We provide expert 1:1 leadership coaching, powerful group experiences and bespoke team and organisational development programmes, all designed to enable profound and highly impactful learning. To date we have worked primarily with schools, colleges and multi-academy trusts, but we are now actively seeking to grow our work within higher education and the non-profit sector.  Whilst most of the work delivered by our UK hub is with UK-based organisations, we also deliver programmes elsewhere in Europe and manage several international programmes.

Our UK core team is small — just our Director and our Programme Manager — supported by wider BTS colleagues, our global BTS Spark team and a network of 30+ UK-based coaches and facilitators.

Job Description 

Working closely with our UK Director, but with a significant degree of independence, you'll support almost every part of our UK operations:

• Plan and enable smooth programme delivery — allocating coaches and facilitators, scheduling group sessions, and managing logistics for face-to-face events
• Set up and launch coaching and leadership programmes on our digital platforms, and use Claude and other AI tools to speed up routine tasks like data entry, reporting and client updates
• Act as a trusted first point of contact for clients, managing relationships, delivering briefings and platform demos, and preparing data-led impact reports
• Handle new enquiries, follow through with quotations and information, and support business development and proposal writing with the Director
• Help grow our profile — co-ordinating social media content (particularly LinkedIn), updating our website, building landing pages, and supporting our alumni and marketing campaigns
• Forecast income, keep our financial systems up to date, and manage letters of engagement, purchase orders and invoicing requests.
• Provide occasional live support for virtual workshops, and executive assistant support to the Director

The balance of your week will shift through the year, with programme launches taking priority at times and more space for development work during school holidays. A key priority is to make full use of our AI capability (especially Claude) to speed up our processes and free up more time for the relationship-building and engagement work that matters most. This is something we’ll support you to build into your working practice from day one.

We're looking for candidates with the following attributes:

Essential:

• A strong, sustained track record in programme planning and project/operations management
• Confidence managing relationships with senior education and non-profit leaders, with excellent, professional customer service skills
• Excellent written communication and proof-reading skills, with sharp attention to detail
• Strong organisational skills and the ability to prioritise across multiple workstreams
• A proactive, can-do attitude and comfort working independently
• Strong financial literacy and experience with CRM/database systems (e.g. Salesforce, Hubspot)
• Enthusiasm for digital tools and AI assistants, and intermediate Microsoft Office skills
• Flexibility for occasional calls outside business hours with North America and Australia-based colleagues

Office & Administration Assistant – Key Responsibilities 

Office management and administration 

• Maintain a welcoming, safe and efficient office environment that enables staff, volunteers and visitors to work effectively, in line with the ‘Groundswellian Way’, our coproduced principles for a safe, positive work culture.

• Manage the day-to-day running of the office, including , refreshments, office supplies, IT equipment, room bookings and reception duties.

• Coordinate incoming and outgoing post, telephone calls and enquiries through the central inbox, ensuring messages and requests are directed promptly to the appropriate member of staff. 

• Build positive working relationships with Workspace, office contractors and suppliers, including cleaners, maintenance providers and other building services. 

• Support Groundswell's commitment to environmental sustainability by promoting recycling, reducing waste and encouraging environmentally responsible office practices. 

• Ensure office administration is appropriately covered during periods of annual leave and support the wider administration team to provide consistent organisational support. 

• Recruit, support, supervise and train office volunteers where appropriate. 

Facilities, health and safety 

• Act as the day-to-day office lead for health and safety administration, supporting compliance with Groundswell's Health & Safety Policy. 

• Ensure all staff and volunteers receive relevant health and safety information during induction, including access to the health & Safety training video, awareness of fire procedures, emergency evacuation routes and workplace safety responsibilities. 

• Coordinate annual fire risk assessments, workplace risk assessments and PAT testing, ensuring appropriate records are maintained and actions completed. 

• Support the development and maintenance of Personal Emergency Evacuation Plans (PEEPs) where required. 

• Liaise with Workspace to ensure landlord responsibilities relating to health and safety are fulfilled, including fire safety systems, signage and equipment maintenance. 

• Maintain records of accidents, incidents and near misses, ensuring statutory reporting requirements are met where appropriate. 

• Coordinate the maintenance and servicing of Groundswell's office equipment, facilities and assets, ensuring they remain safe, functional and fit for purpose. 

• Work closely with the Director of Finance & Fundraising and our external systems and finance support on matters around onsite assets and finances.

IT and Systems

• Oversee the day-to-day management of organisational assets, ensuring equipment is maintained, used appropriately and complies with organisational policies and cyber security requirements. 

• Complete IT trouble shooting on behalf of staff and volunteers, with external support. 

• Order IT equipment as needed with external support. 

• Complete basic set – up tasks on staff and volunteer devices with external support.

• Support staff and volunteers to upskill and improve their technological skills through the digital inclusion group. 

Organisational administration 

• Provide administrative support for organisational meetings, events and activities, including venue bookings, catering, logistics and preparation of materials. 

• Support the Chief Executive in implementing GDPR and data management processes, ensuring good administrative practice and compliance across the organisation. 

• Provide governance administration, including scheduling Board and Committee meetings, preparing meeting logistics, taking accurate minutes and maintaining action logs. 

• Provide administrative support to the Chief Executive, Trustees and Senior Leadership Team, including diary coordination, meeting arrangements and room bookings. 

• Support the recruitment and induction of Trustees as required by the Nominations Working Group.

• Support the People Manager with the onboarding and off-boarding of staff. 

General 

• Maintain accurate administrative systems, records and filing, ensuring information is organised, confidential and GDPR compliant. 

• Identify opportunities to improve office systems, administrative processes and ways of working to increase efficiency and effectiveness. 

• Work with the People Manager and Director of Fundraising & Finance to ensure policies and processes are accessible, in plain English and simple to follow; using step by step guides and images where appropriate.

• Build positive relationships across the organisation, providing responsive, friendly and professional support to colleagues, volunteers and external stakeholders. 

• Undertake any other reasonable duties consistent with the nature and level of the role.

The role:

This role covers the current post-holder's maternity leave for an anticipated 15 months. As Financial Controller you will lead CSE's finance team, directing and overseeing the finance function in compliance with appropriate accounting standards and practices, company and charity law.

You will provide timely, accurate financial and management information to support strategic decision-making and effective budgetary control by our Senior Leadership Team, Trustees, project managers and other budget holders. You will line manage the Finance Manager and Finance Assistant and be a member of CSE's Senior Management Team.

Reporting to the Director of Finance and Operations, you will work alongside the wider Operations Team to provide operational support that underpins delivery of our charitable mission. This is a fast-paced role and we need someone who can get up to speed with minimal delay.

Specific responsibilities

An applicant appointed to the role will be expected to:

• Take responsibility for day-to-day accounting, invoicing, payroll, VAT returns, payments and banking, credit control and cash management, including timely monthly management accounts.
• Line manage the Finance Manager and Finance Assistant.
• Co-ordinate the annual budget cycle and mid-year budget refresh alongside the Director of Finance & Operations and SLT.
• Attend monthly SMT meetings to share the previous month's financial results and handle related queries.
• Prepare accurate, accessible reports on organisational, team, staff and project financial indicators to support timely decision-making.
• Maintain the organisation's financial records to appropriate accounting standards and prepare documentation for the annual audit and other statutory reporting.
• Liaise with CSE's auditors to enable an effective and timely annual audit.
• Support project managers to plan and manage project budgets, providing financial data for reporting to clients and funders.
• Provide expertise on financial costing and monitoring approaches for new project funding proposals, reflecting funder requirements.
• Provide finance support to Retrofit West CIC, including financial reporting, statutory obligations and payroll as required.

About you:

Essential attributes for this role include:

• Fully qualified ACA, ACCA or equivalent accountant.
• At least seven years' post-qualification experience, including at least five years in a financial management role.
• Working knowledge of accounting standards, VAT and HMRC regulations in England, including requirements applicable to a UK charity with a trading subsidiary.
• Experience of leading the preparation for an annual audit.
• Experience of preparing routine financial and management information reports for senior executives and staff.
• Experience of using timesheet software to track allocation of staff time to different cost centres.
• High level competence with Sage accounting software and MS Excel.
• Able to analyse, structure and sense-check financial data to produce clear, informative reports, with excellent attention to detail.
• Excellent written and verbal communication skills, with proven management skills.

The Role 

As the Financial Controller, you will run the day-to-day financial operations, taking ownership of transactional accounting and month-end reconciliations. You’ll maintain the general ledger, ensure data integrity across systems, and manage accounts payable, accounts receivable and credit control functions.

The role involves coordinating payroll, preparing management accounts and VAT returns, supporting budget preparation and assisting with year-end accounts and internal and external audits. You’ll also manage the Finance Manager and play a key role in the organisation’s financial stability and operational success.

• Fully qualified accountant (ACA, ACCA, CIMA or equivalent professional qualification).

The Business Administrator works directly to the Director and supports the Senior Management Team (SMT), and is responsible for the effective running of the office, including dealing with correspondences, diaries and meetings and internal systems, including but not limited to, Microsoft Office, Stakeholder Register, Decision Time, Smartsheet's and Risk Management systems, keeping these up-to-date in support of the SMT.

Key duties and responsibilities

The post holder will:

-Effectively manage the efficient working of the Director's office being the first point of contact and providing administrative support and coordination across all functions, i.e. planning, risk, budget, training and general office activity.

-Organise and plan diaries, to optimise time, making travel and other arrangements as required.

-Be responsible for managing and responding to correspondence to the Director, identifying appropriate action and responses.

-Set up internal and external meetings as required and ensure the smooth running of these by setting dates, ensuring papers go out in good time, booking rooms and refreshments, taking accurate minutes and being proactive in following up actions arising.

-Provide high level customer care in dealing with routine and non-routine enquiries from staff, local Minds, external stakeholders using judgement to take or decide on appropriate action.

-Provide secretariat and administrative support for governance and other fora including Pwyllgor Cymru - the governance sub-committee for Wales; One Mind in Wales - the local Mind network in Wales; and The Wales Alliance for Mental Health - the alliance of leading mental health charities in Wales which is Chaired by the Director of Mind Cymru.

-Be the first point of contact for key members of the above groups and, with the Director, manage relations with them.

-Be responsible for co-ordinating and supporting meetings and be pro-active in ensuring that actions arising from the meetings are followed up.

-In keeping with the level of access and trust commensurate with this role, the post holder is required to maintain and observe an appropriate level of confidentiality at all times.

-Process invoices and make payments via Minds internal accounting processes, being planned and accurate in line with delegated responsibility.

This is a fantastic opportunity for an experienced HR professional to join Orbis UK on a 12-month fixed-term contract, helping the organisation strengthen and embed excellent people practices while delivering key HR priorities.

This role is critical to supporting a highly performing group of staff and trustees as they seek to transform lives through the prevention and treatment of blindness. The role sits within the Business Support Team, which is responsible for the day to day running of the organisation and will be crucial in co-creating a revised HR strategy and ensuring that the organisation's compliance with key statutory and regulatory requirements are maintained, working with the Senior Management Team (SMT).
