Operations & People Support Officer

Reporting to: Operations & People Team Leader
Salary: £26,066 – £30,523

Job Purpose

This is an exciting opportunity to be at the heart of the Charity’s operations. You will be the first point of contact for supporters and will deliver outstanding customer care and donor stewardship.

You will build strong working relationships with Charity colleagues, donors (existing and potential), volunteers and Trust staff. The role supports the fundraising teams, assists with the hospital and online shop, and plays a key part in coordinating and administering the Charity’s volunteering function. You will also provide vital People (HR) administration and process support.

Main Duties & Responsibilities

Fundraising & Office

• Undertake day-to-day administrative tasks as directed by the Operations & People Manager and Team Leader, including preparing letters, reports and memos to a high professional standard.

• Handle sensitive information appropriately, maintaining confidentiality at all times.

• Deal with all incoming telephone enquiries in a professional and helpful manner, directing calls correctly and taking accurate messages.

• Support the efficient running of the public Charity office by welcoming donors and visitors in a friendly and professional way.

• Provide excellent customer care and donor stewardship in every interaction.

• Manage incoming mail, ensuring it is opened, distributed and responded to promptly.

• Process donations in line with established receipting procedures.

• Adhere to audit procedures and liaise with the Charity’s auditors.

• Maintain filing systems, ensuring safe storage and regular archiving of records.

• Support the senior management team, including organising meetings and room bookings.

• Undertake banking procedures, ensuring donations are accurately recorded and banked.

Hospital & Online Shop

• Process online shop orders in a timely manner.

• Run regular online sales reports for the Operations Manager.

• Support the management of the hospital and online shop, ensuring stock levels are maintained and products are well presented.

• Provide customer service in the hospital Atrium shop and support front desk cover as required.

• Cash up the till, ensuring all sales are accurately recorded and passed for banking.

Database Support

• Process donations on the CRM database, liaising with fundraising teams to ensure accuracy, including online platforms.

• Produce analytical reports from the fundraising database for audit purposes.

People / HR Support

Provide People/HR administrative support in the following areas:

• Recruitment, including coordinating recruitment and induction of new starters.

• Volunteer coordination, ensuring a robust process from expression of interest through to induction.

• Ensuring all staff have DBS checks in line with Trust requirements.

• Administration of staff annual leave and absence reporting.

• Creating staff correspondence, including pay award, furlough and other required communications.

Other Duties

• Act as an outstanding advocate for Alder Hey Children’s Charity, in line with organisational values.

• Be an active and supportive team member, contributing to team development and collaborative working.

• Attend and support fundraising events where required.

• Undertake any other reasonable duties as requested by your line manager.

Person Specification

Qualifications, Knowledge & Experience

• Experience managing a demanding and varied workload.

• Proven experience handling cash and working within audit and procedural controls.

Endometriosis UK is the leading UK charity supporting those living with endometriosis. Your main duties will include: 

• Providing first level advice and guidance on HR Policies and procedures, employment law and employee relations issues with the guidance of the HR Services Manager as required
• Advising and supporting Business Support Managers with disciplinary, grievance, absence management, and performance improvement cases.
• Ensure the provision of appropriate, timely and accurate management information to support strategy development, management decision making and improve the effectiveness of HR Services as and when required.
• Review sickness absence and undertake relevant interventions, including referrals to Occupational Health and advice to Managers on phased return.

About you

The successful applicant will have: 

• Qualified or working towards CIPD
• Experienced in developing metrics and reports with data analysis ability
• Excellent working knowledge of Excel, Word and Outlook
• Experienced in supporting managers with ER cases

With experience of working in a telephone fundraising or telephone-based customer service role, you will have an understanding of fundraising principles and donor stewardship practices.

A keen eye for detail is essential as the role will involve database management whilst supporting a busy, successful fundraising team, ensuring donors and their gifts are accurately acknowledged, recorded on the database to enhance the supporter experience.

You will be a pivotal member of the team and will be engaging daily with line managers and employees to support with wellbeing conversations and collaborate with the wider People team to provide a first-class wellbeing and Employee Relations service.

Job Purpose:

Reporting to the Head of Employee Relations, the People Officer will respond and resolve queries in the UK through great conversations, relating to people management issues in areas such as well-being conversations, absence /performance management, staff exit interviews, flexible working request and fixed term contract meetings. The People Officer will provide professional employee relations support working closely with the ER specialists to ensure line managers deal effectively with people management issues through conversations. There will be a need to engage and guideline managers across MSF UK to ensure people issues are managed and resolved effectively, embedding our values and employment policies and principles into line management practices. In addition, the People Officer will contribute to the continuous improvement of MSF UK’s policies and processes.

Knowledge, Skills and Experience:

• CIPD qualified.
• Demonstrable experience in Human Resources at Officer level in the UK, including a substantial amount and case work in a variety of processes.
• Demonstrable knowledge of current UK employment legislation.
• Ability and experience in navigating employee relations conversations – blending advice, listening, facilitation and mediation skills.
• Demonstrable experience of a proactive and inclusive approach to key aspects of staff related health and wellbeing provisions.
• Evidence of connecting effectively with key stakeholders and fostering a culture of health and wellbeing across the staff community.
• Demonstrable experience of organisational and prioritising skills and the ability to manage a variety of tasks simultaneously.
• Demonstrable experience of using analytical skills with a positive attitude in conversations to problem solving and conflict resolution.
• The ability to use data from a wide range of sources to analyse key themes and the potential impact on an organisation.
• Demonstrable commitment to the principles of diversity, equity and inclusion and their practical application and integration in the work environment.
• Fluency in written and spoken English.
• Genuine interest in and commitment to the aims and values of Médecins Sans Frontières.
• Experience in the practical use of personal IT equipment and Microsoft Office 365 suite. The ability to effectively collaborate and communicate within a hybrid working environment utilising Teams, SharePoint, One Drive and Yammer.
