Job Summary
The Safeguarding Administrator provides comprehensive administrative support for meetings and safeguarding activities to aid the smooth running of the safeguarding team. This role ensure that the safeguarding team provides a professional and friendly service to parishes within the Diocese of London, and to the London Diocesan Fund.
Job responsibilities
Administrative support for meetings
- Provide administrative support for the Safeguarding Leadership Team.
- Produce high quality accurate minutes of team meetings and ensure they run smoothly.
Administrative support for safeguarding activity
- Work with the Safer Churches Programme Manager to provide day to day administrative support, working closely to ensure functions run smoothly.
- Work within national and diocesan safer churches policy and procedures as defined in the safer churches programme of work.
- Support the Safeguarding Advisors with safeguarding agreements and risk assessments as required.
- Provide effective administrative support, maintaining standards as required by the Diocese.
- Work with the Safer Churches Programme Manager to provide performance data to assist the regular reporting management information.
- Provide administrative support for Disclosure and Baring Service checks.
Training administration
- Provide administrative support to ensure the smooth running of the safeguarding training programme.
- Support trainers’ timely preparation, pre and post training.
- Co-ordinate the evaluation process to assess trainer performance and impact on learning.
- Manage safeguarding training inbox.
- Work closely with colleagues in the Area Offices to keep licensed clergy and lay ministers training kept up to date.
General administrative support
- Ensure confidentially in line with GDPR.
- Process Invoices and annual subscriptions in a timely way and maintain tracking spreadsheet.
- Update contact details of local authorities, LADO’s and statutory agencies covering the diocesan area.
- Undertake any other duties that are commensurate with the role.

As the Peer to Peer Groupwork Facilitator you will set up, lead and deliver a year-long peer to peer group programme for bereaved families who have experienced the sudden and unexpected death of a baby or young child.
The groupwork is based on a programme led by Harvard University and Boston’s Children’s hospital and has structured sessions drawing upon psychological model of CBT, although the sessions are not therapeutic. Each session has a theme and incorporates education, guidance and support.
You will establish and deliver a new peer online support group, facilitating group formation, and enhancing service delivery and creating a safe and welcoming space for bereaved families.
Outside the group sessions you will be responsible for managing the administration and evaluation of the service, including and collection of questionnaires and feedback required for reporting purposes and supporting members with any signposting requirements processing referrals, carrying out eligibility screening, monitoring the waiting list and inputting and keeping all database member and service records up to date.

Key Tasks and Responsibilities
Administration
· Act as first point of call for artists regarding their visits to hospitals, overseeing sickness, cover and changes to their schedules
· Support artists with hospital administration and contracts
· Keep artists updated with changes in Theodora Children’s Charity’s policies
· Process changes to the Giggle Doctor schedule on our internal systems
· Liaise with hospitals and keep them up to date with information about their programme of Giggle Doctor visits

We have an opportunity for a highly organised individual to join our Quality Team, as a Quality Administrator. With proven skills and experience of using IT, excel and databases related to administrative tasks to support the wider organisation. You will play an essential role with supporting the team and the service operational teams.
You will be the first point of contact for teams who need support with any case management system queries, incidents and accidents and any data related queries. Strong customer service skills are essential for this role. You will be adaptable and able to work in an agile environment to support the team meet deadlines and reporting cycles.
The weekly working hours are 37.5 hrs, to be completed between 9am-5pm Mon- Fri. This is a hybrid based role with two days a week completed at our national office.

What is the overall purpose of the role?
At Youth Action Alliance, our mission is to support the personal and social development (their values, beliefs, ideas and skills) of the young people living in Kensington and Chelsea and neighbouring boroughs, enabling them to increase their resilience and skills in the present, and promote their ambitions for the future.
The Staying Connected project provides weekly one-to-one and group support for young people aged 11 - 19 years, facing multiple challenges. Creating a personal action plan comprised of positive activities that promote and enhance personal development and skills, building on young people’s strengths. This engagement is via face-to-face, online platforms, mobile phones and structured group work to maintain contact with them, talking about how they are feeling and to provide advice, mentoring and signposting to additional support services.
Key Responsibilities
Programme management
- Programme Delivery: Coordinate and oversee the development and implementation of a personal and social development programme for young people aged 11-19.
- Recruitment: Engage and recruit young people to participate in the programme.
- Partnerships: Strengthen local partnerships
- Risk and Safety: Update risk assessments and conduct regular health and safety checks
- Promotion: Manage promotional activities, including social media
- Funding Management: Handle project funding, do financial reports, and manage the budget and expenditure.
- Support Services: Provide one-to-one or group support through various communication channels and help young people achieve positive outcomes
- Action Plans: Create and monitor individual action plans for participants to track their goals and progress.
- Activities: Organize trips and positive activities in line with the programme
- Administration: Manage day-to-day operations and oversee all administrative tasks related to the programme.
- Partnership Building: Seek and build partnerships with external stakeholders
- Representation and Liaison: Represent the organisation at various meetings
Staff management
- Staff Management: Oversee and guide the Staying Connected Support Worker(s) to ensure high performance and efficient delivery of the programme.

Reporting / grant management
- Budget Reporting: Prepare and present budgetary reports
- Data Management: Ensure the accuracy and timely input of project data,
- Performance Monitoring: Collate and present statistics on project performance

- Business Development: Identify and pursue business development opportunities to build new partnerships and enhance programme delivery.
Evaluation
- Feedback Collection: Gather and document feedback on young people's experiences and progress through various methods

Person Specification
Knowledge & Experience
The Staying Connected Support Worker will bring:
- Minimum Youth Work and/or Mentoring Qualification Level 3
- Experience in the charity sector, the voluntary sector, or the community sector would be desirable.
- Management experience
- Experience working with children, young people and vulnerable adults
- Competent in the use of MS Word, Excel, and the ability to use databases for recording and reporting.
- Excellent time-keeper and manages own time effectively to keep to deadlines
- Excellent Literacy – you will have excellent communication skills, including writing skills.
- Have good interpersonal skills and some experience of engaging with a diverse group of people, including young people and vulnerable adults.
- Qualification of Health, wellbeing, and/or advocacy

I am delighted to be working alongside an amazing children’s charity in search of a Supporter Care Administrator. This is a full-time, London based hybrid role for 2 – 3 months. As Supporter Care Administrator your role will be to manage all supporter administration, including database import and export and fundraising finance processes alongside the Commercial Director and Fundraising Managers.
Main duties:
Responsible for the oversight of database activity making sure that robust processes are in place and information is handled with efficiency and accuracy.
To help create a robust Raisers Edge stewardship process to use both internally and externally to the commercial team.
To ensure all supporter queries are handled and supporters are thanked in a professional and timely manner.
To ensure that invoices are processed accurately and efficiently and queries dealt with promptly and effectively
To ensure all invoices are appropriately coded and authorised before passing to the finance team for payment.
To support campaign processing with database and finance processes.
Oversight and preparation of the fundraising batching process and the imports to upload supporter information onto Raisers Edge.
Assist the team in creating RE reporting queries to allow for better analysis of supporter and financial information.
To monitor RE/finance/statutory inbox’s and deal with queries forwarding them to the correct individual.
Support the Gift Aid submissions process
Preparing data and reports to allow finance to reconcile donations received with account records.
Skills and experience:
Proficient and in depth knowledge of Raisers Edge Fundraising database.
Data Entry experience and basic understanding of financial processes.
Experience Importing & Batching on Raiser’s Edge.
Experience processing donations for a charity.
