The opportunity has arisen to join the Senior Leadership team support staff in an exciting new role at the heart of philanthropic leadership at the University of Oxford. With an initial focus on supporting the fundraising activity of the Executive Director of Development, this new role will increase our capacity to secure multi-million-pound donations from across the globe.

About the Role

The main duties of this post will be the provision of high quality and efficient project management for the Senior Leadership team, including:

• Developing fundraising proposals, briefings and supporting materials for the SLT to use to promote funding opportunities to potential donors.
• Collating information and materials to provide reports for the SLT and other senior officers within the Pro Vice Chancellors’ and Vice Chancellor’s offices as needed for donor and volunteer cultivation, solicitations, stewardship and events.
• Managing donor reporting for key donors, liaising with academics and other key stakeholders to draft reports to donors. 
• Providing follow-up to any initiative which members of the SLT thinks must be tracked but which does not fall within the remit of any of the Development and Alumni Engagement teams, prompting members of the team about action as needed.

To Be Successful You’ll Need:

• Experience of providing a high level of project support in a fast-paced, complex organisation, ideally in a higher education or development environment
• An ability to act independently and decisively when the situation demands it.  Good judgement and the ability to acquire the knowledge necessary to support the task in hand in a timely manner
• Excellent communication skills, both oral and written, including a good command of the English language; the ability to be highly creative in producing materials and to understand how to articulate projects

The position:

You will manage our Volunteer team, requiring exceptional communication, a natural affinity for people management and organisation, and an ability to inspire people to get involved with our work. You will be responsible for the overarching strategy and success of the Volunteer Program.

Line managing two members of staff, you will ensure our Volunteer team sets and meets their strategic goals, contributing to our organisational priorities. Developing strategies which effectively mobilise our volunteers to drive campaigning work, you’ll ensure volunteers make the biggest possible impact for animals whilst remaining engaged and supported.

This role reports into the Head of Programs, while working closely with the rest of the THL UK team.

Hours:

This is a temporary 12 month maternity cover, full-time position over Monday to Friday.

From 1st July 2024 we are piloting a four day working week across the whole of the UK organisation. This pilot is planned to run for 12 months, at which point a decision will be made by our Board of Trustees as to whether this will become permanent. Success of the trial relies on the organisation being able to achieve the same or improved level of impact in four working days as five, with staff experiencing either the same or improved levels of wellbeing. 

During the four day week pilot, working hours for this position will be reduced to 30 hours per week, spanning Monday to Thursday, with no reduction in salary. This will be a temporary change to the contractual terms for the successful candidate. The appointed person must be prepared to increase their working hours to 37.5 hours per week if a return to a five-day working week is decided. In the event that THL UK considers before the end of the trial period that the trial is having an adverse operational impact, we reserve the right to bring the trial to end on one month’s notice.

Who you are:

Volunteers will be your passion. You’ll have a deep understanding of the importance of this kind of supporter and how to best steward their specific experience and manage their unique needs. You'll understand how to best manage and recruit volunteers, mobilising our UK wide network effectively both remotely and on the ground in order to create change. You’ll know how to best communicate and engage with them in order to make the most out of their time and efforts. You are someone who wouldn’t ask volunteers to do something you wouldn’t do yourself and you’ll ideally have some kind of experience of campaigning in a paid or voluntary capacity (e.g. attending protests).

Someone with previous line management experience is desirable, as you’ll need to be able to effectively manage and lead your team of direct reports.

As a member of the Leadership level of the organisation, you’re someone who can meaningfully contribute to organisation wide decision making, thinking holistically and strategically across teams.

As the manager and leader of your team, you’ll have demonstrable experience of organising several deliverables or projects, which involve multiple teams, at any one time.

You can forward think strategically and collaboratively, considering the volunteer program as well as the work of other teams, setting realistic timelines with this in mind and meeting deadlines reliably.

You’re adaptable, and can work nimbly, with desirable experience working specifically within a campaign environment in some way, where things can change quickly and unexpectedly.

You’re someone who can keep your cool in challenging situations, being able to problem solve and reprioritise with ease to lead your team to success, even when things change at the last minute. You are able to continually evaluate and identify areas of improvement for the volunteer program, recognising key opportunities to evolve and adapt for the best possible impact for animals.

Home based, you’ll have a strong ability to work independently, but you’re also someone who can work as part of a team in a fast-paced environment.

Primary Duties:

Management

Manages the Lead Grassroots Campaigns Coordinator and the Volunteer Program Administrator

• Ensures staff receive the training, resources and support to do their jobs effectively, encouraging the professional development of individual team members

• Manages and leads the Volunteer team to achieve agreed goals

• Develops volunteering goals, in collaboration with the Programs department, and is responsible for timely reporting and tracking of these

• Sets/clarifies job expectations and provides regular feedback, guidance and support to your team

• Empowers staff in the ongoing delivery of their work, from development of strategies and techniques through to successful day to day outputs

• Manages time off requests and approval of expenses for the Volunteer team members

• Manages overarching budget for Volunteer team

Strategy

• Develop and manage all plans and overarching strategy for our Volunteer team, including volunteer stewardship, recruitment and grassroots activism on the ground, ensuring the day to day is delivered effectively by the team

• Work together with the Head of Programs to develop and guide THL UK Volunteer strategy and activities, identifying key priorities and strategies to further the program

• Be an active member of the Programs department Leadership team, working closely with other managers within programs and the Head of Programs to deliver department goals

• Be an active member of the wider Leadership team across the organisation, contributing to organisation level decisions and working to ensure effective strategic alignment, ensuring Volunteer work is communicated successfully and opportunities for collaboration maximised

• Analyse & report on the effectiveness of activities delivered by the team, including timely goal reporting, feeding into funding proposals and more

• Observe and work with other organisations to learn new approaches and share/coordinate strategies, making connections with other organisations as required

Volunteering

• Lead our volunteer program to ensure our volunteers take action with us and remain engaged

• Ensure the Volunteer team organise effective and engaging actions and opportunities for our volunteers which contribute to our campaigns, working particularly closely with the Campaigns team

• Determine overarching training strategy, recruitment and internal processes for the volunteer program as a whole, with supporter experience at the heart

• Oversee our volunteering policies and procedures and their successful implementation, including regular reviews

• Ensure volunteering remains at the heart of what we do, you identify a diverse range of opportunities for our volunteers to get involved with across the entire organisation which ultimately contribute to campaign success, and high satisfaction amongst the volunteers themselves

In addition:

• Attend conferences, events, protests and actions as required

• Participate in team meetings including leading, note-taking and facilitation.

• Attend in-person workshops several times a year.

Job summary
The Royal Society of Tropical Medicine and Hygiene (RSTMH) is a Society of over 1,700 members from 100 countries, who work in, or are interested in tropical medicine and global health.

RSTMH organises and participates in events as a crucial way of showcasing, discussing, and debating key areas of tropical medicine and global health research and practice. Our range of events are wide. We deliver conferences and webinars, social events, research meetings for early career professionals, and high-profile debates and discussions. They happen across the UK and around the world, both online and in person. Our events add to the impact of our work in tropical medicine and global health, but also raise funds to allow us to continue our work as a charity.

The Meetings and Events Manager would lead on the delivery of the RSTMH meeting and events strategy. The role requires a self-starter who is excited by the prospect of working on such a broad range of meetings and events. The candidate needs to have excellent communication and relationship building skills, and to be organised, flexible with a great attention to detail. They should be comfortable liaising with venues for meetings space, developing budgets for events, managing logistical aspects of the events programme and setting up new events online and in person.

The role 

You’ll bring energy and enthusiasm to the team, ensuring financial functions are carried out efficiently, effectively, accurately and in a timely way to enable us to focus on achieving our charitable mission.

The focus of the role will be on managing and improving financial processes, ensuring that the Senior Leadership Team have up-to-date and accurate records for reporting to the Board, supporting the programmes and philanthropy teams with accurate fund reports and preparing the accounts for audit each year.  You will work closely with the whole team of staff and volunteers, but you will work most closely with the Operations Director and the Finance Manager.

You’ll be provided with training on our CRM and IT systems. The successful applicant will always be expected to observe our values and policies and to actively engage with continuous professional development.

Key Areas of Responsibility 

 

1. Treasury and Investment Management

· Monitor endowment investments and provide calculations and support in relation to total return

· Prepare quarterly investment management report

· Treasury management to maximise our investment returns

 

2. Bookkeeping and Management Accounts

· Work with the Finance Manager to ensure donations are properly recorded on our CRM and in Sage

· Work with the Finance Manager to reconcile bank accounts monthly

· Preparing monthly management reports, noting significant variances with forecasts

· Monitor outstanding debtors, and with line manager approval, chase overdue debtors

· Prepare fund balances when required by the programmes team to support grant-making

· Presentation of management accounts to board and engagement with board members as required

3. Annual Accounts

· Prepare statutory accounts, working with the Operations Director and CEO to ensure income and costs are allocated accurately across SORP categories

· Participate in the Audit process, engaging with auditors and prepare information for audit and liaise with auditors in the conduct of the annual audit process

· Prepare annual fundholder statements

· Support the Senior Leadership Team in the preparation of the annual budget and cash flow forecast

4. Other Work Required

MRF National Events Programme

The MRF National Events Fundraiser is responsible for a significant proportion of our events income with hundreds of runners each year taking on the challenge of participating in iconic races such as TCS London Marathon and A J Bell Great North Run.

Many of our race participants join Team MRF for deeply personal reasons, having had first-hand experience of the disease. Without Team MRF runners we would not be where we are in the race to defeat Meningitis, they are fundamental to our work and have been so since our early days as a charity.

The National Events Fundraiser is an enjoyable role at MRF within a very successful fundraising team, which last year raised over £500,000 by supporting hundreds of runners on Team MRF.

It is through the determination of everyone involved with the national events programme that we are able to deliver a number of our goals as a charity. You will harness that passion to help each runner succeed and understand what a difference they make along the way.

With many different elements to the role from planning, marketing, stewardship and event delivery you will need to be flexible and adaptable. This isn’t a fully desk-based job, as at different points of the year you will get the chance to meet Team MRF runners face to face by attending the events themselves and delivering celebratory post-race receptions.

With large teams of runners across a rolling annual events programme you must feel comfortable in managing deadlines, overlapping plans and keeping on top of supporter communications. Whilst we have systems in place to support this, our ideal candidate is someone who enjoys taking responsibility for their own workload.

This a fun role that sees the events through from start to finish and a great opportunity for the right candidate.

Specific responsibilities

About IKWRO

IKWRO –Women’s Rights Organisation (IKWRO) is an award-winning charity founded (as the Iranian and Kurdish Women’s Rights Organisation) in 2002. IKWRO is a registered charity which provides advice and support to Middle Eastern, North African and Afghan women and girls living in the UK, who have experienced, or are at risk of all forms of “honour” based abuse, including; forced marriage, child marriage and female genital mutilation (FGM), or domestic abuse.

We work with women and girls of all ages, including lesbian women, bisexual women and trans women. We offer services in Kurdish, Farsi, Arabic, Dari, Pashto, Turkish and English. IKWRO offers free advice, advocacy and counselling services and operates a refuge which provides safe accommodation and specialist support to single women at risk of “honour” based abuse, forced marriage and domestic abuse.

IKWRO also provides training for women and girls to help them understand their rights in the UK. In partnership with other organisations, we assist survivors of abuse with accessing English language classes and education, training and employment opportunities.

As well as supporting women and girls directly, we offer advice and training for professionals from the statutory and voluntary sectors, to better understand the needs of the women and girls we represent, the types of abuse they experience and to provide best practice prevention and support services.
