We are looking for a motivated and experienced HR professional to deliver high-quality HR operations at CIEH. This is a broad and rewarding role - you’ll look after CIEH’s HR function, as well as modernising our systems and processes and acting as a key partner to teams across the organisation, helping to build a positive and high-performing workplace culture.

HR Coordinator 

Location: Based at one of our Centre 33 hubs (Huntingdon, Peterborough, Cambridge or Ely) 

Salary: £26,000 to £28,000

Hours 32-35 hours per week

The Human Resources Coordinator will be responsible for the HR Administration requirements for Centre 33, including recruitment, training coordination and maintenance of the HR database. As well as supporting the HR Senior Officer with the day to day running of the HR Service. 

If you are passionate about people, highly efficient and the ability to develop great working relationships with others, this position could be for you. You will act as the first point of contact for all recruitment and HR related queries from employees and volunteers. You will represent Centre 33 in your communications and be an approachable and open individual with great attention to detail conforming to employment law and internal polices. Ideally you will have experience with HR procedures and can juggle various administrative tasks in a timely manner. 

This role will work to Centre 33's values of being young people led, collaborative, inclusive and striving for excellence. You will also be an exemplar of our relevant polices, compliance and standards to help build a team culture.

About the Role
We are seeking a part-time Senior Administrator (HR & Governance) to provide dedicated support to the Centre Director and accommodations team. This role will focus on HR processes, governance requirements, and contractor management, ensuring that our staff and operations run smoothly and in line with legal and policy requirements.

Key Responsibilities

• HR Support

  · Maintain accurate and confidential employee records.

  Contractor Management

  · Source, assess, and liaise with contractors and service providers.

  · Obtain and compare quotations, ensuring value for money.

  · Prepare and administer contractor agreements.

  · Create and maintain a database of approved contractors and key compliance information.

  General Administrative Support

  · Provide confidential administrative support to the Centre Director.

  · Provide occasional database support to the accommodation team.

  · Support the preparation of reports, correspondence, and records.

About the Role

Key Objectives 

• To lead on the Financial Accounting & Management, Human Resources, and Administration functions of People’s Palace Projects (PPP), working closely with the Directors and A&FO. 

• To support the operations of PPP’s Board of Trustees, including managing the business planning process. 

• To manage statistical monitoring and funder reporting. 

• To contribute to PPP’s overall strategic development as a member of the Governance Group (senior management team).

Working pattern: 21 hours 45 minutes per week, hours worked between 8am-6pm Mon-Fri. There's scope to adapt the working pattern to suit you but some hours must be worked on a Friday to ensure there's sufficient cover in place within the team.

The role:  We’re looking for an exceptionally organised, superstar administrator to provide admin support across the charity, with a particular focus on operational, recruitment and HR admin. It’s a varied role in which you’ll interact with everyone involved in the charity, from the CEO to potential job candidates.

We’re looking for someone who will get stuck in and enjoy making a real difference by improving processes as they go along. This role has come about to provide additional resource as the operations manager heads away on maternity leave.

About Brake: Brake is a renowned and respected road safety charity with a 30-year history dedicated to supporting people affected by road crashes and advocating for safer streets.

Why this role is important: Every 20 minutes, someone is killed or seriously injured on UK roads. For families affected, the emotional and practical challenges are immense. Who we're looking for

You will be a highly organised and capable admin whizz, with experience working in a UK charity. You will bring strong IT skills and an aptitude for picking up new systems, combined with excellent people skills as you’ll be speaking to potential job candidates and acting as an ambassador for the charity.

Essential Requirements:

• Must be based in the UK.
• At least 2 years of administrative experience.
• Experience working in the UK charity sector.
• Excellent organisational skills with the ability to prioritise a varied workload, working both proactively and reactively when required.
• Meticulous attention to detail and collaborative approach.
• Confidence and competence in utilising modern office, communications and IT skills in the Microsoft Office Suite.
• Works with discretion and complete integrity when handling sensitive information.
• Self-motivated to work remotely.
• Has strong interpersonal skills. Establishes straightforward and positive relationships with people and is a team player.

Desirable skills or experience:

• Proficiency with Donorfy CRM, Slack, Sharepoint sites and Monday dot com (training will be provided if not)
• Previous exposure to recruitment.
• Experience preparing accurate HR documentation.
• Good knowledge of GDPR compliance and data protection best practice.

This role:

This role will be responsible for managing the charities services and supporting the smooth and compliant operation of the charity’s operations. You'll be responsible for developing and implementing our services. A key part of your role will be acting as the Data Protection Lead.

Key Responsibilities:

Service Management & Development

• Manage staff and services, ensuring high standards of delivery, efficiency, and positive outcomes for our clients and tenants.

• Lead on the service development of existing services, identifying areas for improvement and implementing enhancements.

• Work closely with the Head of Services and Operations to develop and implement new services in line with strategic objectives and identified needs.

• Ensure all services adhere to internal policies, external regulations, and best practice.

Data Protection and GDPR

• Act as the charity's Data Protection Lead, working with the CEO to ensure compliance with GDPR and other data protection legislation.

• Develop, implement, and monitor data protection policies, procedures, advising on and overseeing data protection impact assessments (DPIAs).

• Oversee data security measures and conduct regular data audits.

• Oversee the secure storage, retention, and disposal of all personal data, both digital and physical

• Manage data subject access requests (SARs) and data breach incidents, ensuring timely and appropriate responses and reporting to the ICO where necessary.

• Ensure staff receive appropriate data protection training and maintain accurate records of compliance efforts.

Operational Management

• Lead on complaints, compliments, and comments management, overseeing the entire process from receipt and investigation to resolution and trend analysis for service improvement and reporting.

• Support the Head of Services and Operations with lease management for charity properties.

• Work closely with the Head of Services and Operations to support the charity's safeguarding function, acting as Deputy Designated Safeguarding Lead when required.

HR and Training and Development

• Work with SMT and support the review and implementation of HR policies and procedures (most of these are developed with our HR Support provider).

• Oversee the Finance Assistant & HR Administrator's HR responsibilities, ensuring efficient and compliant recruitment, onboarding, induction, and HR record-keeping.

• Provide support for HR processes for disciplinary and grievance matters, in line with the Charity’s policies.

• Work with the Head of Services and Operations to lead on the development and implementation of the charity's training and development strategy, identifying needs and overseeing delivery to enhance staff and volunteer capabilities.

Health and Safety

• Support the implementation and ongoing adherence to Health & Safety policies across all sites, fostering a safe environment for all.

• Oversee the Finance Assistant & HR Administrator responsibilities to ensure all staff and volunteers receive appropriate health and safety training and refreshers.

• Work with staff to ensure incidents are investigated, take the lead on analysing, and reporting. Working with the Head of Services and Operations, managers and Team Leaders ensure health and safety actions are logged and followed up appropriately.

• Oversee the maintaining of accurate records of all health and safety activities, training, and incidents and pull off and analyse reports for SMT and Board.

General

• To participate in the on-call out of hours decision making rota as required

• Contribute to the charity’s strategic objectives and operational plans.

• Represent the charity at relevant external meetings or forums as required.

• Maintain professional boundaries and confidentiality at all times, upholding the charity’s values and ethos.

• Participate in team meetings, training, supervision and appraisals as required.

• Undertake any other duties as reasonably required by the Head of Services and Operations or CEO.
