Role purpose
Adoption UK is undertaking a major digital transformation, initially focused on CRM and Website developments. Our Digital Transformation Team will drive this change programme, working with colleagues and external digital partners; and subsequently deliver our on-going digital strategy implementation and development.
You will support the Digital Transformation Lead to refine and implement Adoption UK’s digital strategy, to deliver our digital transformation project. Working with internal and external stakeholders the team will ensure that the project’s vision and scope meet the business and operational needs of the charity. An important part of your role will be to work collaboratively with colleagues across the organisation and particularly with our Marketing and Communications team to integrate digital into all current and upcoming projects.
We’re looking for someone who has experience of project working in a digital environment, particularly within website and CRM implementation.
Background – our digital transformation
Like many charities, we’ve historically developed our digital framework and footprint organically, with insufficient web and CRM integration and functionality, duplication and data silos; resulting in data management and website functionality that don’t meet all our users’ needs. We’re changing all that by:
- Investing in our customer-facing website and data management systems; connecting all our divisions and services, delivering integrated systems that provide a positive customer and stakeholder journey.
- Developing the next generation of digitally accessible services
- Extending our in-house digital capability to support continuous delivery.
Key accountabilities:

Support the Digital Transformation Lead to implement the charity’s digital strategy.

Coordinate data and content activities, including migration between platforms, to deliver our website and CRM digital transformation programme.

Utilise and maintain relationships with key stakeholders across the organisation and with current and future digital partners. Use these networks to:

Train, coach and mentor colleagues to be effective users of our CRM and website.

Progress opportunities to increase our digital capability and integrate digital into our current and upcoming work.

Essential Criteria

Significant experience of website and CRM implementation and data/content management.

Good general knowledge and experience of organisational IT systems, including cloud and M365 applications.

Excellent verbal and written communications skills. Able to convey complex or technical information simply and clearly.

Experience of IT/Digital supplier engagement. Able to engage effectively with both technical and non-technical stakeholders.

Experience of working in a digital project/change environment.

Ability to work under pressure and to respond quickly to changing circumstances and to tight timetables
Desirable criteria

Experience of working in an organisation which uses agile development methodologies.

A strong understanding of the National Cyber Security Centre principles and approach and General Data Protection regulations principles, audit and compliance.

About you
As our ideal candidate, you’ll be an experienced digital content specialist with a strong background in creating or managing health information for online audiences. You bring proven expertise in content design principles, plain English and user centred thinking able to simplify complex medical information into clear, empathetic and accessible content that connects with diverse audiences.
Additionally you'll have demonstrable experience applying SEO strategies to improve organic search performance, including keyword research, on page optimisation and structured formats and you’re confident using tools such as GA4, Google Search Console and SEMrush to inform decisions and track performance.
You’ll have experience working with CMS platforms, digital publishing workflows and design tools such as Figma. You’ll be comfortable testing for accessibility, ensuring compliance with WCAG standards, and embedding inclusive language throughout your work.
A collaborative team player, you’ll have experience working in cross functional environments, codesigning content with health specialists and building strong stakeholder relationships. Key Responsibilities
Strategic Implementation (Online & Offline)
• Key operational lead, deputising for the Head of Individual Giving and Legacies, taking responsibility for the planning and delivery of campaigns and activity across channels and supporter journeys.
• Develop and implement activity to attract new supporters through an integrated mix of channels, including social platforms (paid and unpaid), search engine advertising, email marketing, and offline appeals.
• Manage relationships with external partners, including creative, fundraising, and digital marketing agencies, ensuring high-quality delivery and ROI.
• Develop and execute integrated campaigns where ultimate conversion may occur via traditional channels such as telephone or mail, taking a holistic approach to acquire and convert new supporters.

• Create and optimise content, sometimes cross team and directly with our incredible patients and supporters.
• Build journeys that maximise conversions and build loyalty. This includes high-quality creative fundraising writing, concepting, and messaging development.
• Ensure all supporters are thanked and updated in an appropriate and timely manner, working with the team to ensure coverage and that all interactions are in line with our supporter promise.
• Cultivate deeper engagement with supporters beyond transactional interactions, explore opportunities for meaningful dialogue and a sense of community.
Collaboration & Cross-Selling
• Work with the wider PCR team to maximise opportunities for fundraising and patient impact, specifically leading on cross-selling meaningful cash and support propositions to other audiences (e.g., events participants, community fundraisers, and campaigners).
• Work with Agile principles in mind, collaborating with colleagues across the organisation to plan and deliver high-quality work.
• Build key relationships across teams within and outside Public Fundraising to achieve successful fundraising outcomes.
• As required, represent PCR externally, promoting our work and building long-term relationships with stakeholders.
Database and Compliance
• Develop your existing experience and affinity for supporter data to improve outcomes for supporters.
• Hold a very good working knowledge of key aspects of data protection law including GDPR and PECR, as well as the Fundraising Code of Practice.
• Work with our tools and seek to improve knowledge and use of these, including Access CRM, Fundraise Up, Google Analytics 4 (GA4), Wordpress and MailChimp.
Skills and Competencies
Our ideal candidate would have the following:
• Fundraising Expertise: Proven experience in an Individual Giving role(s) with a track record of managing both digital acquisition and offline appeals (direct mail/telemarketing) for a charity or social cause, as well as significant experience in retention, marketing communications, supporter services.
• Agency Management: Experience managing creative, fundraising and digital marketing agencies, to deliver a variety of campaigns or activities across multiple channels.
• Digital Proficiency: Demonstrable expertise setting up and managing campaigns in Meta Business Suite, Google paid advertising, and email marketing platforms like Mailchimp.
• Strategic Thinking: Evidence of leading successful integrated campaigns resulting in significant income or lead generation.
• Audience development: Led development of successful new propositions for cross-selling across existing audiences.
• Creative Skills: The ability to motivate and inspire audiences through content and creative writing and storytelling for various channels.
• Financial Acumen: The ability to monitor and manage income and expenditure against targets as well as forecast and report on campaigns across all channels.
• Supporter Experience: A strong desire to provide excellent supporter experience and customer journeys to everyone who encounters PCR.
• Collaborative Mindset: A collaborative and innovative mindset with a desire to test, learn, and work with stakeholders cross-functionally.
• Agile Working: Experience working within Agile project management frameworks would be beneficial.
• Technical Knowledge: Good knowledge of WordPress website optimisation and plugins, or a strong desire to learn.
• Passion: A strong belief in the work we do at PCR, and a demonstrable desire to improve outcomes for patients through our work in fundraising.

Key Responsibilities
External Communications
- Collaborate with the team to develop a communications plan to support Cosmic’s calendar of events, income generation and volunteering, taking ownership of its implementation.
- Manage supporter communications through platforms like Mailchimp, including scheduling updates and mail merges.
- Produce and manage the production and distribution of the charity’s supporter newsletter, corporate newsletter, and other direct marketing materials.
- Develop a GDPR compliant method to gather data from families who benefit from Cosmic Service Delivery, to support conversion to fundraising via a Cosmic communication plan and supporter journey
- Create and execute engaging campaigns for Cosmic, based on our service delivery, to generate income.
- Liaise with celebrity partners to coordinate media campaigns.
- Develop and maintain a bank of photographs and ensure media consent forms are obtained and recorded appropriately.
- Assist fundraising teams in sourcing free advertising opportunities for events, such as community group emails and online platforms.
- Working with internal and external stakeholders to deliver and maximise media opportunities and campaigns that help raise awareness of the Cosmic’s services
- Writing press releases for local, regional and national press covering Cosmic service delivery, events and fundraising campaigns.

Internal Communications
- Work closely with supporters, NHS staff, and the NHS Imperial Trust to gather compelling patient, family, unit, and staff stories for promotional purposes.
- Be a visible presence on the wards, building relationships to develop case studies, improve communication, and identify opportunities for collaboration.
- Keep charity notice boards updated with promotional material.
- Contribute to the quarterly Trustee report.
- Ensure that all communication is clearly logged on the Cosmic CRM solution, Donorfy.
Digital
- Manage Cosmic’s social media channels, developing and implementing a consistent and engaging social media plan to promote the charity’s work, events, and fundraising initiatives effectively.
- Digital transformation of the Cosmic website and other digital channels with a consistent and clear brand, ensuring optimal user experience.
- Create engaging and consistent digital designs for all marketing materials on Canva.
Branding and Merchandising
- Design and create a new range of fundraising merchandise and marketing materials to promote the Cosmic brand.
- Support the fundraising team by developing high-quality materials for proposals, events, and activities, and assist in promoting these initiatives.
- Develop and formalise a clear Cosmic Tone of Voice and charity branding, establishing guidelines for how Cosmic presents itself both internally and externally to ensure consistency and alignment with its mission and values.
- Build a Cosmic library of “curated content” with aligned descriptions of who we are and what we do, tailored for different audiences.
- Ensure all internal templates (letterheads, email signatures etc) use the correct colour palette, format and logo.
Administration
- Build a process to balance and prioritise the requirements and request for digital, marketing and communication support from the Cosmic Team
- Respond effectively to incoming telephone calls and emails, ensuring all inquiries are handled professionally.
- Maintain and update the charity’s database of contacts and supporters, taking the lead in implementing changes to improve data recording and analysis.
- Provide support to charity volunteers during activities.
- Develop engaging and relevant supporter journeys using Cosmic audience personas.
- Regular development and gathering of Cosmic case study materials.
