We are looking for a part time Membership Officer to work 3 days a week (Tuesday, Thursday and Friday), alongside our existing part time Membership Officer. The position is hybrid, with at least one day a week (Tuesday) in the office in Archway. Together, they will lead on administrative support of our membership functions. Reporting to our Office and Events Manager, the post holder will be responsible for the administrative functions that support the smooth running and ongoing success of the organisation around membership.
This is an interesting and varied role that acts as a first 'point of contact’ for the people we work with (such as Member Institutions, Registrants and queries from members of the public), as well as managing the administrative aspect of memberships, such as setting up new Registrants on our CRM system. The role also involves longer term project work such as overseeing the CPD audit and improving and growing membership processes.
We are looking for an enthusiastic and highly motivated individual with previous administrative experience who are keen to join our small and friendly staff team.

We’re a small but busy team, mainly based in the UK, working remotely across several countries and time zones. Our work involves close collaboration with hospitals, universities, and global health partners, and we’re looking for a Finance & Operations Administrator who can help keep everything running smoothly behind the scenes.
About the role
Your work will span all areas including bookkeeping, coordinating meetings and travel, supporting volunteers, and offering flexible admin support wherever it’s needed, and ensuring that our projects and governance processes run efficiently.
You’ll also play a part in strengthening internal communication and contributing to a positive, supportive team culture.
You’ll work closely with the Finance Manager, CEO, Programme Manager, and the UK based team, as well as our global network of volunteers and partners, so clear communication and cultural awareness are important.

Key responsibilities
Financial administration

Process invoices, receipts and other payments, accurately recording them in Xero.

Perform regular bank reconciliations in Xero and maintain accurate financial records.

Track organisational subscriptions, memberships, and renewals (e.g. Zoom, Google Workspace, domain hosting).

Support the Finance Manager with general bookkeeping and financial reporting requirements.
Meetings and coordination

Schedule and manage remote and hybrid meetings across several time zones, ensuring appropriate technical setup.

Organise, prepare agendas, take minutes and follow up on agreed actions for internal meetings and partner meetings as required.

Prepare a 4-monthly board meeting pack, including gathering documents, preparing presentation slides, liaising with trustees, and managing meeting logistics.

Maintain and update the board’s action tracker and ensure trustees and staff are informed of deadlines and responsibilities.

Maintain a central policy suite and update document libraries in Google Drive.

Manage and maintain Google Workspace settings, shared drives, and user access.

Provide administrative support for compliance processes (insurance renewals, Companies House and Charity Commission filings, as led by the Finance Manager).
Volunteer and HR administration

Support volunteer onboarding and maintaining up-to-date volunteer records.

Support team leaders with recruitment processes for volunteers, consultants and staff.

Manage volunteer feedback and complaint forms and help ensure follow-up as needed.

Maintain contact lists and distribution lists for volunteers, staff, and partners.

Travel and logistics

Arrange travel for the CEO, programme staff, volunteers, and partners as needed using our third-party travel company.

Support with preparing and submitting visa applications and gathering necessary documentation.

Coordinate in-country travel and accommodation bookings and payments for team members and visitors.

Maintain records of travel insurance, and relevant permissions for project-related trips.
About you
We’re looking for someone who’s practical, detail-oriented, confident in managing multiple tasks and able to prioritise them effectively. You will be proactive, reliable and adaptable and you will be comfortable using a range of IT tools and working in a remote, global environment.
Essential skills and qualities

Proven bookkeeping experience or qualification, being confident using on-line accounting software.

Job purpose
This role will underpin the operation of our fundraising and membership programmes, with a mixture of public facing interactions and focused operational, database work.
Our long-standing membership scheme is an integral part of our fundraising at Action for ME, and we are fortunate to have a generous membership base of over 3,000 loyal supporters. You will be the main point of contact for our members, ensuring they feel valued and connected to our work, as well as supporting efforts to increase our current membership.
You will also be responsible for the smooth running of crucial operational processes for our membership, trading and individual giving income streams, both during fundraising campaigns and day to day. With a commitment to continuous improvement of these systems, you will help us to increase the efficiency and quality of our stewardship, retain our donors and bring in new supporters.
Key duties
Membership
- Be the main point of contact for our members and provide high quality stewardship over the phone, by email and by letter, always ensuring consistent and high-quality communication.
- Be responsible for delivering operational tasks relating to the membership scheme and improving their efficiency. Including, but not limited to, gift importing and processing, data administration, thanking members, processing renewals and sending out renewal reminders.
- Work with the Fundraising Operations Manager and our Senior Supporter Engagement Officer to monitor the performance of the membership programme and support its growth.
- Maintenance and creation of the mailing lists for our membership magazine, InterAction. Assist with the distribution of the magazine across all channels (post, email, audio).
Individual Giving & Trading
- Ensure that gifts are processed, recorded and thanked appropriately in a timely manner; and that database records are kept up to date, in line with fundraising data regulations.
- Assisting with the administration of our Winter and Spring raffles and Lottery programme.
- Work with the Fundraising Operations Manager and the wider team to maximise fundraising potential using data and donor insights/feedback.
- Maintain a high standard of data quality and record keeping on our database, ensuring our fundraising processes and procedures are applied in line with all regulatory and governance requirements including GDPR and those of the Fundraising Regulator.
- Processing all outgoing post for the Fundraising team, including online shop orders, from our Bristol office. Complete other office-based tasks as required. You will be required to work at least 50% of your hours from the office.

Are you passionate about delivering high-quality administrative support in a global context? The ITF is looking for a proactive and detail-oriented Maritime Administrator to join our team.
About the role
As Maritime Administrator you will play a key part in supporting the operational delivery of international conferences and governance meetings in line with the organisational constitution and contributing to the success of the maritime sections organisational work programme.
You will work with colleagues and external stakeholders worldwide to ensure the smooth delivery of the administration function, including the logistical aspects of our global activities, meetings and conferences.
Key Duties and Responsibilities
- Organising international meetings and conferences: creating registration platforms for meetings; venue sourcing; budgeting & forecasting; delegate management; managing rooming allocations, catering and audio-video (AV) requirements; arranging interpreters when required; booking international travel and supporting visa processes.
- Documentation: assisting with the drafting and proofreading of documents for maritime meetings and conferences in line with the appropriate templates and procedures; minute taking and report writing at committee level; liaising with the in-house translation coordinators to ensure documents are submitted on time and dealing with related queries; creating document packs for maritime meetings and conferences.
- Administration: drafting, proofreading and formatting internal and external communications in line with ITF templates and standards; processing supplier invoices; other general administrative duties as required.
- Membership: maintaining accurate records and updating ITF databases and other tools, including CRM, to ensure governance committee membership and contact records are up-to date.
About you
We are looking for a highly organised individual to support the delivery of the maritime sections organisational work programme. With responsibility for organising meetings and conferences and providing administrative support, you will need the following to be successful in this role:
- Strong administrative background with excellent organisation, planning, and prioritisation under pressure.
- Able to manage multiple tasks and projects simultaneously.
- Clear, accurate written and verbal communication with attention to detail.
- Confident working with diverse stakeholders and in multilingual environments (other languages an asset).
- Solid numerical skills, including budgeting and expense reporting.
- Experience with international travel arrangements.
- Works independently and effectively as a liaison for global partners.
- Calm, adaptable problem-solver focused on improving processes.
- Proficient with SharePoint, Teams, MS Office 365, and familiar with Zoom, Cvent, and Concur.
- Experienced with CRM systems and data handling.
- Willing to travel internationally.

Events Co-ordinator

The Faculty of Public Health is recruiting an Events Coordinator.
The Events Coordinator will play a key role in planning and delivering a wide range of Public Health related events, both in-person and online. This includes managing logistics such as venues, accommodation, catering, AV, and delegate communications, as well as coordinating webinars and virtual meetings.
Working closely with other staff, key stakeholders and local event hosts, this role ensures our events run smoothly while bringing the FPH Membership community together.

WHAT YOU'LL DO
You'll provide varied administrative support including managing correspondence, processing post, sending membership materials, and helping with event administration. You'll maintain accurate records by entering data into Salesforce- our customer database, checking reports match, and organising documentation. You'll also help keep the office running smoothly by liaising with suppliers and assisting with health & safety compliance.
WHO WE'RE LOOKING FOR
You'll have experience in general administrative roles with strong organisational skills and excellent attention to detail. You'll be proficient in Microsoft Office (particularly Excel), reliable, proactive, and able to work independently whilst being a supportive team player. Experience with Salesforce is desirable but not essential.

About the role
The Administration and Finance Officer plays a critical role in ensuring the smooth and efficient functioning of GISF’s operations. This role combines core administrative responsibilities with day-to-day financial support, including grant-related bookkeeping, staff timesheet coordination, and invoice tracking. Training will be provided on financial tasks, though some experience is welcome. Key responsibilities
Administration & Operations
- Provide day-to-day operational support to the GISF Secretariat,
- Coordination with outsourced service providers (e.g. IT, legal, finance, audit).
- Maintain and update GISF’s policies systems to support efficient operations.
- Manage the GISF office space in London.
- General HR duties, including support to recruitment processes, leave-tracking and onboarding of new staff and consultants.
- Assist with travel bookings, venue arrangements, and logistics for meetings as well as GISF-led external events.
- Administrative support to the board of directors.
Finance
- Support day-to-day financial processes, including coordination of supplier payments and processing staff expense claims.
- Oversee basic bookkeeping functions, including coding of expenses to relevant grants and cost centres.
- Maintain financial records and assist in the preparation of financial reports for donors and management.
- Liaise with GISF’s external accountants or financial service provider to support timely and accurate reporting.
- Coordinate the collection and consolidation of monthly staff timesheets, ensuring correct allocation to grants/projects.
- Prepare and issue invoices; monitor payments and follow up with members as needed.
Person specifications
- Strong organisational skills, with the ability to manage logistics, competing priorities, and multiple deadlines.
- Demonstrated experience supporting administrative processes such as scheduling, travel booking, document management, and coordination with external service providers.
- High attention to detail, particularly in maintaining accurate financial and administrative records.
- Confidence working with budgets, invoices, expense tracking, and basic bookkeeping tasks (training can be provided).
- Highly proficient in Microsoft Office (especially Excel and Word) and comfortable learning new systems quickly.
- Experience using digital tools such as CRMs or accounting platforms (e.g., Salesforce, Xero) is desirable.
- Strong written and verbal communication skills, with the ability to prepare clear emails, documents, and reports.
- Ability to work independently, exercise sound judgement, and escalate issues appropriately.
