Monday to Sunday.  Hours are required to be flexible to ensure that the shop is staffed appropriately.  There may be a requirement to travel between shops.  In exceptional circumstances you may be required to work 6 days per week. The role will require working over the Christmas period and potentially all bank holidays.

• Competence in using digital tools, including Salesforce or other CRM platforms, with attention to accuracy and the ability to maintain high-quality records for monitoring and evaluation purposes.

• Strong organisational skills with the ability to manage deadlines, adapt to change, and work effectively both independently and as part of a geographically dispersed team.

• Commitment to The Girls’ Network mission and keeping young people at the centre of all work.

• Ability to travel and work flexibly, including occasional evenings and weekends.

Desirable:

• Experience working in a charity, youth, or education setting.

• Experience of working with young people from diverse backgrounds.

• Experience of safer recruitment in volunteering.

• A mentoring or coaching qualification, or equivalent experience.

• Experience working remotely, demonstrating initiative and the ability to work proactively with minimal supervision.

• Flexible and adaptable approach, with an understanding of the time and resource limitations typical in small organisations.

• Specific knowledge of mentoring programmes and/or youth/education services.
